Process
At the beginning of the project, some of our team members met with Race Director,
Rebekah Caylor, to discuss the Bridgewater Police Department 5K. During our meeting,
she informed us of her goals to further advertise the race. She explained to us that she
was hoping that we might be able to help her further advertise the Bridgewater Police
Department 5K race and also help her to gain more sponsors. She took great pride in
discussing the BPD5K and gave us quite a bit of information to work with. After meeting
with Rebekah, we had a much better grasp of what we could do to aid her in reaching
her goals and further publicize the race.
During each class, we were assigned a different task which we were to work on as a
team. We were to turn these in, individually, to the professor for her revision and then
add them to the construction of our final media kit. Some of the documents needed to
be revised and after going over them, we were able to complete them to our best
ability.
Once all of the documents were revised and completed, we organized them into the
final media kit which you are seeing now. These documents were all worked on with the
best interest of the Bridgewater Police Department 5K in mind. We tried our best to
incorporate ideas to increase sponsorship, entice runners to register for the race, and to
get the word out about this wonderful community event.
“Bridgewater Police Expects its Biggest Race Yet”
Once a year, Bridgewater comes together as a community to run for a great cause -
The Annual Bridgewater Police 5K and 1M Kids Fun Run. In its fourth year, the successful
charity road race will be raising money for the Bridgewater 4th of July Firework Show.
The competition begins and ends at the Bridgewater Police Station, where officers will
race alongside friends and neighbors in an exciting race to the finish on Saturday,
September 30th, 2017.
Participants will enjoy a beautiful run through historic downtown Bridgewater - a
relatively flat course, but fast! Come to compete, or just to have a great time. The event
has found success through the outreach and charity of local businesses and those who
decide to participate and join the fun of the race. Organizations donate gift baskets and
prizes to the event, allowing for raffles to be held on the day of the race.
“The Bridgewater Police Department 5K hopes to help community members
recognize the great work the Bridgewater Police Officers do for the town and its citizens
with an event centered on positivity and togetherness,” said Rebekah Caylor, Race
Director. The race strives to raise funds for the Bridgewater 4th of July, which provides a
parade, carnival, and fireworks in Bridgewater - an attraction for Bridgewater and its
surrounding towns.
Multi-Media News Release
March 23, 2017
BRIDGEWATER- For Bridgewater and its surrounding towns, one prominent event that
many attend is the annual Bridgewater firework show. This event would not be possible
without the support of town members. This year, the 4th annual Bridgewater Police
Department 5K will donate proceeds to this fund. The run will take place on September
30, 2017 and starts at 9:00 AM.
The BPD5K has been a local race that was started as a way to incorporate community
bonding and bring a positive light to the view of police officers. Matron Rebekah Caylor
is a prominent face behind the scenes of what has made this event so special to the
Bridgewater towns people. She says, “The BPD5K is a community outreach event which
allows members of the town to get to know police officers. It is an opportunity to meet
the officers and see them beyond their job.” As a Matron and runner herself, this event
is very near and dear to her.
Prior to the race, a 9-week Couch to 5K program is offered for runners who need to
build their stamina or those who have no running experience at all, but wish to
participate in the event. This program is free and meets three nights a week. It starts
and ends at the Bridgewater Police Station. The program will begin the week of the 4th
of July.
To kick off the race weekend, the team, as Rebekah referred to those who volunteer to
help prepare for the run, arrange a pasta dinner for those participating in the run.
Runners and their families are welcome to the Bridgewater senior center where they
can pick up their registration packets and enjoy a nice meal before the big day. The
pasta dinner is $5 per person.
On the day of the race, runners who have not yet received their registration packets are
asked to come and get those before the race so that they can be timed. On race day,
Rebekah described a series of events that occur. She explained how many local
businesses reached out to assist in their pre-run preparation, one of which being
Crossfit, a local gym, who volunteered their time to help runners warm up for the race.
She also explained how the chief personally gets involved in the run as well.
“In 2016, we had almost 100% participation because the race is so ingrained in the
community and ties in with Autumn Fest,” said Rebekah. The race is a community
centered event. She explained how many of Bridgewater’s main streets are shut down
for the race, which brings the community together, face-to-face, during that time. Not
only does the community support the race in their attendance, but also with their
sponsorship. Rebekah explained to us that, “a different charity is chosen every year so
we can try to get community support. We want it to be personal and close to home”.
Many local businesses, big and small, lend a helping hand to the BPD5K through their
donations. The money raised goes to whichever charity is chosen that year. Rebekah
explained how businesses as far as Texas, Indiana, and Wisconsin donated last year after
hearing of their charity and wanting to help.
[Date]
Dear [Contact Name],
The Fourth Annual Bridgewater Police 5K will be held Saturday, September 30th 2017. I thought
you might like to be involved as a sponsor of the event.
Each year, the community comes together to run, get to know police officers, and have fun.
“Last year, the race had almost 100 percent participation,” said the Race Director, Rebekah
Caylor.
Sponsorships make this race possible. Without their support, we would not be able to organize
this wonderful celebration of community and police service. There are various different sponsor
opportunities that are recognized and appreciated. The sponsors allow us to support local
charities.
We hope to make this year’s race more successful than ever, which is supporting and
fundraising for the Bridgewater Fourth of July Celebration. We are currently gathering
sponsorships for this community-driven outreach event, and we sincerely hope that you
consider supporting the BDP5K later this year. Others have sponsored in the form of direct
donations of cash or gift cards, while others donate gift baskets that are raffled off on the day of
the event. All forms of support are appreciated, and help to make the race a success every year.
Sponsors will be listed on the BDP5K website, Facebook page, and on participant T-shirts
according to their sponsorship level. The deadline for being included on participant T-shirts is
[insert date].
If you would like to take part in this year’s event as a sponsor, contact me at [insert current
phone number] to discuss the details of the donation. All involved in the race are passionate
about the Bridgewater Police Department and the cause for which it is raising money, and we
hope to share this community event with you. Thank you for your consideration.
Sincerely,
Rebekah A. Caylor
Facebook
Overall, the Facebook page run by Rebekah Caylor is serving its purpose as needed. The
page is consistently active, posting detailed updates concerning the race itself,
important deadlines that runners and sponsors may be concerned with, as well as
images of previous races to build excitement. The page contains important links to the
website, as well as videos and images that can show a new viewer what the race is all
about. The Visually, the page is consistent in its profile picture and banner, maintaining
a common color scheme and theme. Facebook page makes great use of its posts - often
promoting events being held by the sponsors of the race. This activity promotes the
main objective of the race - collecting sponsorships. Links to sign up for the race,
become a sponsor, or contact somebody involved are easy to locate, making a
straightforward browsing experience.
Website
The website created by the BPD5K public relations director seems to be serving it’s
purpose well. The website contains all necessary information for race sign-ups and as
well as necessary dates to prepare for the day of the 5K. Sponsors are recognized on the
website, which is good for race publicity and for encouraging additional sponsorship if
they know they will be advertised on the web. There is also a link to RaceWire on the
site where runners can sign-up for the race directly through the site. Along with these
aspects are photographs from previous races, as well as a link to contact the BPD5K
director if further information is needed. The website is up to date and also includes
information about their 2017 sponsor, the Bridgewater 4th of July firework show. I think
it is important for sponsors, runners, and community members to be up to date on the
race so that they can participate. The website is easy to locate and is a great resource to
learn more about the BPD5K.
Social Media Content Plan and Editorial Calendar
Our plan consists of two media channels that we will use to benefit the advertisement
of the Bridgewater Police Department 5K. We intend to make the Facebook page more
avidly used and the website more prominently accessed for race information. We are
planning to add in some unique ideas and shout outs to the many people who help to
make this race possible. We are hoping that with additional publicity and promotional
pictures, and information, the BPD5K will grow to be a more popular community event.
Conclusion
We hope that these products will help to advance the success of the Bridgewater
Police Department 5K race. We have worked hard to create documents that we hope
can be of aid to the race director as she prepares for the upcoming 4 th Annual BPD5K in
September. Our pieces incorporate a need for sponsorship, runners, and community
support with hopes that an outreach to the citizens of Bridgewater and its surrounding
towns will help to encourage race participation.
