To organize, manage and monitor the needs <strong>of</strong> the <strong>College</strong>’s<br />
International Students so that they are well cared for. Ensure that<br />
the <strong>College</strong> complies with relevant codes and standards and that all<br />
pertinent financial aspects are dealt with effectively and efficiently.<br />

Code <strong>of</strong> Practice<br />
Ensure the <strong>College</strong> meets its requirements under<br />
the Code <strong>of</strong> Practice<br />
Enrolment and Orientation<br />
Oversee enrolment and orientation <strong>of</strong><br />
International <strong>students</strong> including that as carried out<br />
by the International Student Assistant.<br />
The <strong>College</strong> has an up to date Code <strong>of</strong> Practice<br />
Ensure that there is a clear process for the<br />
enrolment and orientation <strong>of</strong> International<br />
<strong>students</strong> into <strong>Scots</strong> <strong>College</strong><br />
The Code <strong>of</strong> Practice is up to date and meets the<br />
standards set by the Ministry <strong>of</strong> Education<br />
Relevant parties in the school are aware (through<br />
the PCC) <strong>of</strong> the Code <strong>of</strong> Practice and adhere to its<br />
provisions.<br />
Carry out an annual review to ensure we are<br />
compliant with the Code <strong>of</strong> Practice.<br />
Liaise with families and ensure that they are aware<br />
<strong>of</strong> our expectations and follow the schools<br />
enrolment process<br />
Ensure that all enquiries are followed up and<br />
recorded using the <strong>College</strong>s procedures in PC<br />
School. Regularly liaise with the PA <strong>of</strong> each school<br />
to ensure they are aware <strong>of</strong> potential enrolments.<br />
Inform the Headmaster on a regular basis <strong>of</strong> the<br />
numbers <strong>of</strong> International <strong>students</strong> in the <strong>College</strong><br />
and any future trends<br />
Plan strategically the future enrolment <strong>of</strong><br />
<strong>international</strong> <strong>students</strong> into the <strong>College</strong><br />
Plan and oversee the orientation <strong>of</strong> <strong>international</strong><br />
<strong>students</strong> into the <strong>College</strong> including meeting twice<br />
yearly with all host families, planning and arranging<br />
orientation weekends, etc.<br />
Ensure the student handbook is up to date.<br />
Assist if required with the interview process for<br />
<strong>students</strong> into different areas <strong>of</strong> the <strong>College</strong>.
Homestay<br />
Oversee the management and arrangement <strong>of</strong> the<br />
homestay process carried out by the International<br />
Student – Assistant.<br />
Liaise with CFO over financial matters<br />
Ensure that the accommodation needs <strong>of</strong> all<br />
<strong>international</strong> <strong>students</strong> are met and homestay<br />
families receive payment as per pre-set <strong>College</strong><br />
payment runs.<br />
Financial information is well communicated with<br />
parents. Work with the CFO to manage the<br />
financial affairs <strong>of</strong> <strong>international</strong> <strong>students</strong>.<br />
Provide International Students – Assistant with<br />
appropriate advice and guidance so that the needs<br />
<strong>of</strong> <strong>students</strong> are met and that the requirements <strong>of</strong><br />
the school and code <strong>of</strong> practice are adhered to.<br />
Oversee the payment <strong>of</strong> homestay fees.<br />
Maintain current information regarding<br />
immigration, legal aspects, etc. as well as<br />
networking in the industry.<br />
Attend termly meetings run by Education<br />
Wellington or other organisations as relevant<br />
opportunities arise.<br />
Pastoral<br />
Be responsible for the Pastoral and Academic Care<br />
<strong>of</strong> International <strong>students</strong><br />
Coordinate activities for <strong>international</strong> <strong>students</strong>.<br />
Oversee the welfare <strong>of</strong> <strong>students</strong> on a day to day<br />
basis<br />
International <strong>students</strong> are assimilated into the<br />
<strong>College</strong> and participate fully in <strong>College</strong> life.<br />
Regular communication occurs with House Deans<br />
to ensure that <strong>students</strong> are safe, their needs are<br />
being met and they are are involved in sporting<br />
and cultural pursuits.. Attendance at PCC<br />
meetings.<br />
A recreational programme is in place for<br />
<strong>international</strong> <strong>students</strong>, arrange termly outings as a<br />
group<br />
Organise an annual <strong>international</strong> student week<br />
In conjunction with House Deans, liaise with the<br />
AP Co-curricular and/or the Sports Coordinator<br />
to ensure that <strong>international</strong> <strong>students</strong>.
Management <strong>of</strong> International Exchanges<br />
Coordinate all <strong>College</strong> International Exchanges in<br />
conjunction with the International Student<br />
Assistant<br />
Coordinate the <strong>College</strong>’s <strong>international</strong><br />
marketing strategy<br />
Queen Margaret <strong>College</strong>.<br />
Develop a network <strong>of</strong> preferred agents.<br />
Maintain relationships with embassies in<br />
Wellington as required.<br />
Develop a 3 year International student marketing<br />
strategy.<br />
Marketing for <strong>international</strong> <strong>students</strong>.<br />
Create and maintain effective relationships with<br />
<strong>College</strong>s Overseas.<br />
Liaise with QMC to ensure we work together as<br />
appropriate in our <strong>international</strong> marketing.<br />
Pro actively recruit and liaise with identified agents<br />
to promote our <strong>international</strong> programs.<br />
Actively promote the <strong>College</strong> with these<br />
Embassies.<br />
In conjunction with QMC, the Headmaster and<br />
Marketing Department, develop a 3 year strategy<br />
for <strong>international</strong> <strong>students</strong>.<br />
Oversee the development <strong>of</strong> marketing material on<br />
the <strong>College</strong>’s website.<br />
Develop an <strong>international</strong> student prospectus.<br />
Develop and maintain an <strong>international</strong> student roll<br />
<strong>of</strong> 5% <strong>of</strong> the secondary school roll <strong>of</strong> the <strong>College</strong><br />
with a global distribution <strong>of</strong> <strong>students</strong>.<br />
Exchanges occur that supplement our language<br />
and <strong>international</strong> student programme.<br />
Exchanges are efficiently managed, supported and<br />
implemented both to and from New Zealand.<br />
Positive relationships are developed with our<br />
partner schools.<br />
Where feasible trips and marketing costs are<br />
shared.<br />
A current database is maintained <strong>of</strong> all agents.<br />
These agents are regularly communicated with and<br />
managed according to the code <strong>of</strong> practice.<br />
Regular communications and material is supplied<br />
to these embassies as appropriate.<br />
A marketing strategy is developed and<br />
implemented.<br />
The website and prospectus is up to date and<br />
relevant.<br />
Progress is achieved to roll targets, with a global<br />
distribution <strong>of</strong> <strong>students</strong>.
Financial<br />
Assist with the development <strong>of</strong> annual financial<br />
budgets and operational plans.<br />
An annual budget is prepared in conjunction with<br />
the CFO and his team.<br />
Budgets are met or exceeded and reports provided<br />
and discussed with the Headmaster outlining<br />
variances to budget.<br />
It is clearly understood that the specific duties listed above may be amended from time to time to ensure the changing needs <strong>of</strong> the <strong>students</strong> and the <strong>College</strong><br />
are met.<br />
