JOB DESCRIPTION Job Title Responsible to Worship Department Administrator The Head of Worship (Canon Precentor) Hours of Work 35 hours per week, Monday - Friday (excluding 1 hour lunch break) 9a.m. – 5p.m. Overview and general duties The principal purpose of the Worship Department Administrator is to provide administrative support to the Worship Department. This includes the Head of Worship who is responsible for all acts of worship in the Cathedral and the Director of Music who is responsible for the Cathedral’s music programme. Act as the first point of contact for the worship department, dealing with varied day to day enquiries by telephone, email, general correspondence and in person. Provide hospitality for visitors to the department from time to time. Provide administrative support for the Head of Worship, Director of Music and Assistant Director of Music. This includes organising and attending meetings, diary management, taking minutes, dealing with emails, maintaining departmental paper and computer filing systems, maintaining and updating the Cathedral database. Coordination and administration of all worship services in the Cathedral, working closely with other Cathedral staff, volunteers, clergy, Diocesan House and the Bishops office. Cathedral Worship Services 1. Working with the Head of Worship, the post holder is responsible for the organisation and administration of services. This includes regular in-house services, special community services, Diocesan services, often being the first point of contact for weddings, baptisms, confirmations and funerals. The administrator will also help with the production and distribution of planning/instruction sheets for colleagues, clergy and volunteers involved in services. 2. Assisting the Head of Worship in producing a variety of clergy rotas. Working with the Events Officer to coordinate the CCTV team rota for worship and other events when required. 3. Working with the Head of Worship, the Director of Music and liaising with the Events Officer, the post holder is responsible for entering and maintaining the worship service programme into the Outlook Cathedral diary. Also responsible for communicating any amendments to this programme with those affected. 4. Supporting the Head of Worship in the drafting, proofing and production of orders of service, including identifying if special hymns and supplementary service sheets are required to be prepared. Maintaining an archive filing system for easy storage and retrieval of past service orders. 5.
