What are <strong>the</strong> arrival and departure times for <strong>the</strong> Carle<strong>to</strong>n Shad Valley <strong>program</strong>?Arrive at Carle<strong>to</strong>n S<strong>to</strong>rmont Residence as close as possible <strong>to</strong> 1:00 pm Sunday June 28, 2009. 2. We expect you make <strong>the</strong> most you possibly can of <strong>the</strong> Shad experience for yourself and o<strong>the</strong>rs. Got aproblem? Let us know -- we'll try <strong>to</strong> fix it!Everything else is designed <strong>to</strong> promote <strong>the</strong>se expectations. For example,• We expect that you get enough sleep so that you are able <strong>to</strong> meet Expectation 1.• We expect you will let <strong>the</strong> rest of us sleep. See Expectation 2.• We expect you <strong>to</strong> let us know where you are at all times. We are responsible for your safety and wellbeingthis month. We need <strong>to</strong> be able <strong>to</strong> tell your families – whenever <strong>the</strong>y may call – that we can findyou right away. We need <strong>to</strong> be able <strong>to</strong> count Shads fast so we know immediately who’s overslept <strong>the</strong>iralarm, gotten lost or, perhaps, found trouble. See Expectation 2.• You are surrounded <strong>by</strong> some of <strong>the</strong> most interesting young people in Canada. We expect you <strong>to</strong> get <strong>to</strong>know <strong>the</strong>m. We also expect you <strong>to</strong> avoid getting so immersed in one or two exclusive friendships thatyou miss <strong>the</strong> opportunity <strong>to</strong> get <strong>to</strong> know all your fellow Shads. See Expectation 1.We are not interested in laying out an elaborate set of rules and making a game out of plugging <strong>the</strong>loopholes. We ra<strong>the</strong>r rely on your use of common sense and respect. Does your behavior build – orundermine – <strong>the</strong> Shad community? What are you going <strong>to</strong> contribute <strong>to</strong>day? How are you going <strong>to</strong> helpo<strong>the</strong>rs contribute?With that in mind, <strong>the</strong>re are still some rules that need <strong>to</strong> be followed and below we are presenting tenfundamental rules. The acceptance of <strong>the</strong>se rules <strong>by</strong> staff and students alike is a minimum condition forparticipation in <strong>the</strong> <strong>program</strong>. Violation of, or disregard for <strong>the</strong>se rules or any o<strong>the</strong>r action or attitude thatputs in<strong>to</strong> serious jeopardy <strong>the</strong> health, safety or well being of <strong>the</strong> students and staff of this <strong>program</strong> willresult in dismissal of <strong>the</strong> offender. We must protect Shad participants – and ourselves.1. Compliance with federal, provincial, regional and municipal law, plus safety regulations within <strong>the</strong><strong>university</strong> labora<strong>to</strong>ries and facilities, is of course manda<strong>to</strong>ry.2. We assure everyone of a 100% <strong>to</strong>bacco, alcohol and drug – free experience, anytime, anywhere, noexceptions whatsoever. We mean it.3. All usual rules and regulations of <strong>the</strong> Carle<strong>to</strong>n University residences apply. These are minimal, and wewill brief you about <strong>the</strong>m on your arrival.4. Curfew. At this time you must be in your own room. Carle<strong>to</strong>n security staff will provide protection andpeace of mind for you.5. At all times, your behavior should be consistent with accepted community standards of safety, healthand good manners. Be respectful and be thoughtful <strong>to</strong> o<strong>the</strong>rs. For example, quiet time is valued.Keep loud conversations or noisy activities away from <strong>the</strong> corridors. Pranks and/or shenanigans are<strong>to</strong> be avoided.6. Common meeting areas are available for group interactions when <strong>the</strong>re are no o<strong>the</strong>r schedule<strong>program</strong> activities (i.e. no room visits!). Be present at <strong>the</strong> "late show", in time for head count.7. Given <strong>the</strong> Shad Valley aims and focus, mutually inclusive relationships are <strong>the</strong> norm.8. Unless under <strong>the</strong> direct supervision of a staff member, remain on <strong>the</strong> residence floor (S<strong>to</strong>rmont)between <strong>the</strong> night hours of 11:00 pm and 7:00 am.9. We expect punctuality, co-operation, and participation for all <strong>program</strong> activities.10. Get <strong>the</strong> most out of your Shad experience and give people <strong>the</strong> most for <strong>the</strong>ir Shad experience!Page 5 of 16


What <strong>to</strong> Bring?Dress will be casual for most of <strong>the</strong> daily activities of <strong>the</strong> <strong>program</strong>. You should bring adequate clothing fora couple of formal activities such as <strong>the</strong> banquet, presentations, and formal meetings. The amount ofclothing you bring depends on how often you plan <strong>to</strong> do your laundry. We recommend you bring 1 <strong>to</strong> 2week’s worth of clo<strong>the</strong>s. The wea<strong>the</strong>r can range from 10°C <strong>to</strong> 35°C so be prepared for both extremes,although <strong>the</strong> higher end of <strong>the</strong> range (with significant humidity) is more <strong>the</strong> norm for July in Ottawa. Ourresidence is air-conditioned, so fans are not necessary. You also must have clothing appropriate for hikesand outings in Gatineau Park and along <strong>the</strong> Rideau Canal. Bring only as much stuff as you can carrycomfortably. The following list should help you plan what <strong>to</strong> bring and what not <strong>to</strong> bring. This listrecognizes both your reality and <strong>the</strong> needs of <strong>the</strong> <strong>program</strong>. Remember that you will be doing your ownlaundry for four weeks. For your information, washes and drying cycles each cost $1.50 in <strong>the</strong> residencelaundromat.GroupMUSTBringShouldBringMayBringDoNOTBringItemsSense of humor, willingness <strong>to</strong> work hard, mug, water bottle (something good for hiking likea Nalgene), <strong>to</strong>wel(s), eyeglasses (extra pair) and/or contact lenses (extra pair +prescription) and sun glasses. Insect repellent;, sun screen (minimum SPF30); lip cream; hat(sun/rain); light jacket (wind/rain); swim suit; running shoes; sensible walking shoes;sleeping bag; back-pack; pho<strong>to</strong> id; alarm clock; calcula<strong>to</strong>r. Positive attitude and an openmind. All of <strong>the</strong>se items are "musts".Camping tent (we are trying <strong>to</strong> arrange tents for everyone and we will let you know if wesucceed at this or not; if we do you do not need your tent); shoes (formal); socks(sports\formal); underwear & night wear (PJ's); pants, jeans, shorts, slacks; shirts(tee\sweat\formal); business attire (boys: jacket & tie; girls: equivalent); junk clo<strong>the</strong>s (i.e.clo<strong>the</strong>s that you will not care about when <strong>the</strong>y get permanently soiled…); personal <strong>to</strong>iletries(shampoo, etc); favorite musical instrument (including keyboards); sports equipment(racquet, baseball glove, etc); camera & film/digital media; music (CD/sheet); flash light;pocket money (depending on your spending habits, most students bring about $250 pocketmoney; some of this should be put on <strong>the</strong> student card you get on arrival for such things as<strong>the</strong> laundry machines and vending machines); long distance calling card; writing material;reading material; address/phone book; USB drive. Something cultural (we will be hosting amulti-cultural event which you will participate in; be creative in how you want <strong>to</strong> representyour culture!)We must emphasize <strong>the</strong> need <strong>to</strong> bring your favorite musical instrument, provided it is not apiano! Bagpipes are especially sought after (check out <strong>the</strong> name of <strong>the</strong> residence)! Wehave seen so many sad Shads who didn't want <strong>to</strong> risk bringing <strong>the</strong>ir expensive instrumentsfor fear of damage or <strong>the</strong>ft and <strong>the</strong>n be disappointed for not being able <strong>to</strong> join <strong>the</strong> variousmusical groups formed every year. We cannot guarantee <strong>the</strong> complete safety of yourinstruments, so we will leave it up <strong>to</strong> you. An upright piano will be available.Video camera, show & tell stuff, favorite stuffed animal or <strong>to</strong>y, pillow, CD player, radio,home-made cookies for <strong>the</strong> <strong>program</strong> direc<strong>to</strong>r (chocolate chip if possible… seriously).(This is for real). Note: We recognize that some Shads will want <strong>to</strong> bring mobile phones for emergency contact during<strong>the</strong>ir travels. If it is vital for you <strong>to</strong> have your mobile phone with you during your travels be sure <strong>to</strong> turnoff your phone and safely s<strong>to</strong>re it in your room for <strong>the</strong> duration of <strong>the</strong> <strong>program</strong> (this means do not turn itback on until <strong>the</strong> end of <strong>the</strong> <strong>program</strong>). Resources will be made available for you <strong>to</strong> contact your familyduring <strong>the</strong> <strong>program</strong> and if your family needs <strong>to</strong> reach you during <strong>the</strong> <strong>program</strong>, <strong>the</strong>y may contact <strong>the</strong>Program Direc<strong>to</strong>r or Program Manager (we are reachable 24/7 for emergencies).ComputersWe normally set-up a local network (about 8 stations) hooked <strong>to</strong> <strong>the</strong> <strong>university</strong>'s backbone. This networkwill have connectivity <strong>to</strong> <strong>the</strong> Internet, Email services, and software packages with MS products for wordprocessing, spreadsheets and presentations. Leave behind your personal computer; <strong>the</strong>y cannot besecured here. Internet connectivity is available but not in <strong>the</strong> rooms assigned <strong>to</strong> us in S<strong>to</strong>rmont. Bringinga USB drive would be useful.StaffThe staff of <strong>the</strong> 2009 Carle<strong>to</strong>n University Shad Valley Program consists of: a Program Direc<strong>to</strong>r, ProgramManager, Assistant Program Manager Logistics Direc<strong>to</strong>r, Recreation Direc<strong>to</strong>r, several coordinating FacultyMembers, four Program Assistants, and a Junior Program Assistant. All staff are from Carle<strong>to</strong>n Universityand selected for <strong>the</strong>ir commitment <strong>to</strong> excellence and <strong>to</strong> <strong>the</strong> goals of <strong>the</strong> Shad Valley <strong>program</strong>.TimetableLife in Shad Valley is very busy. While <strong>the</strong> <strong>program</strong> is flexible in scope it must have a framework <strong>to</strong> giveit structure, orientation and balance. Copies of <strong>the</strong> detailed <strong>program</strong> timetable will be released on aweek-<strong>by</strong>-week basis in sufficient time for you <strong>to</strong> be prepared for <strong>the</strong> scheduled lectures, workshops, fieldtrips, etc. Note <strong>the</strong> need for <strong>the</strong> level of commitment: we expect all Shads <strong>to</strong> attend and activelyparticipate in all planned events. If <strong>the</strong>re are reasons that may preclude you from participating incertain activities you must let us know immediately!Guest Speakers and WorkshopsThe <strong>program</strong> also is enhanced <strong>by</strong> a number of guest lectures given <strong>by</strong> well-known speakers on a varietyof <strong>to</strong>pics. Some of <strong>the</strong> <strong>to</strong>pics covered in <strong>the</strong> past include: The Real 300 (The Battle of Thermopylae andWarfare in Ancient Greece), Small Science for Big Impact, Graph Theory, and Biomedical Engineering.This year we will repeat some of <strong>the</strong>m and also introduce a number of new <strong>to</strong>pics presented <strong>by</strong> <strong>to</strong>pspeakers from industry, government and academe.FoodEveryone will be eating cafeteria meals for almost four weeks. Carle<strong>to</strong>n’s food services are considered <strong>by</strong>many <strong>to</strong> be amongst <strong>the</strong> finest at Canadian and American universities (I like <strong>the</strong> omelets!). There is ahealthy variety for all meals, which will accommodate most tastes or restrictions due <strong>to</strong> medical orreligious reasons (vegetarian, kosher, halal, food allergies, etc.) Regardless, we must know of dietaryrequirements you may have. Please provide us with this information as soon as possible.ResidenceAll students live in double rooms. Each room has two single beds, two desks and one or two sets ofshelves, a cabinet sink with a set of three drawers, one mirror, two closets (limited or no hangersthough), and two large drawers that s<strong>to</strong>re under <strong>the</strong> beds. Two adjacent rooms share a washroom andshower. Please bring your own <strong>to</strong>wel, soap, shampoo, etc. In <strong>the</strong> past, students have complained about<strong>the</strong> very thin pillows so you might plan <strong>to</strong> bring your own pillow from home. We have <strong>the</strong> entire 4th floorof <strong>the</strong> S<strong>to</strong>rmont residence <strong>to</strong> ourselves.Page 7 of 16


As we keep a busy schedule throughout <strong>the</strong> <strong>program</strong>, which requires full participation of Shads in allactivities, Shads will not be able <strong>to</strong> host outside visi<strong>to</strong>rs (or visit acquaintances in <strong>the</strong> area).We encourage Shads visit acquaintances before or after <strong>the</strong> <strong>program</strong>, and during Open Day, which isscheduled for Thursday July 23, 2009.Security: Access <strong>to</strong> <strong>the</strong> floor is restricted <strong>to</strong> Shad participants, cleaning staff, and Campus Security staff.All room doors lock, and from time-<strong>to</strong>-time students lock <strong>the</strong>ir keys in <strong>the</strong> room, so carrying your keyaround your neck is considered <strong>to</strong> be a good idea. There is a "girls" wing and a "boys" wing. No sleepoversallowed. We have reserved 4 extra rooms for meetings, workshops, etc.Open DayOn Thursday July 23, 2009, from 11:30 am <strong>to</strong> 3:00 pm, we will have an Open Day and display samples of<strong>the</strong> work and activities that <strong>to</strong>ok place during our many projects, workshops, seminars, lectures etc.Parents and visi<strong>to</strong>rs can take a closer look at our facilities around campus and our living quarters,lounges, etc. In addition <strong>to</strong> family and friends, we also host a number of sponsors and <strong>the</strong> media. Shadsare expected <strong>to</strong> plan, organize, build and explain <strong>the</strong> exhibits <strong>to</strong> our visi<strong>to</strong>rs. At 3:00 pm we dismantle allmaterials, return borrowed items back <strong>to</strong> <strong>the</strong> <strong>university</strong> labs and start getting ready for <strong>the</strong> banquet. Ifyour parents and relatives plan <strong>to</strong> attend this event and wish <strong>to</strong> stay overnight remind <strong>the</strong>m <strong>to</strong> makehotel reservations well in advance - Ottawa is a very popular <strong>to</strong>urist destination in <strong>the</strong> summer and mosthotels are fully booked. Accommodations at <strong>the</strong> Carle<strong>to</strong>n University residences similar <strong>to</strong> those describedabove can be arranged through <strong>the</strong> Tour and Conference Centre at (613) 520-5609 or viahttp://www2.carle<strong>to</strong>n.ca/housing/conference-services/guest-accommodations.php.BanquetOn Thursday July 23, 2009 from 5:30 <strong>to</strong> 7:30 pm we will hold our end-of-<strong>program</strong> banquet (receptionbeginning at 5:00 pm). This is a gala event and you are expected <strong>to</strong> dress-up for it. It is a very nicechange of pace from <strong>the</strong> cafeteria food we will have been enjoying for <strong>the</strong> past four weeks. The cost is<strong>the</strong> same amount ($50.00) for all patrons, children and adults alike. The <strong>program</strong> absorbs <strong>the</strong> cost of thisbanquet for Shads and Staff. All o<strong>the</strong>r guests must pay. We need <strong>to</strong> make arrangements very early in<strong>the</strong> <strong>program</strong> (like right now!) <strong>to</strong> accommodate all extra guests and we will ask you <strong>to</strong> please complete<strong>the</strong> form enclosed at <strong>the</strong> end of this package and fax it <strong>to</strong> <strong>the</strong> Program Manager (see contact informationat <strong>the</strong> end of this document) as soon as possible. We also ask you <strong>to</strong> bring with you a cheque <strong>to</strong> coverbanquet tickets for your guests (payable <strong>to</strong> "Shad International").Variety ShowImmediately following <strong>the</strong> banquet, from 7:30 pm <strong>to</strong> 9:00 pm, we will have a free attendance VarietyShow in <strong>the</strong> same room. Produced, directed, acted and choreographed <strong>by</strong> <strong>the</strong> students, <strong>the</strong>re will beindividual and group acts, singing, skits etc involving all participants.Medical ConditionsPlease inform us immediately of any medical condition, which may affect your full participation in all<strong>program</strong> activities, including field trips, camping, and sports. This will not affect your standing in <strong>the</strong><strong>program</strong> but we must know of any medication or special attention you may require and make necessarypreparations. Experience from previous years and advice from our campus health services staffindicates that people with asthma or having certain allergic conditions may experience some difficultiesduring <strong>the</strong> Ottawa summer.TravelHaving been accepted was <strong>the</strong> hard part; now you need <strong>to</strong> get here. To ensure that you are introduced<strong>to</strong> all <strong>the</strong> o<strong>the</strong>r Shads and receive some essential instructions we prefer you arrive as close <strong>to</strong> 1:00 pm asPage 8 of 16


possible, but certainly not later than 5:00 pm on Sunday June 28, 2009. The earlier you arrive, <strong>the</strong> moretime you will have <strong>to</strong> familiarize yourself with <strong>the</strong> campus, <strong>the</strong> staff and all <strong>the</strong> o<strong>the</strong>r participants.Note: You are responsible for your travel costs <strong>to</strong> get <strong>to</strong> Carle<strong>to</strong>n and <strong>to</strong> return home from <strong>the</strong><strong>university</strong>. It also is very important that you let us know your travel plans, including carriers, arrival timesand related items as soon as you have finalized <strong>the</strong>m. The Shad Valley<strong>program</strong> cannot take on <strong>the</strong> responsibility for Shad participants that are arriving early and/or departinglate. Note that <strong>the</strong> staff members are moving in<strong>to</strong> residence on Saturday June 27, 2009; however, will bebusily engaged in preparation of <strong>the</strong> <strong>program</strong>.Early Arrival Note: Shad participants that will be in Ottawa and staying in <strong>the</strong> Carle<strong>to</strong>n Universityresidence on Saturday June 27, 2009 will be placed in<strong>to</strong> <strong>the</strong> residence room <strong>the</strong>y will have for <strong>the</strong><strong>program</strong> duration. For safety concerns, <strong>the</strong>se early arriving Shad participants are expected <strong>to</strong> stay inresidence (e.g. not travel <strong>to</strong> down<strong>to</strong>wn Ottawa), leaving only with Shad staff permission. If you are departing <strong>by</strong> bus, train or plane you should plan <strong>to</strong> get ataxi from Campus with plenty of time, at least two hours, before your scheduled departure time. If you are notable <strong>to</strong> make travel arrangements for Friday you may have <strong>to</strong> make reservations for room and board at<strong>the</strong> University Residences for an extra day (subject <strong>to</strong> availability) and be prepared <strong>to</strong> pay an extracharge. Think about what <strong>the</strong> <strong>program</strong> isgoing <strong>to</strong> be like and start using your creativity!Be sure <strong>to</strong> prepare your Shad Speak! abstract and prepared for yourtalk before <strong>the</strong> start of <strong>the</strong> <strong>program</strong>.Bio-tileAt <strong>the</strong> beginning of <strong>the</strong> <strong>program</strong> we will be running an introduction activity that will require you <strong>to</strong> have abio-tile. This is essentially a 6"W x 6"H x 1"D object (or smaller) that you will create <strong>to</strong> provide somepeople insight on who you are. We expect creativity in your bio-tile, as we expect in all aspects of <strong>the</strong><strong>program</strong>! Make sure that you have this ready upon your arrival as we’ll need <strong>the</strong> bio-tiles that day! Again<strong>the</strong> instructions here are vague! Again creativity is <strong>the</strong> key!Be sure <strong>to</strong> prepare your bio-tile before <strong>the</strong> start of <strong>the</strong> <strong>program</strong>.Shad-pectationsAs part of this <strong>welcome</strong> letter <strong>to</strong> you, we have provided an overview of <strong>the</strong> <strong>program</strong> and <strong>the</strong> expectationswe have for <strong>the</strong> <strong>program</strong> and of you. Now we want <strong>to</strong> hear from you – what are your expectations of <strong>the</strong><strong>program</strong>? What are your goals in coming <strong>to</strong> Shad? We’d like you <strong>to</strong> write us a letter discussing a fewthings, and included in your letter we’d like you <strong>to</strong> set some goals.Goal setting is incredibly powerful – we’ve all heard <strong>the</strong> anecdote about <strong>the</strong> 3% of Yale graduates whoset clear, written goals for <strong>the</strong>mselves and ended up earning more than <strong>the</strong> rest of <strong>the</strong>ir graduating class!We’d like <strong>to</strong> hear about your goals as part of your letter. A method that we find particularly effective is <strong>to</strong>begin with <strong>the</strong> end in mind. At <strong>the</strong> end of your time at Shad, what would you like <strong>to</strong> have achieved?Ideally, what will you have gotten out of <strong>the</strong> <strong>program</strong>, and what will you have contributed? For each of<strong>the</strong>se three areas, we’d like you <strong>to</strong> tell us about what your goal is, and set actions for getting <strong>to</strong> yourgoal.No idea how <strong>to</strong> start? Let’s look at an example. If your goal is, "I have 51 new amazing lifelong friendsat Shad", some actions you could include are:• I know every Shad’s name <strong>by</strong> July 3rd, 2009• I sit beside a new person at every meal <strong>by</strong> July 5th, 2009.Or let’s say your goal is "I will learn as much as I can from <strong>the</strong> lecturers, workshops and seminars offeredat Shad", some actions you could set are:• I write down two interesting thoughts from each lecture or workshop <strong>by</strong> July 26, 2009• I ask a question in every second lecture <strong>by</strong> July 26, 2009These are just examples, so don’t feel limited <strong>by</strong> <strong>the</strong>m. Any goal is great, as long as it’s what you want<strong>to</strong> get out of <strong>the</strong> <strong>program</strong>. The important thing is <strong>to</strong> set specific goals that are personal, present andtime-bound. Setting personal goals, using "I" instead of "we" or "us" helps you take responsibility for<strong>the</strong>ir completion, and setting <strong>the</strong>m in <strong>the</strong> present tense sends a signal <strong>to</strong> your brain that <strong>the</strong>y’ve alreadyhappened, making <strong>the</strong>m that much more achievable! Keep <strong>the</strong> actions quantifiable. The goal of getting<strong>the</strong> most out of a lecture is hard <strong>to</strong> assess but it is easy <strong>to</strong> see if you have asked a question or not! Lastbut not least, you want <strong>to</strong> make sure your actions have a <strong>by</strong>-when date attached <strong>to</strong> <strong>the</strong>m, because i<strong>the</strong>lps you hold yourself accountable.So think about 1) what you want <strong>to</strong> get out of <strong>the</strong> <strong>program</strong>, 2) what you are going <strong>to</strong> give <strong>to</strong> <strong>the</strong><strong>program</strong>, 3) what you will achieve during <strong>the</strong> <strong>program</strong>, and 4) how you’re going <strong>to</strong> get <strong>the</strong>re.
