<strong>ECR</strong> <strong>2011</strong> - <strong>Submission</strong> <strong>Guidelines</strong> for <strong>EPOS</strong> abstracts<br />

<strong>Submission</strong>s must be made online at https://esociety.netkey.at/esr/abstractsubmission/ <br />

Online abstract submission for <strong>EPOS</strong> presentations is possible from April 5, 2010 onwards. <br />

<strong>Submission</strong>s are h<strong>and</strong>led in monthly phases, meaning all submissions completed between the first <strong>and</strong> last day of each <br />

month will be reviewed <strong>and</strong> decided on at the beginning of the following month (e.g. submissions between May 1–31 <br />

will be h<strong>and</strong>led from June 1 onwards). Notification of decisions will be made in the middle of the month after <br />

submission. <br />

Abstracts for all posters to be presented at <strong>ECR</strong> <strong>2011</strong> must be submitted by December 31, 2010 at the latest, in order <br />

to be rated in time. Posters have to be uploaded by January 31, <strong>2011</strong> at the latest, in order to be considered for <br />

awards. <br />

Two types are available: <br />

Scientific Exhibit: for st<strong>and</strong>ard scientific studies <br />

Educational Exhibit: for description of a series of cases of a particular condition or perhaps a series of cases of <br />

a particular procedure (without having carried out a study) <br />

Abstracts should be submitted in a format ready for publication. Please check <strong>and</strong> avoid any typographic <strong>and</strong> <br />

grammatical errors. Note that the same study or content cannot be submitted for more than one abstract type. <br />

In order to start the submission process, a poster type must be chosen. Once chosen, the type cannot be changed. <br />

Also note that ordinary case reports (three or fewer cases) will not be accepted! The reviewers are instructed to filter <br />

these out. We recommend submitting case reports to EURORAD (www.eurorad.<strong>org</strong>). <br />

After notification of acceptance, authors will be asked to balance the Publication Fee. The fee includes; 1. activation <br />

of poster upload to the <strong>EPOS</strong> system, 2. online publication of the poster as soon as it is uploaded by the authors, 3. <br />

DOI registration (digital object identifier – which makes each poster individually citable) <strong>and</strong> 4. a Certificate of <br />

Publication (which officially confirms the publication of the poster <strong>and</strong> its authors). <br />

The first publication is free, <strong>and</strong> each additional poster is charged at €25 per poster for ESR members or €45 per <br />

poster for non-­‐members. Payment must be made online by credit card (Visa, Mastercard). <br />

Posters will be included in the <strong>ECR</strong> <strong>2011</strong> electronic poster exhibition if the presenting author is registered for the <br />

congress. Before the congress, the Scientific Exhibition Jury will evaluate uploaded posters <strong>and</strong> present Awards <br />

(Magna Cum Laude, Cum Laude, Certificate of Merit) to the best ones. In addition, authors of the awarded <strong>and</strong> best <br />

rated posters will be asked to present their work in person at <strong>ECR</strong> <strong>2011</strong>, in the <strong>EPOS</strong>, area during moderated events. <br />

Those presented posters will receive an official diploma <strong>and</strong> prize at <strong>ECR</strong> <strong>2011</strong>. <br />

At <strong>ECR</strong> <strong>2011</strong>, accepted <strong>and</strong> uploaded posters will be displayed in <strong>EPOS</strong> TM (the <strong>ECR</strong>'s Electronic Presentation Online <br />

System). Therefore, it is m<strong>and</strong>atory to submit digital poster material (text, images, video files, etc) to <strong>EPOS</strong> TM for each <br />

accepted abstract by January 31, <strong>2011</strong> at the latest. <br />

All accepted posters are presented electronically in <strong>EPOS</strong> TM , (no paper print outs). <br />

Instructions: How to submit an abstract<br />

GENERAL INFORMATION:<br />

It is recommended that authors prepare their abstracts in advance using any st<strong>and</strong>ard word processing system, <strong>and</strong> <br />

then ‘copy <strong>and</strong> paste’ the elements from the word processing document into the appropriate spaces in the submission <br />

system. <br />

Please do not include references, acknowledgements, graphics, tables or figures in your abstract body. <br />

Text should be submitted using st<strong>and</strong>ard Latin characters. St<strong>and</strong>ard HTML codes may be used as appropriate. A list of <br />

the codes <strong>and</strong> examples of use can be found on the appropriate pages in the system. <br />

SUBMISSION STEPS:<br />

1. Choose a type for your abstract. Possible types are ‘scientific exhibit’ or ’educational exhibit’. <br />

2. Enter the title for your abstract. Titles should all be lower case except for acronyms, proper names (e.g. <br />

Doppler, Crohn's, X-­‐ray), the first letter <strong>and</strong> after colons. Do not use a full stop at the end of the title. Please <br />

spell out any Greek or scientific characters (e.g. beta) or use the Omega button in the Editor <strong>and</strong> click on the <br />

character you want to insert. <br />

3. Select the appropriate keyword(s) from each keyword column in the drop-­‐down menu. This selection <br />

determines how your abstract is reviewed <strong>and</strong> indexed online. <br />

4. Add authors to your abstract. To avoid duplicate entries you have to search before you are allowed to create <br />

a new person entry. Within the author block you may change the roles ’Author’ <strong>and</strong> ’Presenter’. One <br />

presenter must be selected. <br />

5. Enter the abstract text by typing or copying <strong>and</strong> pasting plain text from a prepared document. Keep strictly to <br />

the given structure. <br />

6. Complete the required affirmations. <br />

7. When the abstract submission process is complete, a summary page is displayed <strong>and</strong> may be printed for your <br />

own record. This page includes the abstract control number <strong>and</strong> full details of your submission. Please review <br />

this summary carefully to ensure that it is correct. If it is not, please edit accordingly. <br />

8. Submit your abstract by clicking ‘save <strong>and</strong> finish’. <br />

Please make sure that your abstract is properly structured <strong>and</strong> comprehensively checked for English spelling <strong>and</strong> <br />

grammar. Following all instructions will improve the quality of your submission <strong>and</strong> thus influence its scores in a <br />

positive way. <br />

You can edit or delete your abstract online at any time until the end of the submission month (submission phase). If <br />

you wish to withdraw your abstract after that date you must inform the ESR Office in writing by email. <br />

Detailed notifications of acceptance will be sent by email in the month following your submission. <br />

A new list of keywords has been introduced: four equally weighted keyword columns (Area of interest, Technique, <br />

Procedure, Special focus) each containing a variety of terms relevant to radiology allows effective description <strong>and</strong> <br />

indexing of your work. A minimum of one term is required for ‘Area of Interest’ <strong>and</strong> a maximum of three terms is <br />

allowed for each column. <br />

The body of the abstract should summarise the subject in a maximum of 250 words, <strong>and</strong> should be structured as <br />

follows: <br />

• Purpose <br />

• Methods <strong>and</strong> Materials <br />

Sample Abstract Body: <br />

Purpose: Partial volume averaging effects complicate measurement of acoustic neuroma size with the <br />

error greatest in small tumors. A method of volume measurement that incorporates partial volume <br />

averaging is introduced. <br />

Methods <strong>and</strong> Materials: Post contrast T1 volume MR images were acquired from 48 patients. A <br />

computer generated phantom was created, mimicking the partial volume <strong>and</strong> noise characteristics of <br />

acoustic neuromas. Manual volume segmentation is taken as the gold st<strong>and</strong>ard. Tumor diameter, <br />

perimeter length, elliptical <strong>and</strong> directly measured area were measured on the image demonstrating <br />

the largest tumor area. Three dimensional seeding was performed on the tumor volume as well as an <br />

algorithm developed for automated estimation of tumor size using Bayesian classifiers. <br />

Results: Correlation with gold st<strong>and</strong>ard volume measure was greatest for the automated algorithm (95 <br />

% confidence interval for R2 is 0.962 to 0.988), followed by measures of seeding (0.773 to 0.923), <br />

ellipse (0.755 to 0.916), area (0.645 to 0.872), diameter (0.491 to 0.803), <strong>and</strong> perimeter (0.491 to <br />

0.803). Phantom studies on partial volume regions show the accuracy of the partial volume <br />

measurement was 5 % (c.f. 13 % for repeated area measurements). <br />

Conclusion: A Bayesian statistical classification method can rapidly provide measures of tumor volume <br />

which are reproducible <strong>and</strong> offer better accuracy than current time consuming gold st<strong>and</strong>ard <br />

techniques. This method should also increase the accuracy of growth rate measurements for <br />

intracanalicular acoustic neuromas. <br />

Important abstract elements: <br />

• Purpose should be clearly stated. <br />

• Precise description of methods <strong>and</strong> materials (patients), especially patient recruitment, analysis <strong>and</strong> statistics <br />

should be given. <br />

• Precise description of results with numbers <strong>and</strong> statistics should be included. <br />

• Statistics should be appropriate. <br />

• Work-­‐in-­‐progress is only acceptable for extremely innovative or interesting approaches. <br />

• Coherence between stated purpose, methods <strong>and</strong> materials, results <strong>and</strong> conclusion is important. <br />

Sample Abstract Body: <br />

Learning Objectives: To illustrate the spectrum of percutaneous radiofrequency ablation of bone <br />

metastases. To outline the advantages <strong>and</strong> limits of the technique. To describe the best indications <br />

<strong>and</strong> results of the method based on a series of 68 patients. <br />

Background: Painful bone metastases commonly occur in advanced cancer patients. They are difficult <br />

to manage because of pain, bone weakening, <strong>and</strong> reduction in mobility. In this exhibits we will <br />

describe the use of radiofrequency (RF) ablation in bone metastases with the most suitable <br />

indications, the results, the advantages <strong>and</strong> the limits of this technique compared to the existing <br />

percutaneous interventions. Between January 1999 <strong>and</strong> January 2002, 68 patients with bone <br />

metastases were treated in our department. The technique, indications <strong>and</strong> contraindications of <br />

radiofrequency ablation are described <strong>and</strong> illustrated. <br />

Procedure Details: A wet mono-­‐ or bi-­‐polar electrode was used for the ablation (Berchtold® Tuttlingen, <br />

Germany). The procedure is performed under general anesthesia or regional block. The major <br />

indication is palliative treatment of lytic bone metastases <strong>and</strong> pain management. However, curative <br />

ablation is performed in some special cases like bone metastases of thyroid cancer. In these cases, the <br />

treatment begins with radiofrequency ablation with destruction of more than 90% of the lesion <br />

followed by 131-­‐ iodine therapy to complete the ablation of residual tumor. <br />

Conclusion: Complete necrosis was observed in 85% of cases. Radio-­‐frequency ablation of bone <br />

metastases was promising in pain management with 78% of satisfactory results. <br />

AFFIRMATIONS<br />

To finalise abstract submission, each author must agree to the following conditions: <br />

• that all authors are aware that their names appear on the abstract. <br />

• that if the abstract is accepted, the ESR (European Society of Radiology) will hold the copyright. <br />

• that if the abstract is accepted, the author must submit the digital poster material via <strong>EPOS</strong>, the <strong>ECR</strong>’s <br />

Electronic Presentation Online System. The copyright of the digital poster material remains with the author(s) <br />

of the <strong>EPOS</strong> presentation. <br />

• that the full poster material relating to the abstract will be published online after payment of the Publication <br />

Fee (first publication is free, each additional poster is charged at €25 per poster for ESR Members or €45 per <br />

poster for non-­‐Members). <br />

• that full poster material will only be published in the <strong>ECR</strong> poster exhibition in <strong>EPOS</strong> if the presenting author <br />

is registered for <strong>ECR</strong> <strong>2011</strong>. <br />
