Dm CASE STUDY: UNIVERSITY HOSPITALS PLYMOUTH NHS TRUST
Caring and sharing
University Hospitals Plymouth NHS Trust accelerates
digital transformation as part of its commitment to
secure digitisation of health records
University Hospitals Plymouth
NHS Trust (UHPNT) is
committed to creating a single,
secure digital health record for every
patient, accessible from any location,
at any time. The decision was made to
digitise the records in-house and the
Trust set up an in-house scanning
bureau equipped with Alaris
production scanners and Alaris Capture
Pro Software.
Throughout the deployment, Alaris
Professional Services supported the
scanning bureau team in making the
capture workflow as productive as
possible. Alaris worked closely with the
Trust team to confirm and identify the
capabilities of the hardware and
software to support the Trust's
scanning strategy. "The Professional
Services team helped fine tune the
solution to make the scanning process
as efficient as possible," said Rob
Harder, Head of IT Infrastructure and
Support Services. "That's been a huge
benefit. When you are trying to get a
scanning bureau up and running you
need to ensure that all of the different
elements are working together as
effectively as possible," he added.
The Trust also worked alongside
Elisabeth Belisle, a long-term Alaris
partner who set up one of the UK's first
BS 10008-accredited specialist
scanning bureaus. She provided expert
support, collaborated on creating new
procedures and delivered hands-on
training, thus helping the Trust to work
towards achieving BS 10008
accreditation, something it expects to
attain by autumn 2019. Once
accreditation is achieved, the Trust will
be able to start to destroy paper
records.
When the project went live, the
"THE PROFESSIONAL SERVICES TEAM HELPED FINE TUNE THE SOLUTION TO MAKE THE SCANNING PROCESS AS
EFFICIENT AS POSSIBLE. THAT'S BEEN A HUGE BENEFIT. WHEN YOU ARE TRYING TO GET A SCANNING BUREAU UP
AND RUNNING YOU NEED TO ENSURE THAT ALL OF THE DIFFERENT ELEMENTS ARE WORKING TOGETHER AS
EFFECTIVELY AS POSSIBLE."
bureau scanned live patients' notes,
firstly within the Paediatrics speciality
and then moving on to digitise
Hepatology patients' records. "Alaris
helped us streamline the scanning
process making sure we captured the
appropriate metadata and, because we
use barcodes to streamline some of our
processes, they ensured the software
was configured to identify those
barcodes. All of that really helped with
the project in terms of making
processes more efficient and effective."
Harder explained.
As part of the digital transformation
project, the Trust developed its own
scanning application. "This is linked to
our use of barcodes in association
with our Scan4Safety programme,"
Harder said, adding: "The App helps us
track paper records through the
scanning process."
Since becoming fully operational the
Trust has scanned a total of almost
24,000 case note volumes - just over
half of which were for deceased
patients - and 20,000 day forward files.
Scanning Bureau Manager Rachael
Sargeant, said: "We typically process
circa 1,300 case notes and 2,000 day
forward files each month. Our peak
throughput was 3,800 volumes and
2,650 files in January 2018, and the
scanners have proven to be robust and
reliable throughout."
With this paperless project, the Trust
is looking to reduce costs, increase
productivity and further improve
patient care by providing clinicians with
faster access to records. Health Records
Manager Vanessa Bennett, said that
enabling clinicians to have instant
access to records and for the notes to
be available in more than one place at
any one time, was a key criterion.
Feedback from medical staff has been
extremely positive. "They really like the
ability to access the patient notes when
they see the patient instead of having
to think ahead and request the notes
out of the Records Library," she said,
adding: "Another benefit is that once
digitised, the patient record can be
seen by any other speciality, so whilst
the project has to date been centred on
Paediatrics and Hepatology, if a patient
in either of those specialities is referred
to another department, we will digitise
those notes as well."
Speaking of the 'loose filing' issue that
affects every Trust, Bennett continued:
"We were faced with a colossal backlog
of loose filing going back many years -
it was a mammoth task and if we had
to physically file all the paper
documents, we would never have got
through it."
Scanning has improved this process.
In addition to the number of volumes
cited above, the Trust has also scanned
almost 400,000 loose filing sheets. "We
have been able to clear the loose filing
backlog and most importantly make
that information accessible to
clinicians. They can now simply logon
to e-notes and access missing
information - if we receive any loose
filing for Paediatrics/Hepatology or ENT,
we simply scan it as it comes in now,"
Bennett explained.
The Trust is currently reviewing the
need for back scanning. The reason
behind the review is that the back scan
is relatively unstructured. Harder said:
"Our intention is to roll out digitised
health records to all specialities within
the hospital over a three year period.
Whether this will be day forward or day
forward and back scanning in tandem,
will be dependent on the outcome of
the review.
"There is a requirement to review the
storage capacity within the warehouse
and our objective is to reduce the cost
associated with physical storage. Once
the organisation is clear on its direction
of travel, we will be able to achieve
these goals, whilst still adhering to NHS
Records Management Code of Practice,
and being able to pull data in a
reasonable time frame," he concluded.
Dm ANALYSIS: BREXIT
Brexit: is public sector BPM ready?
With the UK's departure from the European Union
scheduled for March 2019, new research suggests that
more than half (58%) of public sector bodies will have
to re-engineer their business processes due to Brexit.
George Parapadakis, Director Business Solutions
Strategy for the report's co-author Alfresco Software
explores whether Brexit will impact
BPM as much as the GDPR has
and how public sector
bodies can improve their
business processes,
regardless of the UK's
relationship with the EU
The uncertainty about what Brexit
means to the UK's public services is
having a disruptive impact on the
sector, according to a new study. Not
only will 58% of public sector
organisations have to re-engineer their
business processes to cope with Brexit,
but 43% have yet to prepare for it. This
is chiefly because IT decision makers are
unclear on how Brexit will impact them.
The 'Public Sector Survey Report:
Breaking Through Bottlenecks' was
commissioned jointly by Alfresco and
GovNewsDirect and is based on
interviews with 742 individual
respondents at C-suite level in Local and
Central Government, Emergency
Services, Justice and Housing
Associations. 84% identified themselves
as a decision maker, implementer,
influencer or policy maker in digital
transformation at their organisation.
More than half (51%) of these
decision makers expect business reengineering
progress to be affected by
the uncertainty around the Brexit final
deal, and comments from IT directors
highlight how legislation - and
therefore the management around that
- will change.
Many respondents commented that
the lack of clarity has made it hard for
them plan fully for the UK's imminent
departure from the UK. There are
implications for local government,
especially EU legislation, financial
transactions and the affect on EU
nationals living in the UK.
Preparing for Brexit is the second
major change event that UK IT decision
makers have had to deal with in the last
year, following the implementation of
GDPR in May 2018. More than 80% of
respondents say they are either
"extremely" or "very" aware of the
implications of GDPR for their
organisation, which includes increased
fines for non-compliance and reduced
response times for Freedom of
Information (FOI) requests and Subject
Access Requests (SARs).
"MORE THAN HALF (51%) OF THESE DECISION MAKERS EXPECT BUSINESS
RE-ENGINEERING PROGRESS TO BE AFFECTED BY THE UNCERTAINTY
AROUND THE BREXIT FINAL DEAL, AND COMMENTS FROM IT DIRECTORS
AROUND THAT - WILL CHANGE. MANY RESPONDENTS COMMENTED
THAT THE LACK OF CLARITY HAS MADE IT HARD FOR THEM PLAN FULLY
IMPLICATIONS FOR LOCAL GOVERNMENT, ESPECIALLY EU LEGISLATION,
public sector - everything from
internal emails to written notes and
recorded phone calls - 30 days can
leave very little time to trace and
redact and collate the necessary
information. This process can be
simplified greatly with business
process management (BPM) software.
BPM software can be integrated with
existing IT networks and used to
automate and link simple tasks that
were previously actioned manually.
Alfresco's 'Disrupt or Be Disrupted?'
report in April 2018 also highlighted
the challenge public sector bodies
face. Government IT decision makers
expect their organisation to be
disrupted primarily due to a lack of
investment (61%), with lack of vision
among the leadership in second
place (48%).
In addition, while technology and
business executives largely agree that
the potential impact of competitors
that are more effective with their
digital transformation is a "top
concern" (65%), there is
disagreement over the pace of
change. IT typically thinks the
business is the bottleneck in digital
transformation; seven in ten (70%)
believe their business executives are
taking too long to adapt to changing
technologies and want them to move
faster, compared to just 38% who
believe the tech team is holding back
development.
Without adopting automated
process tools, overhauling existing
traditional workflows and structures
could prove costly and timeconsuming
to public sector
organisations.
These findings all point to a desire
and need for financial and strategic
investment from the top to make
digital transformation happen.
BENEFITS OF DIGITAL
TRANSFORMATION & BPM
To convince leadership of the need to
invest wholeheartedly, let's look at
the key drivers and benefits that IT
decision makers believe digital
transformation will deliver.
Alfresco's 'Disrupt or Be Disrupted?'
report found improving employee
productivity is top (74%) followed by
decreasing costs through increased
efficiencies (71%). Digital
transformation is clearly perceived as
a way to vastly improve existing
workflows. Customer satisfaction
(62%) and data capture to drive
better business decision making
(59%) are the next most-cited
benefits of digital transformation.
Government bodies are under
constant pressure to deliver excellent
service within the constraints of tight
budgets. Digital transformation
offers a way for public sector bodies
to improve efficiencies while
reducing legacy costs out of the
system, such as storage and
document management costs.
Whatever the implications of Brexit
on public sector IT, when coupled
with the challenge of GDPR, 2018
has been a year that highlights the
value of, and urgent need for,
business process management in the
public sector
Dm PRODUCT FOCUS
FUJITSU SCANSNAP iX1500
Fujitsu has sold over 4
million of its
ScanSnap scanner
devices since launch,
making them one of the
best selling imaging
devices worldwide. This
latest model, the
iX1500, turns
conventional desktop
scanning on its head,
and in the process,
potentially simplifies the
concept in a way that
could lead to whole new
markets opening up. Fujitsu describe it
thus: "What it does is complex, how you
use it is simple."
Previous ScanSnap models allowed the
user to scan and then decide where to
send the image; an approach that
worked well enough, but may have been
slightly off-putting to workers who didn't
want the hassle of having to think too
much about the document workflow
outside of how it affected them doing
their job. With the iX1500 the idea is to
do some minimal setup beforehand, and
then all scanning is accomplished via one
touch. The previous two software tools,
ScanSnap Manager and ScanSnap
Organiser, have been replaced by one
product, ScanSnap Home, that pulls
together everything a user needs in order
to setup, deploy and use the device.
Opening the cover reveals a large and
slickly designed colour touchscreen
interface ready to go - a first for the
ScanSnap series that makes for intuitive
use, whether an experienced or novice
user. Initial setup is deceptively simple
and quick, with further customisation
(icons, colour schemes etc.) available if
required.
As with previous ScanSnap models,
paper handling is impressive - the
iX1500 can handle mixed batches of
different sizes, shapes and types of
document in its 50 sheet ADF, with scan
speed of up to 30 pages per minute.
Ultrasonic multifeed detection makes for
superior paper handling and reduced
downtime for mis-fed documents, and
long/folded documents of non-standard
size can also be scanned in its ad-hoc
manual scan mode.
The scanner includes automatic colour
detection, rotation, blank page removal,
streak reduction and de-skew to make
sure the user gets a high
quality image every time
without having to adjust
any settings. The iX1500
includes autoclassification
to sort
scans into one of four
standard categories:
document, receipt,
business card or
photograph, and the
intelligence in the
system automatically
generates filenames
based on keywords found
in the scan, such as the word 'invoice'.
Scans can also be sent direct to up to 4
cloud services.
Crucially, the iX1500 includes simple
connection capabilities for WiFi access, so
that multiple users can scan using the
same device without having to invest in
networked scanning facilities. It can
connect in Wireless Access Point (WAP)
mode via a router, or via Direct Connect,
wherein the scanner itself acts as the
WAP. Scans can therefore be easily
controlled from smartphones and tablets
as well as computers. Fujitsu describe the
iX1500 as a 'shared rather than a
networked device', meaning that while it
is focused very much on improving
personal productivity, the ease of sharing
makes it a personal productivity tool for
mulitple users, whether that is a team, a
department, or even a family.
More info: www.fujitsu.com/uk/scanners
VERDICT
The ScanSnap success story continues with this latest addition to the range, which brings increased personal
productivity to multiple users, whether in the home, small office or a department/team.
Dm INTERVIEW: EASY SOFTWARE
EASY and ECM: twin successes
In September, Andy Boulton was appointed CEO of
EASY Software UK. DM Magazine sat down with him to
find out his ideas and plans for the company and the
EASY channel business
Document Manager: What first
attracted you to take on the role
of CEO for EASY Software UK?
Andy Boulton: I'd just completed my
previous role with a leading UK and
Ireland systems integrator and as I was
wrapping things up there I took a call
from an ex-colleague of mine, Dieter
Weisshaar - who had just joined EASY
in Germany as EASY Group CEO, and
who was looking for someone to join
the EASY UK subsidiary to take a
leadership position there.
I met with Dieter who talked me
through the company, its history, its
products, and his vision for the next
three years. And it quickly became clear
to me that EASY had a very strong offer
to the market - both in terms of its
current product portfolio and the new
products that are due to be released,
plus its unusually strong and loyal
customer base. Very quickly, my
decision was made - that I wanted to
join EASY, as the new role provides me
some great opportunities to be part of
what is, evolutionarily, the next step for
EASY; to help it globalise into a single
company across the world.
We've got multiple subsidiaries, but I
think there's strength for the company
and for our customers and partners if
we can work more as a whole. So that's
the plan moving forwards. It's exciting
times at EASY Software, and I'm really
looking forward to being part of the
next chapter.
DM: Your background is Oracle, so a
very different style of company. Based
on all the time that you spent at Oracle,
what experience do you see that you've
gained there that would translate into
the ECM/DM world and EASY?
AB: What I've learned from Oracle in
particular is that you absolutely need
great products: whether that's a line to
a particular industry, a particular
industry company set, or a government
department; whether that's database or
applications or systems or some
combination of the three. Great
products are critical for success in the
software industry.
And those products have got to
address a business need. It's no good
just having great products, they've got
to be delivered in a way that the buyers
can see the value that they're going to
be able to derive in their own
companies.
Long gone are the days when projects
are commissioned just to satisfy
people's ego, or to jump on the latest
bandwagon. Projects are commissioned
based upon a quantified business case
with payback measured in probably
weeks or months, rather than years or
tens of years. So actually, those
products need to address real business
needs, whether that's reduced cost or
delivering regulatory compliance,
reduced risk, increased sales, and so
on. We've got to work hard at bringing
these products to life, building the
necessary stories that can help
customers visualise the benefits that
they can get from them.
And then, it's about the services that
go alongside those products. We need
to provide complete offerings, either
from ourselves or from our partner
community, who can provide reliable
services at the right price point. We're
also there when the customer needs us,
so when they ring for support we need
to be there for them.
So it's the whole lifecycle of that
journey for the customer. All of those
things are important and key learnings
of my years in the enterprise IT space
that I would look to be leveraging at
EASY.
DM: And as we start to look into 2019,
what do you see as the biggest
opportunities for our space - and what
are some of the biggest threats?
AB: Analysts see that the ECM
marketplace at about $8bn currently
with a growth rate in double digits, so
it's a sizeable market and growing -
and I think that growth is only going
to increase, as companies and
governments experience increased
INTERVIEW: EASY SOFTWARE Dm
"ECM COULD MEAN SO MANY DIFFERENT THINGS TO SO MANY PEOPLE, AND WITHOUT ANY CONTEXT IT
DOESN'T HAVE THAT DEEP A MEANING FOR ANYONE. I THINK THE IMPORTANT THING IS WHAT DOES THAT
TERM MEAN FOR A SPECIFIC INDUSTRY OR A SPECIFIC COMPANY OR A SPECIFIC GOVERNMENT DEPARTMENT.
FOR ME IN THIS NEW ROLE AND NEW SECTOR, WHAT WE NEED TO TRY AND DO IS BRING ECM TO LIFE. WHAT
ARE THE STORIES? WHAT ARE THE USE CASES WHERE ECM, IN WHATEVER FORM IT'S TAKEN, HAS DRIVEN REAL
VALUE FOR THAT CUSTOMER? I THINK WE NEED TO START TO CHANGE THE LANGUAGE, IF WE CAN, AND BRING
ECM TO LIFE WITH SPECIFIC STORIES AND USE CASES."
regulatory and competitive pressures
(GDPR would be a good example).
These pressures require companies and
governments to review how they can
make incremental improvements and
EASY solutions can be part of the
answer.
DM: Gartner has famously said ECM is
an outdated term: where do you stand
on the terminology used in our
market?
AB: I have to say, ECM could mean so
many different things to so many
people, and without any context it
doesn't have that deep a meaning for
anyone. I think the important thing is
what does that term mean for a
specific industry or a specific company
or a specific government department?
For me in this new role and new
sector, what we need to try and do is
bring ECM to life. What are the
stories? What are the use cases where
ECM, in whatever form it's taken, has
driven real value for that customer? I
think we need to start to change the
language, if we can, and bring ECM to
life with specific stories and use cases.
DM: Turning to EASY's customers, how
do you see the company's relationship
with its UK customer base right now?
AB: We have a very loyal customer
base. One of the first things I looked at
was the retention rate of our
customers, and it's very, very high -
approaching 100%.
We also have some very strong
brands in the UK on which to build.
And that's replicated across the globe
in Germany and US and other regions
too. Customers love talking to other
customers; they can share ideas, they
can learn from each other. If we can
facilitate that dialogue in some way,
there's a lot of value for our new
prospects and customers, and
ultimately for us and our partners.
DM: In terms of its route to market
EASY has relied on the channel over
the years. What role do you see
partners have going forward and what
plans do you have for the partner
channel for EASY in the UK?
AB: What I would like to do is to reenergise
the channel, with specific
focus on partners where there's mutual
benefit for us to work with them
moving forwards. I'd also like to seek
out new partners who can work with
us to take our newer propositions to
marketplace.
For instance, we have a new offering
called EASY HR which is a suite of
products that would coexist alongside
an ERP. Now we could go to
technology partners to take that to
market for us, but what I'd rather do is
to recruit and onboard partners who
have real deep domain experience and
expertise in the HR space.
DM: Do you have personal goals in
mind as to what you'd like to have
achieved at EASY, whether it's in the
first six months or the first year?
AB: Firstly I intend to meet more
customers; to hear what they're saying,
explore how they use our products
today, ascertain what value they are
getting and listen to how we can
improve: what do they need us to do
more - or less - of?
My second priority is the channel. I
want to get the partner channel
reinvigorated. I'm also keen to make a
significant contribution to the
globalisation of EASY as a group. As I
said earlier, we operate as independent
companies, and I think there are
benefits for ourselves, our partners and
our customer base if we operate as
one single company.
Finally, I think companies and
government departments haven't
necessarily heard of EASY. So, let's
make a little bit more noise, and in
particular with the customer success
stories and use cases, to help other
customers understand a) who EASY are
and b) what EASY and our products
could do for them.
Dm TECHNOLOGY: PDF
A licence to increased
productivity and security
Tracey Mustacchio, senior vice president of product and
marketing, Imaging division, Nuance Communications,
explains why it's 'time to bring PDF licensing into the
modern era'
Should a mythical time machine
ever appear, one destination well
worth a visit would be the office
circa 1998. A trip back there will
expose just how extensively and
quickly the office has changed in two
decades. Cabinets full of paper now sit
in electronic form on servers. Slow,
clunky, desktop PCs have been
replaced with powerful, internetconnected
devices that come in far
more diverse formats. Data and critical
applications are now hosted in the
cloud rather than on portable and
vulnerable disks. The printer, copy and
fax machine have now merged into
one network-connected multifunction
device that's often at the heart of
electronic and paper document
workflow in many offices or
departments.
THE EVOLUTION OF PDF
One popular business software format
that has also evolved over the years, is
PDF. It is astonishing to look back and
see just how far PDF converter
software has come in that relatively
short time. The first versions gave
users an effective way to convert PDF
files to Microsoft Office documents
and back again, create PDF files from
multiple sources and edit them easily.
Next-generation solutions delivered
other innovations, such as voice
recognition that lets users add notes
to PDF files simply by speaking,
support for touch-enabled Windows
10 devices, and the ability to connect
with document management systems
and cloud services.
ONE STEP BEYOND
But there's one aspect of PDF that
seems to be stuck in the past -
licensing. In fact, the scope of PDF's
role as a strategic application to
optimise document workflow
processes within UK businesses is
compromised by unnecessary software
licence complexity.
In a recent survey conducted among
IT decision makers in the UK, looking
specifically at how they use, create and
share PDF files, of the 60% of
respondents who said that PDF is a
critical business application, almost
half (43%) said that licence complexity
hinders their use of PDF software.
Seventy-five per cent of workers who
said that licence complexity hinders
their use of PDF software, stated that
PDF software is a strategic component
of their document processes at work,
TECHNOLOGY: PDF Dm
"WITH HEIGHTENED AWARENESS AROUND IT SECURITY, PDF DOCUMENTS COMBINED WITH DOCUMENT
SECURITY CAPABILITIES (LIKE AUTOMATED REDACTION) CAN SIGNIFICANTLY INCREASE THE SUCCESS OF AN
ORGANISATION'S OVERALL DATA SECURITY PRACTICE. IN PARTICULAR THE CHALLENGE THAT COMES WITH
LICENCE COMPLEXITY MEANS MANY PRIVATE AND PUBLIC SECTOR ORGANISATIONS CANNOT ALWAYS EXPLOIT
THE SECURITY BENEFITS OF PDF ACROSS THE WHOLE ORGANISATION. THIS SITS AT ODDS WITH THE MEASURES
THEY HAVE PUT IN PLACE OVER THE LAST TWELVE MONTHS TO IMPROVE SECURITY PROCESSES, POLICIES AND
PROCEDURES IN PREPARATION FOR REGULATIONS SUCH AS GDPR."
painting a concerning picture with
respect to the impact that licence
complexity has on productivity and
security across businesses in the UK.
While that makes for sobering
reading, on a more positive note,
forward-thinking PDF developers and
publishers offer licensing options -
including perpetual licensing models
- to ensure customers aren't
burdened with inflexible or onerous
licensing policies. This enables
organisations to install PDF software
on every desktop, while having better
control over budget planning and a
clearer insight into future licence
costs.
PRODUCTIVITY AND SECURITY
COMPROMISED?
For those businesses stuck with PDF
solutions whose greater deployment
is hindered by inflexible licensing
options, the implications of the
licence barrier to broader PDF
adoption is even more acute; in
today's digital economy, an ever
increasing number of documents - in
physical or electronic form - flows in,
around and out of an organisation.
Therefore, if access to PDF solutions
is compromised by complex licenses,
then productivity and security may be
compromised, as PDF remains the
most effective way to capture paper
documents and convert them into
electronic ones.
Furthermore, with heightened
awareness around IT security, PDF
documents combined with document
security capabilities (like automated
redaction) can significantly increase
the success of an organisation's
overall data security practice. In
particular the challenge that comes
with licence complexity means many
private and public sector
organisations cannot always exploit
the security benefits of PDF across the
whole organisation. This sits at odds
with the measures they have put in
place over the last twelve months to
improve security processes, policies
and procedures in preparation for
regulations such as GDPR.
PDF FOR THE NEXT 20 YEARS
It is baffling to consider that although
PDF has been around for many years
and has become an essential tool for
many businesses, its broader uptake
has been challenged by dated licensing
models. Flexibility and adaptability are
crucial success factors for
organisations today as they navigate
varying customer demands,
compliance needs, regional legal
requirements and a myriad of
technologies.
For them to succeed, they need to
find a solution that works best for
them in their environment - not a
solution and delivery model that works
best for the vendor. In short, to benefit
productivity and security, organisations
want and deserve flexibility in the way
they license PDF just as much today as
they did 20 years ago.
DM AWARDS 2018 Dm
Eyes on the prize
The streets of London were 'paved with DM Awards' on November 22nd as we
celebrated the biggest and best year yet for our annual industry get-together; here
are all the winners and runners-up
It was entirely coincidental that the
2018 DM Awards fell on Thanksgiving,
but there was definitely a grateful
atmosphere at London's Radisson Blu
Edwardian Bloomsbury as everyone who
is anyone from across the sector
gathered to celebrate the biggest night
in the industry calendar. The full list of
winners and runners-up can be seen
across the following pages.
Comedian/MC Patrick Monahan teamed
up with cricket legend Chris Cowdrey for
the awards presentations, along with our
own David Hammond, for whom the
evening was slightly tinged with sadness
as this will be his last year working with
Document Manager. DM Editor Dave
Tyler took time out to thank David for all
his hard work in recent years to make the
awards night the huge success that it
now is.
WINNING WAYS
The Product of the Year award went to
Storetec for FreeDocs, and Midwich won
the much-coveted Company of the Year
trophy. EASY Software, whose new UK
CEO is interviewed elsewhere in this issue,
walked away with the Software Product
of the Year trophy for their EASY Contract
Comfort offering, while Hardware Product
of the Year went to eImageData for their
highly specialised but obviously wellregarded
ScanPro All-in-One - the first
time we've seen a microfilm oriented
winner in this category.
The Public Sector Project of the Year
award also went to eImageData for their
work with the Warren County Archives in
the USA; a win that reflected the growing
international scope of the project awards.
Private Sector Project of the Year went to
M-Files for their work with Thyssenkrupp,
a story we featured in Document
Manager earlier this year. Judging
panellist Andrew Graham described the
M-Files winning entry as "…a true start on
a Digital Transformation journey using
workflows to automate complex processes
in production, design and administration."
We would like to thank our panel of
Project judges once more: in addition to
Andrew, Alan Pelz-Sharpe, Harvey Spencer
and Martyn Christian. The credibility of
our awards relies very heavily on the
independence and expertise of these
individuals. Huge thanks also to all of the
sponsors who help us to make the
ceremony such a memorable evening via
their support, year after year: Panasonic,
Kodak Alaris, Midwich, eImageData, EASY
Software UK, ITESOFT and Northamber.
DELAYS, ERRORS AND COSTS
ASSOCIATED WITH MANUAL,
PAPER-BASED WORKFLOWS
AND FILING."
Digitisation is changing the way
that we live, learn and work. In
the classroom it's supporting more
personalised, enriched learning
experiences through technology-driven
teaching methods, while in the office
digital working practices - including the
scanning and digitisation of material -
have streamlined administrative
processes and are facilitating improved
collaboration between staff, students,
parents and carers. Now, with the
implementation of the general data
protection regulation (GDPR), digitisation
offers a simple solution to compliant
document management within the
school setting.
A NEW WAY OF WORKING
The benefits of digital working practices
are tied to realising efficiencies and
optimising existing resources while
driving improvement. There has been a
push in schools and academies to reduce
the use of paper and the associated
costs; however, for certain purposes -
test papers, meeting notes, forms
submitted by parents or staff, invoices,
etc. - it remains indispensable. The use of
scanners means that paper-based
documents can be safely recorded and
stored digitally - saving on time and
expense and making storage and
document sharing easy.
At Fujitsu we offer a wide range of
scanners - including sheet-fed, flatbed
and overhead models; each is suited to
different applications, but all perform an
essential function: converting printed or
handwritten documents into a digital
format that can be shared, stored and
distributed with ease. In addition,
associated technology - such as optical
character recognition - enables you to
convert scanned images into text files,
meaning that content can be edited and
saved as Microsoft Office documents,
for example, or inputted into school
management/content management
systems where it can be retrieved using
simple searches.
SCAN MORE; PRINT LESS
Research published by Naace, the
educational technology association, in
conjunction with Fujitsu - 'Scan More;
Print Less - How schools increase
learning while reducing teacher
workload by going digital' - found that,
once students' work is digitised and
made available online, the ways it can
be used are radically extended.
Feedback from peers, teachers and
family is much wider and, using
scanners, teachers can easily capture
and digitally record a student's work -
mapping out their progress throughout
the term and sharing that information -
on demand - with students and their
parents.
The ability to capture paper-based
information digitally and to store it
securely on the school network, or in
the cloud, helps to speed up the
capture of correspondence - such as
permission slips, catering requests and
HR material - eliminates delays, errors
and costs associated with manual,
paper-based workflows and filing. In
some schools it has revolutionised data
management in terms of organisation,
storage and security capabilities; using
cloud-based servers, document retrieval
and sharing between colleagues across
the school or multi-academy trust
creates efficiencies in terms of time, cost
and space. One school is using a Fujitsu
ScanSnap iX500 scanner to digitise and
distribute the large number of financial
documents handled by the bursaries
office and to streamline everyday
administrative processes, including the
management of absence notes.
Pre-planned absence notes handed in
by parents used to be photocopied by
the department, stored in filing cabinets
and handed out to teachers spread
across the school grounds - a slow,
time-consuming and unreliable process.
Now, absence notes are digitised on the
iX500 and, using the scan-to-email
function, circulated instantly to the
teachers concerned. This system also
improves the learning experience as,
when a pupil is absent, missed
classwork can now be scanned and
emailed to them so that they can catch
up remotely.
YOUR GDPR STRATEGY
Every day, an incredible volume of paper
documentation is processed in schools
across the UK and much of this includes
personal or sensitive data; while your
printing and scanning habits may not
be the first things that come to mind
when considering GDPR, these activities
constitute 'processing'. Under the GDPR,
all businesses, including schools, must
have established, GDPR-compliant
policies which enable the effective
processing of personal data - personal
information held needs to be securely
managed and stored and easy to access
and to edit - failure to comply can lead
to fines of up to 20 million euros or
four per cent of annual turnover.
Investment in digital transformation
delivers savings and efficiencies across
the whole school and helps to prepare
for future regulatory compliance. At
Fujitsu we have investigated how
scanning and document capture can
support GDPR-compliance; working
with our partners we have developed
GDPR-related strategies and clearlydefined
processes relating to how to
detect and react to data security flaws.
PLANNING FOR COMPLIANCE
For schools, when it comes to
compliance, we advise that you assess
the relevant data you hold and where it
resides - the start point should be the
digitisation of paper-based documents
by scanning them and merging them
with other digital material. Paper-based
documents are more prone to human
errors - scanning, digitising and
operating online means that you have
control of data and, once scanned, it
can be filed on a network, in the cloud
or on a local PC.
Our capture software is designed to
leverage and optimise data; we've
partnered with EASY Software UK -
whose sister company, OtrisSoftware
AG, has worked for 12 years on privacy
management solutions. The software
we use makes the identification and
management of personal data easier -
streamlining data capture and entry
points - which makes questions relating
to GDPR compliance easier to answer.
More info: emea.fujitsu.com/scanners
KEY QUESTIONS TO ENSURE GDPR COMPLIANCE:
Right to access: can you find all the data you hold on an individual?
Retention periods: do you know how long you can lawfully hold data for?
Data erasure: are you confident that the right of an individual to 'be forgotten' can be met, and that every single trace can be
removed?
Privacy by design: are you building-in security steps from the outset?
Security: how many copies of your documents exist?
Consent: do you have consent to hold the data, and how will you use it?
Audit trails: GDPR is not just about being compliant - it's about proving it in a court of law; can you confidently prove your
processes are lawful?
Dm MANAGEMENT: CLOUD PRINT
Cloud printing: key to
digital transformation
A reduction in infrastructure costs is the key
driver toward cloud adoption, according to
James Turner, Regional Sales Manager at Y Soft
The accelerated move toward the
cloud can be seen across the
business world, with the most
interest in the cloud coming from a
desire to reduce costs associated with IT
infrastructure. Technology in general has
come a long way toward making IT
processes more streamlined, but
organisations can further reduce
infrastructure costs by utilising the cloud.
The advantages of cloud computing are
well-documented, with the technology
bringing operational efficiencies,
reducing expenditure and increasing
agility. As businesses increasingly focus
on technology and processes that allow
them to be more efficient, productive
and secure, failure to implement cloud
printing as part of this philosophy, risks
organisations being left behind.
Quocirca's recent report on the future
of the print industry - 'Global Print 2025'
- suggested that private, hybrid and
public cloud printing is the biggest area
of digital transformation to capture the
attention of the print industry, and is one
of the key areas for investment between
now and 2025.
The transition to a cloud-based solution
can remove some of the administrative
tasks and related costs which have
traditionally been carried out by internal
IT teams, saving time and freeing up IT
resources to focus on more important
strategic elements. It can also add value
by eliminating or vastly reducing
maintenance costs.
Smaller organisations may not have an
IT team or may outsource most of their
IT needs, so for these organisations,
leveraging the cloud, especially through
a cost-effective subscription service, may
give them access to tools and
technologies previously cost prohibitive.
Regardless of company size, the journey
into the cloud may well be dictated by
infrastructure, with footprint and costs
playing a part. With existing hardware
sitting as a tangible asset and generating
costs, organisations may look to remove
this and move to the cloud, renting
hardware and connecting to a thirdparty
data centre. This drive to reduce
infrastructure and infrastructure costs
applies to print services too.
Cloud printing supports the need to
print documents on any printer on the
company's network. Crucially, this also
makes printing from a mobile device
straightforward, thereby saving
employees time by removing the need
for them to reach a desktop before
printing a document.
Our YSoft SafeQ workflow solutions
platform is used by corporations and
SMB organisations to manage, optimise
and secure their print and digital
processes and workflows. YSoft SafeQ
supports private and hybrid cloud
options. With YSoft SafeQ, for example
with Azure AD services, customers can
have a single-sign cloud authentication
for all the company's cloud-based
services including multifunction devices
or networked printers.
While the need to frequently print
documents isn't quite as prevalent as it
once was, printing still makes up a
crucial part of IT processes for many
companies, meaning cloud printing is
essential if organisations want to ensure
that all of their IT assets are properly
joined up.
Dm INTERVIEW: IBML
Rise of the easy integrators
With ibml adding ISIS and TWAIN drivers to its high
volume desktop production range, DM Magazine editor
David Tyler sought out Ashley Keil, the company's sales
director for Northern & Western Europe, Africa & India to
find out what's new with their intelligent scanners
David Tyler: Is intelligent scanning
a concept central to the appeal of
your new desktop offerings?
Ashley Keil: Intelligence for me in the
capture world means three distinct
things: manual, server or scanner-based
intelligence.
Manual, of course, is everything being
done physically - staff inserting separator
sheets, looking at every document to
validate and check them and so on.
Clearly this is cumbersome, inefficient,
slow and ultimately hugely expensive.
With a server-based approach, users may
have an IDR (Intelligent Document
Recognition) engine for instance which
does some of the document analysis for
them 'on the fly'. This helps users to
remove certain overheads like manual
document classification, keying of
metadata, separator and insertion costs
but there are still a significant number of
things that operators have to do manually
such as locate and extract documents that
have failed a business rule.
Shifting the 'intelligence' to the actual
capture device - the scanner - means a
fully automated software and hardware
approach. The scanner can do many of
the things that a server focused IDR
solution does but it adds a physical
reaction where the server approach falls
short. For instance, the scanner can
automatically out-sort defined documents
or reject incorrect transactions pulling out
documents from a batch, for example,
where a customer hasn't signed a form
where the business process requires it.
This reduces processing costs even more
and, from a ROI perspective, our
customers should see a tangible
difference to their operations very quickly.
DT: How is this approach reflected in
your recent announcements?
AK: The market has always known ibml
for its very high volume ImageTrac
scanners. Now we've launched ISIS and
TWAIN drivers for our high volume
desktop production scanners - the DS
1155 and DS 1210 scanner models -
which extend the value of these popular
devices by enabling easy integration
with most third party document capture
solutions. It is this integration which is
key. It means end-users can take
advantage of higher speeds and
performance as part of a total
document management solution even
with all the intelligent processing
functions switched on.
These scanners are fast: the DS 1155
scanner is able to process up to 155
pages per minute (ppm) with the DS
1210 rated to process up to 210 ppm
making it one of the fastest desktop
production scanners in the world.
This makes them ideal for use in a range
of industries. This includes banking,
insurance, healthcare, government and
BPOs where the necessity to lower paper
digitising costs is critical, and
organisations require a scalable platform
which is easy to implement and can be
easily upgraded to automate key
business processes at the point of
capture. The DS series scanners are
perfect for digital mail rooms and other
environments where space is at a
premium and the workload high.
Our customers can now take advantage
of these intelligent scanners to replace
existing standard desktop scanners within
their existing capture solution, ensuring
no productivity loss with existing users.
DT: How does the DS range help
customers like BPOs to add value to their
operations and save money?
AK: I would say that customers'
document capture needs are changing.
Whilst clearly fast scanning for archival
purposes is still required, many
customers want to augment this and
incorporate scanned information directly
into their business workflows which by
definition have business rules attached
to the capture process. Those business
rules can be automated with intelligent
scanning technology.
The staff time to deal with documents
pre and post scanning contributes to
more than 75% of the total cost of
scanning. We've added intelligence
features designed to cope with the most
demanding scanning environments and
which help our customers to reduce their
total cost of capture.
INTERVIEW: IBML Dm
"IF YOU TALK TO MANY ORGANISATIONS - PARTICULARLY BPOS - THEIR MAIN BUSINESS AIM IS TO MOVE AWAY
FROM ARCHIVAL SCANNING AND INTO WHAT'S NOW COMMONLY KNOWN A DAY-FORWARD BUSINESS. THIS
ALLOWS THEM TO NOT ONLY ADD VALUE TO WHAT THEY DO BUT GENERATE ADDITIONAL REVENUE. MOST
FIRMS WE DEAL WITH ARE MOVING THIS WAY. THIS MEANS A NEED FOR INTELLIGENT CAPTURE AS IT DRIVES
EFFICIENCY AND MARGIN FOR THEM."
In addition, the DS scanners come with
a variety of other features perfect for
demanding scanning environments. For
example our multi feed detection uses up
to five ultrasonic sensors. A simple
example of why this is helpful is where
users need to scan envelopes. We're
seeing this more and more either for
audit trail purposes or to initiate a
transaction so envelope handling on the
DS devices is highly sophisticated. In
addition the ability to handle long
documents up to 150 cm makes the DS
range perfect for healthcare use where
ECG medical records are being digitised.
DT: Can you give me a simple end-user
example of how scanner intelligence
works in practice?
AK: We work with a service provider
company who supports charities,
managing donations so they make the
best use of every penny given by donors.
Payments come into their mail room in
various formats: cheque, credit card and
Charities Aid Foundation vouchers which
make up approximately 10% of
payments received. Their DS scanner is
set to process these vouchers using
inbuilt intelligence.
As post comes in, it is prepared and
scanned and the software automatically
captures significant field data such as the
payment amount, donor details, Gift Aid
eligibility, and then validates the figures
and generates a payment slip. Name and
address details are also captured as part
of the workflow process. There are
various benefits. Firstly, payments are
processed faster which means the
charities get their funds quicker.
Secondly, the accuracy of captured data
is improved. Thirdly, PCI compliance
requirements are met. And lastly, the
service provider has been able to respond
to donors promptly to thank them which
encourages repeat giving to its charity
customers.
DT: Is there a simple migration path for
companies buying DS scanners?
AK: This is the ethos behind what we are
doing. Not only can customers upgrade
the speed from 155 to 210 ppm but the
DS series enables users to migrate from
traditional scanning approaches which
will allow them to use our scanners
initially as they might use any other
scanner today - just to scan documents -
and then add intelligence to derive
greater value.
DT: What is the market asking for from
ibml and indeed the capture industry and
how does intelligent scanning help?
AK: If you talk to many organisations -
particularly BPOs - their main business
aim is to move away from archival
scanning and into what's now commonly
known a day-forward business. This
allows them to not only add value to
what they do but generate additional
revenue. Most firms we deal with are
moving this way. This means a need for
intelligent capture as it drives efficiency
and margin for them.
We can help those users build towards
more intelligent capture at their own
pace, adding speed and intelligence
capabilities as they need with most
people now very aware how much can
be saved by automating a lot of the
traditional pre and post prep tasks. Our
proposition - building intelligence into
our scanner hardware as well as by
using software - really augments this. It
gets information into systems earlier in
the capture process and really helps
with not only ROI but SLAs by reducing
the length of time for approvals or
validation processes.
In summary, our DS series is a disruptive
technology in scanning that delivers
greater value and benefits yet with a
financial investment similar to our
customers' current default scanner
vendors. They help reduce the cost of
document scanning and go a long way
to future protect users whose scanning
needs are changing day by day as the DM
market becomes ever more focused on
day forward business-process based
applications where it is the content of a
document rather than just the scanned
image which is important. And users get
high performance and robust equipment
at no extra cost - which is obviously key.
Dm CASE STUDY: BRIGHTSIDE GROUP
ROI from RPA
Data Capture Solutions has deployed its Robotic Process Automation software at
Brightside Group, a leading UK insurance broker, introducing robotics to their back
office for the first time
The use of robotics increases the
efficiency of the processes
Brightside relies upon to deliver
car, home and business insurance to
hundreds of thousands of customers
across the UK. And David Holloway,
Brightside's transformation director,
believes that robotics is likely to play a
growing role in meeting chief
executive Mark Cliff's vision of creating
a fully digital broker.
"We have implemented digital
marketing and sales at the front-end,
but now we are using robotics to
enhance back office activities such as
documentation, printing and
despatch," said Holloway. "We are
already discovering that robotics has
reduced both cost and error rates, and
by taking out the human variable we
have significantly improved our
response time. Using robotics for nonvalue
added activities will also make
Brightside more scalable as an
organisation."
While robotics is not new to financial
services, many businesses (such as in
life and pensions) have largely failed
to make it work for them and their
customers. With the assistance of
Neopost, which made the original
introduction between Brightside and
DCS, DCS identified the most suitable
parts of the operation for RPA. It is
being used for compiling document
packs where the insurance documents
are coming from third party portals,
reconciling invoices and posting
credits received from debt cases. There
are plans to extend robotics to two
more processes; management of debt
write-offs and the automation of
cancellations due to missed payments.
"Automating debt write-offs is,
frankly, not sexy stuff, and most
digital investment focuses on new
business and digital sales," Holloway
added. "However, transforming
Brightside into a fully digital player
means investment in the back-end is
just as important as the front-end. It
will deliver cost savings and efficiency
improvements that will be passed onto
the customer.
"Our underlying principle is to use
robotics where the task is repeatable
and the agent is adding little value,
leaving humans to work on the more
unusual or difficult scenarios where
they can add value. Brightside is not
going to be manned solely by robots
any time soon though, but we fully
"WE HAVE IMPLEMENTED DIGITAL
MARKETING AND SALES AT THE
FRONT-END, BUT NOW WE ARE
USING ROBOTICS TO ENHANCE
BACK OFFICE ACTIVITIES SUCH AS
DOCUMENTATION, PRINTING AND
DESPATCH. WE ARE ALREADY
DISCOVERING THAT ROBOTICS HAS
REDUCED BOTH COST AND ERROR
RATES, AND BY TAKING OUT THE
HUMAN VARIABLE WE HAVE
SIGNIFICANTLY IMPROVED OUR
RESPONSE TIME. USING ROBOTICS
FOR NON-VALUE ADDED ACTIVITIES
WILL ALSO MAKE BRIGHTSIDE MORE
SCALABLE AS AN ORGANISATION."
expect to report a better customer
experience."
"We have worked with the Brightside
team in a very agile fashion and
focused first on automating chunks of
activity which are low risk," said Nick
Scarff, managing director, DCS. "The
key to a successful RPA project is to
understand the process 'as-is' first and
then apply automation. The approach
has paid dividends already. Brightside
has a return on its investment less
than six months into the project."
Insurance brokers have been
criticised in the past for underinvesting
in technology, and shying
away from digitisation. Yet, Brightside
is convinced that, in personal lines
broking, embracing digital will be the
difference between thriving and
extinction.
Dm MANAGEMENT: ECO STRATEGIES
A global warning
Amy Wright of Storetec examines
the environmental impact of
processing paper documents
For years we have been warned
about the potentially
catastrophic
consequences of Climate
Change, but taken little
action. A key question
we must ask ourselves
is, are our paper
processing activities
costing the earth? To
an extent, the
answer is yes. It's
easy to forget that
everyday activities
including sorting
mail, filing paperwork
and printing contracts
are fuelled by
deforestation, which is
significantly contributing to
global warming.
These everyday activities may
seem minimal to individual office
workers but astoundingly, this
amounts to an average of 10,000
sheets of paper used per office worker,
per year, across the UK. One survey
conducted by research firm Loudhouse
also found that as many as 6,800 out of
the 10,000 sheets of paper used are
wasted. Whether you work in the
private or public sector, within a SME or
large business, we are inundated with
paper documentation on a daily basis.
Some industries do operate with a
heavier reliance on paper than others;
an example being the healthcare
industry. Hospitals and surgeries often
store patient files which particularly for
surgeries, is frequently accessed
following consultations. In a digital era
with advanced document management
systems, there is no need for office
workers
to continue
working with an
outdated reliance on paper.
WHY NOW?
In October 2018, the Intergovernmental
Panel on Climate Change (IPCC) issued
an urgent report suggesting that the
world is completely off-track and
heading towards a rise of 3 degrees C
which will have significant and
dangerous impacts on the world. We
used to
think if we could keep
warming below two degrees this
century, then the changes we would
experience would be manageable. Not
any more. This new study says that
going past 1.5 degrees C is dicing with
the planet's liveability. And the 1.5 C
temperature "guard rail" could be
exceeded in just 12 years, by 2030
according to recent reports on the BBC
and elsewhere.
Did you know that 4 billion trees are
MANAGEMENT: ECO STRATEGIES Dm
"DID YOU KNOW THAT 4 BILLION TREES ARE CUT DOWN EACH YEAR TO MAKE PAPER? AS WE ALL NOW KNOW,
GLOBAL WARMING IS CAUSED BY HUMAN ACTIVITIES SUCH AS BURNING FOSSIL FUELS AND FARMING WHICH
PRODUCES HIGH LEVELS OF CARBON DIOXIDE. FORESTATION PLAYS AN IMPORTANT PART IN REGULATING THE
CLIMATE AS TREES AND PLANTS ABSORB CARBON DIOXIDE FROM THE AIR AND RELEASE OXYGEN."
cut down each year to make
paper? As we all now know,
global warming is caused by
human activities such as
burning fossil fuels and
farming which produces high
levels of carbon dioxide.
Forestation plays an
important part in regulating
the climate as trees and
plants absorb carbon dioxide
from the air and release
oxygen.
With the pace of
deforestation increasing, we
face the fact that the climate
cannot be properly regulated
as well as the concern that
further logging causes trees to
release the carbon stored into the
atmosphere. The transportation of
the paper product from trees only adds
to the problem as in order to transport
the product, fuel is burned which
contributes to the ever-increasing
levels of CO2.
WHAT CAN BE DONE?
Businesses across the globe have a
corporate responsibility to review and
change their processes to help in the
campaign to reduce global warming.
Some organisations have already
implemented schemes to become more
eco-friendly. IKEA now sources 50% of
its wood from sustainable foresters and
are working towards the goal of
powering all stores by 100% renewable
energy by 2020. But for smaller
organisations, there are simple, yet
effective actions businesses can take to
boost their 'eco credentials' and
become paper-lite:
Rather than print documents,
digitally access the information you
need using a secure document
management system such as
FreeDocs.
Utilise workflow capabilities such as
e-signing, which carries the same
weight as physical signatures but
reduces the paper used. FreeDocs
contains a host of workflow
capabilities such as digital
signatures.
If you do need to print any
documents, ensure the paper waste
is recycled. If you don't have the
time, why not outsource the
destruction service to Storetec?
Scan your paper archive into a
digital format for ongoing access
and to back up your records - and
then remember to recycle the old
paper copies!
Finally, think twice before you click
print!
EFFICIENT AND ECO-FRIENDLY
Digital access to business-critical
records not only helps your organisation
become eco-friendly but can
dramatically increase workplace
efficiency and productivity. Did you
know it can take workers as long as 15
minutes to locate a single document?
This amounts to almost 60 wasted
hours a year, per employee - and this
isn't to say that the employee is only
going to search for one document per
day. These figures are astonishing and
show how cash and resources are
wasted in organisations due to poorly
organised paper filing systems.
Rather than simply outsourcing for
your paper archive to be scanned, why
not integrate a cloud-based document
system into your everyday operations?
Awarded Product of the Year at the DM
Awards 2018, FreeDocs has vast
security and search capabilities which
means office workers can access
documents quicker than ever before!
FreeDocs has the capabilities of
searching through 238 million records
in just 4 seconds.
On the whole, businesses of any size
who make the most of outsourced
document scanning services and
document management systems will see
huge internal benefits as well as
corporate achievements of becoming
sustainable and eco-efficient.
REVIEW YOUR ARCHIVE TODAY
It's high time we changed our habits in
order to work toward a more
sustainable future for generations to
come. If you have a spare hour today,
why not have a quick review of those
documents stored on your desk and ask
yourself, can I access these documents
online instead?
Awarded BPO/Outsourcing/Bureau
transition of going paperless. We
understand that businesses are legally
obliged to retain certain records. We
can work with you to review your
archive and decide on the
documentation which must be retained
and what can be destroyed and
recycled. If you're concerned about your
Dm ANALYSIS: GDPR
Heading for a fall?
The majority of businesses are failing to comply with GDPR, according to recent
research
Some 70% of businesses
worldwide failed to address
requests made from individuals
seeking to obtain a copy of their
personal data as required by GDPR
(General Data Protection Regulation)
within the one-month time limit set
out in the regulations, according to
new research from Talend.
The research is based on personal
data requests made to 103 companies
based or operating in Europe across
industries including retail, media,
technology, public sector, finance, and
travel. Conducted between June 1 and
September 3, 2018, Talend assessed
responses to GDPR Article 15 ("Right of
access by the data subject") and Article
20 ("Right to data portability") requests,
monitoring areas including GDPR
references in privacy policies, and the
speed and completeness of responses.
"GDPR requires insight into company
data and its governance," said Penny
Jones, Research Director at 451
Research. "Recent research, including
that done by Talend and separate
reports by 451 Research, has found
that while many organisations
understand the importance of GDPR,
many are still not taking their data
seriously in terms of the technologies
and processes they have in place. As a
result, many businesses are falling
short of their GDPR obligations. They
can lack the proper methods for
storing, organising or retrieving data in
line with the regulation's
requirements."
Major findings from the research are
summarised below.
GDPR compliance is higher outside of
Europe: Just 35% of Europe-based
companies polled provided data. This
includes companies headquartered in
the UK, France, Germany, Spain,
Sweden, and Italy. However, at 50%,
the compliance rate was slightly higher
for non-European companies,
suggesting that businesses outside of
Europe are taking a slightly more
proactive approach to GDPR.
Retail firms were the worst
performers: A worrying 76% of retail
companies polled failed to respond,
while the best performing industry,
Financial Services, still only managed a
50% success rate. When drilling down
in the results, the research suggests
that businesses that started out offline,
and those that are hindered by legacy
systems, may find GDPR compliance
more challenging.
Significantly different response times
between industries: The vast majority
(65%) of GDPR compliant companies
took more than ten days to respond
and the overall average response time
was 21 days. For some, however, the
response was much quicker. Of those
who responded within the time limit
(22% of companies) - primarily
streaming services, mobile banking,
and technology businesses - replied
within just one day, suggesting that
digital service companies are more
agile when it comes to GDPR
compliance.
"GDPR presents an opportunity to
engage with customers and build
loyalty. It's vital for businesses in the
digital era to have a 360-degree view
of customers," commented Jean-Michel
Franco, Senior Director of Data
Governance Products at Talend.
"Businesses must ensure that data is
consolidated and stored in a
transparent and shareable way. What's
more, GDPR's one-month time limit
should be viewed as an absolute
deadline rather than a target. Our
research shows that it is possible for
some brands to respond within a day,
suggesting that these brands
understand fast response times will
help boost customer trust."
STRATEGY: BIG CONTENT Dm
The big idea
Nuxeo's David Jones explains how modern Content Services Platforms can
transform Big Content into big opportunities
business applications was also seen as
another impasse by 74 percent of
those surveyed.
In the increasingly digital world in
which we live, effectively managing
enterprise content is becoming a
bigger and bigger challenge. The
explosion of "Big Content" is thanks to
not only the volume at which it is
being produced, but also due to
increasing content types and formats
as well as the proliferating number of
systems used for storing this
information.
At the same time, the size of Big
Content files is growing - making it
even bigger content. This is putting
increased pressure on CIOs to have
adequate information governance
strategies in places. Especially in
situations where information assets
have to be retained for long periods
of time.
With big data and analytics now
firmly at the top of the business
agenda, how big content is managed is
critical. Data-driven strategies are now
fast becoming central components to
how organisation's differentiate
themselves in an increasingly
competitive digital economy.
ISSUES AROUND BIG CONTENT
Earlier this year, The Association for
Information and Image Management
(AIIM), set out to discover how
organisations are managing their Big
Content in a daily race to turn it into
a valuable business asset. One of the
central problems that AIIM discovered
is that it is difficult for knowledge
workers to find the data they need to
do their jobs. 75 percent went as far
as saying they are suffering from
information overload.
AIIM also looked closely at usability.
It found that around 63 percent of
knowledge workers find it difficult to
share data and collaborate with
colleagues, customers, suppliers and
partners. Shockingly in today's access
anywhere culture, 58 percent cited
mobility as a real issue.
On exploring integration, AIIM
found that ability to connect
information from different systems
was proving highly complex. 79
percent saw it as a major challenge.
Integration between content
management systems and core
GETTING OVER THE HURDLE
With such obstacles in the way, how
can an organisation actually prepare
itself to deal with Big Content moving
forward? This is where Content
Services Platforms (CSPs) come into
play. CSPs, the modern successor to
Enterprise Content Management
(ECM), have been designed to access
data across multiple repositories and
to connect disparate applications and
content. CSPs also include content
related services that organisations can
exploit, including workflow and
indexing categorisation amongst
others, against this Big Content.
A CSP can also act as a central
information hub - not just for data
and content stored within the CSP,
but also for information sitting in
multiple legacy systems deployed
across the organisation. In other
words, users have a one-stop-shop to
go to for storing and retrieving data
across the enterprise.
CSPs are about actively using content
inside and outside the organisation.
They are scalable, flexible, connected
and cloud-native. With Artificial
Intelligence (AI) becoming more
pervasive CSPs provide the ability to
take advantage of AI and Machine
Learning to automate some previously
mundane manual processes, freeing
up knowledge workers to focus on
core business projects.
Without adopting a CSP
organisations will quickly sink under
Big Content overload and find it
impossible to tap into the insight they
need for smart decision making. The
time to act is now - rest assured, your
competitors are.
Dm RESEARCH: CAPTURE TRENDS
Worldwide Capture Software market grows 11.3%
Cloud services and Robotic Process Automation enabled by Capture 2.0 are
'energising the market' according to HSA research
"THE DYNAMICS OF THE CAPTURE
SOFTWARE MARKET ALSO ARE
CHANGING PROVIDING NEW
OPPORTUNITY. THE CAPTURE
SOFTWARE VENDORS THAT ARE
THE TRADITIONAL MARKET
LEADERS ARE BEING CHALLENGED
BY ECM PLAYERS THAT HAVE
INVESTED IN AND INTEGRATED
CAPTURE INTO THEIR SOLUTIONS
PORTFOLIOS. THERE ARE ALSO A
NUMBER OF UP AND COMING
VENDORS THAT ARE CHALLENGING
THE "TOP 5" WITH A PORTFOLIO OF
CAPTURE 2.0 SERVICE."
HSA, Inc., the leading analyst firm
covering the Capture Software
market, reported that analysis of its
most recent annual Worldwide Market
Survey showed that the market for
Capture Software is experiencing doubledigit
growth.
Capture 2.0 Intelligent Capture services,
Cloud based systems, along with a strong
revenue base from On-Demand and Batch
Capture systems are positively impacting
revenues. The worldwide market has
grown by 11.3% reaching US$4.1bn in
end-user revenues. Robotic Process
Automation (RPA) Capture Systems are
also contributing to strong growth with
an increase of more than 110% year over
year. Cloud services are predicted to
continue to grow by 40% CAGR through
2022 to over $1.4bn.
RPA is generating high interest and
expectations. Organisations are finding that
a lot of effort is being spent on keystrokes
devoted on transferring data from one
system to another. RPA is being
implemented to solve simple data look up
and transfer tasks. But "Intelligent Capture
2.0 is critical to take RPA to the next level"
says Mike Spang, VP Research for Harvey
Spencer Associates.
Intelligent Capture Technologies are
affecting near real time, customer facing
business applications. Case Management
applications are in demand in top vertical
markets including: Retail Banking,
Insurance, and Healthcare. They have
applicability in loan processing, supply
chain tracking and Human Resources onboarding
to name a few.
Cloud Services enable automation of
business processes in enterprise size
business, but HSA is seeing these
capabilities now extended to the midmarket.
These include AI technologies that
provide the ability to classify, apply business
rules and extract needed data from a
variety of media types not limited to
traditional documents. Voice, object and
image understanding are included in what
HSA defines as Capture 2.0. Cloud Service
platforms will be the new standard for
development and delivery of Capture
applications where Capture APIs will be
integrated quickly and efficiently with other
applications all of which is designed to
automate a particular business process.
The dynamics of the Capture Software
market also are changing, providing new
opportunity. The Capture Software vendors
that are the traditional market leaders are
being challenged by ECM players that have
invested in and integrated Capture into
their solutions portfolios. There are also a
number of up and coming vendors that are
challenging the "top 5" with a portfolio of
Capture 2.0 Service.
HSA estimates the worth of the total
available market for Capture 2.0 Services at
$30bn worldwide. Transformation to
Capture 2.0 will have far reaching effect
resulting in opportunities for software
vendors, integrators, scanner and MFP
hardware vendors, as well as business
process solution providers.
