Your Graduation Ceremony<br />

Your graduation ceremony is a special occasion to celebrate your<br />

academic achievements at the University of Exeter.<br />

This booklet is a guide to:<br />

• Booking places and services for you<br />

and your guests<br />

• Next steps ahead of the day<br />

• What to do on the day<br />

• Who to contact if you need any further<br />

information<br />

This leaflet contains details of all of the<br />

additional graduation services available<br />

to you and your guests including souvenir<br />

programmes, classic certificates and catering<br />

services. We hope that these services will<br />

enhance your graduation experience and<br />

help make your day truly memorable.<br />

The Winter 2010 ceremonies will take place<br />

on Saturday 23 January 2010 in the Great<br />

Hall, Stocker Road, Exeter. There will be<br />

two ceremonies at 10.00am and 2.30pm.<br />

to attend please see your invitation email or<br />

Eligibility<br />

You should not take receipt of this information<br />

to mean that you have successfully completed<br />

your programme of study. If you are a research<br />

student, the examination process must be<br />

completed by 14 December 2009, with any<br />

minor corrections approved by your Internal<br />

Examiner and a copy of your hardbound<br />

thesis and completed examiner’s report<br />

form submitted to the Postgraduate Admin<br />

Team by this date; if you are a taught student<br />

you must have completed all elements of<br />

your programme and have had your marks<br />

moderated by an examination board by<br />

14 December 2009.<br />

If you are in debt to the University you will<br />

be unable to graduate. Please ensure that<br />

any outstanding amounts are cleared before<br />

14 December 2009. The Student Finance<br />

Office can be contacted on 01392 263409.<br />

Booking your place and ordering<br />

additional services<br />

When you book your place at the ceremony<br />

(the booking deadline is 14 December<br />

2009) you will be able to order any guest<br />

tickets that you require for the ceremony and<br />

provide details of any special requirements<br />

you may have. You are then invited to order<br />

additional services such as catering, handproduced<br />

classic certificates (you will receive<br />

a standard certificate free of charge on the<br />

day) and Graduation Ceremony programmes<br />

(each graduand will receive one copy free<br />

of charge on the day). We also provide<br />

information about pre-ordering your robes<br />

and photography.<br />

1. Visit our website at www.<strong>exeter</strong>.ac.uk/as/<br />

support/admin/taught/graduation/graduation<br />

and select ‘Winter Ceremony Bookings’<br />

from the right-hand side. To register to<br />

attend the ceremony, choose the ‘Register<br />

Now’ link. You should indicate whether you<br />

wish to attend the graduation ceremony<br />

or whether you would prefer to graduate<br />

in absentia. It is important that you do not<br />

wait for confirmation of your award before<br />

completing this process. Registration closes<br />

on 14 December 2009. If you choose to<br />

graduate in absentia you will not be able<br />

to attend a ceremony.<br />

• Request guest tickets. As seating is limited,<br />

we can only guarantee each graduand two<br />

guest tickets. You may request up to two<br />

additional tickets, but please be aware that<br />

we cannot guarantee their availability.<br />

• Let us know about any special needs. We<br />

can allocate disabled parking spaces and<br />

reserved seating for those in wheelchairs.<br />

• Confirm that we have your correct full<br />

name on our records. Should you have<br />

any concerns relating to the pronunciation<br />

of your name and would like to provide a<br />

phonetic guide for use during the ceremony<br />

you will be invited to do so during the<br />

registration period.<br />

• Confirm that we have your correct home<br />

address details (if this is a UK address, your<br />

ceremony tickets will be sent to this address<br />

in early January).<br />

2. Follow the ‘Order your Robes’ link to<br />

access Wippell’s robe ordering site.<br />

Graduands must wear academic dress<br />

in order to graduate.<br />

3. You and your guests may order additional<br />

services from www.<strong>exeter</strong>.ac.uk/as/support/<br />

admin/taught/graduation/graduation at<br />

any time until 15 January 2010 (although<br />

some products will have an earlier deadline<br />

– please refer to order form for further<br />

details). Additional services include:<br />

• Graduation programmes: this provides a<br />

useful guide for guests including the order<br />

of proceedings, honorary graduate details<br />

and a brief history of the University. It<br />

also includes a list of all students at your<br />

ceremony.<br />

Please note that all graduands are provided<br />

with one copy free of charge on the day of<br />

the ceremony.<br />

• Classic certificates: your name and<br />

degree details are inscribed by a<br />

calligrapher on high-quality paper – please<br />

visit Room 153, Northcote House to see<br />

an example.<br />

• Catering: You may reserve your celebratory<br />

lunch and pre-order wines and champagne<br />

to celebrate your special day. Alternatively<br />

the Lower Examination Hall Coffee Lounge<br />

(located off the Great Hall foyer) is open<br />

from 8.00am, offering a range of light<br />

snacks, cakes, refreshments and premium<br />

coffee. The Queen’s Café and Peter Chalk<br />

Café will be open from 8.00am to 4.00pm.<br />

The University Supermarket will also be<br />

open from 10.00am to 4.00pm offering<br />

a comprehensive retail service including<br />

a selection of freshly made sandwiches,<br />

savouries and drinks.<br />

The following products and services are also<br />

available:<br />

• Class of 2010 Clothing: Campus Clothing<br />

will be producing Class of 2010 t-shirts<br />

and hoodies which will include the names<br />

of all those graduating in your ceremony.<br />

Please note that your name will appear on<br />

the clothing unless you have indicated that<br />

you do not wish the University to use your<br />

name on graduation memorabilia (you will<br />

be asked during the graduation registration<br />

process.)<br />

• Photographs: our official photographers,<br />

Ede & Ravenscroft, will be in the Lower<br />

Examination Hall from 9.00am on the day<br />

of the ceremonies. They also provide a<br />

Next Steps<br />

• In early January we will send your<br />

ceremony ticket (which shows your seat<br />

number) and guest tickets to your home<br />

address.<br />

• Students with a non-UK address should<br />

collect their tickets from Registry Services<br />

(Room 153, Northcote House) from<br />

11 January 2010 (office hours only), or<br />

from the Graduation Information Desk<br />

in the Great Hall foyer on the day of the<br />

ceremony.<br />

On the Day<br />

• Please bring your ceremony tickets and<br />

tickets for any other services ordered.<br />

• You are required to wear smart clothes<br />

(dark suit, pale shirt, dark tie, dark shoes<br />

for men; dark skirt or trousers, pale blouse,<br />

dark shoes for women). Please wear<br />

appropriate footwear for walking up and<br />

down the stage steps.<br />

Studios – see schedule of events below<br />

for details of times. You should collect your<br />

robes no later than one hour before the<br />

start of the ceremony. You may find it<br />

useful to take safety pins to hold your<br />

hood in place.<br />

• If you require spare Guest tickets, or have<br />

Guest tickets that you are unable to use,<br />

please visit the Graduation Information<br />

Desk in the Great Hall foyer. We will<br />

allocate any spare tickets on a first-come,<br />

first-served basis on the day of your<br />

ceremony.<br />

• Children attending a ceremony must be<br />

prepared to sit still for an hour and a half.<br />

We advise that children under the age of<br />

five should view the ceremony via the live<br />

video link available in Newman A Lecture<br />

Theatre, in the Peter Chalk Centre,<br />

accompanied by an adult.<br />

• Receptions: a reception will be held<br />

immediately after your graduation<br />

ceremony – further details will be provided<br />

before the ceremony.<br />

• You should collect your academic robes<br />

from and return them to the Roborough<br />

Having your photographs taken<br />

To enable you to spend more time with your family<br />

and friends after the ceremony, our studios are open as<br />

soon as the gowns are available so that you can have<br />

your portrait taken early before the ceremony if you<br />

wish (scrolls are provided for this purpose).<br />

Photographic suggestions<br />

Glasses: we would suggest that you consider not<br />

wearing glasses for your portrait as they tend to cause<br />

reflections in the photograph. If you are in doubt<br />

please consult your photographer.<br />

Appearance: please note that you are responsible<br />

for your own appearance – please check your hair and<br />

attire before having your portrait taken. We provide<br />

mirrors for you to use.<br />

What to wear<br />

For men, a dark single-breasted suit or jacket,<br />

together with a shirt and tie always looks good.<br />

Ladies will find that a front buttoned blouse or some<br />

means of securing the hood in place, such as a brooch,<br />

is always helpful.<br />
