The following information will ensure you have a effortless,

problem-free run-up to the show and will provide you with

everything you need to know for enjoyable and smooth event.

Please ensure you read this manual fully and don’t forget to

return your completed forms to the relevant contractor by the

stated deadlines.

Please note that for security reasons it is the Barbican Centre’s Policy that

Exhibitors wishing to take goods out of the Exhibition Hall during open days

and before the breakdown period of the Exhibition must hand in an official

‘Goods Removal’ form, duly completed and endorsed by the Organisers, to the

duty security guard.

The form will be available from Hall Management on the day.

STAND CONSTRUCTION & INFORMATION

This section covers all information you need to set up your stand.

There are also a number of regulations outlined in this section which need to be noted and adhered to in order

for the exhibition to run smoothly.

If you require anything extra you will need to hire/buy it at extra cost to yourself. If alternations or movement of

the shell scheme is required you must contact Barbican Hall Management or the Organisers.

The shell walls that the Barbican provide are covered in a mid-grey loop pile fabric. Exhibits of


Please note that no additional carpet can be laid directly over that provided by the

Barbican. If you do wish to lay your own you must first arrange for a chipboard floor to be fitted.

In some areas of the halls it is possible to hang signs, additional lighting or lightweight exhibits from the unistrut

suspension tracks which are fitted to the ceilings. The cost of hanging banners is available from the Organisers.

No on-site painting or wet decorating is permitted.

Exhibitors are responsible for the cost of making good, repairing, renewing any defect or damage to the

exhibition premises or its contents caused by themselves, their contractors or any persons employed on their

behalf. Hall Management will assess the cost of such repairs.

'SPACE-ONLY'

STANDS

Deadline: 11 th January 2011

If you have a self-build stand you simply get floor space on which you construct your own

stand. If your ‘space only’ stand is in excess of 35m 2 or more than 4m in height detailed

plans of the stand must be submitted to Hall Management at least one month prior to the

event for approval by the Corporation of London’s District Surveyors Office. All stand

materials must conform to the Corporation of London Exhibitions and Similar Displays

Standard Conditions.

It is suggested that if you have a self build stand that you visit the Exhibition Halls to find out

the exact measurements of your stand. This can be arranged by contacting John Robbins of

Hall Management on 020 7382 7056.

(Any items referred in a ‘stand package’ from here on are therefore not included in your

package and must be ordered through contractors at additional cost to yourself).

A-Z OF SERVICES & REGULATIONS

ACCESS

The loading bay for Hall 1 is located off Whitecross Street.

Access to the loading bays is strictly limited to between 0800 and 1900 hours (0900 and 1900 hours at

weekends and on Bank Holidays). No access is permitted to the loading bays when the Hall is open to the

public and exhibitors are not permitted to leave their vehicle(s) in the loading bays after these times.

You are permitted to work on your stands, at your own risk, until 2200 hours provided there is no undue noise

and no nuisance caused to the local residents. Permission is entirely at the discretion of Hall Management.

Goods may be taken into the Hall via the sliding single and double height doors.

Please adhere to speed restrictions and keep noise levels to a minimum at all times.

All vehicles must comply with the restrictions of the loading bays above and whilst in these areas will be under

the control of the Barbican Centre’s security.

We advise that for ease of access and to facilitate delivery, transit vans and smaller vehicles are more practical

than large lorries. Vehicles in excess of 16.5 tonnes maximum gross weight are given only restricted access to

Central London and may only enter between 0700 and 2100 hours on weekdays, 0700 and 1300 hours on

Saturdays, no access is given on Sundays. Permits to override these restrictions and further information may be

obtained from The Lorry Control unit on 020 7582 6220 or fax 020 7582 1017.

All vehicles must be removed from the loading bays, immediately, after they have been unloaded.

AUDIO & VISUAL

The Barbican Exhibition Halls in association with Aztec Event Services offer a range of Telecommunication

Solutions for your event.

Telephone

Temporary BT analogue telephone lines can be provisioned for the duration of your event and can be installed

on an exhibitor’s stand. These lines are suitable for standard analogue telephones, Fax machines, PDQ

machines and basic Dial-up Internet Connectivity.

Voice over IP (VoIP) telephone lines are also available. These work in much the same way as the analogue

service but calls are made over the Internet and benefit from reduced line rentals and call charges.

Internet

Internet Connectivity can be provisioned in the following two ways: Hardwired and Wireless (WiFi).

Hardwired solutions include Dedicated Bandwidth (from 2Mb) using ADSL over a BT telephone line. Using a

physical cable connection, this gives the user exclusive use of a dedicated Internet Line, which is not shared with

any other users.

Shared Internet connections are aimed at ‘casual’ users requiring the use of basic Email/Internet Browsing. This

connection is shared with other users.

WiFi is available throughout the Halls with various tariffs available for purchase through the Barbican Hotspot

via a Credit Card.

Equipment & Services

IT Equipment including PCs, Laptops and Internet Kiosks are available for Hire. Aztec provides a host of

services from Project Management to comprehensive onsite support with knowledgeable and courteous staff.

For security reasons, all exhibitors and contractors must wear their identification badges at all times when in

The Barbican Exhibition Hall. If you require further badges on site please go to the Registration Desk.

Delivery Vehicle passes should be displayed in the windscreen of vehicles entering the loading bay. This area is

for delivery and collection only and parking is not permitted.

A number of car parking spaces are available in the Legion car parks at the Barbican and spaces may be

booked in advance at a cheaper rate, of £12 a day. The Legion booking form can be found at the back of this

CLEANING

General hall cleaning and the cleaning of stands and gangways will take place during/before each open day.

At the end of each day ‘dry’ waste should be packaged up and placed in the gangways for collection. ‘Wet’

waste should be placed in bins, provided by you the exhibitor, for emptying by the cleaning staff. Bins should

be clearly marked to ensure their return to the correct stand.

Any areas requiring cleaning during the open hours of the event should be reported to Hall Management.

Hall Management should also be informed if there is broken glass or any other sharp objects, they should then

be placed in a rigid container and clearly marked ‘broken glass’.

Large items of waste material may be disposed of in the compactors at the rear of the exhibition hall during

build-up and breakdown periods only. However, these are unable to dispose of some stand fitting materials

including: chipboard, block board, timber, metal or composite items. A charge will be made for the disposal of

any such materials.

It is your responsibility to ensure that all your goods and materials are removed at the end of an exhibition.

CONGESTION CHARGE

Anyone (except those exempt or discounted) driving through or parking a vehicle on public roads within the

congestion charging zone has to pay a daily charge of £8. Payment of this charge allows you to enter, drive

around and leave the charging zone as many times as you wish that day.

The congestion charge is operational from 7.00am to 6.30pm Monday to Friday.

meet the LEZ emissions standards and is not exempt from the scheme or registered for a 100 per cent discount.

of a replacement panel is £89.00 + vat.

DO NOT use glue, blu-tack or adhesive of any kind on the

panels.

Please speak to the organizers or Barbican Hall Management who are on

sire and can supply Velcro at a cost of £4.00 per metre strip. Our staff will

be happy to advise and help if you have any particular difficulties.

Route 153 stops outside the Barbican in Silk Street. Starting from outside Liverpool Street Station, it runs daily to

the Barbican, Angel and Finsbury Park.

The electrical contractor KR Exhibitions Ltd will carry out all mains and electrical work on shell scheme stands

on behalf of the Barbican. Any special electrical requests are needed five weeks in advance and are subject to

final approval by the Barbican Centre

To determine whether or not you need to order any additional electrical items to those supplied in the shell

scheme package please note the following:

• No more than one exhibit may be connected to a 13 amp plug and no more than one

plug is permitted in each socket.

• Adaptors are not allowed

• System multi-points of four outlets may be used


• Total loading must not exceed the wattage of sockets ordered or provided

and multi-points must not be connected from adjacent multi-points

• Flexible leads should not be longer than two metres and only one plug top to each outlet is

allowed

Please use the electrical order form at the back of the manual for any additional electrical equipment you may

require.

The Halls electrical supply is:

a) Standard Single phase 240V 50 cycles

b) Three phase 415V 50 cycles

c) By arrangement 24 hours supply

Each stand is fitted with an isolator switch controlling the stand lighting and power for exhibits. All power to the

exhibition stands is switched off half an hour after the close of the show, unless other arrangements have been

made with Hall Management.

EVACUATION

A stand pack, which includes instructions for exhibitors in such circumstances, will be left

on your stand on the opening morning of the exhibition. Please familiarise yourself

with the Exhibition Halls evacuation procedures which can be found at the back of the manual.

FIRE PRECAUTIONS

The Hall is fully equipped with smoke detectors and a sprinkler system. The statutory

number of fire extinguishers and fire hose reels are in place and must remain visible at

all times. Do not obstruct or tamper with these devices.

A fireman will be on Duty for the open hours of the event.

FIRST AID

A First Aid room is located off Hall 1 foyer. Any incidents requiring First Aid assistance

should be reported to Hall Management or Security.

FURNITURE

Each Shell Scheme stand will be fitted with the furniture package detailed in the ‘Shell Scheme’

Section at the beginning of the manual, however if you would like to hire any additional

furniture from the appointed contractor Europa International please visit

manual.

No gas is available in the Exhibition Halls.

GOODS LIFT

Access from the loading bays to the Upper Levels of the Exhibition Halls is via the goods lifts. The dimensions

Personnel must not ride on the lifting platforms.

The escalators must not be used for the transfer of goods or exhibits to the Upper Levels.

HEALTH & SAFETY

Under the Health and Safety at Work Act 1974, event organisers, exhibitors, contractors or agents have a duty

to ensure that all personnel contracted by you have a responsibility, so far as is reasonably practicable, for the

health, safety and welfare of all employees, and that any plant or systems of work which maybe used are safe

without risks to health. This includes that all employees are provided with information, instruction, training and

supervision to ensure not only their own health and safety but also that of others working or attending the

vicinity.

HEALTH AND SAFETY AT WORK ACT 1974

Exhibitors’ responsibilities During Build-up, up, Open Days and Breakdown

The Health and Safety at Work Act 1974 (HASWA) applies to all places of work irrespective of their status.

The Barbican Centre has duties under HASWA and its own Health and Safety Policy, which include provisions

that persons, other than the Barbican employees, are reminded of their responsibilities whilst working on this

site. The list covers the common problems regarding Health and Safety created by lack of information and/or

poor organisation.

Further advice is available from the Barbican Hall Management Office.

Principal areas for exhibitors’ responsibility include:

• Understanding of Fire and Emergency procedures and locations of First Aid Centres – see attached.

• Need to maintain emergency exits and keep gangways clear.

• To ensure that good housekeeping is maintained in your hard work areas, minimising hazards and

allowing remaining hazards to be identified.

• Working at height to be done in a safe manner, using suitable equipment in the approved way, e.g. steps,

mobile scaffold towers, powered access equipment etc.

• All powered equipment only to be operated by fully trained and certified personnel, e.g. cranes, forklift

trucks, electric tow ropes, hydraulic access equipment.

• Only accepted substances to be allowed on site, full compliance with the COSHH regulations is required.

For example, disused fluorescent type lighting tubes must not be disposed of in the general waste system,

these require specialised disposal as hazardous waste.

• All portable power equipment to be used for the purpose for which it was designed with the correct safety

guards and devices fitted and used. Trailing power leads to be kept to a minimum and not cross the

gangways, unless protected at source by Residual Current Device (RCD 30ma). Petrol powered equipment

must not be used.

• Personal Protective Equipment (PPE) to be used only where other protective measures have been

considered unrealistic, i.e. PPE is the last line of defence, but please ensure it is suitable and sufficient for

the job, and employees are trained in its use and limitations.

• All contractors, especially from abroad, must be aware of the need to identify suitable tools and

equipment required for the job before coming on site (with special consideration to general, and the

Barbican Centre’s, safety requirements).

You should liaise directly with ELF to ensure that exhibits and standfitting materials are delivered on time and

positioned correctly.

The Hall Management office is located on the Upper Level of Hall 1 and has

photocopying, fax and binding facilities for use by exhibitors or visitors. Charges will be levied for these

services.

Photocopying facilities are available for exhibitors in the Hall Management Office for a charge of 10 pence a

sheet.

Faxes can be sent to you C/O the Hall Management Office at no charge, the number is 020 7382 7263. Faxes

may be sent from the Hall Management Office, but a charge will be levied.

There is a binding machine located in the Hall Management Office which is available to exhibitors at a small

charge.

PUBLIC ADDRESS SYSTEM

The Public Address system will be used for Exhibitors’ messages during Build-up and Breakdown. During the

Exhibition its use has to be restricted to emergencies only. If you are going to need to be contacted during the

exhibition, we suggest that you arrange for a telephone on your stand.

PUBLIC TELEPHONES

There are three public telephones, including coin and card facilities, located on both levels of the hall.

RISK ASSESSMENT & METHOD STATEMENT

All exhibitors must ensure that their risk assessment covers the entire duration of the event i.e. buildup, the

open period and breakdown.

Space only exhibitors must also ensure that the company responsible for building and dismantling their stand

send a copy of their Risk Assessment and Method Statement when submitting stand plans.

Guidelines

As exhibitions and events are deemed as hazardous environments, it is a requirement under Regulation 3 of

Management of Health and Safety at Work Regulations 1999, that every employer and all self employed

people carry out a risk assessment. This regulation requires exhibitors to assess the risks to workers and others,

who may be affected by their work business. This will enable them to identify the measures they need to take to

comply with health and safety law.

As such, a risk assessment must be carried out for both the buildup and dismantling of the stand (to be carried

out by the stand contractor / builder) and for the open period of the show (to be carried out by ALL exhibitors,

regardless of size or complexity).

Shell Scheme Exhibitors are required to undertake a suitable and sufficient Risk Assessment which should

include all work practices, hazardous exhibits and the risks to be found on site.

By Law your risk assessment should be suitable and sufficient: A suitable and sufficient risk assessment is one

that:

Correctly and accurately identifies the hazard.

Disregards inconsequential risks and those trivial risks associated with life in general.

Determines the likelihood of injury or harm arising.

Quantifies the severity of the consequences and the numbers of people who would be affected.

Take account of any existing control measures.

Identifies any specific legal duty or requirement relating to the hazard.

Will remain valid for a reasonable time.

Provides sufficient information to enable the employer to decide upon the appropriate control measures, taking

into account the latest scientific developments and advances; enables the employer to prioritise remedial

measures.

It must also be simple to understand, implement and communicate to all your staff and contractors. Below are

some guidelines to assist you with writing a Risk Assessment.

Step1: Look for the Hazards:

H

What equipment, materials and chemicals will be used? How much noise and

dirt will there be? What are the ground conditions? What vehicle movements and lifting operations have to be

considered? Do you need to schedule a ‘Late Working Rota’ to avoid tiredness and accidents. How will you be

disposing of waste? Are there any electrical installations? What hazardous vehicles/exhibits do you have?

Can visitors fall from a height? Can visitors harm themselves on any of your exhibits/stand fitting? What fire

prevention measures will be put in place? Will anyone be undertaking any heavy lifting? Is there any working

at height taking place? Are any power/hand tools being used? Will there be catering

on the stand that will result in food waste? Will there be any hot surfaces? Are you having any live displays

on the stand that will require additional safety measures? Is there anything that could pose a slip/trip hazard?

Step 2: Decide who could be harmed and how: Who will be affected by your work and most at risk? Think of

your employees, contractors or Exhibitors on or near your stand, through to the visitors themselves. Safe

working depends on cooperation and exchange of information between firms on site, so take this into

account and consider necessary precautions on every aspect of the work being carried out, which may include

training and the provision of relevant

information.

Step 3: Evaluate the risks and write down Control Measures: Once you have done this adequately, you can

then decide on the appropriate action you are going to take to eliminate them. Ask yourself (a) can the hazard

or risk be removed completely or done in a different way; (b) if the risk cannot be eliminated, can it be isolated,

controlled or reduced and how; (c) can protective measures be taken that will protect the entire workforce

on site? Protective work wear should be considered as the last step to take and may not be the only solution.

Step 4: Record and notify the findings: Write down the findings of your Risk Assessment. Pass on

information about significant risks to those people identified in Step 2 and record what measures you have

taken to control those risks. Write it all down, then do it on site and remember to keep it simple.

Step 5: Review your findings: This allows you to learn by experience and take account of any unusual conditions

or changes that occur on site. The Stand Manager and/or Principal Contractor should draw up the Risk

Assessment as well as a specific Method Statement and go through it with all relevant parties in advance of the

Show. Update the Risk Assessment as and when required, such as if new work practices are brought in or new

staff employed or the working environment changes in any way. Ordinary handwritten changes are quite

acceptable, but remember to implement the changes required for next time.

Remember that you must communicate any changes to your Risk Assessment to all those that are involved,

otherwise you will have wasted your time and potentially put your colleagues at risk. There e is an example of a

Risk Assessment form at the back of this manual.

Method Statement

It is vital that an Exhibitor undertakes a suitable Method Statement and submits it at the same time as the stand

design.

Please note that the legal requirement to produce a Risk Assessment will assist you when preparing the Method

Statement.

Your method statement should, as a guide, include the following:

responsible person(s): (The employee who will be responsible for the construction and breakdown of your

stand): eg: ‘Mr …………’ is in charge onsite, and can be contacted on (mobile) in an emergency out of hours.

Details of the Stand: (The loadings, dimensions, location, unusual stand features): eg: To be erected in

Hall......on stand.…....surface total...... upper deck m² structural calculations for a design load of....... kg/m²

Access: Details of the entry point into the hall and the route to the final position): eg: There will be no abnormal

deliveries the estimated number of vehicles onsite will be three.

Erection and Timetable: The sequence and schedule in which all the stand elements will be built, including

alignment, electrical connections etc): eg: We will erect the stand in two teams –one team for the upper deck

and one team for the back wall, partition walls, displays etc

(forklift trucks see lifting); The estimated number of hours to erect the stand is 36 which

will fit in with the Organisers timetable; there will be no late working for this exhibition; the number of personnel

needed (within the time allowed) to safely complete the stand is eight.

Stability: (Methods of ensuring adequate structural support of any stand element that requires cross bracing,

with calculations and inspection certificate from an independent structural engineer): eg: Stability will be

ensured at all times. Procedures as follows: upper deck structure consists of pillars and beams (heavy duty steel

beams of square section (20 x 20cm consisting of IPB 200 steel). Steps of Erection First frame assembled

on floor, truck lifted into the vertical, held by temporary props. Second frame will be likewise truck lifted to

vertical and connected to first frame using beams. Props will then be removed as this rectangular structure

can stand for itself. It will be positioned and aligned as appropriate. Any pillars and beams will then be

connected to the basic structure one after the other (in sequence) until the upper deck is completed.

Wooden beams will be inserted into the steel beams to provide support for

the platform floor boards (screwed to wooden beams). Stairs will be assembled and attached to upper deck.

Before proceeding to other work on the upper deck the balustrades/railings will be fitted.

Lifting: (Outline the equipment that will be used, their capacities, weight, locations and floor

loading. Check the operative’s current license or Certificate of Competence; check machine’s inspection

certificate or maintenance record): eg: Forklift truck required for erection 2 tonnes lifting capacity to be sourced

by the appointed lifting company and provided locally.

Scaffolding: (Include details of temporary and mobile scaffolds, access towers and other work at height which

you intend to carry out): eg: A 3m mobile scaffold tower will be sourced locally, with all safeguards properly

employed onsite. Operatives will be trained and experienced in scaffold systems.

COSHH: (Any proposed use of hazardous and toxic substances must be advised to the Organisers and Venue.

Outline the protection provided for employees and workers on adjacent stands): eg: There will be no

hazardous or toxic substances used onsite.

Environment: (Consider any abnormal noise that may be present, or work which may create dust or fumes.

What ventilation and other control measures will be provided?): eg: No abnormal noise, dust or fumes will be

present. Current hall ventilation is adequate.

Services: (Note where electrical work will be carried out, welding, gases, compressed air, water or waste

services will be brought onto site): eg: Electrical work will be carried out by the appointed Contractors. There

will be no welding, gases, compressed air, water or waste;

Safety Features: (Identify the safety equipment and precautions that you will be providing onsite, including

protective measures that you will be implementing for all of the above, and areas of risk as highlighted by your

Risk Assessment): eg: Hard hats will be supplied to all staff in the vicinity of overhead work; a banks man will be

employed when reversing our vehicles.

Exhibits: (Provide the Organisers with any/all details on exhibits which may present a risk to the public and/or

the operator. How will this exhibit be delivered onto your stand? What machine guarding or other special

requirements are there? What hazardous waste will be produced?): eg: The machine will be roped off and

strong transparent guards used as detailed in our Risk Assessment. It will be delivered onto the stand by the

appointed lifting company. The waste will be collected after the show shuts each day and removed safely by

……………. Ltd. Access for this company will be arranged with the Organisers prior to the show by ……………………

SPECIAL ACCESS NEEDS

The entrances to the Exhibition Halls in Golden Lane are at street level and provide easy access for

wheelchairs. Lifts are located in both Halls, which give disabled patrons access to the upper levels. Disabled

toilets are also available on both levels of each Hall. There is free car parking for all disabled patrons,

vouchers can be obtained from Hall Management.

WATER & WASTE

Deadline: 11 th January 2011

Water and waste can be run to stands in the halls which are adjacent to supply points (see standard floor

plans), but it is strongly recommended that water and waste is not sited in the double height area. There is a

charge for the provision of this service, order forms are available from Hall Management on request.

Applications must be received at least two weeks prior to the exhibition tenancy.

a) The water supply is cold, drinking water provided at mains pressure.

b) To connect to the drainage system exhibits should be equipped to fit a standard 32mm (1.25”) BSP

pipe. Only clean effluent may be discharged and it must be free of high chemical concentrates and

solids.

c) All attachments must be fitted with a stop valve, which is independent of the stop valve at the

point of supply for both water and waste connections.

d) Barbican engineers will supply the necessary pipe work to one specified

point on the stand. It is then the responsibility of the exhibitor to supply the necessary valves,

connectors and pipe work to make connections to the unit.

e) If the unit requiring water and waste is other than a sink full details must be supplied with a clear plan

of its location on the stand.

2. Aztec reserves the right to disallow connection to or remove from the network any computers/laptops that are either owned by the

3. All anti-virus software must have the current updates installed before attempting to connect to the services provided by Aztec. Any

breach will result in immediate disconnection. No notice or refunds will be given in such an event. You must also ensure that any

4. Administer rights must be available for any equipment connected to the Aztec Network if set up is required.

Payment for additional scanners must accompany your order. Purchase orders are not accepted. Overseas exhibitors

must pay in pounds sterling drawn on a UK bank or Credit Card. Scanners must be picked up and returned at the show.

All scanners not returned within one hour of the show closing (last day) will be considered not returned. No refund on

advance orders will be given. Please make sure that you return your scanners to the registration desk each day to

ensure that your data is backed up. A charge of £300 will be made for any scanner not returned or returned damaged.

CIRCDATA can only supply as much information as provided by the visitor on their registration card. We cannot

guarantee that visitors will supply full data. CIRCDATA cannot be held responsible for data loss in the unlikely event of

TERMS AND CONDITIONS

1 All prices are subject to Value Added Tax at the rate ruling on the day (currently 20%)

2 All Stand catering must be purchased direct from Searcy's as the Barbican Exhibition Halls

sole and official Catering Contractor

3 Payment terms: All accounts must be settled on the last day of the show. After the final day of

the show any unpaid accounts will be subject to a 15% administration charge. Cheques to be

made payable to 'Searcy's at the Barbican'

4 Hired Equipment: The hirer is responsible for the safekeeping of all equipment including boxes

and racks from time of delivery until it is collected or returned. A charge may be incurred if any

equipment is damaged or lost. The hire of glassware and china includes a fresh supply daily.

If the glassware and crockery needs to be serviced more frequently, a cost will be incurred.

When hiring a coffee machine or kettle please ensure you have ordered a 3kw power supply for

each appliance with the electrical contractor.

5 This completed order form should be returned no later than 7 days prior to commencement

of the tenancy. Additional top up orders can be made on site by contacting the catering office.

Additional orders for food items must be placed at least 24 hours in advance.

6 Delivery Times: Wherever possible and appropriate we endeavour to deliver equipment and

non perishable goods to your stand the evening prior to opening of the show. Whenever goods

are delivered we require that an authorised signature be obtained. In any event pre-orders

will take priority over late requests.

CONDITIONS OF

HIRE

1. Europa International herein after the company let

furnishings on hire only on the following terms and

conditions and will not accept or be bound by other

conditions so far as they conflict with the following.

2. The period of hire commences from the time of

delivery to the person destination or site indicated on

the order form from the hirer or where ordered on the

telephone by the instructions of the person placing the

order. This shall continue until the furnishings

(comprising of furniture, carpet and modular) are

accepted back by the company. RISK OF LOSS OR

DAMAGE will be on the part of the hirer throughout the

period of the hire until collected or delivered back to

our premises.

3. The hirer shall rent the furnishings at the rates quoted

by the company or any subsequently increased rate in

force at the commencement of the hire period. The

company reserves the right at any time without notice

to increase charges (particularly where there is a

change in the value of the pound sterling). The hirer

undertakes to fully insure all furnishings for the hire

period plus at least 3 days prior and 1 day after the

conclusion of the event for a sum of not less than five

times the hire price.

4. The hirer shall provide at the specified destination a

duly authorised representative to accept the

furnishings and to give a written receipt. If the hirer fails

to provide for this the company shall issue a delivery

note to the hirer as conclusive proof of time and

delivery by the company.

5. The company rents furnishings in good order and

condition. The receipt signed by the representative of

the hirer or in the absence of such a receipt the

company’s delivery note shall be conclusive evidence

of such good order and condition unless at the time of

delivery or within 24 hours the hirer shall notify any

defect to the company by telephone or fax

whereupon all responsible efforts will be made to

rectify the problem. The hirer undertakes to take care

to avoid damage or theft of hired items and to take all

reasonable steps to keep and return the furnishings to

the company in first class condition. If items of furniture

are broken, damaged or lost then the hirer is liable to

repair or replacement costs as agreed between

Europa International and the hirer. NOTE: - We reserve

the right to upgrade or change any item that is out of

stock.

6. The company will endeavour to effect delivery of hired

furnishings at the time indicated by the hirer but will not

under any circumstances be liable for any delay in

delivery caused by circumstances beyond the

company’s control. Liability for any delay in any case

will be limited to the refund of any hire charges already

paid by the hirer relating to periods of non-delivery or

late delivery.

7. Instructions of the hirer (different from those on the

requisition) cannot be carried out unless given in

writing to the company 7 days prior to action required

and accepted by the company in writing. The

company shall not be liable for any failure to perform

its obligations under this Agreement due to

circumstances beyond the parties' reasonable control

including, but not limited to, acts of God, war,

government regulations, disaster, disease, epidemics,

quarantine restrictions, terrorist actions, strikes, civil

disorders, curtailment of transportation facilities or

other emergencies that make it illegal or impossible for

a party to perform its obligations under this Agreement.

At the discretion of the company a charge of not less

than 25% may be made on all orders cancelled prior to

delivery. For on-site cancellations where delivered

correctly NO refund will be issued.

8. If the hirer fails to make available for collection the

furnishings at the end of the hire period the hirer shall

be liable to pay loss of hire charge at a pro-rata rate

until such time as the furnishings are returned to the

company or notifies the company by recorded

delivery of the loss of furnishings.

9. The hirer will be expected to empty all lockable items

of their property at the close of show. The company

can not be held responsible for goods left in said items

and removed to effect collection.

10. The furnishings shall remain the property of the

company and the hirer shall at all times keep the

furnishings in their possession and free from any lien

charge or other encumbrance whatsoever. The

period of hire shall cease forthwith in the event that

any winding up procedures (compulsory or voluntary)

are commenced in respect of the hirers business or if

any receiver trustee or liquidator is appointed of the

hirers business or of any substantial part of its assets.

11. CARPETS & TILES. - All skirting to platforms must be

removed to allow carpet to be fitted over the edge.

Extra cutting due to machines, stand building etc. plus

any damage to carpets or tiles: - i.e. oil, ink, ripping

etc. we reserve the right to charge. Fitting to design or

walls will be charged as extra. All carpets (not tiles) are

laid on an outright sale basis unless arranged

otherwise.

No liability shall be attached to Europa International

for:

(1) Skirting which has to be removed for the

purpose of laying carpets.

(2) Loss or damage however caused to

customer’s own goods.

(3) Any dilapidation for fixing to hall floors (we

use low tack tape, as specified).

All carpets are charged by using full widths of carpet

(normally 4 metres wide) in the most economical

method.

12. Hire period is up to 7 days and thereafter a

supplementary hire charge may be applied on a daily

pro-rata basis. Prices include delivery and collection

within the UK where we are the appointed contractor.

On international and other events there may be a

delivery charge, subject to value, which we will inform

you of before processing the order.

13. Unless otherwise agreed all charges as per invoices

shall be paid 21 days prior to delivery.
