ABSTRACT SUBMISSIONDeadline: December 18, 2013Overview:<strong>The</strong> AADSM solicits research <strong>abstracts</strong> dedicated to enhancing clinical practice relatedto oral appliance therapy in adults and children, maxillomandibular advancement andupper airway surgeries, analysis <strong>of</strong> the upper airway, crani<strong>of</strong>acial and developmentalcharacteristics related to sleep disorders, sleep bruxism, and or<strong>of</strong>acial pain associatedwith sleep disorders.All research <strong>abstracts</strong> are submitted <strong>for</strong> poster presentations.Posters should be clear and organized <strong>for</strong> viewing, measuring no larger than 4’ x 4’.Presenters are encouraged to display posters <strong>for</strong> the duration <strong>of</strong> the meeting as describedin the abstract acceptance letter. Minimally, posters must be put up by 8:00am on theday <strong>of</strong> the presentation and remain on display until 6:00pm. <strong>The</strong> presenting author <strong>of</strong>the poster will be assigned a time slot during which he/she is expected to be physi<strong>call</strong>ypresent at the poster display to answer questions. Use <strong>of</strong> laptops during posterpresentations or logos promoting commercial companies is prohibited.Research <strong>abstracts</strong> will be considered <strong>for</strong> an award if requested by the first(corresponding) author on the abstract application <strong>for</strong>m.Awards <strong>for</strong> research <strong>abstracts</strong> include three Graduate Student Research Awards andthree Clinical Research Awards. <strong>The</strong> Graduate Student Research Awards are designated<strong>for</strong> healthcare pr<strong>of</strong>essionals who have recently graduated and <strong>for</strong> trainees conductingresearch in dental sleep medicine (undergraduate, graduate, masters, PhD, postdoctoralor resident training). <strong>The</strong> Clinical Research Awards will be presented to clinicians,researchers or academicians who do research in dental sleep medicine. Oral presentations consist <strong>of</strong> aneight minute presentation followed by two minutes <strong>for</strong> questions and answers. <strong>The</strong> firstauthor or any co-author may give the oral presentation. A presentation is required in orderto receive the award. Submission Requirements and Process:All healthcare pr<strong>of</strong>essionals and others conducting research in dental sleep medicinemay submit <strong>abstracts</strong>. An individual may be the first author on a maximum <strong>of</strong> tworesearch <strong>abstracts</strong>; there is no limit on co-authorship. In order to comply with ADACERP guidelines, each author will be required to disclose any significant relationshipswith commercial interests by completing a conflict <strong>of</strong> interest disclosure <strong>for</strong>m that canbe found on the AADSM website at http://www.aadsm.org/research<strong>awards</strong>.aspx. Bysubmitting a research abstract, all authors attest that the abstract submitted has not beenpreviously published elsewhere and transfers, assigns, or otherwise conveys all copyrightownership, including all rights incidental thereto, exclusively to the <strong>American</strong> <strong>Academy</strong><strong>of</strong> <strong>Dental</strong> <strong>Sleep</strong> Medicine.Abstract presenters must register <strong>for</strong> the AADSM 23 rd Annual Meeting. Submission <strong>of</strong>an abstract constitutes the commitment <strong>of</strong> at least one author to present the abstract asaccepted, regardless <strong>of</strong> presentation type or day/time assigned. Be an undergraduate, graduate, master, doctoral, post-doctoral fellow or residentdoing research in dental sleep medicine. All students who submit an abstract andare not members <strong>of</strong> the AADSM will be required to become a member (studentmembership <strong>for</strong> AADSM is free);2. Currently enrolled in an advanced educational program and conduct researchrelated to dental sleep medicine; or3. Having received their certificate or degree within 18 months prior to the abstractapplication deadline.Entries will not be accepted from individuals who have previously received this awardmore than two times. Any research study completed during a dental/medical/otherpostgraduate or residency program shall be eligible. Abstracts must not be closely relatedto another submitted abstract with the same co-authors.Clinical Research Award Eligibility:1. Be a dentist, physician, healthcare pr<strong>of</strong>essional or other pr<strong>of</strong>essional conductingresearch in dental sleep medicine;2. First author on the abstract; and3. Not a graduate student.All awardees will be invited to present an eight-minute summary <strong>of</strong> their papers at theannual meeting. Criteria:<strong>The</strong> following criteria will be used to judge research <strong>abstracts</strong>:1. <strong>The</strong> research project is applicable to dental sleep medicine.2. <strong>The</strong> <strong>abstracts</strong> must be in English with proper grammar.3. <strong>The</strong> abstract contains objectives, methods, results and conclusions and must beorganized.4. <strong>The</strong> abstract is not closely related to another submitted abstract with the same authors.5. <strong>The</strong> research problem is well defined and its importance is clear.6. <strong>The</strong> research methods are clearly outlined.7. <strong>The</strong> data and statistical analysis are adequate to evaluate the objectives.8. <strong>The</strong> results are adequate and coherent.9. <strong>The</strong> conclusions are well founded based on the methods used, the results <strong>of</strong> thestudy and previously published literature.10. <strong>The</strong> conclusions are adequately qualified (i.e. the conclusions have appropriatelimitations as implied by author).11. <strong>The</strong> originality <strong>of</strong> the paper.12. SUBMIT A CHALLENGING CASE FOR THE CLINICAL CHALLENGE SESSIONSDeadline: December 2, 2013<strong>The</strong> Clinical Challenge Sessions is a new <strong>for</strong>mat that provides a fast-paced venue <strong>for</strong>case reports or brief discussions <strong>of</strong> clinical problems. During these sessions, an expertpanel will review and discuss challenging cases submitted in advance by AADSM AnnualMeeting attendees. <strong>The</strong> cases will be selected by the Annual Meeting Committee, andindividuals will be notified <strong>of</strong> whether or not their case is accepted <strong>for</strong> presentation inFebruary 2014.If your case is accepted, you will be responsible <strong>for</strong> presenting a synopsis <strong>of</strong> the caseusing the Report Case Template during lunch on Friday, May 30 through Saturday,May 31. Additional time will be allowed <strong>for</strong> questions and answers. Submission <strong>of</strong> acase constitutes the commitment to present the case, regardless <strong>of</strong> day/time assigned.An individual may be an author on only two Clinical Challenge Case submissions.Abstracts <strong>for</strong> Clinical Challenge presentations will not be accepted if the authors do notdescribe a clinical problem or case presentation that is relevant to dental sleep medicine.Expenses associated with the preparation, submission and presentation <strong>of</strong> the case are theresponsibility <strong>of</strong> the presenter. <strong>The</strong> in<strong>for</strong>mation provided within the proposal will be used to highlight accepted sessionsin the preliminary and final programs. With this in mind, changes and/or additions (i.e.faculty names, title changes) must be submitted prior to February 21, 2014. <strong>The</strong>sechanges will only be incorporated into the final program.All speakers are responsible <strong>for</strong> the in<strong>for</strong>mation included within their slides and areresponsible <strong>for</strong> obtaining copyright permissions. All speakers will be required to agree toa copyright assignment statement when submitting a session proposal.Audiovisual In<strong>for</strong>mation:<strong>The</strong> standard audiovisual equipment that is provided <strong>for</strong> each session is as follows:LCD projector, laser pointer, and microphones. <strong>The</strong> use <strong>of</strong> personal laptops is prohibited.Requests <strong>for</strong> additional audiovisual equipment must be included in the session proposal.Internet connections are not provided in session rooms; requests <strong>for</strong> internet in sessionrooms will not be approved. Those speakers who have been confirmed <strong>for</strong>an accepted session must be the people who actually deliver the presentations; changesin session speakers must be reviewed by the AADSM Annual Meeting Committee.Presentation handouts <strong>for</strong> all Clinical Workshops are prohibited.Discussion Groups:Discussion Groups are <strong>for</strong>ums <strong>for</strong> a less <strong>for</strong>mal presentation <strong>of</strong> a topic within a one-hourtime slot. <strong>The</strong> AADSM encourages conversations on controversial subjects and pro/condiscussions or presentations. <strong>The</strong>se sessions should stimulate interest and discussion withthe audience without extensive data presentation or use <strong>of</strong> audiovisual equipment andwithout necessarily reaching a conclusion. A question or series <strong>of</strong> questions should beintroduced by the panel <strong>of</strong> discussants to start the session. A Discussion Group proposalmust be presented within the guidelines stated. A maximum <strong>of</strong> three speakers are allowed. Those speakers who have been confirmed <strong>for</strong>an accepted session must be the people who actually deliver the presentations; changesin session speakers must be reviewed by the AADSM Annual Meeting Committee.Presentation handouts <strong>for</strong> all Discussion Groups are prohibited.Symposia:Symposia sessions are allotted a one-hour time slot to present the latest data and ideas ontopics in dental sleep medicine and sleep research.A maximum <strong>of</strong> 3 speakers are allowed <strong>for</strong> Symposia. Individual presentations, whichshould be approximately 20 minutes each including questions, should be integrated onthe same topic.Those speakers who have been confirmed <strong>for</strong> an accepted session must be the peoplewho actually deliver the presentations; changes in a Symposium must be reviewed bythe AADSM Annual Meeting Committee. Presentation handouts <strong>for</strong> all Symposia areprohibited.Session speakers should be aware that individuals are limited to two presentationsper meeting in order to encourage a wide variety <strong>of</strong> speakers and promote diversity<strong>of</strong> content at the meeting. Reimbursement Guidelines <strong>for</strong> Clinical Workshops, Symposium, andDiscussion Groups Only<strong>The</strong>se guidelines do not apply to abstract or clinical case presenters<strong>The</strong> AADSM meeting department coordinates and manages all issues related to speakerreimbursements. <strong>The</strong> following guidelines <strong>for</strong> speaker reimbursements must be adheredto when proposing a session.Registration <strong>for</strong> the AADSM Annual Meeting is complimentary. <strong>The</strong> AADSM <strong>of</strong>ficewill process a registration <strong>for</strong>m on behalf <strong>of</strong> the speaker. Any speaker who would liketo attend additional sessions such as pre-meeting educational courses or ticketed eventsshould contact the AADSM Meeting Department at (630) 737-9705 <strong>for</strong> registrationin<strong>for</strong>mation or refer to the AADSM Preliminary Program (available in March 2014).Registration fees <strong>for</strong> additional sessions are the responsibility <strong>of</strong> the speaker. Speakerswho plan to attend educational courses that they are not speaking in will be responsible<strong>for</strong> the registration fee.Airfare will be reimbursed provided reservations are made at least 21 days in advance<strong>for</strong> coach seating on common carriers. <strong>The</strong> individual assumes the responsibility <strong>for</strong> thedifference in price <strong>for</strong> tickets purchased outside these guidelines.If the speaker chooses to drive instead <strong>of</strong> fly, reimbursement within a 300 mile radiuswill be at the current IRS mileage rate, plus parking. If the destination is greater than 300miles, the AADSM will reimburse the lesser <strong>of</strong> mileage or the lowest airfare.Transportation between home/airport and between the airport/site destinations shouldbe via shuttle or taxi as the situation warrants. <strong>The</strong> use <strong>of</strong> limousines or sedans is notreimbursable unless price is comparable or less than taxi fare. Other car services, suchas car rentals, should be avoided and may not be reimbursed unless prior authorizationis obtained. Use <strong>of</strong> a personal vehicle <strong>for</strong> transportation between home/airport will bereimbursed mileage at the current IRS mileage rate.Additional expenses <strong>for</strong> special arrangements made outside these guidelines will be theresponsibility <strong>of</strong> the speaker.<strong>The</strong> AADSM will reimburse <strong>for</strong> a standard room, at the contracted room rate, at theheadquarter hotel. For each day that a speaker presents, he/she will be reimbursed <strong>for</strong> thenight prior to and the night <strong>of</strong> each scheduled presentation not to exceed three nights totalper annual meeting. Expenses <strong>for</strong> special accommodations will be the responsibility <strong>of</strong>the speaker. <strong>The</strong> AADSM will not reimburse personal expenses such as in-room movies,phone <strong>call</strong>s, internet, etc.<strong>The</strong> AADSM <strong>of</strong>fers up to $50.00 <strong>for</strong> meals per speaker on the day <strong>of</strong> the presentation.Original receipts must be provided <strong>for</strong> all meals.AADSM 2014 Call <strong>for</strong> Abstracts & Session Proposals13


CONTINUING EDUCATION INFORMATION<strong>The</strong> <strong>American</strong> <strong>Academy</strong> <strong>of</strong> <strong>Dental</strong> <strong>Sleep</strong> Medicine is an ADA CERP RecognizedProvider. ADA CERP is a service <strong>of</strong> the <strong>American</strong> <strong>Dental</strong> Association to assist dentalpr<strong>of</strong>essionals in identifying quality providers <strong>of</strong> continuing dental education. ADACERP does not approve or endorse individual courses or instructors, nor does it implyacceptance <strong>of</strong> credit hours by boards <strong>of</strong> dentistry. Concerns or complaints about a CEprovider may be directed to the provider or to ADA CERP at www.ADA.org/cerp.<strong>The</strong> <strong>American</strong> <strong>Academy</strong> <strong>of</strong> <strong>Dental</strong> <strong>Sleep</strong> Medicine adheres to the standards set <strong>for</strong>th bythe ADA. To comply with the required guidelines <strong>of</strong> the ADA CERP Program, everyspeaker and author <strong>of</strong> an abstract or session proposal must submit the conflict <strong>of</strong> interest<strong>for</strong>m (available online at www.aadsm.org/meeting<strong>abstracts</strong>.aspx).<strong>The</strong> AADSM does not allow commercial support <strong>of</strong> its educational sessions includingabstract presentations. This includes commercial support in the <strong>for</strong>m <strong>of</strong> honoraria, travelexpenses, and other accommodations. Questions regarding this policy should be directedto the national <strong>of</strong>fice.ADA CERP guidelines must be followed to <strong>of</strong>fer continuing education credit. In order tocomply with these guidelines, all speakers and authors <strong>of</strong> <strong>abstracts</strong> must comply with theconflict <strong>of</strong> interest guidelines found on page 15 in this booklet.Additionally, speakers cannot promote any commercial interests during their presentation.This includes, but may not be limited to, displaying logos and/or advertising in theirpresentations. Please keep in mind that commercial interests include educational eventsand materials from which an individual receives honoraria, travel reimbursement orroyalties.If a speaker/author does not comply with the AADSM Conflict <strong>of</strong> Interest Guidelines,the speaker will not be permitted to participate in the program and may be banned fromparticipating in future meetings. <strong>The</strong> AADSM Annual Meeting Committee will reviewspeaker’s disclosures <strong>for</strong> session proposals and the AADSM Research Committeewill review author’s disclosures <strong>for</strong> research <strong>abstracts</strong> to ensure compliance with therequirements stated above.Speakers/authors will be required to disclose any relevant financial relationships withcommercial interest verbally during their sessions. AMERICAN ACADEMY OF DENTAL SLEEP MEDICINEGUIDELINES REGARDING COMMERCIAL SUPPORT AND CONFLICT OF INTEREST<strong>The</strong> <strong>American</strong> <strong>Academy</strong> <strong>of</strong> <strong>Dental</strong> <strong>Sleep</strong> Medicine, in planning continuing educationprogramming, will adhere to the following policies:1. Program topic selection will be based on perceived needs <strong>for</strong> pr<strong>of</strong>essionalin<strong>for</strong>mation and not <strong>for</strong> the purpose <strong>of</strong> endorsing specific commercial drugs,materials, products, treatments, or services.2. Funds received from commercial sources in support <strong>of</strong> any educational programsshall be unrestricted and the <strong>American</strong> <strong>Academy</strong> <strong>of</strong> <strong>Dental</strong> <strong>Sleep</strong> Medicineshall retain exclusive rights regarding the selection <strong>of</strong> presenters, instructionalmaterials, program content and <strong>for</strong>mat, etc.3. Any and all commercial support received shall be acknowledged in programannouncements, brochures, and the on-site program book.4. Commercial support shall be limited to:a. the payment <strong>of</strong> reasonable honoraria;b. reimbursement <strong>of</strong> presenters’ out <strong>of</strong> pocket expenses; andc. the payment <strong>of</strong> the cost <strong>of</strong> modest meals or social events held aspart <strong>of</strong> an educational activity.5. Presenters will be instructed to avoid recommending or mentioning any specificproduct by its trade name, using generic terms whenever possible. Whenreference is made to a specific product by its trade name, reference shall also bemade to competitive products.6. Presenters will be required to disclose any potential bias to commercialsupporters <strong>of</strong> any activity related to the educational event.<strong>The</strong> <strong>American</strong> <strong>Academy</strong> <strong>of</strong> <strong>Dental</strong> <strong>Sleep</strong> Medicine shall:1. Be responsible <strong>for</strong> the content, quality, and scientific integrity <strong>of</strong> all ContinuingEducation (CE) activities.2. Assure that presentations give a balanced view <strong>of</strong> all therapeutic options.3. Assure that commercial exhibits do not influence planning nor interfere with thepresentation <strong>of</strong> CE activities.4. Be responsible <strong>for</strong> making ultimate decisions regarding funding arrangements<strong>for</strong> CE activities.5. Assure that commercially supported social events at CE activities do notcompete with, nor take precedence over, the educational events.6.
