3 WorkspaceK2 is a global ŠKODA content management system (CMS), used for easy creationof ŠKODA Auto website. K2 is based on Microsoft Sharepoint 2010 technology.Thanks using Sharepoint 2010, we have features to work with. You can get quicklyfamiliar with the system, because of word-like work. System stores all data into socalled Lists. There is a special type of list for documents, images, videos, pages, etc.Each dealer has own space for website.Everything you need to do in website, can be done via Ribbon. All control buttonsare there.02 – Ribbon3.1 RibbonRibbon (02) consists of three groups• Site Actions• User´s menu• Context buttonsFunctionalities in these groups are available according to user´s rights.3.1.1 Site ActionsShow all available items by clicking on Site Actions (03). Each item is accomplishedwith a short description.As an editor, you can find useful following options:• Hide/Show Ribbon – hide or show ribbon for actual page.• Edit Page – start editing current page.• View All Site Content – view all libraries and lists in current site.• Site Settings – set various settings of site• Create K2 page – create page based on one of approved K2 templates03 – Site Actions9


3.1.2 User´s menuMenu consists of following items (04):• My Settings• Sign in as Diferent User• Sign OutYou can show all items by clicking on user name.3.1.3 Context buttons04 – User´s menuRibbon always contains all context buttons (05) for the list, which is currently shown.If you mark an item in the list (page, picture, pdf file, etc.), you can always see activeand unactive buttons – this way you always know what you can and what you can´tdo with marked item.05 – Context buttons10


3.3 Website structureWebsite structure in K2 consists of three different types of places for datastorage - sites, lists and folders (08).Site – is marked by . Site has specific place in K2, because it is a basic stone ofwhole system. Site contains all content of website. Each site always contains lists forpages, images and documents. You can also create a sub-sites.• List – is a basic container for content in web structure, marked by . Each listcontains specific type of data. Some of these lists can have another icon in thesytem (examples marked with green arrow in image (08). You can find speciallist for documents (Documents) and images (Images).• Folder – is support container for data marked by , which allows you tomake substructure in lists (e.g. for images and documents).Site can be deleted in Site Actions - Site Settings -Delete this site (in Site Actions section)08 – View All Site Content13


3.4 Working with listsIn general, basic operations are: show list, add item to the list, edit item, delete item,restore item from recycle bin. Pages are stored in the list Pages, images in the listImages, etc.3.4.1 Showing a listIf you want to see any list, click on Site Actions button in ribbon. Then choose Viewall site content. You can choose from available lists.How to show list of pages:• Go to the root site. In the ribbon, click on Site Actions -> View All Site Content-> Document Libraries -> Pages.How to show content of Recycle bin:• Go to root site. In the ribbon, click on Site Actions -> View All Site Content ->Recycle Bin -> Recycle Bin.Content is divided into 3 groups of content:• Documents Libraries – group of all data like documents, images, videos andpages• Lists – group of lists, which contains items of another feature (Call to Actions,links on homepage• Site and Workspace – group of all subsites of current site09 – Add new item in the list3.4.2 Add new item to the listIf you want to add new items to the list, you have to open that list first - Go to rootsite. In the ribbon, click on Site Actions -> View All Site Content. Then choose fromdocument libraries. If you want to add e.g. new page, continue with -> DocumentLibraries -> Pages. Then click on Add new item (09), located below the list, or locateDocuments in the ribbon, and click on New Document.14


3.4.5 Restore item from the Recycle BinIn some cases you may want to restore something from recycle bin, so go to rootsite. In the ribbon, open Site Actions -> View All Site Content. In section Recycle Binclick on Recycle Bin. List of deleted items is shown (12).• Restore Selection – tick the checkWbox beside the item you want to restore.Click on Restore selection. All chosen items will be restored.• Delete Selection – tick the checkbox beside the item you want to restore. Clickon Delete Selection. All chosen items will be deleted from the system.12 – Recycle Bin3.4.6 List adaptationEach list can be adapted and personalized:• Modify view of ListIf any column is missing in the view, it can be shown by clicking on Modify viewin bookmark List Tools or you can create your own view by clicking on Create viewin the ribbon.13 – Types of listsIt is possible to choose Standard View (standard list) or Datasheet View (displayedas access table(13).Then just type-in the name of the view and choose which columns will be displayedand in which order (11).11 – Dealer CTA list16


3.5 Publication workflowAll operation have to follow some process in the system. Even in K2 we have specialprocess of publication for all items, stored on the website. This publication process(or workflow) (14) is different for pages and for other data – images, documentsand videos. But there are three options of status that are common for pages as wellas for images, documents and videos. These options are:• Draft – item is unfinished and unpublished version and visible only in CMS• Pending – item is finished, waiting for approval to be publish online and stillvisible only in CMS• Approved – item is visible from internetCurrent status of item can be found in column Approval Status (15).14 – PublicationDraft Pending Approved3.5.1 Folders15 – Listed imagesYou can use folders to create substructure in appropriate list. In K2 we have to followbasic rule: “Only approved items are visible on the internet”. That means, youcannot see unapproved items.Even folders have to be approved. In order to make an folder approved, the followingworkflow is used:• Each folder has Approval Status – Pending, when you create it• In the list of items tick the checkbox beside the item (16)• Then click on Approve/Reject button in the ribbon• In next pop-up dialog choose Approved and click on OK (17)• The folder has Approval status “Approved”Trying to open page (or another item), with approval status Draftor Pending from internet results in error 403 – access denied/forbiden.16 – Folder approval status17


3.5.2 Documents, images and videosPublication workflow for documents, images and videos (hereinafter documents)is very simple, similar to folder approval and all actions have to be done in appropriatelist. When you find your new documents, which you need to publish, it is possible tostart with workflow.3.5.2.1 Submitting for approvalFirst step in approval workflow is submit item for approval. The process of dataupload to K2 is going to be described in next chapter, but for now it is necessaryto know, we have two possible ways of upload – upload and multipleupload (in firstcase you can upload only one item in one moment, but multipleupload can uploadmore items at once). Reason why it is necessary to know is that submitting processis different in both cases.Upload17 – Folder ApprovalIf you upload an item this way, item will be automatically Checked-In. So tick thecheckbox right next to the item and click the Publish button (18).Documents, images, videos and folders (which contains them) have to bepublished, if you want to see them on internet.18 – Upload Submitting item18


The form (21) for setting the workflow is displayed with following fields (all fields canbe left empty):• Request – This message will be sent to the people assigned to the tasks.• Due Date for All Tasks – The date which all tasks are due.• Duration Per Task – The amount of time until a task is due. Choose the unitsby using the Duration Units.• Duration Units - Define the units of time used by the Duration Per Task.• CC – As a “copy” in email. Notify people when the workflow starts and endswithout assigning tasks to them.Last move is click on OK. Then the item is submitted for approval. Approval statusof the item is changed from Draft to Pending.Multipleupload19 – Multipleupload - Check InIf you upload item by this way, item will be automatically Checked-Out. So, in the listof items tick the checkbox beside the item and click on Check In button (19).New window will pop-up (20) – choose 1.0 Major version (publish) and OK.The same window as in previous case will pop-up (21).Then the item is submitted for approval. 3.5.2.2 Approving/PublishNext step in the workflow is approval. Choose and mark an item with approvalstatus Pending. In ribbon, open bookmark Library Tools – Documents and click onApprove/Reject (22).New window will pop-up (23) and it is necessary to choose one status:• Approved – publish item• Rejected – return item to its creator• Pending – leave status as pendingYou can add comment to item. Then click on OK and your item is approvedand published (or rejected). In the list of items, the approval status is changedautomatically from Pending to Approved or Rejected.22 – Approving of item23 – Approve/Reject item20


3.5.2.3 UnpublishPublished item can be unpublished by clicking the Unpublish button in ribbon (24).Approval status is then changed from Approved back to Draft. Item is visible only forK2 users now. In order to make the item visible again start a new workflow.3.5.3 PagesNow you know how publishing of items in K2 works. This chapter describespublication of pages. Each page can be approved directly from ribbon during editing.This will be described in chapter about page templates. Working with publishingworkflow in the Pages list will be described there. A new created page is markedwith icon. Little arrow means, that the page is checked out to user who createdthe page. That means that only user, who created it, can edit this page. You can seeseveral information in list Pages – Approval status, used template (Page Layout)etc (25).24 – Unpublish25 – List of pages21


3.5.3.1 Submitting for approvalIn case, that page is in Draft, but Checked-Out to you, it is necessary to Check thepage In. In the list of items tick the checkbox beside the item and click on Check Inbutton (26).New window will pop-up (28) – choose 1.0 Major version (publish) and OK. Then asame window as in previous case will pop-up – Start workflow.The item is Checked-In and submitted for approval. Approval status of the itemis changed from Draft to Pending.3.5.3.2 Approving/PublishNext step in workflow is approval. Choose and mark an item with approval statusPending. In ribbon, open bookmark Library Tools – Documents and click on Approve/Reject (30).New window will pop-up (32) and it is necessary to choose one status:• Approved – publish item• Rejected – return item to its creator• Pending – leave status as pendingYou can add comment to item. Then click on OK and your item is approvedand published. 3.5.3.3 Multiple approveIt is possible to approve more files then one together. If you select more items, clickon Multiple Approval (27) in the ribbon in bookmark Documents.In the dialog (29) you can choose one of possible actions:• Approve = publish• Pending = submit files for approval• Reject = cancel approval3.5.3.4 UnpublishPublished item can be unpublished by clicking on Unpublish button in ribbon (31).Approval status is then changed from Approved back to Draft. 3.6 Display on load - Open new layer over current pageYou can display a new layer over any page. The layer is kind of pop-up window andit is opened automatically. Content of the layer can be another page or application,such as Test drive order.In order to prepare the layer and its settings, locate Page bookmark in ribbon, andchoose Mini applications link button (35).New window of Link Generator appears (34).Fill in following information:• Application source URL – URL of the page which should be displayed in a layer• Display settings – choose Fullscreen or define size and position of the layer• Size – define width and height in pixels• Position – leave empty when layer should have center position, otherwisespecify.• Copy generated link – copy the entire generated code.Click on Cancel to close the Link generator.Open the page (above which you want to display the layer) to Edit mode.In ribbon, click on ŠKODA Page properties button. Paste the generated code intofield Display on load - application link and click OK button. Then save the page orcheck-in. 4 MultimediaThis chapter describes the work with various types of files, such as pictures, videos,pdf catalogues and so on. It contains explanation of how to upload files to thesystem, and then how to insert or link them to a page.There are three places in K2 where different types of files are stored or modelpictures can be rendered:• ŠKODA rendering engine (only for pictures) – a special K2 feature, which is ableto generate pictures of defined car from CarConfigurator data source.• Local Library – local folders, where the importer’s/dealer’s content is stored.Dealer can use content from own gallery, shared gallery for dealers (Imagesfolder in site Dealers), or from importer’s site.––Site Collection Documents, is a folder for your documents.––Site Collection Images is folder for your pictures.––Site Collection Objects is folder for your videos, xml files etc.• Shared library – this source is available only for importers:Remember icons for those three sources, shown on picture (36).4.1 Uploading images and documentsYou can easily upload images or documents to your Local library. It is recommendedto create own structure of subfolders within the Images or Documents (for otherfiles).Another way is to upload pictures separately to Images folder of each site,documents to Documents.The K2 system offers possibility to add files one by one, or by multiple upload.36 – Icons for sources, from the left:ŠKODA rendering engine, Local library,Shared libraryRemember: Each list can store (and work with)only predefined file type – e.g.Images = image filesRecommended image formats: .jpg, .png. and .gif.25


How to proceed with upload:Go to root of your dealer presentation;In ribbon, open Site Actions and choose View all Site ContentIn Document Libraries group, click on Images.Create new folder for Images:• In ribbon, open Documents bookmark and click on New Folder (37)• Fill in the name of the new folder and click Save.New folder is created. You can see it in the list.Open the folder by clicking on its Name.Click onIn modal window (38) choose Browse for single upload, or click on link UploadMultiple Files...Single file upload:After clicking on Browse, find the picture you want to upload, click open and thenin modal window on OK button.New modal window opens. You can insert Title, keywords or comments. Then clickon Check In button.Uploaded picture appears in the folder, with approval status Draft.37 – New folder38 – Upload26


Multiple files upload:This feature is available only via Internet Explorer. For full functionality, MicrosoftOffice 2010 should be installed on your computer.• After clicking on Upload Multiple Files (38) a modal window opens.• Open folder with pictures you want to upload. Mark all items for upload.• Drag all selected items and drop them into the box in modal window.• Click OK.• Pictures are being uploaded.• When upload is done, click OK again.• Uploaded pictures appear in the folder, with approval status Draft.4.2 Inserting ImagesDuring editing you can use three possible sources of images.4.2.1 ŠKODA Rendering Engine39 – Multiple Upload• Click on icon .• Configure your image (40). Choose in each box, what you need to get:• Model type – list of models (same as displayed in model menu of website)• Model group – list of all model groups for selected model type• Model variant– list of all models for selected model group• Equipment – list of all trim lines for selected model variant• Color – list of available colours for selected model• View type – list of views (exterior, interior)• Car angle (for exterior view) – rotation angle of selected model (only number 0,10, 20, ... 350 accepted, 0°= side view)• View point (for interior view) – back view, passenger view, top view, dashboardview• Image width – required image size (insert integer number only). 4.2.2 Local Library• Click on icon for access your Local Library.• In dialog window (41), find the appropriate folder with images.• Find the picture you want to insert. Click on it.• Click on OK in the right bottom corner of the window.• In following modal window, click OK again, and the image will be inserted tothe page.If you want to check all importer’s shared pictures, type following URL toyour browser and see if there is something useful for your purpose:https:/k2cms.skoda-auto.com/sites/xx-yy/SiteCollectionImagesYou can upload video files to the K2, but these files will act as images ordocuments – you can find more about video in the next chapter41 – Site Collection Images28


4.3 VideoIt is possible to use only three types of video in K2:4.3.1 Integrated video PlayerYou can display video in special Video Player webpart – it is available for FreeWebPart Template. If you insert this webpart into the page, you have to fill severaltext fields (42):• MP4 video file – URL address of video file in MP4 format (H.264/MPEG-4 AVC,bitrate 1,5 Mb, multiplexer MP4), obligatory field• WebM video file – URL address of video file in WebM format (new popularvideo format for websites). If you link both formats, your video will be availableon almost all platforms.• Alternative image file – URL address of image, which is displayed, when yourvideo is broken• Videoplayer size – size of video in page4.3.2 Flash videoYou can prepare your own flash video. For this you need a .flv video file and .swfplayer. The player has to contain this .flv file or link on its storage and use it as acommon flash file in a page.42 – Video Player Webpart settingsInsert video into the K2 in few steps:• Prepare .flv video file – you can store this in list Objects.• Create and upload to K2 (we recommend you site, where the page with videois located) default image and xml. file, which contain link to your .flv video fileand default image (as you can see on image (43), image appears before videostarts playing and after the video ends• Insert HTML code into the page.43 – Flash video29

5.1 SiteCreation of sites (even pages) is very simple – just click on Create K2 page (46)in Site Actions. Create Page Wizard will pop-up. Choose Site. The form for pagedetails opens. Fill in all required fields (47):• Title – name of the site.• File name – will be shown in URL (value is automatically filled by system accordingto Title field capital letter are changed to small, letters with diacriticand space characters are left ).• Target URL – location of where the new site will be placed (as default the URLof root site is pre-filled). If you want to place new site into one of existing subsites,click on Pick url. Webpage dialog with existing subsites (Models, Newsetc.) is displayed.Choose one location and click OK.46 – Site Actions47 – Create page wizard33


5.2 Actions usable for all pagesAll pages use two actions, which are the same for all templates:• Start of Editing• Publication workflow5.2.1 Editing48 – RibbonYou can start editing the page by:• Click on icon on the top of ribbon (48)• Click on Edit button in ribbon (48)• Click on Edit page in Site ActionsIf you are in editing mode, you can see yellow strip under ribbon with textStatus: Checked out and editable and edit buttons for each part of page (49).5.2.2 Publication workflowEach page can be published on the internet during editing, but you haveto follow predefined workflow, which is similar to workflow for other data.If you want to save page during editing, you can click on (50):Save & Close – page will be saved, but still checked-out to last editor – nobodyelse can edit itCheck In – page will be saved and available for editting for all editors49 – Page in editation mode50 – Ribbon – Saving the pageUsing Check-In is highly recommended. Page, which si checked-out,is not possible to edit for other editors then last editor.34


After Check-In the status of the page is Checked In and viewable by authorizedusers. Now, you can submit page for approval:• In ribbon, open Publish bookmark, then click on Submit button (51).• Before the page is submitted for approval, K2 checks if all required fieldsare filled. If OK, the field for comments is displayed (comments optional).• Click on Continue.The form for setting the workflow is displayed with following fields (all fieldscan be left empty):• Request – message will be sent to people assigned to the tasks.• Due Date for All Tasks – The date which all tasks are due.• Duration Per Task – The amount of time until a task is due. 5.2.3 Welcome pageEach site must have one special page, called Welcome page (homepageof site). If you create new site, you can find page Default.aspx in the listPages. It is because each site has to contain at least one page. As soon asyou create your own pages the default page is not necessary anymore. Butyou need to set your new page as welcome page of the site before deletingthe default page.For example:We want to create site Contact, where contact.aspx page will be.If you create that site, you can find in the list Pages only default.aspx (54) (thispage is empty).Then you will create page contact.aspx and this page will be welcome pageof site contact.To make this page a welcome page it is necessary to click Make Homepage inbookmark Page in the ribbon (55).Why we need welcome pages?Welcome page allows us to use short URL:Type in to browser URL k2cms.skoda-auto.com/edu/contactAnd you will get k2cms.skoda-auto.com/edu/contact/pages/contact.aspx.54 – Pages in site Contact5.2.4 Same webparts for all page templatesPage Title - name of the page, displayed in header of internet browsers.It is important for searching robots (SEO) to be able to find the page. 5.2.5 Page KeywordsKeywords are words that can help SEO (see chapter 9). In K2 it is possible totag each page with keywords. It can be done in ŠKODA Page Properties.5.2.5.1 Adding KeywordsWhen you are done with creating keywords in Term store management, youcan start adding them into particular pages. Go to ŠKODA Page Properties.There is a field “Page Keywords” – click on the sign of two small labels onthe right side of the field. New window with the list of all keywords appears(60). Click on the keyword you want to add and then click on “select” button.When all the keywords are selected and moved into the box then click on “OK”button.60 – Add KeywordsL61 – ŠKODA Page Properties38


5.2.6 Custom Scripts and Meta DescriptionIf it is necessary to use special tracking tag for separate page, it can be insertedinto Custom scripts field in ŠKODA Page Properties (62).Meta Description provides concise explanations of the content of web pages.It is commonly used by search engines on search result pages to displaypreview snippets for a given page. 5.3 Dealer Single HomepageDealer homepage is the landing page of each dealer’s internet presentation.The template contains top image, introduction text, one field for bannerand dealer information such as logo, name and address, map locationand available services. Create this page in particular Dealers site.To create this page, go to Create K2 page wizard, find the group Homepages,click on Dealer Homepage. Created page has to be stored in the site ofparticular dealer.63 – Dealer Homepage40


Dealer homepage consists of:• Dealer´s logo - it is uploaded in Site Settings (200 x 200 px)– dealerproperties (64)• Dealer´s CTA – created thru view all site content (see chapter 9 fordetailed information)• Dealer´s data from xml – position of a dealer on the map, address, openinghours, once these data are uploaded into K2, then you can edit themin dealer administration.• Editable parts in edit mode of the page––Page title - webpart designed for title of the page (e.g. Dealer singlehomepage)––Top Image – insert the image from shared or local library––Dealer Page Title – title of the dealership (e.g. Sevcik dealership)––Rich text – is a webpart for placing the main content of the article. 8 ApplicationsIn the K2 system, there are various supportive applications (also calledminiapplication) available for integration to the web pages.Miniapplications are mostly based on the same data source and can befurther customizable, according to specific market needs.8.1 Stock carsThis application is letting visitor view and filter cars that are actuallyavailable in dealers stocks. You can place links in this application and furtherlead potential customer to various actions such as booking a test drive,contacting dealer for more information or car reservation.Filtering by various relevant criterions is available. Customers can searchaccording to model type, action offer or price limitation.8.1.1 Stock Cars templatesThere are two pages that have to be created to have this mini applicationworking. Both are simple templates. And both are stored in group of templatescalled Model site. These templates are Stock Cars List page and Stock CarsDetail page.99 – Stock Cars List58


8.1.1.1 Stock Cars List pageStock Cars List page (99) represents the overview of all cars available instocks. When using the filters it represents a list of selected cars. Stock car listcan display dealer‘s cars on stock.
