KRONOS Workforce Timekeeper Upgrade<br />

‣ The Information Services department, along with Finance and Payroll, has been upgrading the<br />

<strong>Kronos</strong> Workforce Timekeeper System. This includes new server hardware, new time clocks and<br />

application upgrades.<br />

‣ The benefits of this upgrade include: a faster and simpler user experience, more detailed labor<br />

activity tracking, and other improvements as they are implemented.<br />

‣ The project plan involves training at the end of Oc<strong>to</strong>ber and beginning of November, with an<br />

anticipated switch over date for early November. More details on training will be provided <strong>to</strong><br />

management within the next week.<br />

All <strong>Kronos</strong> <strong>Timekeepers</strong>:<br />

We are almost complete with our <strong>Kronos</strong> upgrade <strong>to</strong> version 6.1. Our anticipated Live Date is<br />

Wednesday 11/3/2010. Over the past few months Payroll, Finance, Information Technology and MM<br />

Hayes (our local <strong>Kronos</strong> support) have been upgrading our <strong>Kronos</strong> System <strong>to</strong> the latest version. We are<br />

in the last steps of finalizing our testing, verifying our interfaces, and testing our hardware. We have<br />

already upgraded our time clocks.<br />

We have a few weeks left <strong>to</strong> finalize our testing before we can officially switch over <strong>to</strong> the new 6.1<br />

application but we wanted <strong>to</strong> share some training dates and information with our <strong>Kronos</strong><br />

<strong>Timekeepers</strong>. Please note the following information and please share the information with any of<br />

your timekeepers who may not be on this email.<br />

ALL <strong>SPHCS</strong> <strong>Kronos</strong> <strong>Timekeepers</strong> <strong>need</strong> <strong>to</strong> <strong>attend</strong> <strong>one</strong> of these 30 minute training sessions…<br />

Reminder…… Reminder…… Reminder….. Reminder: You do not <strong>need</strong> <strong>to</strong> register for the<br />

classes….. They are first come - - first serve….<br />

Thursday 11/04/2010 Timekeeper Training in WOLF ROAD COMMUNITY ROOM 159 WOLF<br />

ROAD Training will be offered in 30 minutes segments starting at 8:00 and running through<br />

12:00. You may join any <strong>one</strong> of the 30 minute sessions given by the Payroll Team. Please<br />

arrive on the half hour.<br />

Friday 11/05/2010 Timekeeper Training in WOLF ROAD COMMUNITY ROOM 159 WOLF<br />

ROAD Training will be offered in 30 minutes segments starting at 8:00 and running through<br />

12:00. You may join any <strong>one</strong> of the 30 minute sessions given by the Payroll Team. Please<br />

arrive on the half hour.


Monday 11/08/2010 Timekeeper Training in MERCY HEALTH AND EDUCATION TRAINING<br />

LAB 310 South Manning Blvd – COMPUTER LAB 22A. Training will be offered in 30<br />

minutes segments starting at 9:00 and running through 2:30. You may join any <strong>one</strong> of the<br />

30 minute sessions given by the Payroll Team. Please arrive on the half hour.<br />

Wednesday 11/10/2010 Timekeeper Training in WOLF ROAD COMMUNITY ROOM 159<br />

WOLF ROAD Training will be offered in 30 minutes segments starting at 8:00 and running<br />

through 4:00. You may join any <strong>one</strong> of the 30 minute sessions given by the Payroll Team.<br />

Please arrive on the half hour.<br />

If the above dates do not work for your schedule…. You may schedule time directly with<br />

our Payroll staff.<br />

Payroll will be processed on our current system for Monday 11/1/2010 and Tuesday<br />

11/2/2010. This will be the last payroll using our current version. All approvals and changes will<br />

be d<strong>one</strong> using the current process.<br />

On Wednesday, 11/3/2010 the KRONOS WORKFORCE SYSTEM WILL BE DOWN. MM<br />

HAYES will be converting our data <strong>to</strong> the new system and <strong>Kronos</strong> Workforce Central will not be<br />

available until all the data is converted and verified However, Time clocks will continue <strong>to</strong><br />

record and s<strong>to</strong>re the punches and pass them once the system is back up.<br />

On Wednesday, 11/3/2010 the QUICK CHARGE REPORTING MODULE WILL BE DOWN.<br />

MM HAYES will be converting our data <strong>to</strong> the new system and Quick Charge will not be available<br />

until all the data is converted and verified However, the Quick Charge registers (located in<br />

the CAFÉ, PHARM, Gift Shop, will continue <strong>to</strong> record and s<strong>to</strong>re the charges and pass them<br />

once the system is back up.<br />

On Thursday 11/4/2010 <strong>Kronos</strong> Login Link from the home page will be au<strong>to</strong>matically redirected<br />

<strong>to</strong> the new server via Information Technology.<br />

<strong>St</strong>aff from Budget and Cost will be working with <strong>Kronos</strong> staff on the Vision Ware application. The<br />

<strong>Kronos</strong> <strong>to</strong> Vision Ware interface will <strong>need</strong> <strong>to</strong> be re-written and our Budget team will advise on the<br />

logistics as they finalize that work plan.<br />

We will be updating our <strong>Kronos</strong> time clocks over the next two weeks. A staff member from MM Hayes<br />

(our <strong>Kronos</strong> vendor) will be visiting all sites <strong>to</strong> swap out the <strong>Kronos</strong> Time Clocks. Each time clock will be<br />

swapped out individually thus minimizing the disruption <strong>to</strong> the department. The clock should be down for<br />

short period during this transition.<br />

In addition <strong>to</strong> the clocks being a newer model, some of the function keys have also changed on the new<br />

clocks. Similar <strong>to</strong> when we went live on <strong>Kronos</strong> we will hang new instructions on the wall adjacent <strong>to</strong><br />

the new clock as it is being swapped out. Please let us know if you would like us <strong>to</strong> email these<br />

instructions <strong>to</strong> you in addition <strong>to</strong> having them posted next <strong>to</strong> the time clock.<br />
