LIMITED WARRANTY.<br />
<strong>FotoWare</strong> A.S. warrants that the Software, if operated as directed, will substantially<br />
achieve the functionality described in the Documentation. <strong>FotoWare</strong> A.S. does not<br />
warrant, however, that your use of the Software will be uninterrupted or that the<br />
operation of the Software will be error-free or secure. <strong>FotoWare</strong> A.S. also warrants<br />
that the media containing the Software, if provided by <strong>FotoWare</strong> A.S., is free from<br />
defects in material and workmanship and will so remain for ninety (90) days from<br />
the date you acquired the Software. <strong>FotoWare</strong> A.S.’s sole liability for any breach of<br />
this warranty shall be, in <strong>FotoWare</strong> A.S.’s sole discretion: (i) to replace your defective<br />
media; or (ii) to advise you how to achieve substantially the same functionality with<br />
the Software as described in the Documentation through a procedure different from<br />
that set forth in the Documentation; or (iii) if the above remedies are impracticable,<br />
to refund the license fee you paid for the Software. Repaired, corrected, or replaced<br />
Software and Documentation shall be covered by this limited warranty for the period<br />
remaining under the warranty that covered the original Software, or if longer, for<br />
thirty (30) days after the date (a) of shipment to you of the repaired or replaced<br />
Software, or (b) <strong>FotoWare</strong> A.S. advised you how to operate the Software so as to<br />
achieve the functionality described in the Documentation. Only if you inform<br />
<strong>FotoWare</strong> A.S. of your problem with the Software during the applicable warranty<br />
period and provide evidence of the date you purchased a license to the Software will<br />
<strong>FotoWare</strong> A.S. be obligated to honor this warranty. <strong>FotoWare</strong> A.S. will use reasonable<br />
commercial efforts to repair, replace, advise or, for individual consumers, refund<br />
pursuant to the foregoing warranty within 30 days of being so notified.<br />

BASIS OF BARGAIN.<br />
This is a limited warranty and it is the only warranty made by <strong>FotoWare</strong> A.S.<br />
<strong>FotoWare</strong> A.S. makes no other express warranty and no warranty of noninfringement<br />
of third parties’ rights. The duration of implied warranties, including without<br />
limitation, warranties of merchantability and of fitness for a particular purpose, is<br />
limited to the above limited warranty period; some jurisdictions do not allow<br />
limitations on how long an implied warranty lasts, so limitations may not apply to<br />
you. No <strong>FotoWare</strong> A.S. dealer, agent, or employee is authorized to make any<br />
modifications, extensions, or additions to this warranty.<br />
If any modifications are made to the Software by you during the warranty period; if<br />
the media is subjected to accident, abuse, or improper use; or if you violate the terms<br />
of this Agreement, then this warranty shall immediately be terminated. This<br />
warranty shall not apply if the Software is used on or in conjunction with hardware or<br />
software other than the unmodified version of hardware and software with which<br />
the software was designed to be used as described in the Documentation.<br />

INSTALLING DISTRIBUTION MANAGER<br />
Double-click the setup program in the<br />
“\Setup\<strong>Distribution</strong> <strong>Manager</strong> <strong>4.0</strong>”<br />
folder on the <strong>FotoWare</strong> CD<br />
Before you install <strong>Distribution</strong> <strong>Manager</strong> <strong>4.0</strong>, you should check that your<br />
computer matches the minimum specifications set forth in this <strong>User</strong> <strong>Guide</strong>.<br />
See “System Requirements” on page 6 of this <strong>User</strong> <strong>Guide</strong>.<br />
The installation of <strong>Distribution</strong> <strong>Manager</strong> is a quick and simple process. To start<br />
the installation, insert the <strong>FotoWare</strong> Server Applications CD in your CD-ROM<br />
drive. A new window should appear to show the contents of the CD. Open the<br />
Setup folder, and enter the <strong>Distribution</strong> <strong>Manager</strong> <strong>4.0</strong> folder. Double-click the<br />
setup.exe icon to start the installation.<br />
Alternatively, you can open the Start-menu, select “Run…” and type in<br />
“:\setup\distribution manager <strong>4.0</strong>\setup.exe” where “” should be<br />
replaced by the drive-letter of your CD-ROM drive.<br />
The installation program will now lead you through a number of steps to<br />
prepare for the installation. Press the Next-button when you are ready to<br />
continue to the next step.<br />
You will be presented with the License Agreement for the application, and<br />
also the latest release notes if important changes have been made to the<br />
application since this <strong>User</strong> <strong>Guide</strong> went to press. It is important that you read<br />
this information carefully.<br />

INSTALLING DISTRIBUTION MANAGER<br />
The next step is to choose the installation location. By default, the installation<br />
program suggests to install <strong>Distribution</strong> <strong>Manager</strong> in the<br />
“\<strong>FotoWare</strong>\<strong>Distribution</strong> <strong>Manager</strong> <strong>4.0</strong>” folder of the system drive. Though you<br />
may install <strong>Distribution</strong> <strong>Manager</strong> anywhere you like on your local disks, it is<br />
recommended that you follow the suggestion if you are about to set up a<br />
complete <strong>FotoWare</strong> system, as this will make support and future maintenance<br />
easier. Press “Browse…” to select another folder to install in, or simply select<br />
“Next” to continue.<br />
You will now be asked to choose the Program Folder where the installation<br />
program will add shortcuts to the <strong>Distribution</strong> <strong>Manager</strong> application and other<br />
important files. The Program Folder will be visible in your Windows Startmenu.<br />
The default name of the program folder is <strong>FotoWare</strong>. Type in another<br />
name or accept the default, and press "Next" to continue.<br />
The installation program will now ask you to confirm your settings. If you<br />
want to change anything, press the “Back” button to step backwards. Press<br />
“Next” to go on with the installation. The installation program will then copy<br />
all the necessary files to your computer, and create shortcuts for the application<br />
in the Start-menu. When the installation is finished, you will have the<br />
option to launch the application to start working. Press “Finish” to quit the<br />
installation program.<br />

A BRIEF INTRODUCTION<br />
The object of <strong>Distribution</strong> <strong>Manager</strong> is to easily be able to transfer files of any type from<br />
one location to another. Files may be fetched from or sent to an ftp server, between<br />
shared Windows volumes or between folders on a local computer - even via email.<br />
Automating transfer of entire folder structures such as web sites, optionally sorting files<br />
in their respective destination folders according to a prefix in their filenames,<br />
<strong>Distribution</strong> <strong>Manager</strong> is the ideal tool for maintaining file flow in your organization,<br />
whether you work with pictures, text documents, HTML-pages or other file types.<br />
An important aspect of <strong>Distribution</strong> <strong>Manager</strong> is its ease of use. The program window<br />
remains uncluttered at all times, and setting up a file transfer channel is easy even if you<br />
have never done it before.<br />
System requirements<br />
<strong>Distribution</strong> <strong>Manager</strong> requires Windows NT version <strong>4.0</strong> or higher to operate correctly. It<br />
also requires that Microsoft Internet Explorer version 3.0 or higher is installed on the<br />
server. <strong>Distribution</strong> <strong>Manager</strong> requires that at least 64 Mb of RAM is installed on the<br />
computer.<br />

A BRIEF INTRODUCTION<br />
The main elements of the program window are the channel list and the event log. The<br />
buttons above the channel list are there for your convenience, making it quick and easy<br />
to set up and configure new and existing channels. All options are also available in the<br />
program menus. The buttons are, left to right:<br />
New Channel: Clicking this button will display a dialog box where you can choose the<br />
type of channel to create.<br />
Properties: To modify a channel's properties, simply highlight the channel in the channel<br />
list and click this button.<br />
Delete: Clicking this button will delete the highlighted channel. You will be prompted for<br />
confirmation.<br />
Start/Stop: These are used for starting and stopping processing of the highlighted<br />
channel.<br />
Checkered Flag button: Clicking this button will start processing of the highlighted<br />
channel immediately. This might come in handy if you wish to manually override a<br />
channel that has been set up to process files with regular intervals.<br />

CREATING A CHANNEL<br />
Click the New Channel button to create a new channel. In the window that<br />
appears, choose a channel type. There are four different channel types to<br />
choose from:<br />
FTP Send channel<br />
Use this type of channel when you wish to send a file from a folder to an ftp<br />
server. Enter a channel name, and, if other channels exist, you may apply the<br />
settings from an already existing channel to the new channel. (Useful when<br />
you wish to make only minor modifications.) Click the Next button to<br />
continue.<br />
Now choose the source folder -<br />
the folder containing the files<br />
you wish to send. You can either<br />
enter the path manually, or click<br />
the Browse button. When using<br />
an FTP Send channel, <strong>Distribution</strong><br />
<strong>Manager</strong> can send files from<br />
either a local folder or a shared<br />
network folder using UNC paths.<br />
If you wish to log all channel<br />
events, check the corresponding<br />
box. (See the section Log Options<br />
for more information)<br />
In the Destination Folder field,<br />
manually enter the path to the<br />
destination folder.<br />
If, for instance, you intend to<br />
send files to the folder /pub/<br />
destination on the ftp server<br />
ftp.company.com, in the Destination<br />
Folder field enter /pub/<br />
destination. Then, in the Target<br />
Server field, enter<br />
ftp.company.com. You can also<br />
only enter the server's IP address.<br />
Fill in the necessary authentication<br />
information and choose the<br />
type of target system using the radio buttons. Then click OK to finish setting<br />
up the channel.<br />

FTP Get Channel<br />
CREATING A CHANNEL<br />
This type of channel is used for fetching files from a remote ftp server. Enter a<br />
channel name, and alternatively choose to apply the settings from an already<br />
existing channel to the new channel. Click the Next button to continue.<br />
In the Source Folder field, enter<br />
the path to where the source<br />
files are located (e.g. /pub/<br />
getfiles on the FTP server). Then<br />
select the destination folder,<br />
either by entering the path<br />
manually in the field, or by using<br />
the browse button. You can store<br />
the files locally or in any shared<br />
folder available in the Windows<br />
network. If you wish to log all<br />
channel events, check the<br />
corresponding box. (See the<br />
section Log Options for more<br />
information)<br />
Next, enter the authentication<br />
information, such as user name<br />
and password for logging onto<br />
the ftp server and the address to<br />
the ftp server itself (e.g.<br />
ftp.company.com, or simply the<br />
server's IP address).<br />
The File name search field can be<br />
used for choosing the type of<br />
files that should be fetched from<br />
the remote ftp folder. The default<br />
entry is *.*, indicating that all files<br />
in the folder should be transferred. If for instance you wish to only transfer<br />
text documents with the extension .TXT, enter *.TXT in the field. You can use all<br />
standard DOS wildcards for definition. Once you're done, click OK to finish.<br />

CREATING A CHANNEL<br />
Copy and Conversion Channel<br />
This type of channel can be used to move files from a source folder to several<br />
destination folders, providing that both source and destination folders are<br />
either local folders or shared network folders visible in Windows. Using the<br />
advanced options (see section below), you can set up character mapping, zip<br />
and MacBinary and BinHex encoding/decoding, and many other very useful<br />
functions. Please read the section Advanced Channel Options for a full<br />
explanation<br />
To set up a Copy and Conversion<br />
channel, click the New Channel<br />
button, select Copy and Conversion<br />
Channel, and enter a logical<br />
channel name. Optionally, apply<br />
the settings from an existing<br />
channel to the new one. Click<br />
Next to continue.<br />
Now select the source folder, and<br />
optionally enable channel<br />
activity logging. To select a<br />
destination, you can either click<br />
the button labeled Add Destination<br />
or Add from list. Choosing<br />
the latter opens a new window<br />
where you can define a list of<br />
commonly used destinations<br />
and select up to 256 destination<br />
folders for a single channel.<br />
Whichever you choose, select<br />
one or more destinations and<br />
click OK.<br />

E-mail Channel<br />
CREATING A CHANNEL<br />
An e-mail channel essentially copies files from one location to another,<br />
providing that both source and destination folders are either local folders or<br />
shared network folders visible in Windows. Unique for the e-mail channel is<br />
that it includes the recipient's email address in the destination folder, so that<br />
<strong>FotoWare</strong> Email <strong>Manager</strong> can successfully mail the files to the recipient(s).<br />
To set up an e-mail channel,<br />
simply select source and destination<br />
folders and enter the<br />
recipient's email address in the<br />
corresponding field. Then click<br />
OK. Note that the destination<br />
folder must be the same as the<br />
one in Email <strong>Manager</strong> for correct<br />
operation. Please consult the<br />
Email <strong>Manager</strong> manual for more<br />
information.<br />

ADVANCED CHANNEL OPTIONS<br />
In addition to the basic channel properties, there are several advanced<br />
properties that can be configured for each channel. The advanced options are<br />
located in the Options menu in the Channel Properties window.<br />
Subfolder Options<br />
In this menu, you are able to define the properties of the source and destination<br />
folders during and after processing. Your options are as follows:<br />
Source Folder Options<br />
Include subfolders: When enabled, <strong>Distribution</strong><br />
<strong>Manager</strong> scans through all subfolders contained<br />
within the source folder and moves all files found<br />
to the destination folder. Note that the subfolder<br />
structure from the source folder is not mirrored<br />
within the output folder - the files are merely<br />
placed in the uppermost level of the destination<br />
folder.<br />
Remove empty subfolders: By default, subfolders<br />
are not deleted from the source folder after the<br />
files contained within are transferred. When<br />
enabled, all subfolders within the source folder will<br />
be automatically removed once the transfer is<br />
complete.<br />
Destination Folder Options<br />
Add source subfolder name to filename: By enabling this feature, the name of<br />
the source folder will be added to the filename of the transferred file. If, for<br />
instance, the file Legal.doc is copied from the folder Docs, the output file will<br />
be renamed DocsLegal.doc.<br />
Mirror Folder Structure: When enabled, the entire tree of subfolders within<br />
the source folder is duplicated, and the files are transferred to their respective<br />
subfolders within the destination folder.<br />
Filename Options<br />
The Filename Options menu allows you to set different parameters concerning<br />
the naming of files in the destination folder.<br />
File Name Options<br />
Add Prefix: Allows you to add any prefix to the files processed in the selected<br />
channel.<br />
Replace files with same name: By default, if a file exists in the destination<br />

folder with the same name as a file currently processed, the new file will be<br />
named filename-2.ext, filename-3.ext and so on. When this option is enabled,<br />
however, the new file will overwrite the original.<br />
Limit Filename Length: This feature is especially useful when transferring files<br />
between different operating systems. DOS, for instance, has a limitation of an<br />
eight-character long filename with an optional three-character extension. The<br />
Macintosh is limited to a maximum 32-character long filename. By limiting the<br />
length of the filenames, you can avoid invalid filenames in your system. By<br />
checking the box labeled Preserve Extension, the<br />
extension will always be preserved, and the<br />
maximum number of characters entered applies<br />
only to the filename, not the extension.<br />
Set File Name Mapping: As certain systems don't<br />
support all types of characters, clicking this button<br />
will display a table where you can define the ASCII<br />
values of undesired characters and map them to<br />
characters or strings supported by your system.<br />
Simply enter the ASCII value in the appropriate<br />
field and the character or string with which you<br />
want to replace it in the other. Then click Add.<br />
File Extension Options<br />
Limit Extension Length: Certain systems, such as<br />
DOS, have a limitation of three characters in the file<br />
extension. If your system has such a limitation, you<br />
can set up <strong>Distribution</strong> <strong>Manager</strong> to limit the length<br />
of the extension using this feature.<br />
Remove Extension: If you wish to remove the<br />
extension from the output file in the current<br />
channel, check this box.<br />
Replace Extension: By checking this box, you can set up <strong>Distribution</strong> <strong>Manager</strong><br />
to change the extension of files when stored in the destination folder.<br />
Clicking the button labeled Set Extensions allows you to define up to five<br />
different extensions and their respective new ones. If, for instance, you wish to<br />
change the extension of all .TXT files in the source folder to .DOC in the<br />
destination folder, simply enter .TXT in the first field and .DOC in the corresponding<br />
replacement field.<br />

Conversion Options<br />
The conversion options are useful for converting the source files to different<br />
formats during processing. Certain files, such as files from a Macintosh, cannot<br />
be sent via ftp directly, as vital information in the file would be lost due to the<br />
way the Macintosh handles files. By setting up encoding of files before<br />
transmission, this problem can be avoided and ensures that all data remains<br />
intact. Files can also be decoded before transmission.<br />
MacBinary Conversion: If you wish to encode/<br />
decode the source files to the MacBinary format<br />
prior to transmission, check this box and choose<br />
between encoding and decoding.<br />
BinHex 4 Conversion: Enables BinHex encoding/<br />
decoding prior to transmission.<br />
Zip Compression: Compresses or decompresses<br />
Zip archives prior to transmission according to<br />
your selection.<br />
PostScript Comment Cleanup: This function<br />
removes a tag from postscript files to ensure<br />
compatibility with other <strong>FotoWare</strong> applications.<br />
This has no effect on other file data.<br />
Run Schedule<br />
The channel run scheduler is used to define when or how often the files in<br />
the source folder are transferred to the destination folder. Since certain file<br />
transfer programs send an End of File statement after each block of data that<br />
is transferred, <strong>Distribution</strong> <strong>Manager</strong> has a highly sophisticated function that<br />
checks the source file for changes at a preset interval and transfers it once the<br />
file size seizes to increase.<br />
Run channel with time interval: When enabled, you can set the interval<br />
between each time the source folder is scanned for new files.<br />
Run channel at specified times of day: Use this function to set the times of day<br />
when you want the source folder to be scanned for new files.<br />
Run only on command: If you wish to manually control when the files in the<br />
source folder are processed, enable this option. Then click the checkered flag<br />
button in the program window whenever you want to transfer the files in the<br />
source folder.<br />

Subfolder Routing<br />
ADVANCED CHANNEL OPTIONS<br />
Do not delete source files after transfer: This check-box is<br />
related to the Run only on command option. It is<br />
especially useful for web publishing when you wish to<br />
transfer all files from your local server to the internet<br />
server, thus ensuring that all the files needed are<br />
transmitted. Note that when using this function you<br />
must manually click the checkered flag button in the<br />
main window to transfer the files.<br />
Wait until file stops growing: Certain file transfer programs,<br />
such as Easy Transfer, send an End of File statement<br />
after each block of data that is transferred. If such a<br />
program is used to transfer the files into the source<br />
folder of the channel, this function makes <strong>Distribution</strong><br />
<strong>Manager</strong> check each file in the source folder at the set<br />
interval, and transfers the file to the destination folder<br />
once the files seize to increase in size. This way, one can<br />
be assured that the entire file is transferred.<br />
Stop channel after failure: If an ftp transfer should fail for<br />
any reason, this function is used to configure how many<br />
times the program should retry the operation before the<br />

Use Subfolder Routing<br />
Subfolder routing allows you to set up routing of files to specified folders<br />
according to a prefix in the file name, the file extension, or, if you work with<br />
Macintosh files, the file types.<br />
Routing Options<br />
Route by File Name Prefix: When selected, files will be sorted in subfolders<br />
within the destination folder according to the prefix in the file name. In the<br />
separator field, enter a character to separate the prefix from the filename. Use<br />
a prefix character that that doesn't normally occur in the filenames themselves,<br />
so as to prevent the program from misinterpreting the prefix.<br />
Remove Prefix: If enabled, the prefix and separator will be removed from the<br />
filename after the file has been transmitted to the destination folder.<br />
Route by File Name Extension and Type: Sorts files according to the filename<br />
extension (typically PC files) or file type (Macintosh files only).<br />

Create Subfolders Automatically: When<br />
selected, subfolders named after the prefix<br />
will be created automatically.<br />
Use Association table: When enabled, you<br />
can define a table with prefixes and their<br />
respective folder names. Example: Let's say<br />
you have set up files with the prefix SPO<br />
to be transferred to the folder named<br />
Sports. In the source folder is a file named<br />
SPO-FILE1.JPG. This file will be copied to<br />
the folder Sports. If the folder Sports<br />
doesn't physically exist, the file will be<br />
placed in the highest level of the destination<br />
folder. If, however, Create Subfolders<br />
Automatically is also selected and the<br />
folder Sports doesn't exist, the folder<br />
Sports will be created and the file copied<br />
to that folder.<br />
Depending on whether you have chosen<br />
routing by file name prefix or type/<br />
extension, the rightmost field of the<br />
association table will be labeled either<br />
Prefix or Extension, respectively. When<br />
working with type/extension routing,<br />
enter either the extension including the dot, (example: .JPG, .EPS, .TIF ) or the<br />
Macintosh file type omitting the dot (example: JPEG, EPSF, TIFF).<br />

LOG FILE OPTIONS<br />
<strong>Distribution</strong> <strong>Manager</strong> has a log feature that<br />
keeps track of all activity. It also has several<br />
log file options to help you filter out the<br />
information most relevant to you. To access<br />
the log file options window, select Log file<br />
Options in the Logging menu. The options<br />
are as follows:<br />
Log events in log file: Turn global logging<br />
on or off: When turned off, no log file will<br />
be generated.<br />
Log File Destination Path: Click the Browsebutton<br />
to select the folder in which to store<br />
the log file.<br />
New log file every day: When selected, a new<br />
log file is created every day, overwriting the<br />
previous log.<br />
New log file every week: When selected, the old log file is replaced with a new<br />
one every week.<br />
Log all channels: When selected, all channels are logged, and the logging may<br />
not be disabled individually for each channel from the Channel Properties<br />
window.<br />
Log only selected channels: When selected, you can choose individually which<br />
channels should be logged from the Channel Properties window.<br />
Log errors only: When enabled, only faulty processing is written to the log<br />
file.<br />

CONFIGURING E-MAIL MANAGER 1.0<br />
Double-click the setup program in the<br />
“\Setup\E-Mail <strong>Manager</strong> 1.2” folder<br />
on the <strong>FotoWare</strong> CD<br />
E-Mail <strong>Manager</strong> is a separate component that handles the transfer of files via<br />
e-mail for <strong>Distribution</strong> <strong>Manager</strong>. They talk together via request files; <strong>Distribution</strong><br />
<strong>Manager</strong> leaves one request file for E-Mail <strong>Manager</strong> for every single file<br />
to be transmitted. E-Mail <strong>Manager</strong> is also used by FotoWeb for transferring<br />
ordered files via e-mail.<br />
To install E-Mail <strong>Manager</strong> 1.2, insert the <strong>FotoWare</strong> CD and run the setup.exe<br />
program from the Setup\E-Mail <strong>Manager</strong> 1.2 folder. Alternatively, open the<br />
Start-menu, select "Run…" and type ":\setup\e-mail manager<br />
1.2\setup.exe". (Replace "" with the drive-letter of your CD-ROM drive.)<br />
Follow the steps in the installation wizard to complete the installation.<br />
To start E-Mail <strong>Manager</strong>, Select Start | <strong>FotoWare</strong> | E-Mail <strong>Manager</strong> 1.2. The<br />
application will then be ready for configuration.<br />
Open "File | Properties" to start configuring E-Mail <strong>Manager</strong>. To send the mail<br />
via SMTP (Simple Mail Transfer Protocol - the internet standard), select "Send<br />
mail via SMTP". Enter the system administrator name and e-mail address, and<br />
go on to the tab "SMTP Settings". There you need to enter the ip-address or<br />
network name of your SMTP mailserver, as well as the name and e-mail<br />
address of the account that should be used for the transmission. Some<br />
mailservers require that you enter a valid account.<br />

CONFIGURING E-MAIL MANAGER 1.0<br />
If you want a copy of every mail sent via the system to your own mailbox,<br />
enter your email address in the "Send CC (carbon copy) to" field.<br />
The "Message Content" tab lets you define which subject the mail-message<br />
should have, and any body text you want included with the file.<br />
Finally, you need to set up the directory for the request files. Go to the<br />
"Watched directory" tab. <strong>Distribution</strong> <strong>Manager</strong> will place the request files in a<br />
folder called "Mail" below its own program directory. If you installed <strong>Distribution</strong><br />
<strong>Manager</strong> in "c:\<strong>FotoWare</strong>\<strong>Distribution</strong> <strong>Manager</strong>" (the default), you need to<br />
enter "c:\<strong>FotoWare</strong>\<strong>Distribution</strong> <strong>Manager</strong>\Mail" in the Watched Directory field.<br />
When you click OK, E-Mail <strong>Manager</strong> will start waiting for new request files, and<br />
process the filetransfers via e-mail automatically. You can check the built-in<br />
log of E-Mail <strong>Manager</strong> to verify that the transfers were successful.<br />
Remember that E-Mail <strong>Manager</strong> will not give you any feedback if the message<br />
did not reach its recipient. This can happen if the recipients e-mail address is<br />
wrong, or if the receiving mail-server is unavailable. The only fault detection<br />
E-Mail <strong>Manager</strong> can perform, is to see if the message was successfully delivered<br />
to the outgoing SMTP server.<br />
