7<strong>Forum</strong> <strong>Phone</strong> <strong>515</strong>/<strong>525</strong>/<strong>535</strong>System TelephonesThe <strong>Forum</strong> <strong>Phone</strong> <strong>515</strong>, <strong>Forum</strong> <strong>Phone</strong> <strong>525</strong> <strong>and</strong> <strong>Forum</strong> <strong>Phone</strong> <strong>535</strong>are corded system telephones that you can operate on your<strong>Forum</strong> 500 / <strong>Forum</strong> 5000 communications system. The MenuCarddisplay makes your telephone easy to operate <strong>and</strong> gives you fastaccess to your system’s wide range of different functions <strong>and</strong> features.The <strong>Forum</strong> <strong>Phone</strong> <strong>525</strong> <strong>and</strong> the <strong>Forum</strong> <strong>Phone</strong> <strong>535</strong> have the samefunctionality. The only difference between them is the size of thedisplay <strong>and</strong> the number of programmable keys available. The<strong>Forum</strong> <strong>Phone</strong> <strong>515</strong> offers the most functions of these two telephoneswith the following exceptions: the <strong>Forum</strong> <strong>Phone</strong> <strong>515</strong> hasjust one trunk key available (please refer to page 15) <strong>and</strong> the “HotDesking” feature is not <strong>support</strong>ed (please refer to page 92). The<strong>Forum</strong> <strong>Phone</strong> <strong>525</strong> <strong>and</strong> <strong>Forum</strong> <strong>Phone</strong> <strong>535</strong> telephones can also beexp<strong>and</strong>ed via additional key extensions which offer additional programmablekeys (please refer to page 32).The <strong>Forum</strong> <strong>Phone</strong> <strong>525</strong> <strong>and</strong> the <strong>Forum</strong> <strong>Phone</strong> <strong>535</strong> are also availableas IP telephones (<strong>Forum</strong> I<strong>Phone</strong> <strong>525</strong> <strong>and</strong> <strong>Forum</strong> I<strong>Phone</strong> <strong>535</strong>).These telephones have the same functionality as the st<strong>and</strong>ardsystem telephones. Insert 6 mm screws in the holes. Key Assignments 15Trunk Key (Call Key 1)g The trunk key of the telephone (also: call key 1) is occupiedby your internal call number (main number). The key islocated to the left of the display, <strong>and</strong> is labelled with your internalcall number (or optionally, with a text programmed by the systemadministrator). Refer to the respective illustration in the chapterKey Assignments starting on page 12 to determine the position ofthe key on your equipment. Your internal call number is assignedto an external call number where you can be reached when beingcalled from an external number. It is possible to assign severalexternal call numbers to the key. If you wish to make a call, liftingthe h<strong>and</strong>set seizes the key (<strong>and</strong> the trunk line); you can immediatelydial an internal or external number (depending on the systemsetting). Long pressing the key displays a MenuCard whichallows you to programme the key’s settings (see the section entitledMenuCard “Prog. call key” starting on page 139).A system setting makes it possible to have your internal numberassigned to other telephones as well. Calls will then be signalledto other telephones simultaneously.The LED of the key indicates the current status, see also the chapterSignalling on the Call Keys starting on page 50.For the System Administrator: Setting the Trunk Keys ofthe System Telephones• The internal call number for a system telephone is configuredin the Configurator, Telephony: Ports: Upn menu or for IPphones respectively in the Configurator, Telephony:Devices: VoIP <strong>Phone</strong>s menu. The assigned internal callnumber is automatically allocated to the trunk key (call key 1).• The assignment to external call numbers takes place in theConfigurator, Telephony: Call Distribution menu.Programmable Keysg The additional keys to the left of the display are free programmablekeys. The system administrator can assign otherinternal call numbers to these keys for you as additional trunkkeys (call keys). These keys have also been assigned to externalcall numbers at which you can be reached from an external<strong>Forum</strong> <strong>Phone</strong> <strong>515</strong>/<strong>525</strong>/<strong>535</strong> System Telephones

In order to make a call with a trunk key, first press thekey <strong>and</strong> then dial the call number.Note: Only call key 1 can be configured as a trunk key on the<strong>Forum</strong> <strong>Phone</strong> <strong>515</strong> system phone (please refer to page 15).The system administrator can also assign the programmable keysas call keys for team functions. Information on the use of teamfunctions can be found in the chapter Team Functions starting onpage 99.The LEDs of the programmed keys indicate different states, seealso the chapter Signalling on the Call Keys starting on page 50.You can programme features <strong>and</strong> destination call numbers yourselfdirectly on the programmable keys of the device that have notbeen set by the system administrator. While you are making a call, new calls can bequeued. These callers first hear an announcement (if the systemadministrator has preset an announcement) <strong>and</strong> then the ringtone. The number of calls permitted in the call waiting queue isset by the system administrator during system configuration,5 calls for example. When this number is reached, further callershear the busy tone. The calls in the queue are put through inorder of priority (baby calls, door calls, VIP calls, other internal<strong>and</strong> external calls), irrespective of the order in which they camein.Calls that have been in the queue for too long are removed, <strong>and</strong>the callers then hear the busy tone. The period of time until anexternal call is released is set by the network operator. In mostEuropean countries this is usually three minutes.Telephoning


52General FunctionsYour telephone can have a call waiting queue even if it belongs toa subscriber group, where it simultaneously affects call forwarding.If several call numbers are configured for your telephone (e. g. ontrunk or team keys), separate call waiting queues are used foreach number.On the <strong>Forum</strong> <strong>Phone</strong> <strong>535</strong>) incoming calls are signalled by meansof a short tone (default setting); they are also indicated on thedisplay. The system administrator can switch off the notificationtone for a new call in the web configurator with the Beep forcalls in call queue option (menu: Telephony: Devices: Systemphones).If there are calls in the queue, the level indicator appears at thebeginning of the second line of the <strong>Forum</strong> <strong>Phone</strong> <strong>535</strong> display. General Functions 53Block Dialling/Automatic DiallingIf you activate the menu item 5 En-bloc dialling in the Menu-Card <strong>Phone</strong> settings, you can enter all call numbers (<strong>and</strong> corrector add digits to them, if necessary) without lifting the h<strong>and</strong>set(see MenuCard “<strong>Phone</strong> Settings” starting on page 123). Thenumber is displayed in the info line. Entries from the redial list,the call list <strong>and</strong> the telephone book that are to be dialledusing O also appear in the info line first. The number youhave selected is not dialled until you lift the h<strong>and</strong>set or press theh<strong>and</strong>s-free/open-listening key L.If block dialling is switched off, the telephone switches to open-listeningmode as soon as you enter a call number <strong>and</strong> dial it.Note: An initiated automatic dialling is automatically terminatedafter 60 seconds if no further entries are made.Block Dialling <strong>and</strong> Headset OperationIt is useful to activate the “block dialling” feature when using aheadset (if you have activated this via the MenuCard <strong>Phone</strong> settings,see page 124). The call number entered will only be dialledonce you have pressed the headset key K.Once block dialling has been activated <strong>and</strong> the headset switchedon, the phone immediately switches over to headset operation<strong>and</strong> the call number is dialled when you enter a number on thephone.Dialling a Different User or a Different TerminalYou can also use your system telephone for dialout with a headset.To do so, save a destination call number on your system telephone(via the MenuCard Connections, the menu entry 2ƒDial:0ƒRemote dialling, please refer to page 130 also). The savedcall number will be dialled automatically when you press the headsetkey within 30 seconds. After 30 seconds, the dialout will bedeactivated automatically.This feature can be used on all devices for which the systemadministrator has configured a device ID. This means that you canalso save a dialout for another user who, e. g. also has a systemtelephone.Telephoning

Press the key again to switch the microphone back on.Call-charge Display, Duration DisplayIf your network operator transmits call-charge information, <strong>and</strong> ifyou have dialled an external number yourself, you will see thecurrent amount of the charge in the info line during or at the endof a call. If acall number is also stored in your system’s telephone book, youwill see the name as well.Dialling a Call NumberP HOSelect the entry (phone number or name) <strong>and</strong>lift the h<strong>and</strong>set. The call number will now bedialled automatically.Alternative: If you do not pick up the h<strong>and</strong>set<strong>and</strong> then press the OK key, you can execute thefollowing functions:• Dial: Press the OK key or pick up theh<strong>and</strong>set. The phone number will be dialled.• <strong>Phone</strong> book: You can add the entry to atelephone book (1ƒNew entry) or to anexisting entry (2ƒAdd). You hear thecaller over the loudspeaker <strong>and</strong> speak through the microphone ofthe h<strong>and</strong>set (although it is on the hook). Open-listening involvesboth, hearing the caller via h<strong>and</strong>set as well as over the loudspeaker,so that other people present can listen in.Calling via the H<strong>and</strong>setTo switch open-listening on/off, press the h<strong>and</strong>s-free/open-listeningkey L. To switch to h<strong>and</strong>s-free mode, long press theh<strong>and</strong>s-free/open-listening key <strong>and</strong> replace the h<strong>and</strong>set. Consult your system administrator ifyou have questions concerning this function.Keypad DiallingA number of European network operators need the keypad protocolto set features. Depending on your system configuration yourtelephone could be set to keypad dialling during the connectionstate. If this is not the case, you must switch your telephone overto the keypad protocol – before dialling – <strong>and</strong> enter the code digitsspecified by the network operator. These are transmitteddirectly to the exchange <strong>and</strong> evaluated there. You usually get anannouncement as an acknowledgement. Consult your systemadministrator if you have questions concerning this function.Switching to Keypad DiallingH*12 This switches your telephone over tothe keypad protocol. If you do not wish touse this preferred connection <strong>and</strong> want to select a network operatoryourself for each call (i.e. on a call-by-call basis), then beforemaking the call, select the LCR off entry from the menudescribed in the section entitled MenuCard “Selection” in the IdleState.This is only necessary if LCR has been configured for you in the<strong>Forum</strong> 500 / <strong>Forum</strong> 5000. Consult your system administratorabout this.Note: Baby call <strong>and</strong> external call forwarding are not automaticallyswitched via preferred connections. You hear the ringing tone yourself. The system administratorcan determine that a special ringing tone is used for call-waitingcalls. Based on this special ringing tone, you can decidewhether you wish to end the connection or not.If the subscriber called has activated call-waiting protection (seepage 126) you will hear the busy signal. You can penetrate a subscriber'scall-waiting protection via a VIP call (see page 70).Using Routes to Make CallsHZGRZEnter the routing code <strong>and</strong> dial the call number.For enquiry calls:Enter the routing code <strong>and</strong> dial the call number.The <strong>Forum</strong> 500 / <strong>Forum</strong> 5000 sets up calls to the desired subscriberseither automatically or via specific routes. Your systemadministrator configures these routes in the <strong>Forum</strong> 500 /<strong>Forum</strong> 5000 <strong>and</strong> specifies how each route is seized. To manuallyseize a specific route for a call, you dial the routing code beforedialling the (internal or external) call number. Making calls viaspecific routes enables you to contact subscribers in the branchesof a large company network, for example. You can also use amanually-entered routing code to record your call-charge data forprivate <strong>and</strong> business external calls separately.The default route “External line” is always present <strong>and</strong> cannot bedeleted. This function cannot be programmed on the systemtelephone itself. Contact your system administrator if necessaryso that this feature key can be configured for you.The name of the bundle or route <strong>and</strong> the number of busy channelsappear in the display. This display is constantly refreshed.If the “Route state” function is programmed <strong>and</strong> you press thisprogrammed key briefly, the routing code will be dialled accordingly(e. g. “0”).If all lines in the bundle or the route are busy, the LED on the programmedfeature key is illuminated.Ending CallsTo end a callhTLKreplace the h<strong>and</strong>set orpress the disconnect key.In h<strong>and</strong>s-free mode, by pressing the h<strong>and</strong>s-free/open-listening key.During headset operation, by pressing the headsetkey.If the person you are speaking to ends the call while you are inh<strong>and</strong>s-free mode, the busy tone for your telephone is switched offafter a few seconds <strong>and</strong> you can be reached again. Please see: Add <strong>Phone</strong> Numbers to TelephoneBook from Lists or during a Call starting on page 90.Booking Number: You can use a booking number to record the calldata of connections to external subscribers <strong>and</strong> save it in the<strong>Forum</strong> 500 / <strong>Forum</strong> 5000 for further analysis. Booking numbersare useful, for example, for calculating costs per client (fees <strong>and</strong>times) in an office. Select the menu item. Under No. enter thebooking number (8 digits maximum) <strong>and</strong> confirm your entry withthe O key. For further details please refer to the section entitledHints on Booking Numbers starting on page 68.Park call: Users can “park” one or more callers to make othercalls or put down the h<strong>and</strong>set <strong>and</strong> engage in other activities. (Thisis fundamentally different from the “Hold Connection” function;with this function the connection to the caller is terminated whenthe called subscriber puts down the h<strong>and</strong>set). Parked calls arerecorded in a list on the system terminal. The system offers thenext available parking spot (0-9, * or #). Users can accept thecalls from the list in whichever order they wish, enabling them to“unpark” specific calls as required. Until his call is “unparked”, thecaller will hear music on hold, provided music on hold has beenconfigured. If the user does not “unpark” the caller after a certainamount of time, he will receive an automatic recall if the h<strong>and</strong>sethas been replaced (the display shows information on the recall).This automatically “unparks” the caller. If, however, the user isstill making another call <strong>and</strong> has not hung up, the caller will hearthe busy tone <strong>and</strong> will be “unparked”.Authorisation for parking connections <strong>and</strong> the period of time afterwhich there is a recall is defined by the administrator during theconfiguration of the system.Pick-up*: Accepts a call for another telephone in your pick-upgroup. Among other things,the system administrator specifies whether a booking numberis entered through the system terminal menu (<strong>and</strong> thereforeduring a call). He can, however, also specify that bookingnumbers must be entered with a code procedure. In that casethe booking number must be entered before the call is initiated<strong>and</strong> the connection is made. It is entered after the routingcode <strong>and</strong> before the actual destination number. In this case itis not possible to enter the booking number during the call.• You can also programme the function “Enter booking number”to a feature key (see also Programming Functions (Features)starting on page 142). Via this feature key you can then enterthe booking number during the conversion. To programme,select the Connections: 2ƒDial: 9ƒBooking number entryfrom the Main menu. You can define a booking number that willbe saved to the feature key. If you do not define a bookingnumber, then you can – after pressing the feature key – enter“any” booking number. You can, for example, configure call forwardingImmediately for external calls to one call number, <strong>and</strong> call forwardingAfter delay for internal calls to a different call number.During configuration, the system administrator defines an intervalin seconds for After delay call forwarding. You can replace thisdefault with your own individual value when programming Afterdelay call forwarding. You cannot view orchange this call forwarding on your device.In addition, the system administrator can determine whether youcan forward incoming calls to the hunt group call number or not. Ifthe system administrator does not permit call forwarding for yourhunt group call number, any call forwarding that you have programmedon your device is not carried out upon a hunt group call.Call forwarding chainsThe system administrator can configure the system so multiplecall forwarding instances can be linked one to another to form achain. A simple example: user A forwards to user B, who then forwardsto user C. A call for user A is then directly signalled touser C.A setting in your user group regulates which call number appearson your device when a call which has been forwarded multipletimes is signalled on your device: you will see either the callnumber of the last user who programmed the last call forwardingin the chain, or the call number of the first user in the chain. Thenumber displayed is also saved to the caller list for missed calls.The system prevents call forwarding chains from forming a loop,e. g. when the call forwarding destination refers back to the callforwarding source. When the system detects a call forwardingloop, no further call forwarding is carried out. This can mean that– despite call forwarding being programmed – calls are nonethelesssignalled on your device.A loop is also detected during call deflection. If you receive a callvia a call forwarding chain <strong>and</strong> wish to deflect it to a destinationcall number which is already in the call forwarding chain, a negativeacknowledgement tone is heard <strong>and</strong> the call signalling onyour device will continue.Contact your system administrator if call forwarding is not functioningas expected on your device. VoIP enablescompanies to use existing company data lines without having tolay new telephone lines. To be able to use this technology, however,suitable devices which <strong>support</strong> it are necessary.The following IP system telephones are suitable, e. g.<strong>Forum</strong> I<strong>Phone</strong> <strong>525</strong> <strong>and</strong> <strong>Forum</strong> I<strong>Phone</strong> <strong>535</strong>. These telephones offerthe same range of functions that the <strong>Forum</strong> <strong>Phone</strong> <strong>525</strong> <strong>and</strong><strong>Forum</strong> <strong>Phone</strong> <strong>535</strong> st<strong>and</strong>ard system telephones offer <strong>and</strong> are operatedin exactly the same way. The number of keys <strong>and</strong> their functions<strong>and</strong> the displays are the same for both the st<strong>and</strong>ard <strong>and</strong> theIP system telephones. Key extensions can also be connected to IPsystem telephones (see also the chapter Key extensions startingon page 32).If your system administrator has configured an IP system telephonefor you, the following information will be of interest to you:• During some connections you may experience short breaks orhear an echo. This depends on the transmission quality of theline <strong>and</strong> is not due to your telephone functioning improperly.• If your telephone is being connected to the line or theconnection is interrupted (e. g. if the company network breaksdown), the required terminal software will be loaded (thetelephone “reboots”). This happens automatically <strong>and</strong> maytake some minutes. The telephone is ready for operation whenthe display shows the time <strong>and</strong> the internal call number. Above the display on the back of thedevice there are two RJ45 jacks for connecting the data line(s).These ports are labelled LAN <strong>and</strong> PC. Depending on how yourworkstation is equipped technically, there are two options for connectingthe IP system telephone. Your system administrator willconnect the telephone for you. If for whatever reason the lines getdisconnected at some point, follow the steps below to reconnectthe telephone yourself.Option 1: Your Workplace Computer has a Network PortAvailable.Insert the network cable into the telephone’s LAN port <strong>and</strong> theother end of the cable into the available network port.Option 2: Your Workplace Computer has just One NetworkPort Available which is Used by Both Telephone <strong>and</strong> PC.The telephone can be looped into the existing network connectionvia its LAN <strong>and</strong> PC jacks. To connect the telephone, use a networkcable to connect the telephone to the PC, one end of which isinserted into the PC port of the telephone. A second networkcable is inserted into the LAN port of the telephone, the other endof which goes into the network port.The power supply of the telephone <strong>and</strong> the connected key extensionsis provided by the network feed (“Power over Ethernet”). Ifyour company network does not supply Power over Ethernet, thetelephone will require a separate power supply via an additionalAC adapter plug (product code 90035810; product name“<strong>Forum</strong> 500 power for keypad & FIP <strong>525</strong>/<strong>535</strong>”). The AC adapterplug is plugged into the port on the base of the telephone. Thissymbol identifies this port. The next time the subscriber whosedevice ID you entered picks up the h<strong>and</strong>set, (or when using aheadset, presses the headset key), the saved destination callnumber will be dialled automatically. This programmednumber remains saved for 30 seconds. After 30 seconds, thedialout will be deactivated automatically. If a single MSN is forwarded to a differentnumber or not forwarded, the LED does not light up.If you now press the feature key, a menu opens in which youcan activate or deactivate the function again. The destinationnumbers for the individual MSNs of the group are overwritten<strong>and</strong> will have to be reprogrammed if required. Selecting On willforward all MSNs in the group to the originally programmeddestination number, or you can specify a new destinationnumber. Selecting Off will deactivate all forwarding for allMSNs in the group.Example 2 “Call Waiting Protection”If you have assigned “Call waiting protection ” to a feature key,the LED lights up if call waiting protection is activated for all thecall keys on your telephone. If you deactivate call waiting protectionfor a single call key (“Call waiting protection”), the LEDgoes out.If you now press the feature key, a menu opens in which youcan activate or deactivate the function. The call waiting protectionfor the single key is then deleted <strong>and</strong> will have to be reprogrammedif required.With the On menu item you turn on call-waiting protection forall call keys. This means that a function in a link has anexactly defined switching function in comparison with thefunctioning of a single feature key. Technical <strong>support</strong> for your <strong>Forum</strong>®telephone exchangeTechnical <strong>support</strong> for your <strong>Forum</strong>® telephone exchangeUser instructionsAll the user instructions for our <strong>Forum</strong>® telephone exchanges are available on theincluded CD ROM, <strong>and</strong> on our Internet site at: www.belgacom.be/pabx.Diagnosing the problemIn the event of a technical failure or problem, we request that you systematically carryout the following tests before contacting our technical <strong>support</strong> service.To facilitate the diagnosis, please inform the helpdesk operator (1) of these test results.Our helpdesk can solve certain problems remotely. This will avoid a technician's visit<strong>and</strong> reduce repair time considerably.Problem with a telephone connected to your exchange1. Reset the telephone by unplugging it <strong>and</strong> plugging it back in again.2. Check the connections, cables <strong>and</strong> the various plugs. Try it out with the cablesfrom another telephone that is working properly.3. Test the defective telephone in another socket into which a functioning telephoneis plugged.Problem with a cordless DECT telephone1. Remove <strong>and</strong> then reinsert the batteries.2. Ensure that the charger is properly connected.3. Test the DECT telephone near each of the antennas.General external or internal communication problem1. Check that the installation is always powered by 230V.2.
