Engagement<strong>Corporate</strong> governance<strong>Roto</strong> <strong>Smeets</strong> <strong>Group</strong> bases its policy on guidelines produced specificallyfor the industry, the <strong>Corporate</strong> Governance code, financialguidelines, the GRI guidelines and other, general guidelines,such as the Universal Declaration of Human Rights and the OECD(Organisation for Economic Co-operation and Development). The<strong>Group</strong> has its own internal code of conduct and a whistleblower’sscheme that permits employees to report possible irregularities ofan operational, financial or general nature. Our compliance withregulations and legislation is screened annually in connection withour ISO 14001 certification.The Financial Annual <strong>Report</strong> contains an account of our financialand operational results, together with <strong>Roto</strong> <strong>Smeets</strong> <strong>Group</strong>’s<strong>Corporate</strong> Governance policy.<strong>Roto</strong> <strong>Smeets</strong> <strong>Group</strong> uses the ISO 26000 guidelines to systematicallyintegrate and report on its social responsibility throughoutthe organisation, under the leadership of a CSR (<strong>Corporate</strong> <strong>Social</strong><strong>Responsibility</strong>) working group, which is active throughout the<strong>Group</strong>.For the CSR Working <strong>Group</strong>, the Performance Scale providesobjective evidence of a management system for <strong>Corporate</strong> <strong>Social</strong><strong>Responsibility</strong>, where the stakeholders’ demands and expectationsare managed according to results. They view this certification asconfirmation of the <strong>Roto</strong> <strong>Smeets</strong> <strong>Group</strong>’s long-term aspiration toconduct its business as sustainably as possible, with the closestsocial engagement. Similarly to the ISO 14001 and ISO 9001 certificates,certification and assessment of the management system isdone by the BSI <strong>Group</strong>.CSR Performance Ladder at <strong>Roto</strong> <strong>Smeets</strong> GrafiServicesThe Quality, Health & Safety and Environment Coordinators[Kwaliteit, Arbo en Milieucoördinatoren, KAM coördinatoren] in theplants are responsible for maintaining the management systems.Late in 2010, two members of the working group studied the stepsneeded to gain certification for both <strong>Roto</strong> <strong>Smeets</strong> GrafiServicesplants in <strong>2011</strong>, according to the standards set in the CSR PerformanceScale. Most of the CSR elements were already compliedwith in the <strong>Roto</strong> <strong>Smeets</strong> <strong>Group</strong>. The ISO 14001 certificates, alreadyachieved, cover most of the ‘planet’ requirements; the IFRS andIAS cover the ‘profit’ requirements; and the current social andhealth & safety policies cover the ‘people’ requirements.The ISO 26000 standard does not impose requirements, so it cannotbe used as a basis for certification. It serves as a guide to helporganisations decide what CSR means for them and it can be usedto permanently embed CSR in the organisation. In collaborationwith MVO Nederland, the ISO 26000 standard committee developeda handbook for ISO 26000 self-assessment, which was published atthe end of <strong>2011</strong>. The handbook assists businesses in stating thatthey have implemented CSR in their business, using the ISO 26000guideline. The difference between a self-assessment and a markof approval depends on the party that monitors compliance: in aself-assessment it is the business itself, while an independent thirdparty does so when a mark of approval is involved.There is an alternative, which is the certifiable CSR PerformanceScale. Given the international nature of the <strong>Roto</strong> <strong>Smeets</strong> businessunits, coupled with the fact that self-assessment is less expensive,the operating units will self-assess in 2012. The <strong>Roto</strong> <strong>Smeets</strong>GrafiServices plants, which look more towards the national market,were the first in the <strong>Group</strong> to gain certification under the CSRPerformance Scale (level 3). The CSR Performance Scale makes aconcrete, objective, verifiable statement about social engagement,and sustainable development. The certification standard for theCSR Performance Scale has been set up to reflect the principlesset down in the international sustainability guidelines (ISO 26000),stakeholder management (AA 1000) and indicators and reportingguidelines (GRI).One important element in the certification involved the correctidentification and implementation of a stakeholder analysis. Thiswas done to gain a picture of <strong>Roto</strong> <strong>Smeets</strong> <strong>Group</strong>’s stakeholders ingeneral and where possible to identify specific stakeholders withinthese groups for <strong>Roto</strong> <strong>Smeets</strong> GrafiServices, especially at the levelof employees, customers and suppliers. Their influence on thebusiness was determined.These stakeholders’ expectations in regard to such CSR topics asare relevant to them were set out in personal interviews.An external certification body conducted a thorough baselinesurvey to allow the plants to ascend through the PerformanceScale, which only served to underline our expectations in respectof the CSR measures that had already been implemented. Thosemeasures that still needed to be implemented were soon tackled,so that BSI was able to present the certificate to the <strong>Roto</strong> <strong>Smeets</strong>GrafiServices plants on 9 August <strong>2011</strong>.CSR 4 <strong>Roto</strong> <strong>Smeets</strong> <strong>Group</strong> <strong>2011</strong>
