<strong>Terms</strong> <strong>and</strong> conditions<br />

A Function Arrangement form will be forwarded to you. Your signature on this Function<br />
Arrangement form is required, along with final numbers, at least three working days<br />
before the event.<br />
Non-Credit approved clients will be required to pay for their event prior to commencement<br />
of the event. Payment will be either by bank cheque, direct debit, credit card or cash.<br />
A Tax invoice will be issued based on final numbers received. Any additional charges must<br />
be settled at the conclusion of the event. Please ensure that appropriate arrangements have<br />
been made so as settlement of the account can be completed.<br />
If you wish to be invoiced back to your company, an official purchase order is required at<br />
the time of initial deposit <strong>and</strong> terms are 7 days from the date of the event.<br />
The prices are current at the time of quotation, however prices may be subject to change<br />
due to an increase in costs from suppliers. Upon receipt of initial deposit <strong>and</strong> signed terms<br />
<strong>and</strong> conditions, prices will be confirmed in writing.<br />
Cancellation of events <strong>and</strong> meeting rooms must be advised in writing.<br />
Our cancellation terms are as follows;<br />

Over 2 months prior to the event – Deposits will be refunded, less any costs<br />
we have incurred that cannot be reclaimed.<br />

Between 1 month – 2 months from event – Deposit will be retained.<br />

Less than 7 days – 1 month from the event – Full payment of the estimated<br />
costs of the event will be incurred.<br />

Provisional catering numbers are required at the time of initial deposit.<br />
Final numbers of guests are required 5 working days prior to event. Charges will be based<br />
on the final numbers guaranteed or the actual number of people attending the function,<br />
whichever is the greater.<br />
We can liaise with local companies regarding any audio visual requirements. However,<br />
you may organise this directly with the supplier if you prefer. All arrangements are to be<br />
approved by The Darwin Sailing Club Inc.<br />
We cannot take responsibility for any damage or loss of items before, during or after <strong>and</strong><br />
event. We therefore recommend that you arrange appropriate insurance cover.<br />
Although we have limited security on site, if The Darwin Sailing Club considers it necessary<br />
for extra security, this will be arranged at your expense.<br />
Please note that you are financially responsible for any damage to club property or fittings<br />
during your event.<br />
Any extra licences or permits required (ie. Entertainment licence) will be at your expense.<br />

No food or beverage may be brought onto club premises for consumption during<br />
the event, unless other arrangements have been made with our Functions Manager.<br />
Such arrangements may incur additional charges, <strong>and</strong> these will be advised when<br />
the arrangements are made. Should the club authorise the event organiser to bring food<br />
onto the premises that is not prepared or supervised by our staff, a statement must be<br />
provided by the organiser stating such.<br />
It is our duty under both the Liquor Licensing Act <strong>and</strong> Responsible Service of Alcohol to<br />
ensure that our patrons do not become intoxicated <strong>and</strong> disruptive. It is your responsibility<br />
to ensure that all guests behave in an orderly manner during the event <strong>and</strong> do not breach<br />
our obligations.<br />
We reserve the right to re-allocate areas due to circumstances beyond our control. If final<br />
numbers increase or decrease greatly from those advised at the time of the initial deposit,<br />
we may allocate a more suitable area for your event. Any changes will be discussed with you<br />
when the decision is made.<br />
Any entertainment or exhibit companies used for events are responsible for transport, set<br />
up <strong>and</strong> dismantling of their own equipment in accordance with OH & S policies. Delivery<br />
<strong>and</strong> collection times are to be arranged at least 7 days prior to the event.<br />
Permission is required to use The Darwin Sailing Club Inc. name or logo in any advertising<br />
regarding your event.<br />
General <strong>and</strong> normal cleaning is included in the cost of the room or venue hire. Where an<br />
event creates extra cleaning or unreasonable breakages, you will incur additional charges to<br />
cover these costs.<br />
Should we be unable to provide the facilities reserved due to circumstances beyond our<br />
control, no claim other than a full refund of any monies paid may be made.<br />
We can arrange a number of additional services that you may require for your event.<br />
These services may incur charges. If you cancel your event, any services charges will be<br />
your responsibility.<br />
