Director of Administration

PRIMARY DUTIES: Assist the Director of Administration in providing office

management and administrative support. Provide clerical/administrative support to

AIHA staff.

ESSENTIAL DUTIES:

Office Management Support

Answer phones

Greet, log, and direct all visitors

Order, receive, and stock office and kitchen supplies

Upkeep and maintenance of the common areas, such as the reception area,

training/conference rooms, photocopying/work areas, kitchen, hallways

Responsible for general kitchen duties; load and unload dishes from the

dishwasher, make coffee, restock refrigerator with sodas, restock supplies

Process incoming and outgoing mail and packages

Receive and distribute mail, fax messages, and DHL/FedEx packages

Create, maintain, and update hard copy of files for admin services

Administrative Support

Provide administrative support to various departments within the company

Provide production back up to staff, including collecting, compiling,

assembling, reproducing, and distributing documents/materials

Schedule, coordinate, and organize events such as meetings, conferences

and departmental activities

Arrange conference calls for staff

Complete other duties as assigned

QUALIFICATIONS:

Required:

Associate degree or two year college course, plus two years of related

experience

Ability to handle a multiple-line phone system

Strong and demonstrated attention to detail, accuracy, and thoroughness


Excellent customer service skills, including well-developed interpersonal and

communication skills; must be able to interact and communicate effectively

with individuals at all levels of the organization with tact and diplomacy

Ability to handle multiple tasks in a fast-paced environment

Professional oral and written communication skills

Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint
