Your Graduation Ceremony
Your graduation ceremony is a special occasion to celebrate your
academic achievements at the University of Exeter.
This booklet is a guide to:
• Booking places and services for you
and your guests
• Next steps ahead of the day
• What to do on the day
• Who to contact if you need any further
information
Please print and retain this document
for information purposes on the day
of your ceremony.
This leaflet contains details of all of the
additional graduation services available
to you and your guests including souvenir
programmes, classic certificates and catering
services. We hope that these services will
enhance your graduation experience and
help make your day truly memorable.
The Winter 2010 ceremonies will take place
on Saturday 23 January 2010 in the Great
Hall, Stocker Road, Exeter. There will be
two ceremonies at 10.00am and 2.30pm.
To confirm which ceremony you are scheduled
to attend please see your invitation email or
check our website (www.exeter.ac.uk/as/
support/admin/taught/graduation/graduation/
january2010ceremonyschedule).

Eligibility
You should not take receipt of this information
to mean that you have successfully completed
your programme of study. If you are a research
student, the examination process must be
completed by 14 December 2009, with any
minor corrections approved by your Internal
Examiner and a copy of your hardbound
thesis and completed examiner’s report
form submitted to the Postgraduate Admin
Team by this date; if you are a taught student
you must have completed all elements of
your programme and have had your marks
moderated by an examination board by
14 December 2009.
If you are in debt to the University you will
be unable to graduate. Please ensure that
any outstanding amounts are cleared before
14 December 2009. The Student Finance
Office can be contacted on 01392 263409.
Booking your place and ordering
additional services
When you book your place at the ceremony
(the booking deadline is 14 December
2009) you will be able to order any guest
tickets that you require for the ceremony and
provide details of any special requirements
you may have. You are then invited to order
additional services such as catering, handproduced
classic certificates (you will receive
a standard certificate free of charge on the
day) and Graduation Ceremony programmes
(each graduand will receive one copy free
of charge on the day). We also provide
information about pre-ordering your robes
and photography.
1. Visit our website at www.exeter.ac.uk/as/
support/admin/taught/graduation/graduation
and select ‘Winter Ceremony Bookings’
from the right-hand side. To register to
attend the ceremony, choose the ‘Register
Now’ link. You should indicate whether you
wish to attend the graduation ceremony
or whether you would prefer to graduate
in absentia. It is important that you do not
wait for confirmation of your award before
completing this process. Registration closes
on 14 December 2009. If you choose to
graduate in absentia you will not be able
to attend a ceremony.
• Request guest tickets. As seating is limited,
we can only guarantee each graduand two
guest tickets. You may request up to two
additional tickets, but please be aware that
we cannot guarantee their availability.
• Let us know about any special needs. We
can allocate disabled parking spaces and
reserved seating for those in wheelchairs.
• Confirm that we have your correct full
name on our records. Should you have
any concerns relating to the pronunciation
of your name and would like to provide a
phonetic guide for use during the ceremony
you will be invited to do so during the
registration period.
• Confirm that we have your correct home
address details (if this is a UK address, your
ceremony tickets will be sent to this address
in early January).

2. Follow the ‘Order your Robes’ link to
access Wippell’s robe ordering site.
Graduands must wear academic dress
in order to graduate.
3. You and your guests may order additional
services from www.exeter.ac.uk/as/support/
admin/taught/graduation/graduation at
any time until 15 January 2010 (although
some products will have an earlier deadline
– please refer to order form for further
details). Additional services include:
• Graduation programmes: this provides a
useful guide for guests including the order
of proceedings, honorary graduate details
and a brief history of the University. It
also includes a list of all students at your
ceremony.
Please note that all graduands are provided
with one copy free of charge on the day of
the ceremony.
• Classic certificates: your name and
degree details are inscribed by a
calligrapher on high-quality paper – please
visit Room 153, Northcote House to see
an example.
• Catering: You may reserve your celebratory
lunch and pre-order wines and champagne
to celebrate your special day. Alternatively
the Lower Examination Hall Coffee Lounge
(located off the Great Hall foyer) is open
from 8.00am, offering a range of light
snacks, cakes, refreshments and premium
coffee. The Queen’s Café and Peter Chalk
Café will be open from 8.00am to 4.00pm.
The University Supermarket will also be
open from 10.00am to 4.00pm offering
a comprehensive retail service including
a selection of freshly made sandwiches,
savouries and drinks.
The following products and services are also
available:
• Class of 2010 Clothing: Campus Clothing
will be producing Class of 2010 t-shirts
and hoodies which will include the names
of all those graduating in your ceremony.
Please note that your name will appear on
the clothing unless you have indicated that
you do not wish the University to use your
name on graduation memorabilia (you will
be asked during the graduation registration
process.)

• Photographs: our official photographers,
Ede & Ravenscroft, will be in the Lower
Examination Hall from 9.00am on the day
of the ceremonies. They also provide a
framing service. Please see pages 16-17
for further details or visit their website:

Next Steps
• In early January we will send your
ceremony ticket (which shows your seat
number) and guest tickets to your home
address.
• Students with a non-UK address should
collect their tickets from Registry Services
(Room 153, Northcote House) from
11 January 2010 (office hours only), or
from the Graduation Information Desk
in the Great Hall foyer on the day of the
ceremony.
On the Day
• Please bring your ceremony tickets and
tickets for any other services ordered.
• You are required to wear smart clothes
(dark suit, pale shirt, dark tie, dark shoes
for men; dark skirt or trousers, pale blouse,
dark shoes for women). Please wear
appropriate footwear for walking up and
down the stage steps.
Studios – see schedule of events below
for details of times. You should collect your
robes no later than one hour before the
start of the ceremony. You may find it
useful to take safety pins to hold your
hood in place.
• If you require spare Guest tickets, or have
Guest tickets that you are unable to use,
please visit the Graduation Information
Desk in the Great Hall foyer. We will
allocate any spare tickets on a first-come,
first-served basis on the day of your
ceremony.
• Children attending a ceremony must be
prepared to sit still for an hour and a half.
We advise that children under the age of
five should view the ceremony via the live
video link available in Newman A Lecture
Theatre, in the Peter Chalk Centre,
accompanied by an adult.
• Receptions: a reception will be held
immediately after your graduation
ceremony – further details will be provided
before the ceremony.
• You should collect your academic robes
from and return them to the Roborough

Our hand crafted certificate frames incorporate an elegant mount
displaying the name of your institution and crest or logo, if applicable.
We are pleased to be able to offer hand crafted
certificate frames and matching photograph
frames. These frames are produced from
managed resources.
The frames incorporate a specially designed
mount with the name of your institution and
crest or logo below the certificate. Mounts are
produced from acid-free conservation card to
protect your certificate from discolouration.
Please note all frames are supplied with acrylic
glass for safety reasons.
There are a range of classic and contemporary
finishes available including an exclusive Italian
walnut inlaid with marquetry, (illustrated above).
All frames are displayed for viewing on your
graduation day and can be ordered at our sales
desk. They will then be mailed direct to your
home.

Family group photographs
Group pack only available if ordered with one or more of the other graduate packs. Two 10”x8” copies
of a family portrait (all prints from the same image). There is a maximum of 6 people per group.
Bonus pack only available if ordered with one or more of the graduate packs. One 10”x8” print
containing 14 multi-sized images, including black and white and sepia toned versions. Ideal for wallets,
keyrings and CVs.
Extra Prints are available once you have ordered one of the above packs.
All frame sizes are approximate.
Having your photographs taken
To enable you to spend more time with your family
and friends after the ceremony, our studios are open as
soon as the gowns are available so that you can have
your portrait taken early before the ceremony if you
wish (scrolls are provided for this purpose).
Photographic suggestions
Glasses: we would suggest that you consider not
wearing glasses for your portrait as they tend to cause
reflections in the photograph. If you are in doubt
please consult your photographer.
Appearance: please note that you are responsible
for your own appearance – please check your hair and
attire before having your portrait taken. We provide
mirrors for you to use.
What to wear
For men, a dark single-breasted suit or jacket,
together with a shirt and tie always looks good.
Ladies will find that a front buttoned blouse or some
means of securing the hood in place, such as a brooch,
is always helpful.
