DAILY CAMP

PROCEDURES

Our Day

The camp day runs from 9:00am-4:00pm. We offer extended

care options from 7:00am-9:00am and 4:00pm-6:00pm at

no additional cost.

Morning Drop Off

• All campers are dropped off in the North Camp Building.

Drop off is from 8:45am-9:00am.

• Please arrive by 9:00am so all of our campers can get

started on their fun day!

• Preschool campers have a separate location and will be

dropped off and picked up inside the main YMCA at the

Preschool classroom.

Afternoon Pick Up

• Pick up begins at 4:00pm from the North Camp Building.

All campers remaining after 4:15pm will be signed into

after care which runs until 6:00pm daily.

• There is no pick up between 3:15-4:00pm without

written notice.

• All authorized persons signing out campers must present

a photo identification every day (See camper release

section).

Late Arrivals/Early Departures

• Please provide written notice if you need to pick your

child up early.

• Please be aware that unscheduled early departures are

difficult as each of our campers is involved in activities

until 4:00pm; it is likely this will result in delays.

Absences

Please notify Camp Eastside at 341-4000 if your camper

will be absent.

Walking/Biking

If your child will be walking/biking to and from camp please

send a signed note to the Camp office prior to the beginning

of each session you child attends camp. Your child will

then be responsible for signing out each day with the camp

counselors.

Camp 2012 T-Shirts

Every camper will receive a Camp Eastside t-shirt. Your child

will receive that shirt the first week they attend camp and

they are expected to wear it for any camp field trip.

Swimming

All campers will have the opportunity to participate in

recreational swimming. Certified lifeguards are on duty and

camp staff will be in the pool with your camper.

Rainy Days

Campers will still participate in a full range of activities

regardless of the weather. The focus will be on indoor games

utilizing the YMCA facility and the camp buildings. However,

please dress your camper appropriately for the weather as

some outdoor activities may still take place.

Camp Inspection

YMCA Camp Eastside is inspected twice annually by the

Monroe County Department of Health. We receive a permit

to operate camp upon their approval.

Financial Assistance

Camp Eastside’s Financial Assistance program is made

possible through generous donations to the YMCA’s annual

Invest in Youth Campaign. Applications for assistance

are confidential and available on our website or at the

Welcome Center. The amount of assistance granted is based

on individual need, family circumstances and available

resources. All camper applications are processed on a first

come, first serve basis and may take up to two weeks to

process. Scholarships must be approved prior to program

registration and does not guarantee you a spot in the

The YMCA Aquatic Policy states: If your camper has not

passed the deep end test at the Eastside YMCA and their

armpits do not stand above three feet seven inches they

will be required to wear a life jacket while swimming. The

deep end test will be administered on Monday of each camp

session to those campers who have not already passed the

swim test at the Eastside YMCA.

CAMP PREPARATION

& INFORMATION

What should my camper bring?

• Swimsuit & Towel

• Plastic bag for wet clothes

• Extra set of clothes (as necessary- recommended for all

Salamanders)

• Sunscreen (please instruct your child how to apply) & a hat

• Non-perishable, non-microwavable lunch

• Sneakers - no flip flops, crocks or sandals please!

• Label EVERYTHING with first and last names

Dress Code

There is no formal dress code, however, we ask that your

camper be dressed appropriately for the weather. Sneakers

are required.

Medications

All medication that is dispensed at camp requires a

Medication Consent Form to be completed by parent/

guardian AND child’s physician. When you register for camp

please obtain a Medication Consent Form from our website

or the Welcome Center.

Medication may be brought with your child on the

first day and MUST be directly handed to a YMCA Camp

Counselor. All medication MUST be in its original container

and be clearly labeled with your campers first and last name.

We can NOT accept any medication that is not in its original

container.

Immunization History

New York State Department of Health requires each camp to

keep a current copy of every camper’s immunization history

on file in order for them to attend. A complete copy of your

child’s immunization history should be submitted to the

YMCA by June 1, 2012. Immunization History can simply be

dropped off at the Eastside YMCA Welcome Center, faxed

to 585-341-4099 or e-mailed to kimw@rochesterymca.org

CAMPERS WITHOUT AN IMMUNIZATION HISTORY ON FILE

WILL NOT BE PERMITTED TO ATTEND.

Emergencies

Our staff is trained in handling a variety of emergency

situations. In such situations, along with care of your

child, parental notification is our first priority. If necessary,

emergency transportation will be handled by 911 and local

emergency services.

Lost & Found

The loss of items is common among elementary school age

children. Your help is needed in a number of ways:

• Label all belongings with first and last names.

• Remind each child to check his/her belongings at the end

of each day.

• If something is lost, check Lost and Found located in the

North Camp building as soon as possible.

• All Lost and Found items not claimed at the end of the

session will be donated to a charitable organization.

• We are not responsible for lost, stolen, broken or destroyed

items.

Summer Membership Campaign & Camp Tours

Camp Overnights

Day campers in our Lizards and Dragons groups can enjoy a

night at camp! Campers will enjoy dinner, fun evening activities,

a late night snack and breakfast in the morning. You

must sign your child up in advance and there is a $10 fee

per child, per overnight. Any Day camper enrolled in weeks

1 through 10 can sign up! The overnight begins at 6:00pm

Friday and all campers must be picked up between 8:00 and

8:30am on Saturday. Come and enjoy a fun night at camp!!

Entering Grades 3-7

Session 3: Friday, July 13

Session 6: Friday, August 3

Time: 6:00pm to 8:00/8:30am Saturday

PAYMENT OPTIONS

& PROCEDURES

Register Online: Use our convenient Easy to Enroll system!

Visit www.rochesterymca.org/eastside and click on day

camp.

Easy Payment Option: This allows you to setup automatic

weekly camp payments. Ensure that your payment is on time

each week and your child’s placement is secure.

Changes in Registration

Parents are responsible for informing the Camp office in

writing of all changes to camper registration and updating

contact details.

Refunds/Credits

Please note we are unable to pro-rate weekly camp fees

for any reason other than legal holiday. We require written

notice of session cancellation no later than the Monday

prior to the week your son/daughter is registered for in

order for you to be refunded the entire session cost less the

session deposit.

Cancellations received after this time will result in a credit

that may be used towards another 2012 Camp Eastside

Session (pending availability) less the session deposit.

Once a session begins, no refunds or credits will be given

without a note from your child’s physician.

Late Registration Fees

Please be aware that any registration received after the

Thursday prior to the sessions start are subject to a $20

per child late fee.

CAMPER RELEASE

PROCEDURES

The following procedures are in place for your child’s safety

and will be employed during camp.

• All authorized persons picking up your camper MUST

present a photo identification before the camper will be

released. NO exceptions are made to this policy.

• Anyone picking a camper up MUST be listed on the campers

Authorized Pick Up List. No notes will be accepted at the

time of pick up.

Please notify the camp in writing of any changes pertaining

to the release of you child.

• Addition of adults authorized to pick up your camper

• Emergency contact numbers

• Special circumstances such as early pick up or late arrival.

• Please note there is no pick up between 3:15-4:00pm

without written notice.

BEHAVIOR

EXPECTATIONS

Behavior Policy

Our camp is dedicated to providing every camper with a

positive summer experience. We have a set of community

standards and expectations for behavior which all camp

participants must follow, including a strict no bullying policy.

Our leadership team addresses all incidents of bullying

seriously and encourages campers, staff, and parents to

alert us to any problems during the camp season. It is our

goal to ensure that all participants in our community gain

self-confidence, make new friends, and go home with a

magical and memorable experience.

At Camp we expect campers to:

• Follow all camp rules set forth by their counselors

• Be cooperative and helpful

• Remain on the camp property and with their assigned group

at all times until signed out by their parent/guardian

• Use appropriate language and be respectful to other

campers and staff

• Have a positive attitude and be an active participant in all

camp activities

• Try new things & have fun!

Prohibited Items

The following items are not allowed at Camp:

• Tobacco, alcohol, drugs

• Cards (trading or playing)

• Electronic games or devices (including cell phones)

• Personal toys/games

• Weapons (real or play)

• Candy, gum, cough drops (due to food allergies, campers

should not bring candy or snacks to share)

Behavioral Consequences

Campers not adhering to camp behavior standards will be

handled on an individual basis. Frequent or severe violations

might result in suspension or expulsion from the program at

the discretion of the camp director. No refunds will be given

due to expulsion or behavior suspensions.
