Common Typesetting Errors
• Typing versus Typesetting.doc
• Common Typographical Errors.doc

Common Typesetting Errors
• 1 space; not 2. So says…
• Chicago Manual of Style 15 th Ed. 2.12
• Govt Printing Office Style Manual, 2.49
• The Mac is Not a Typewriter
QC Review: Typesetting Errors
1. Poor letter spacing, tracking, hyphenating
manual hyphens, different or smaller font, wider column; don’t t justify
2. Manual typewriter habits
Use curly quotes and apostrophes, not inch primes; don’t t underline; rarely use
all-caps; use em dashes and range dashes, not hyphens; it’s s 1 spaceband; ; not 2
3. Uneven Leading due to autoleading
4. Subhead proximity
5. Display Typefaces used improperly
6. Ligature problems
7. Drop Caps awkwardly spaced
8. Poor English usage
Its (possessive) vs. It’s s (it is); commas and periods within quotes;
hyphenated contractions; you’re vs. your; run the spell-checker
9. Capitals tracking too crowded
10. Styles used inconsistently

QC Review:
Errors Hiding in Plain View
Busy editors often look right past omissions, duplications,
and typo errors. Here are some items to double-check:
• Spelling, grammar, word breaks
• Headlines—read every letter
• Titles spelled correctly
• First line of a paragraph
• First page of a document
• Top lines of a new page
• Continued On / From copy
• Number and page sequences
• Alphabetical sequences
• ToC agrees with document
• Cross-reference reference agreement
• Paired elements
• Numerals, dates, statistics, tables
• Error next to another error
• New info in corrected copy
• Where copy has been cut
• Copy that is screened with art
• Proper names of people, places
• Photo captions match people
• Boilerplate material
• End-of
of-article dingbats
• Endnotes and footnotes

QC Review:
Errors Hiding in Plain View
Your workflow needs a final quality control review.
Look for these common things:
• An introduction that
mentions a glossary that
doesn’t t appear in the
document
• A subtitle on the title page
that no longer reflects the
content
• A figure without a caption
• Placeholders in text or
layout
• A running head that doesn’t
match its chapter title
• An empty box that was
supposed to contain a
photo
• Artwork marked as FPO
• A format inconsistency
between the preface and
the rest of the document

QC Review:
Errors Hiding in Plain View
Who should perform the QC Review?
• Has strong editorial skills
• A sharp eye for detail
• Knows production
methods
How do you QC a document?
• Define priorities of concern
• View it as a reader would
• Look at overall visual effect
first
• Any detail-oriented co-worker
• Has not seen the publication
before
• Mark everything on Post-It notes
• Speak up the moment you find a
major problem
• Develop and use a checklist
Don’t t forget to schedule time to do changes!

Mac OS X font cache corruption
To clear up font confusion in Adobe apps
search for all AdobeFnt?.lst ; delete them;
then restart apps
If it looks bad on screen, but prints fine, you
have a corrupt system cache and you need
to run FontFinagler
Common
Problem

Mac OS X
font
trouble-
shooter

Your basic font strategy
• Find your fonts and move them to one
(1) centrally-organized repository!
• Then load them into a font manager of
your choosing
• Make sure the font manager doesn’t
recopy the fonts to a new location
• No programs running as you do this

Your detailed font strategy (1 of 3)
• Step 1: Gather all fonts into one master folder
• Use subfolders to separate by kind (format, foundry, style, etc.)
• Remove all other fonts from computer’s s system folder except
ones required to boot and run. You must be admin level
• Step 2: FontAgent or Font Doctor to organize/optimize
• Process individually each subfolder and sort alphabetically
• Maybe use both Font Doctor and also FontAgent, , too
• Look for any problem fonts
• Resolve problem fonts by re-installing from original CD
• Missing printer fonts: replace; or delete screen fonts
• Missing screen fonts: replace; or delete printer fonts
• Corrupt fonts: replace entire font or delete

Your detailed font strategy (2 of 3)
• Step 3 Burn a Master Library folder to CD
• Burn one copy on CD-R, date and archive
• Burn working copy on CD-RW
• Archive old fonts onto CD-R R just as they are. This prevents loss
of fonts in case first collection was not complete
• Step 4 Copy master library CD to your server
• Make sure you have the proper font licenses before copying to
server or multiple computers. Adobe typically allows fonts to be
installed on 5 computers to one printer. Fonts bundled with
programs are only for the computer the software is installed on.
Check your font license restrictions
• Step 5: Now fix your other computers
• Remove all old fonts from the computer’s s system (step 1)
• Copy master fonts from master CD or server to hard drive

Your detailed font strategy (3 of 3)
• Step 6: Decide on a method of font management:
• None. Load the fonts directly into the computer on an as needed
basis. This can be done in the Adobe Fonts folder or OS X
Library/Fonts. Not recommended in Windows XP
• OS X Font Book to activate/deactivate fonts
• Font management software like Font Agent or Suitcase Fusion
• Step 7: For Font Management utilities:
• Load the individual subfolders into the utility, as separate sets s or
libraries
• Make sure these folders are set to deactivate upon startup
• Create new set or library called “AlwaysOn”
• Set this folder to Leave As Is, Active on Load, or similar setting
• Copy any fonts that are always required to this set

System/Library/fonts
• Administrator status is required
• 1. Get info on the System/Library/Fonts folder (Cmd(
Cmd-i)
• 2. Expand the Ownership and Permissions tab
• 3. Click on the small padlock icon
• 4. Change the owner from System to your short log-on on name
[followed by (Me)]
• 5. If asked, password your Administrator status
• 6. Close the Get Info window
• 7. Remove the fonts to another folder
• 8. Reset the ownership to the original status

Package for Service Bureau
• Preflight and package in InDesign CS2
• PageMaker 7
• QuarkXPress 4, 5, 6

Fonts in PDF
• Embed all fonts
• Recommend not subsetting
• CID keyed problems?
• Characters dropping out?

Fonts in EPS graphics
• Fonts are called for in the graphic, but
• Fonts are not embedded in the graphic
• QXP and PageMaker might miss them
• InDesign will preflight and see them
• Fonts must be given over to the service
bureau separately
• Why not convert to PDF with embedded
fonts?
