SPACE CONTRACTS<br />
A copy of <strong>the</strong> Applic<strong>at</strong>ion Contract <strong>for</strong> <strong>exhibit</strong> <strong>space</strong> is enclosed. In<br />
applying <strong>for</strong> <strong>space</strong>, return a copy of <strong>the</strong> <strong>contract</strong> with payment to <strong>the</strong><br />
Associ<strong>at</strong>ions. The Associ<strong>at</strong>ions reserve <strong>the</strong> right to decline any <strong>applic<strong>at</strong>ion</strong><br />
or prohibit any <strong>exhibit</strong>. If <strong>the</strong> Applic<strong>at</strong>ion Contract is accepted by<br />
<strong>the</strong> Associ<strong>at</strong>ions, a notice indic<strong>at</strong>ing such acceptance will be returned<br />
to you. Considered in <strong>the</strong> assignment of <strong>space</strong> will be <strong>the</strong> order in<br />
which fees are received, sustaining membership in <strong>the</strong> Associ<strong>at</strong>ions,<br />
and <strong>the</strong> amount of <strong>space</strong> available. All <strong>applic<strong>at</strong>ion</strong>s must be received<br />
by <strong>the</strong> Associ<strong>at</strong>ions by January 15, <strong>2011</strong>. You can visit www.cali<strong>for</strong>niasurveyors.org<br />
to view <strong>the</strong> <strong>exhibit</strong> layout and booth assignments.<br />
TERMS OF PAYMENTS<br />
$1125 <strong>for</strong> each booth <strong>for</strong> all <strong>exhibit</strong>ors to cover <strong>the</strong> cost of <strong>space</strong> must<br />
be <strong>for</strong>warded with <strong>the</strong> <strong>applic<strong>at</strong>ion</strong> <strong>contract</strong> <strong>for</strong> <strong>space</strong>. No refund will<br />
be made <strong>for</strong> cancell<strong>at</strong>ions. In <strong>the</strong> event <strong>the</strong> Applic<strong>at</strong>ion <strong>for</strong> <strong>exhibit</strong><br />
<strong>space</strong> is declined, all monies previously deposited <strong>for</strong> such <strong>space</strong> will<br />
be refunded to <strong>the</strong> applicant. Please be certain your address is correct<br />
and complete, including postal zip, telephone, fax numbers and email.<br />
EXHIBIT SET-UP AND HOURS<br />
The <strong>exhibit</strong>s may be set up between 12:00 Noon and 5:00 PM on Sunday,<br />
March 6, <strong>2011</strong>. Exhibit hours will be 5:30 PM to 7:00 PM on Sunday,<br />
March 6, <strong>2011</strong>; 8:00 AM to 5:00 PM on Monday, March 7, <strong>2011</strong> and<br />
8:00 AM to 3:30 PM on Tuesday, March 8, <strong>2011</strong>. Exhibits may be<br />
removed between 3:30 PM and 5:00 PM on Tuesday, March 8, <strong>2011</strong>.<br />
ARRANGEMENTS FOR DISPLAY<br />
Exhibitors are required to arrange <strong>the</strong>ir displays so as not to obstruct<br />
<strong>the</strong> general view or conceal o<strong>the</strong>r <strong>exhibit</strong>s. Background heights may<br />
extend out a maximum of three feet from <strong>the</strong> back of booth toward<br />
<strong>the</strong> aisle. Any extension toward <strong>the</strong> aisle beyond this point should be<br />
no more than four feet high. No special signs, appar<strong>at</strong>us, etc., will be<br />
permitted to extend more than eight feet above <strong>the</strong> floor and no interference<br />
with light or <strong>space</strong> of o<strong>the</strong>r <strong>exhibit</strong>s will be allowed. Illumin<strong>at</strong>ed<br />
signs must be placed near <strong>the</strong> back wall of <strong>the</strong> booth.<br />
REGISTRATION<br />
Each <strong>exhibit</strong>or’s represent<strong>at</strong>ive(s) <strong>at</strong>tending will be required to register<br />
and wear an Associ<strong>at</strong>ion issued name badge. Registr<strong>at</strong>ion fee <strong>for</strong> two<br />
persons is included in <strong>the</strong> <strong>exhibit</strong>or’s fee. Each additional represent<strong>at</strong>ive<br />
is required to register and will be charged <strong>the</strong> standard registr<strong>at</strong>ion fee.<br />
BOOTH EQUIPMENT AND SERVICES<br />
Shepard Exposition Services is <strong>the</strong> official decor<strong>at</strong>or <strong>for</strong> <strong>the</strong> <strong>conference</strong>.<br />
Booth equipment consists of an eight-foot high by ten-foot<br />
wide back wall and three foot high side divider draperies, including<br />
one 7’ by 44” <strong>exhibit</strong>or identific<strong>at</strong>ion sign, one six-foot draped table,<br />
two chairs, and a wastebasket. Additional equipment and services<br />
are available on a rental basis from Shepard Exposition Services,<br />
whose <strong>exhibit</strong>or service <strong>for</strong>ms will be <strong>for</strong>warded directly to you.<br />
These should be completed and returned promptly, if applicable.<br />
UNION JURISDICTION & OPTIONAL CART<br />
LOAD SERVICES<br />
The union has jursdiction through a labor agreement <strong>for</strong> freight<br />
handling services. If you are able to carry your booth equipment in<br />
one trip through <strong>the</strong> main doors (not <strong>the</strong> loading dock) <strong>the</strong>n you may<br />
do so without charge. Exhibitors requiring more than one trip and<br />
one hand carried item are required by <strong>the</strong> local union jurisdiction to<br />
use <strong>the</strong> organized labor. If your booth requires multiple trips or more<br />
than one person to carry equipment, you will be required to chose <strong>the</strong><br />
cart load option or regular m<strong>at</strong>erial handling r<strong>at</strong>es. Shepard Exposition<br />
Services will provide a cart load option. Cart load services are<br />
provided to those <strong>exhibit</strong>ors arriving in priv<strong>at</strong>ely-owned vehicles and<br />
have small hand-carried items th<strong>at</strong> need to be delivered to and from<br />
<strong>the</strong> dock/booth loc<strong>at</strong>ion. If you arrive in a truck (such as a U-Haul,<br />
Penske, etc.) you will not qualify <strong>for</strong> this service. All items must fit<br />
on fl<strong>at</strong> bed cart (approxim<strong>at</strong>ely 3’x4’ in size). If items are design<strong>at</strong>ed<br />
by Shepard personnel to be too large or too heavy, m<strong>at</strong>erials will be<br />
billed <strong>at</strong> regular m<strong>at</strong>erial handling r<strong>at</strong>es.Cart load service includes<br />
one laborer and one cart and will be billed <strong>at</strong> $60 per cart <strong>for</strong> movein<br />
(Sunday) and $40 per cart <strong>for</strong> move-out (Tuesday). For fur<strong>the</strong>r<br />
clarific<strong>at</strong>ion on <strong>the</strong>se rules, contact Shepard Exposition Services.<br />
ELECTRICAL CONNECTIONS<br />
Electrical orders can be made using <strong>the</strong> <strong>exhibit</strong>or service <strong>for</strong>ms which<br />
will be <strong>for</strong>warded directly to you by Shepard Exposition Services.<br />
Electrical signs and equipment should be safely wired to meet <strong>the</strong><br />
requirements of Clark County, Nevada.<br />
TELEPHONE SERVICE<br />
All telephone service and hookup is <strong>the</strong> responsibility of <strong>the</strong> <strong>exhibit</strong>or.<br />
If you will advise <strong>the</strong> Conference Office when contact has<br />
been made, we will do everything possible to insure th<strong>at</strong> telephone<br />
service is available.<br />
GUARD SERVICE<br />
The Associ<strong>at</strong>ions will furnish guard protection during non-<strong>exhibit</strong><br />
hours, but <strong>the</strong> Associ<strong>at</strong>ion will not be responsible <strong>for</strong> any personal<br />
injury to <strong>the</strong> <strong>exhibit</strong>or, <strong>the</strong>ir employees, or agents or <strong>for</strong> <strong>the</strong> safety of<br />
<strong>exhibit</strong>s against robbery or damage by fire, accidents, or o<strong>the</strong>r causes.<br />
CARE OF BUILDING<br />
Exhibitors will be held responsible <strong>for</strong> any damage done to <strong>the</strong> building<br />
by <strong>the</strong>m, <strong>the</strong>ir agents, or employees. Walls, woodwork, or floor of <strong>the</strong><br />
building must not be defaced or altered in any manner wh<strong>at</strong>soever.<br />
Tacking, taping or nailing of signs, banners, etc., to any permanent<br />
walls or woodwork or beyond limits of any background is prohibited.<br />
LIABILITY<br />
The <strong>exhibit</strong>or agrees to indemnify and hold harmless <strong>the</strong> Associ<strong>at</strong>ions<br />
from, on and against any and all liability and expenses <strong>for</strong> personal<br />
injury and property damage or loss arising from or out of <strong>the</strong> use by <strong>the</strong><br />
<strong>exhibit</strong>or of its <strong>exhibit</strong> <strong>space</strong> or its activities in connection <strong>the</strong>rewith.<br />
