ExhibitorProspectusFacility RegulationsExhibitors may not nail, staple, tack or otherwise affix anything to theceilings, walls, painted services, fire sprinklers, columns or windows.FDA RegulationsExhibitors must abide by all applicable Food and Drug Administration(FDA) regulations, including but not limited to any or all approvalrequirements. Exhibitors are reminded that the FDA generally prohibitsthe advertising or other promotion <strong>of</strong> investigational or unapproved drugsand devices. The FDA also forbids the commercial promotion <strong>of</strong> approveddrugs or devices for unapproved uses. Unapproved devices may bedisplayed only if they are the subject <strong>of</strong> an effective investigationaldevice exemption (IDE) or if they are the subject <strong>of</strong> a pending 510(k)pre-market notification application. Any investigational product that isdisplayed or graphically depicted within the exhibit must (a) containno claims <strong>of</strong> safety or effectiveness, (b) contain no comparative claimsto other marketed products, and (c) be accompanied by a sign clearlyand prominently stating that the device is limited by federal law toinvestigational use and is not approved by the FDA for commercialdistribution in the United States. Requests for items other thanproduct samples or educational materials must be submitted to theAAAAI with a sample by January 4, 2013. Samples will not be returned.Written notification will be sent upon AAAAI approval <strong>of</strong> the items. Inaccordance with AMA ethical guidelines, giveaways must be availableto all delegates, be <strong>of</strong> minimal value, provide a benefit to patients orbe used during the conference or in the pr<strong>of</strong>essional activities <strong>of</strong> thedelegate.Labor RegulationsExhibitors are required to conform to all local labor regulations. Laborcan be ordered through Freeman. More information will be included inthe Exhibitor Service Manual.Market ResearchCompanies that perform market research will only be assigned exhibitbooth space if research is being conducted for an approved AAAAIexhibitor and if space is available. All surveys are required to beconducted within the confines <strong>of</strong> the booth space. Press releases or media alerts directly relatedto abstracts that use the <strong>American</strong> <strong>Academy</strong> <strong>of</strong> <strong>Allergy</strong>, <strong>Asthma</strong> &Immunology (AAAAI) name or the name <strong>of</strong> the AAAAI Annual Meeting,must be reviewed and approved a minimum <strong>of</strong> two weeks in advanceby AAAAI communications staff. The release or alert must be embargoeduntil the time <strong>of</strong> presentation or an AAAAI press conference presentingthe study, whichever comes first. Releases and media alerts may notindicate AAAAI endorsement, use the AAAAI name in the headline or usethe AAAAI logo. Non-AAAAInews briefings or other media events are prohibited in meeting areas,including hotels, during the AAAAI Annual Meeting.Priority PointsPriority booth assignment is based on the total number <strong>of</strong> prioritypoints accrued: companies receive 2 points for every 100 sq ft <strong>of</strong> spacerented in 2012, 2011, 2010, 2009 and 2008; 10 bonus points aregiven to companies for exhibiting at all <strong>of</strong> the last five Annual Meetingsregardless <strong>of</strong> the amount <strong>of</strong> space rented each year; companies aregiven 1 point for every $10,000 in sponsorships paid to the AAAAIbetween September 1, 2011 and August 31, 2012; companies are given1 point for every $10,000 in donations made to the ARTrust betweenthe same dates. Exhibit applications must be received by October 5in order to be considered for priority booth assignment. Non-pr<strong>of</strong>itcompanies receiving complimentary booth space do not accrue prioritypoints.SecurityThe AAAAI will provide 24-hour security in the exhibit hall. Neitherthe security company, AAAAI, Freeman nor the convention center isresponsible for any loss or damage to exhibitor property.Selling <strong>of</strong> Products and ServicesSales and order taking are permitted in the exhibit hall provided alltransactions are conducted within the pr<strong>of</strong>essional nature <strong>of</strong> the meeting.It is the responsibility <strong>of</strong> the exhibitor to have all licenses, permits, and/or registrations required by the venue, city, municipality and/or state.The exhibitor is responsible for compliance with all applicable tax laws.The AAAAI reserves the right to restrict sales activities that it deemsinappropriate or unpr<strong>of</strong>essional.If exhibitors will be taking sales orders onsite, they are required to obtaina Texas sales and use tax permit. Support is not limited to these suggestions; the AAAAIencourages new and creative ideas that contribute to the quality <strong>of</strong> themeeting.Right <strong>of</strong> First RefusalThe AAAAI adheres to a right <strong>of</strong> first refusal process for organizationswho have supported particular programs or activities the previousyear. This means that the previous year’s supporter is given the option<strong>of</strong> confirming support <strong>of</strong> the same program or activity at next year’smeeting before sponsorship <strong>of</strong> that function can be <strong>of</strong>fered to anotherorganization. Because some activities cannot happen without support,it is necessary to confirm funding at the earliest possible date in orderto stay ahead <strong>of</strong> planning schedules. Therefore, previous sponsors haveuntil October 5, 2012, to confirm their interest in supporting the sameprograms for the 2013 Annual Meeting.Policy on Satellite ProgramsThe policies outlined in this brochure represent the only acceptablemethod for the provision <strong>of</strong> educational sessions at the Annual Meeting.Satellite sessions, or those planned without the input or invitation <strong>of</strong> theAAAAI, are not permitted before, during or after the Annual Meeting.Working with Third Party VendorsA corporate partner may wish to designate an advertising firm,communications company, or other third party vendor to act on its behalfin coordinating aspects <strong>of</strong> their support <strong>of</strong> an AAAAI program or activity.In all cases, the AAAAI prefers working directly with the corporatepartner, but will work with a third party vendor once support is confirmedin writing and a three-party letter <strong>of</strong> agreement is signed by all partiesinvolved. To initiate this process, the corporate partner should submit arequest in writing to the AAAAI. The request should include the following:• The name and contact information <strong>of</strong> one contact at the third partyvendor in writing.• A detailed list <strong>of</strong> the programs and tasks the third party vendor willassume.6


EducationalSupportOpportunitiesThe AAAAI is accredited by the AccreditationCouncil for Continuing Medical Education(ACCME) and abides by ACCME’s Standardsfor Commercial Support in the development<strong>of</strong> educational activities. Organizations thatsupport an educational session cannot beinvolved in the development or execution <strong>of</strong>the presentations. This includes selecting thecontent, faculty and format <strong>of</strong> the session.In addition, the AAAAI retains control <strong>of</strong> allcapture and production <strong>of</strong> AAAAI AnnualMeeting educational content for enduringmaterials, and reserves the right to serveas the accredited CME provider for all CMEenduring materials associated with the AnnualMeeting.Support for educational sessions will be usedto cover costs such as speaker honorarium/travel expenses, audio/visual equipment rentaland catering.RecognitionCorporate support <strong>of</strong> educational sessionsis recognized in all promotional materialsassociated with the Annual Meeting sessioninformation, including:• AAAAI Annual Meeting website• Preliminary Program• Final Program• Signs on siteAll attribution for educational sessions is asfollows:“Programmed by the AAAAI. Thisprogram draws more than 250 Annual Meetingattendees and is designed to be unique to theallergy practice for nurse practitioners andphysician assistants.AHP Program$50,000The <strong>Allergy</strong> and <strong>Asthma</strong> for the Health CarePr<strong>of</strong>essional (AHP) Program is a series <strong>of</strong>educational sessions geared specificallyfor allergy/immunology nurses, nursepractitioners, and physician assistants. Morethan 400 Allied Health pr<strong>of</strong>essionals typicallyattend these sessions.Allied Heath TravelScholarship ProgramVarious amountsThese travel scholarships provide AAAAIAllied Health members who have authoredabstracts accepted for presentation at theAnnual Meeting with funds to defray traveland hotel expenses associated with attendingthe meeting. ExhibitorProspectusExhibit ApplicationTo reserve exhibit space, complete the application and contract forexhibit space and return it and the required deposit to the AAAAIexecutive <strong>of</strong>fice. Applications may also be completed online. Applicationsmust be received by October 5, 2012 in order to be considered forpriority assignment <strong>of</strong> exhibit space. Exhibit space is assigned basedon past and current support <strong>of</strong> AAAAI activities, as well as the date theapplication is received. Following initial space assignments, all additionalbooths will be assigned on a first-come, first-served basis.Application ReviewThe AAAAI will review all exhibit applications to determine whether theysatisfy basic criteria such as: whether the product/services describedspecifically relate to the practice or advancement <strong>of</strong> allergy, asthma orimmunology; whether the exhibit is <strong>of</strong> informational value to allergist/immunologists; whether the products/services, in the opinion <strong>of</strong> theAAAAI, are safe and effective. Even when an application meets thebasic criteria above, the AAAAI reserves the right to deny any request toexhibit.Educational/Non-Pr<strong>of</strong>it OrganizationsOrganizations may apply to receive complimentary exhibit space, ifthey meet the following criteria: they are a non-pr<strong>of</strong>it organizationas defined by maintaining 501(c) tax status; are national in scope;their overall mission is educational in nature; and their mission wouldappeal to the AAAAI membership and further the AAAAI strategic goals.Applications for complimentary space must include a copy <strong>of</strong> the IRSletter <strong>of</strong> determination verifying their 501(c) tax status, and may includeany documentation that demonstrates compliance with the criteria listedabove. If full payment isnot received by this date, space may be released back into the generalinventory.Cancellation/Downsizing PolicyCancellations or requests to downsize booth space must be sent to theAAAAI executive <strong>of</strong>fice in writing. A refund less $1,000 per 100 sq ft, willbe given if notice is received by December 19, 2012. No refunds will begiven after December 19. The AAAAI can sell cancelled or downsizedbooth space to another exhibitor without any rebate. The AAAAI retainsthe right to relocate an exhibitor after downsizing.Booth RelocationIf it becomes necessary to relocate an exhibitor after a booth assignmenthas been made, the AAAAI will contact the company involved and everyeffort will be made to reassign the exhibitor to a similar booth space.Restriction <strong>of</strong> ExhibitsThe AAAAI reserves the right to restrict or prohibit exhibits that aredeemed unacceptable for any reason. This may include people, items,conduct, printed materials or anything that may be objectionable to theexhibition.
