in the Western States. Pre-conference

events are Tuesday, November 1, 2011,

starting with the 17th Annual Golf Tournament

at 10:00 am. A workshop on “How to

Become Certified in the Clean Marinas Program” will also be

offered on Tuesday, November 1, 2011, including a field trip to

a certified clean marina. The conference officially kicks off that

evening with a Welcome Reception in the Exhibit Hall at

5:30 pm.

• After Oct. 7, rooms are on a space available basis and the MRA conference

rate is not guaranteed. All reservations must be guaranteed with

a deposit of first night’s room and tax charge.

• Cancellation of reservations, early departures or “no shows” within 72

Booth Rental Does NOT Include:

• Additional furniture (Information on ordering booth supplies will be provided in the

Exhibitor Services Manual)

• Movement, transfer, removal, storage, setup and dismantling of the booth

• Cleaning of the booth


Assignment of exhibit space shall be made solely at the discretion

of the MRA and is based on the following:

• Timeliness of the application

• Seniority

• Size of booth

Booth assignments will begin August 1, 2011 for those who have paid their dues and balance

of exhibit space. Space assignment confirmations will be sent out via e-mail on or

before August 15, 2011, to the contact identified on the application.

Please note that MRA does not guarantee booth placement requests. While every effort

will be made to ensure that your company has the best booth space possible, MRA does

not guarantee that your company will not be placed by a competitor. Further, MRA reserves

the right to reconfigure the floor plan and/or relocate any exhibit at any time.


Exhibitors will receive two sets of information. The first will be the Exhibitor Confirmation

Packet sent by MRA Show Management that contains booth assignments and hotel

reservation information, among other materials. These packets will be mailed in early

August 2011.

The second set of information is the Exhibitor Service Kit disseminated by the official

contractor, GES. The Exhibitor Kit contains shipping information and forms for ordering

labor, electricity, and furniture. The Exhibitor Kit will be sent directly from GES via e-mail

starting in early August 2011.

Global Experience Specialists is the official service contractor

for this year’s show. For all orders, please go to www.ges.

com and click on “Order now”. GES will supply each exhibitor

with a user ID and a temporary password so you can sign in

and select your show. Once you are logged in, you can order

any and all GES services you require. All work performed in

the Exhibit Area is under union jurisdiction and under safety

jurisdiction. GES has a great relationship with all unions. We

work very closely with them to create a positive work environment

that enables us to deliver the highest quality of service.

Our effective leverage of these relationships provides greater

efficiencies to the exhibitors. We anticipate that all contracts

up for renewal will result in non-contentious resolutions.

All work involved in the erection, touch-up painting, dismantling,

and repair of all exhibits – when this work is done by

persons other than your full-time company personnel – will

fall under union jurisdiction. This work is to include wall coverings,

floor coverings, pipe and drape, painting, hanging of

signs and/or decorative materials from the ceiling, placement

of all sighs, and the erection of platforms used for exhibit


This does not apply to the unpacking and placement of merchandise.

Any full-time company personnel involved should

be prepared to produce some type of company identification

when engaged in these activities.

Freight Handling

All work involved in the loading and unloading of all trucks,

trailers and common and contract carriers, as well as the handling

of empty crates and the operation of material handling

equipment, is under union jurisdiction. The union also has the

jurisdiction of the unloading, uncrating, unskidding, leveling,

painting and assembly of machinery and equipment, as well

as the reverse process.

Full-time employees of exhibiting companies may ‘hand carry’

material provided they do not use material handling equipment.

When exhibitors do choose to ‘hand carry’ material,

they may not be permitted access to the loading dock/freight

door areas. GES Exposition Services will not be responsible

for any material we do not handle.

All exhibitors are expected to comply with any union requirements

in effect and as outlined in the “SHOW SITE WORK

RULES’ section of the Exhibitor Kit.


Our work rules prohibit the SOLICITATION OR ACCEPTANCE

of tips in cash, product or gifts in kind by any employee (union

or non-union). Our employees are paid appropriate wages

denoting professional status, therefore tipping of any kind is

not allowed.

Service Kit will be provided by GES via e-mail and will be

available on the MRA website marina.org.

8. CANCELLATION POLICY: Should the exhibitor be unable to occupy and use the exhibit space contracted for and should MRA be notified in writing by

September 30, 2011, 50% of all fees paid by the exhibitor to date will be refunded. A $50 cancellation fee will be charged to all exhibit or registration cancellations

prior to October 1, 2011. No refunds will be issued for any portion of the conference after September 30, 2011.

Exhibit Terms, Rules and Regulations


Application for booth space must be made on the

printed form provided by the Marina Recreation

Association (MRA) and be executed by an individual

who has authority to act for the applicant (exhibitor).

Booth assignments will not be confirmed without MRA

receipt of complete payment. MRA reserves the

absolute right to reject any application it feels is not

applicable to the scope of the conference.


Each exhibiting company and its employees agree to

abide by these conditions, it being understood and

agreed that the sole control of the exhibit hall rests

with MRA.


Assignment of exhibit spaces are based on criteria

described in the “Exhibit Space Assignments” section

of exhibitor prospectus. Preferred booth location

choices and booth separation from competitors

cannot be guaranteed. MRA reserves the right to

change the space assignment after acceptance of the

application should it be necessary in the best interest

of the Exhibition. No exhibitor shall assign, sublet or

share the whole or any part of his space. Sublease in

this use includes renting, sharing, donating or in any

way allowing another company or person to display or

advertise in an exhibitor's space without prior

approval from Exhibit Management. It is the

responsibility of the exhibitor to register for, collect,

and report appropriate sales tax.


Down payment must accompany the Application to

Exhibit. Payment in full is due no later than July 31,

2011. Applications not accompanied by the

appropriate fee will be delayed in procession and

space assignment. Membership dues and any other

outstanding balances must be current.


In all cases, exhibitors wishing to insure their goods

must do so at their own expense.


Standard booth equipment (back and side wall

draping, 6’ draped table, 2 chairs and identification

sign) will be provided by MRA for each exhibitor. No

part of any display shall obstruct the view of adjacent

booths. No part of any display may be over ten feet in



Nothing shall be posted on, or tacked, nailed,

screwed or otherwise attached to, columns, walls,

floors or other parts of the hotel or conference hall

exhibit area without permission of MRA and the

proper building authority. Packing, unpacking and

assembly of exhibits shall be done only in designated

areas and in conformity with directions of the Exhibit

Manager or hotel manager. The cost of cleaning or

repairing any damage caused by the exhibitor, its

employees, representatives or agents to the Trade

Show premises will be billed to and paid by the



The specific requirements as to the time for

installation and dismantling of exhibits are supplied in

the exhibitor prospectus. Such requirements shall be

binding upon the exhibitor as though fully set forth

herein. All displays must be in place and set up 30

minutes prior to the official opening of the show.

Exhibit removal prior to the final day’s close of

show on Thursday, November 3, 2011 at 1:30 PM

is strictly forbidden. Space not occupied or set up

by that time may be re-assigned or resold by Exhibit

Manager without obligation on the part of Exhibit

Management for any refund whatsoever.


On behalf of the exhibitors, MRA has designated

official contractors to perform the following services:

drayage, electrical, machinery moving and erecting,

cartage, furniture rental, booth and floral decorations,

signs. MRA assumes no responsibility or liability for

any of the services performed or materials delivered

by the foregoing persons or parties.


Any exhibitor failing to occupy space contracted for is

not relieved of the obligation to pay for such space at

the full rental price, and MRA shall have the right to

use such space as it sees fit to eliminate blank space

in the exhibit hall, provided such booth space is not

occupied 30 minutes before the official show opening.


a. Exhibits shall be shown only in the official exhibit

areas as established by the MRA. Neither the

exhibitors nor non-exhibitors shall be permitted to

display articles, equipment or information concerning

services, or movies of such articles, equipment or

services in public areas, private suites or rooms

during the conference in accordance with prior

agreements between MRA and officials of the hotel.

b. During show hours, each exhibit must be staffed by

a company representative. Booth attendants shall be

dress modestly in good business taste, and exhibitors

and their representatives shall conduct themselves in

a professional manner at all times. Exhibitors must be

registered for the Trade Show and wear their show

badge at all times.

c. Any surveys must be conducted within the

exhibitors booth space only and must contain the

following disclaimer in print on the survey: “Data in

this survey is not being submitted to or collected by

the Marina Recreation Association” Surveys require

prior written approval from MRA.

d. Exhibitors may visit and observe displays on the

Trade Show floor, if they behave in a courteous

manner and respect the rights of their fellow

exhibitors. Handling display samples, picking up

literature, or taking photographs may be done only

with the permission of the personnel at the subject

display. Entry into another exhibitor’s booth without

permission is not permitted.

e. Exhibitors are not permitted to invite the

general public, including suppliers, to attend as



Exhibitors are reminded that the Americans with

Disabilities Act ensures equal access to all

participants at MRA events. It is the responsibility of

the exhibitor to make their booth space fully

accessible to those with physical or sight impairments

and to comply with all applicable laws and

regulations, including without limitation the Americans

with Disabilities Act.


a. Canvassing or distributing any material outside the

exhibitor’s own space is prohibited.

b. The use of billboard advertisements and/or display

of signs outside the exhibit area are prohibited.

c. The MRA name, insignia, or logotype may not be

used unless permission is given in advance by MRA.

A sample of the medium with proposed use must be

submitted to Exhibit Manager.

d. Distribution of giveaways and product samples

must be requested in writing and approved, in

advance, by MRA Exhibit Management.



In the event of cancellation or relocation of the

conference, due to circumstances within MRA’s direct

control, the liability of MRA shall be limited

to refund of fees paid to MRA by the exhibitor. In

the event MRA has no control over the cancellation or

relocation of any conference, MRA shall have no

liability of any kind but may at its discretion refund any

fees paid by the exhibitor.


Should the exhibitor be unable to occupy and use the

exhibit space contracted for and should MRA be

notified in writing by September 30, 2011, 50% of all

fees paid by the exhibitor to date will be refunded. No

refund of any fees will be made if cancellation is

received on or after October 1, 2010. Exhibitor will still

be responsible for payment of any advertising or

sponsorships they committed to.



MRA reserves the right to remove from the hotel or

exhibit hall premises any or all of the property of the

exhibitor should the conference be canceled or

relocated or should the exhibitor violate any of the

conditions of the Exhibit Terms, Rules and

Regulations. This right may be exercised without prior

notice and without hearing.


Exhibitor hereby assumes all costs and expenses

arising from Exhibitor’s, agents’ or employees’

incorporation or use during the show of any music,

written material, dramatic rights, inventions or devices

that are the subject of any copyright, trademark,

tradename, patent, franchise or other contractual or

statutory protection.


Any of the following actions by an exhibitor shall

constitute a violation of the conditions of the Exhibit

Terms, Rules and Regulations.

a. Violation of any municipal, state or federal laws,

rules or regulations, including safety codes.

b. Failure to follow the procedures prescribed in

sections 1 through 17.

c. Failure to remove property from the hotel or exhibit

hall upon cancellation or relocation of the conference.


a. The exhibitor assumes the entire responsibility and

liability for losses, damages, and claims arriving out of

injury to himself, his officials, agents or employees or

representatives, or damage to exhibitor’s displays,

equipment, and other property brought upon the

premises of the Hotel and shall indemnify and hold

harmless the Marina Recreation Association, and

their Board of Directors, agents, the Hotel, agents,

servants, and employees from any and all such

losses, damages, and claims.

b. Special security is NOT provided for the exhibit

area and it is the Exhibitor’s responsibility to remove

all materials, or accept full responsibility for materials

that have been left, when the exhibit is not staffed.

Certificates of insurance shall be furnished as soon as

possible to MRA if requested prior to or following the


c. MRA shall not be liable for any failure to deliver

space to an exhibitor or for the loss of allotted space

of an exhibitor who has contracted for exhibit space

under the terms of this agreement, if nondelivery is

due to any one of the following causes: destruction of

or damage to the building or the exhibit area by fire or

act of God, acts of a public enemy, strikes, the

authority of the law, or any cause beyond its control.

MRA will, however, in the event it is not able to hold

an exhibit for any of the above-named causes,

reimburse exhibitors pro-rata on any booth fee paid,

less any and all legitimate expenses incurred by MRA

for advertising, administration and similar related
