II THE STANDARDS11. The Standards comprise three elements:• Standard 1: Published personal email addresses• Standard 2: Managing Duplicates• Standard 3: Functional AddressesStandard 1: Published personal email addresses12. Published personal email addresses must be in the form of:.[]@.gov.au(for example: joseph.bloggs1@finance.gov.au)Syntax Description User’s preferred name (may not necessarily be user’sgiven first name)govUser’s legal surname/family nameNumeric unique identifier used when duplicatepreferredname, lastname combinations have been used inan agency. This may not be applicable to all users asdenoted by the square bracketsCommon term or abbreviation for the agency eg. finance,defence, ato, deewr, dfat etc.For Australian Government agencies.au Australian Country code ISO 316613. The email address must have the person’s names in all lowercase so that the emailaddress is standardised, but is not stopped by any email system that is casesensitive.14. The email address should as much as possible reflect the way an individual spellstheir name. For instance hyphenated names such as brown-smith should containthe hyphen in the email address and names with an apostrophe such as o’reillyshould contain the apostrophe in the email address. The use of hyphens andapostrophes will also reduce cultural sensitivities where lack of punctuation maycreate offensive expressions. All other punctuation, including spaces andunderscores must be excluded with the exception of a full stop being used as asyntax separator.4

Where more than one user has the same name within an agency, addresses mustbe allocated in accordance with the following procedure:• The first user with that name must be allocated an address in accordance withthe format: .[]@.gov.auThis means that the address of the first user named Joseph Bloggs will bejoseph.bloggs@finance.gov.au.• Each subsequent user must be allocated an address with a numeric uniqueidentifier () in accordance with the format:.[]@.gov.auwhere is a numeric unique identifier used when a duplicatepreferredname, lastname combination has previously been used in an agency.• This means that the address of the second user named Joseph Bloggs must bejoseph.bloggs1@finance.gov.au, with the in each subsequent JosephBloggs address being incremented accordingly (2,3,4,5, etc).Standard 3: Functional Addresses17. If an agency chooses to establish group email addresses for well-defined businessgroups or functions such as client services or recruitment, such addresses, definedas functional addresses, must be in the following format:Where:Syntax@.gov.auDescription Business group, function or service within an agencyCommon term or abbreviation for the agency eg. finance,defence, ato, deewr, dfat etc.5
