Air Freight Export.<br />
Air freight is the fastest transportation method available. It is therefore important<br />
that clearances upon departure and arrival flow smoothly. Here you will find an<br />
overview of the required documents:<br />
Shipping/Dispatch Order<br />
This document contains information regarding the shipper, recipient, delivery terms, number<br />
of packages, weight and possibly shipping instructions.<br />
Invoice<br />
Commercial or pro-forma invoice market value for all goods included in the invoice, even in<br />
situations where the goods are shipped free of charge. A pro-forma invoice must show the<br />
actual market value of the goods.<br />
Intra-EU Community Shipments<br />
For deliveries within the European Union, it is sufficient to have an invoice and shipping order<br />
or packing list with the following information: shipper, recipient, contents, delivery terms,<br />
number of packages and weight.<br />
<strong>Luftfracht</strong> Export.<br />
<strong>Luftfracht</strong> ist der schnellste Transportweg. Da ist es wichtig, dass auch die Abfertigung<br />
bei Abgang <strong>und</strong> Ankunft reibungslos läuft. Hier finden Sie einen Überblick<br />
über die Dokumente, die benötigt werden:<br />
Speditionsauftrag/Versandverfügung<br />
Dieser enthält Informationen zu Absender, Empfänger, Lieferkonditionen, Packstückanzahl,<br />
Gewicht <strong>und</strong> eventuell Versandvorschrift.<br />
Rechnung<br />
Handels- oder Proforma-Rechnung Handelswert für alle angeführten Güter, auch bei Waren,<br />
die kostenlos geliefert werden. Eine Proforma-Rechnung hat den Wert aufweisen, welcher<br />
dem tatsächlichen Handelswert entspricht.<br />
Innergemeinschaftliche Lieferungen (EU)<br />
Für innergemeinschaftliche Lieferungen (innerhalb der EU) reicht eine Rechnung, Lieferschein<br />
oder Packliste mit folgenden Daten: Absender, Empfänger, Inhalt, Lieferkondition, Anzahl der<br />

Single administrative document (EU) for the customs clearance of goods pursuant to the<br />
applicable legal regulations. SENATOR will gladly prepare this document for its clients.<br />
Letter of Credit-Copy (L/C)<br />
In the event you are selling by Letter of Credit, so you can prepare your transport documents<br />
in compliance with the terms of a letter of credit.<br />
Export Permit/License<br />
If required. (Feel free to ask us whether you need one)<br />
Wooden Packing Declaration<br />
Many countries require wooden packing (pallets, crates, boxes) for imports, which must<br />
meet the ISPM-Nr.15-standard for wooden packing. This standard is mandatory and must be<br />
verifiable. Your local SENATOR-office branch will gladly inform you regarding all applicable<br />
regulations.<br />
Non-Wooden Packing Declaration<br />
In the event your goods are not being transported in wooden packing, it is sufficient to state<br />
this in your Commercial or Pro-forma invoice.<br />
Other documents<br />
Give us a call, and we will inform you whether any other documents are required, such as when<br />
dealing with hazardous goods or other types of goods that require special documentation.<br />

Wooden Packing Declaration<br />
Für den Import in viele Länder müssen Holzverpackungen (Paletten, Verschläge, Kisten) dem<br />
ISPM-Nr.-15-Standard für Verpackungsholz entsprechen. Dieses ist zwingend <strong>und</strong> muss nachweisbar<br />
sein.<br />
Gern informiert Sie Ihr lokales SENATOR-Büro über entsprechende Bestimmungen.<br />

Sollten Ihre Waren nicht auf Holzpaletten oder in Holzverschlägen zum Transport kommen,<br />

Airport Customs (for shipping outside of the European Union EU)<br />
Every air freight shipment must meet the customs regulations for the country of departure<br />
and arrival. As a result, air freight shipments may only be shipped to and from airports,<br />
which facilitate the necessary customs clearances (so-called “Customs Airports”). We will<br />
gladly advise you whether the airport closest to your distributor or shipper is a “Customs<br />
Airport”.<br />
Loading limitations<br />
Based on the type of airplane involved and the destination, there are limits with regard to<br />
dimensions and net weight of the individual packages. Occasionally, the determination as to<br />
whether a package is transportable in a particular type of airplane can come down to mere<br />
centimeters in dimension. Usually, the height of the package will be the deciding factor. However,<br />
the width and length of a package can sometimes make transportation impracticable<br />
on a particular airplane type.<br />
<strong>Luftfracht</strong> Import.<br />
Welche Dokumente werden benötigt?<br />
Im Allgemeinen genügen eine Handelsrechnung (eventuell auch B/L-oder Awb-Kopie) <strong>und</strong><br />
eine Packliste als Begleitpapiere einer <strong>Luftfracht</strong>sendung. Um eine schnelle Zollabfertigung<br />
gewährleisten zu können, sollten die erforderlichen Zolldokumente die Ware auch schon<br />
begleiten. Vor dem Import sollte sorgfältig geprüft werden, welche Dokumente zolltechnisch<br />
notwendig sind, um die Ware überhaupt importieren zu dürfen, bzw. um gegebenenfalls vergünstigte<br />
Zollsätze in Anspruch nehmen zu können. Über die jeweils gültigen Bestimmungen<br />
kann Ihnen der <strong>Senator</strong>-Zollspezialist anhand von Länderlisten <strong>und</strong> Zolltarifunterlagen jederzeit<br />
Auskunft erteilen.<br />
Welche Transport- <strong>und</strong> Ladebestimmungen gibt es?<br />
Customs Airports (für die Sendungen außerhalb der EU)<br />
Jede Luftrachtsendung hat den Zollbestimmungen des Abgangs – <strong>und</strong> Ankunftslandes gerecht<br />
zu werden. Daher dürfen <strong>Luftfracht</strong>sendungen nur von (bzw. nach) Flughäfen geschickt<br />
werden, die die notwendige Zollabfertigung ermöglichen, den sogenannten „Customs Airports“.<br />
Gerne geben wir Ihnen Auskunft, ob der nächst gelegene Flughafen Ihres Lieferanten<br />
oder Absenders ein „Customs Airport“ ist.<br />
Ladbarkeit<br />
Es gibt je nach Flugzeugtyp <strong>und</strong> Destination Limits in Bezug auf Dimensionen <strong>und</strong> Bruttogewicht<br />
des einzelnen Packstückes. Bei größeren Packstücken entscheiden gelegentlich Zentimeter<br />
darüber, ob die Ware mit dem Flugzeug eines bestimmten Typs transportierbar ist.<br />
Entscheidend ist zwar meist die Höhe, doch auch die Breite <strong>und</strong> Länge können den Transport<br />
mit einem bestimmten Flugzeugtyp <strong>und</strong>durchführbar machen.<br />

Air freight rates are always offered in terms of kg/6m 3 . You can also refer to it by volume as<br />
1:6 or 1m 3 = 167kg. That means the rate will be determined either by the weight or the space<br />
required for the transport of your shipment.<br />
The calculation as to whether you are paying by weight or by volume is based on the<br />
following formula:<br />

Where is it possible to ship goods Freight Collect?<br />
The I.A.T.A. (<strong>International</strong> Air Transport Association) sets forth the countries in which airlines<br />

on a constant basis and therefore the guidelines are subject to change at any time. More<br />
specific information can be obtained at your local <strong>Senator</strong> office.<br />

Sea freight is a cost-efficient form of transportation. Even though this method<br />
of transportation is slower than air freight, large quantities of goods shipped via<br />
sea freight arrive at their destination in good condition and in a cost-effective<br />
manner. Which documents are necessary to ensure a smooth clearance and dispatch<br />
of goods?<br />
a) Export Documents<br />
Shipping/Dispatch Order<br />
Should include information concerning the recipient, delivery conditions, shipment informa<br />
tion (including content, number of packages, weight, measurements, information re<br />
garding the goods) and, if applicable, shipping deadlines and other important information<br />
concerning transportation provisions, such as stackability of pallets, etc.<br />
Invoice<br />
Commercial or Pro-forma invoice which states the value of all the invoiced goods including<br />
those shipped free of charge.<br />
Export Declaration/Single Administrative Document (EU)<br />
Letter of Credit<br />
Document which sets forth the customs relevant information for a shipment leaving the<br />
customs area.<br />

In the event that you are selling goods on the basis of a “Letter of Credit”, we would like to<br />
obtain a copy of the Letter of Credit as soon as possible, to ascertain that all the terms and<br />
conditions in the Letter of Credit can be fulfilled and that you can obtain the corresponding<br />
freight documentation from us immediately.<br />
Export permit/licence<br />
This is not required for every export and depends on the type of goods and the country of<br />
destination (if you have any questions, please contact us at any time).<br />
Wooden Packaging Declaration<br />
Many countries require wooden packing (pallets, crates and boxes) to meet the ISPM-Nr.-15<br />
standard for wood packaging. This regulation is mandatory and must be verifiable.<br />
Your local SENATOR-office branch will gladly inform you regarding applicable regulations.<br />
Non-Wooden Packing Declaration<br />
In the event that your goods are not transported in wooden pallets or crates, it is sufficient to<br />
declare in your commercial or Pro-forma invoice that the packaging contains no wood.<br />

Sollten Sie auf Basis „Letter of Credit“ verkaufen, hätten wie gern die Akkreditiv-Kopie so früh<br />

Für den Import in viele Länder müssen Holzverpackungen (Paletten, Verschläge, Kisten) dem<br />

The import of certain goods (e.g. clothing) may be subject to partially strictly regulated<br />
provisions. In many cases an import authorization is required. The documents required<br />
to obtain such an import authorization are governed by the respective country of origin<br />
or trade. As a general rule, an application for an import authorization may be applied<br />
for prior to the arrival of the shipment, provided that all essential documents from your<br />
suppliers are available in a timely manner.<br />

Zollsatz verringern kann.<br />
Import von einfuhrbewilligungspflichtigen Waren<br />
Der Import von bestimmten Waren (z.B. Bekleidung) unterliegt teilweise strengen Bestimmungen.<br />
In vielen Fällen ist eine Einfuhrbewilligung erforderlich. Welche Dokumente zur<br />
Erlangung einer Einfuhrbewilligung erforderlich sind, richtet sich nach dem jeweiligen<br />
Ursprungs- oder Handelsland. In der Regel kann eine Einfuhrbewilligung vor dem Eintreffen<br />
der Sendung beantragt werden, sofern alle erforderlichen Dokumente seitens Ihres<br />
Lieferanten zeitgerecht vorliegen.<br />

Types of Bills of Lading<br />
The transportation document (Bill of Lading or B/L Bill of Lading) is used as:<br />
• Confirmation that the shipment was assumed by the carrier<br />
• Confirmation regarding the sea freight contract<br />
• Negotiable instrument (transfer document)<br />
Bill of Lading terms and conditions<br />
The terms and conditions of the carrier issuing the Bill of Lading are listed on the front side of<br />
the document. The reverse side of the document contains information regarding the shipper,<br />
consignee, a description of goods, etc., in other words, all the information concerning the<br />
shipment to be transported. Typically, banks will require a „shipped on board” Bill of Lading<br />
in the letter of credit.<br />
Konnossement-Arten<br />
Das Transportdokument (Konnossement oder B/L Bill of Lading) dient als:<br />
• Bestätigung, dass die Sendung durch den Verfrachter übernommen wurde<br />
• Bestätigung über den Frachtvertrag<br />
• Begebbares Wertpapier (Traditionspapier)<br />
Konnossement-Bedingungen<br />
Auf der Vorderseites des Dokuments sind die Bedingungen des Carriers vermerkt, der das<br />
Bill of Lading ausstellt. Die Angaben über Shipper, Consignee, Warenbeschreibung etc., also<br />
alles, was sich auf die tatsächlich transportierte Sendung bezieht werden auf der Rückseite<br />
Seite eingetragen. Üblicherweise wird von Banken im Akkreditiv ein „shipped on board“ Bill of<br />

Is a Multimodal Combined Transport Bill of Lading that is generally issued<br />
by shipping agents.<br />
Endorser<br />
Is someone who endorses an endorsable document and thus assigns his rights <strong>und</strong>er a commercial<br />
instrument over to another.<br />
Endorsement<br />
Endorsements of Bills of Lading, similar to those in other types of bill of exchange transactions,<br />
are required to transfer rights of a Bill of Lading to third parties and/or to assert a delivery<br />
claim against the carrier. The recipient must render an additional endorsement in order<br />
release the cargo from the carrier for delivery.<br />
FIATA-B/L<br />
Ist ein Multimodal Combined Transport Bill of Lading, das in der Regel von Spediteuren ausgestellt<br />
wird.<br />
Indossant<br />
Ist jener, der ein durch Indossament übertragbares Papier indossiert <strong>und</strong> damit die Rechte<br />
aus dem Wertpapier auf einen anderen überträgt.<br />
Indossament<br />
Wie im Wechselverkehr ist auch eine Indossierung der Konnossemente erforderlich, um die<br />
Rechte aus dem B/L auf Dritte zu übertragen, bzw. um den Auslieferungsanspruch gegenüber<br />
dem Carrier geltend zu machen. Ein weiteres Indossament hat der Empfänger zu leisten,<br />
um die Ladung vom Carrier zur Auslieferung freistellen zu lassen.<br />

LCL (less than container load)<br />
In LCL-shipments (also known as a “less than container load”), the combined volume and/<br />
or weight of all the individual deliveries is too low to fill up an entire container. As a result, in<br />
practice, multiple LCL-deliveries (which may be for different shippers with the same port of<br />
destination) will be combined into one container (=collective container) at the port of shipment.<br />

Varianten des Seetransports<br />
LCL (less than container load)<br />
Bei LCL-Sendungen (auch Stückgut genannt) ist das Volumen <strong>und</strong>/oder das Gewicht der<br />
einzelnen Sendungen zu gering, um einen kompletten Container zu füllen. In der Praxis werden<br />
daher mehrere LCL-Sendungen (auch unterschiedlicher Versender, jedoch mit gleichem<br />
Bestimmungshafen) im Verschiffungshafen in einen Container zusammengeladen (=Sammelcontainer).<br />

FCL (full container load)<br />
Exclusive containers will be loaded when:<br />
• The volume and weight of the delivery is large enough to make transportation<br />
in an exclusive container economical.<br />
• The nature of the goods and/or the safety of the shipment requires the use of<br />
an exclusive container<br />
• Loading the goods in question together with other goods is prohibited.<br />
Break Bulk<br />
The term Break Bulk refers to the transport of shipments which, due to their dimensions,<br />
weight or other characteristics are not loadable into a container or for which the transport in<br />
a container would not be deemed economical.<br />
RO/RO transportation (Roll on/Roll off)<br />
Ro/Ro offers the possibility of driving wares rolling on their own axle (e.g: trucks, busses, cars<br />
and construction equipment) directly into the ships. Once on the ship, the vehicles can be<br />
parked and secured similarly to the procedures on a ferry.<br />
FCL (Full container load)<br />
Komplette Container werden geladen, wenn z.B.<br />

verladbar sind oder der Transport in Containern unwirtschaftlich wäre.<br />
RO/RO-Verkehr (Roll on/Roll off)<br />
Ro/Ro bietet die Möglichkeit, auf eigener Achse rollende Ware (z.B. LKW, Busse, Autos, Baumaschinen,<br />
etc.) direkt in die Schiffe zu fahren. Diese werden im Schiff, ähnlich wie in einer<br />
Fähre, verstaut <strong>und</strong> gesichert.<br />

Bulk Cargo<br />
Bulk cargo loads (e.g: grain) are primarily delivered to and/or transported from the port on<br />
freight cars due to the large mass of these types of loads. The loading at the port will take<br />
place directly from the freight car to the ship and vice-versa.<br />
Hazardous goods in sea transportation<br />
All hazardous goods must be properly declared and packaged pursuant to IMDG and ADR<br />
regulations. The original IMO-Declaration for Dangerous Goods is prepared by the shipper.<br />
A copy of the IMO-Declaration should be sent to the freight carrier before the start of the<br />
transport. Important: The exact technical name of the goods, type of hazard class, and the<br />
UN-Number must be included in the correspondence. The loading of hazardous goods is<br />
more expensive than harmless deliveries, and therefore an initial inquiry should disclose the<br />
fact that the shipment is an IMO.<br />
Bulk-Ladungen<br />
Schüttgutladungen (z.B. Getreide) werden in erster Linie im Waggon im Hafen angeliefert<br />
bzw. vom Hafen abtransportiert, da diese Ladungen meist aus größeren Mengen bestehen.<br />
Die Umladung im Hafen erfolgt direkt vom Waggon in das Schiff bzw. umgekehrt.<br />
Gefahrgut im Seeverkehr<br />
Alle Gefahrgüter müssen als solche deklariert werden <strong>und</strong> entsprechend der IMDG- <strong>und</strong> ADR-<br />
Regulations verpackt werden. Die IMO-Declaration for Dangerous Goods hat der Versender<br />
im Original auszustellen. Eine Kopie der IMO-Declaration sollte vor Transportbeginn an den<br />
Transportunternehmer gesendet werden. Wichtig: der exakte technische Namen der Ware,<br />
Gefahrgutklasse <strong>und</strong> UN-Nummer sollten in der Korrespondenz enthalten sein. Die Verladung<br />
von Gefahrgütern ist teurer als die harmloser Sendungen, daher sollte schon bei Anfrage<br />
darauf hingewiesen werden, dass es sich um IMO handelt.<br />

Incoterms-Regulations for <strong>International</strong> Trading of Goods<br />
The Incoterms were outlined and established by the <strong>International</strong> Chamber of Commerce ICC<br />
in Paris. They assist buyers and sellers in determining and defining the risks and costs, as well<br />
as specific obligations in the purchase contract. The Incoterms are regularly revised, as the<br />
conditions of trade and transport are always changing due to political or economic factors.<br />
The most recent version of the Incoterms are the Incoterms 2010. It is very important that<br />
buyers and sellers make it clear in the purchase agreement as to which version of the Incoterms<br />
is being used, because prior versions do not expire, and any past or current version<br />
can still be used as a basis of the contract.<br />

Die Incoterms wurden von der <strong>International</strong>en Handelskammer ICC in Paris ausgearbeitet<br />
<strong>und</strong> festgelegt. Sie dienen Verkäufer <strong>und</strong> Käufer zur Festlegung von Gefahrenübergang <strong>und</strong><br />
Kostenübergang sowie bestimmter Pflichten in deren Kaufvertrag. Die Incoterms werden regelmäßig<br />
überarbeitet, sich passen sich den permanent veränderlichen Handels – <strong>und</strong> Transportbedingungen<br />
an, die durch politische oder wirtschaftliche Rahmenbedingungen gesteckt<br />
werden.<br />
Die neuste Version der Incoterms sind die Incoterms 2010. Es ist wichtig, dass sich Verkäufer<br />
<strong>und</strong> Käufer in ihrem Kaufvertrag klar auf eine Version der Incoterms beziehen, da die vorherigen<br />
Fassungen nicht an Gültigkeit verlieren <strong>und</strong> nach wie vor in einem Vertag genutzt werden<br />
