a. Selecting Reporting Cycle will provide a listing of all the reporting cycles (formerly billing cycles) that areavailable for reporting. Always use this option when completing an expense report for the Business Office.b. Selecting Date Range allows you to specify a specific date range of transactions to review. Do not use whencompleting an expense report for the Business Office.c. In the dropdown box, Posting Date represents the date the transaction was applied to your account. TransactionDate represents the date the charge was authorized. Always use Posting Date when completing an expensereport for the Business Office.d. Click the Search button3. Your screen will refresh and navigate to the Transaction Summary screen with transactions covering the reporting cycleyou specified in step F.2.a above (screenshot below)a. Enter the Expense Description (describing the business purpose), Department and Account for each transaction.These fields are required. (screenshot below)i. Click on the Expand All link to update expense descriptions and budget allocationsii. Enter budget allocations for each transaction by clicking on the “Edit Accounting Codes” button toopen up editable fieldsiii. If all of the budget allocations are the same for the transactions on this page then click on the “ApplyAccounting Codes to all editable transactions displayed on this page” checkbox, then click Save. Thiswill copy the same department and account you entered in the first transaction to all the remainingtransactions on the page you are on. If you have several pages of transactions, you will have toperform this step for each page.3


. Select Expense Report from the Schedule Report menuc. You will need Adobe Acrobat Reader 8.0 or higher in order to open the file. Acrobat Reader is available freeof charge from www.adobe.com.3. Your screen will refresh and navigate to Schedule Report: Select Cost Allocation Schemea. ‘Scheme: ANDERSON UNIVERSITY (ACTIVE)’ should be selected. Click the Next button4. Your screen will refresh and navigate to Schedule Report: Filtersa. Click the Next button5. Your screen will refresh and navigate to the Schedule Report Options (screenshot below)a. Date Type: Select Posting Dateb. Delivery Options: Select System & Email Inboxc. Report Format: Select Adobe PDFd. Number Format: Select XX,XXX.XXe. Date Format: Select MM/DD/YYYYf. Additional Options: Select the Include Splits checkboxg. Description: Enter a description of your choice, such as, Expense Reporth. Notify Me At: This option will not be available for inputi. 6. Your screen will refresh and navigate to the Schedule Report: Frequency (screenshot below)a. Select Reporting Cycleb. Select the Reporting Cycle in the dropdown box for the period the expense report is being completed for,such as, Ending Oct. 15, 2010c. Number of Cycles to Run: Select 1d. Schedule Offset: Select 0e. Click the Save button7. Your screen will refresh and navigate back to the Schedule Report: Choose Report screen8. Your report will be delivered to your <strong>Anderson</strong> <strong>University</strong> email inbox from sdg2@mastercard.com (screenshot below)a. Open the attachmentb. For your security, the attachment is password protected7


c. Enter your mastercard.anderson.edu/sdg2.53.com password (password used to login)d. Once the report is opened, you may save it to your computer (optional) (screenshot below)9. Print a copy and attach all receipts to the report10. Sign and date the report and submit it to your budget director(s) for approvala. Your expense report must be signed by the appropriate budget directors for which budget allocations weremade. If your report includes several budgets and varying budget directors, each budget director must sign yourreport prior to delivering your report to the Business Office.11.
