University Hospitals Plymouth NHS Trust accelerates<br />

digital transformation as part of its commitment to<br />

secure digitisation of health records<br />

University Hospitals Plymouth<br />

NHS Trust (UHPNT) is<br />

committed to creating a single,<br />

secure digital health record for every<br />

patient, accessible from any location,<br />

at any time. The decision was made to<br />

digitise the records in-house and the<br />

Trust set up an in-house scanning<br />

bureau equipped with Alaris<br />

production scanners and Alaris Capture<br />

Pro Software.<br />

Throughout the deployment, Alaris<br />

Professional Services supported the<br />

scanning bureau team in making the<br />

capture workflow as productive as<br />

possible. Alaris worked closely with the<br />

Trust team to confirm and identify the<br />

capabilities of the hardware and<br />

software to support the Trust's<br />

scanning strategy. "The Professional<br />

Services team helped fine tune the<br />

solution to make the scanning process<br />

as efficient as possible," said Rob<br />

Harder, Head of IT Infrastructure and<br />

Support Services. "That's been a huge<br />

benefit. When you are trying to get a<br />

scanning bureau up and running you<br />

need to ensure that all of the different<br />

elements are working together as<br />

effectively as possible," he added.<br />

The Trust also worked alongside<br />

Elisabeth Belisle, a long-term Alaris<br />

partner who set up one of the UK's first<br />

BS 10008-accredited specialist<br />

scanning bureaus. She provided expert<br />

support, collaborated on creating new<br />

procedures and delivered hands-on<br />

training, thus helping the Trust to work<br />

towards achieving BS 10008<br />

accreditation, something it expects to<br />

attain by autumn 2019. Once<br />

accreditation is achieved, the Trust will<br />

be able to start to destroy paper<br />

records.<br />

When the project went live, the<br />

bureau scanned live patients' notes,<br />

firstly within the Paediatrics speciality<br />

and then moving on to digitise<br />

Hepatology patients' records. "Alaris<br />

helped us streamline the scanning<br />

process making sure we captured the<br />

appropriate metadata and, because we<br />

use barcodes to streamline some of our<br />

processes, they ensured the software<br />

was configured to identify those<br />

barcodes. All of that really helped with<br />

the project in terms of making<br />

processes more efficient and effective."<br />

Harder explained.<br />

As part of the digital transformation<br />

project, the Trust developed its own<br />

scanning application. "This is linked to<br />

our use of barcodes in association<br />

with our Scan4Safety programme,"<br />

Harder said, adding: "The App helps us<br />

track paper records through the<br />

scanning process."<br />

Since becoming fully operational the<br />

Trust has scanned a total of almost<br />

24,000 case note volumes - just over<br />

half of which were for deceased<br />

patients - and 20,000 day forward files.<br />

Scanning Bureau Manager Rachael<br />

Sargeant, said: "We typically process<br />

circa 1,300 case notes and 2,000 day<br />

forward files each month. Our peak<br />

throughput was 3,800 volumes and<br />

2,650 files in January 2018, and the<br />

scanners have proven to be robust and<br />

reliable throughout."<br />

With this paperless project, the Trust<br />

is looking to reduce costs, increase<br />

productivity and further improve<br />

patient care by providing clinicians with<br />

faster access to records. Health Records<br />

Manager Vanessa Bennett, said that<br />

enabling clinicians to have instant<br />

access to records and for the notes to<br />

be available in more than one place at<br />

any one time, was a key criterion.<br />

Feedback from medical staff has been<br />

extremely positive. "They really like the<br />

ability to access the patient notes when<br />

they see the patient instead of having<br />

to think ahead and request the notes<br />

out of the Records Library," she said,<br />

adding: "Another benefit is that once<br />

digitised, the patient record can be<br />

seen by any other speciality, so whilst<br />

the project has to date been centred on<br />

Paediatrics and Hepatology, if a patient<br />

in either of those specialities is referred<br />

to another department, we will digitise<br />

those notes as well."<br />

Speaking of the 'loose filing' issue that<br />

affects every Trust, Bennett continued:<br />

"We were faced with a colossal backlog<br />

of loose filing going back many years -<br />

it was a mammoth task and if we had<br />

to physically file all the paper<br />

documents, we would never have got<br />

through it."<br />

Scanning has improved this process.<br />

In addition to the number of volumes<br />

cited above, the Trust has also scanned<br />

almost 400,000 loose filing sheets. "We<br />

have been able to clear the loose filing<br />

backlog and most importantly make<br />

that information accessible to<br />

clinicians. They can now simply logon<br />

to e-notes and access missing<br />

information - if we receive any loose<br />

filing for Paediatrics/Hepatology or ENT,<br />

we simply scan it as it comes in now,"<br />

Bennett explained.<br />

The Trust is currently reviewing the<br />

need for back scanning. The reason<br />

behind the review is that the back scan<br />

is relatively unstructured. Harder said:<br />

"Our intention is to roll out digitised<br />

health records to all specialities within<br />

the hospital over a three year period.<br />

Whether this will be day forward or day<br />

forward and back scanning in tandem,<br />

will be dependent on the outcome of<br />

the review.<br />

"There is a requirement to review the<br />

storage capacity within the warehouse<br />

and our objective is to reduce the cost<br />

associated with physical storage. Once<br />

the organisation is clear on its direction<br />

of travel, we will be able to achieve<br />

these goals, whilst still adhering to NHS<br />

Records Management Code of Practice,<br />

and being able to pull data in a<br />

reasonable time frame," he concluded.<br />

Brexit: is public sector BPM ready?<br />

With the UK's departure from the European Union<br />

scheduled for March 2019, new research suggests that<br />

more than half (58%) of public sector bodies will have<br />

to re-engineer their business processes due to Brexit.<br />

and how public sector<br />

bodies can improve their<br />

business processes,<br />

regardless of the UK's<br />

relationship with the EU<br />

The uncertainty about what Brexit<br />

means to the UK's public services is<br />

having a disruptive impact on the<br />

sector, according to a new study. Not<br />

only will 58% of public sector<br />

organisations have to re-engineer their<br />

business processes to cope with Brexit,<br />

but 43% have yet to prepare for it. This<br />

is chiefly because IT decision makers are<br />

unclear on how Brexit will impact them.<br />

The 'Public Sector Survey Report:<br />

Breaking Through Bottlenecks' was<br />

commissioned jointly by Alfresco and<br />

GovNewsDirect and is based on<br />

interviews with 742 individual<br />

respondents at C-suite level in Local and<br />

Central Government, Emergency<br />

Services, Justice and Housing<br />

Associations. 84% identified themselves<br />

as a decision maker, implementer,<br />

influencer or policy maker in digital<br />

transformation at their organisation.<br />

More than half (51%) of these<br />

decision makers expect business reengineering<br />

progress to be affected by<br />

the uncertainty around the Brexit final<br />

deal, and comments from IT directors<br />

highlight how legislation - and<br />

therefore the management around that<br />

- will change.<br />

Many respondents commented that<br />

the lack of clarity has made it hard for<br />

them plan fully for the UK's imminent<br />

departure from the UK. There are<br />

implications for local government,<br />

especially EU legislation, financial<br />

transactions and the affect on EU<br />

nationals living in the UK.<br />

Preparing for Brexit is the second<br />

major change event that UK IT decision<br />

makers have had to deal with in the last<br />

year, following the implementation of<br />

GDPR in May 2018. More than 80% of<br />

respondents say they are either<br />

"extremely" or "very" aware of the<br />

implications of GDPR for their<br />

organisation, which includes increased<br />

fines for non-compliance and reduced<br />

response times for Freedom of<br />

Information (FOI) requests and Subject<br />

Access Requests (SARs).<br />

PROVING THE CASE FOR PROCESS<br />

AUTOMATION<br />

Given the diverse formats that data is<br />

captured and stored in within the<br />

FOR THE UK'S IMMINENT DEPARTURE FROM THE UK. THERE ARE<br />

IMPLICATIONS FOR LOCAL GOVERNMENT, ESPECIALLY EU LEGISLATION,<br />

FINANCIAL TRANSACTIONS AND THE AFFECT ON EU NATIONALS LIVING<br />

IN THE UK."<br />

public sector - everything from<br />

internal emails to written notes and<br />

recorded phone calls - 30 days can<br />

leave very little time to trace and<br />

redact and collate the necessary<br />

information. This process can be<br />

simplified greatly with business<br />

process management (BPM) software.<br />

BPM software can be integrated with<br />

existing IT networks and used to<br />

automate and link simple tasks that<br />

were previously actioned manually.<br />

Alfresco's 'Disrupt or Be Disrupted?'<br />

report in April 2018 also highlighted<br />

the challenge public sector bodies<br />

face. Government IT decision makers<br />

expect their organisation to be<br />

disrupted primarily due to a lack of<br />

investment (61%), with lack of vision<br />

among the leadership in second<br />

place (48%).<br />

In addition, while technology and<br />

business executives largely agree that<br />

the potential impact of competitors<br />

that are more effective with their<br />

digital transformation is a "top<br />

concern" (65%), there is<br />

disagreement over the pace of<br />

change. IT typically thinks the<br />

business is the bottleneck in digital<br />

transformation; seven in ten (70%)<br />

believe their business executives are<br />

taking too long to adapt to changing<br />

technologies and want them to move<br />

faster, compared to just 38% who<br />

believe the tech team is holding back<br />

development.<br />

Without adopting automated<br />

process tools, overhauling existing<br />

traditional workflows and structures<br />

could prove costly and timeconsuming<br />

to public sector<br />

organisations.<br />

These findings all point to a desire<br />

and need for financial and strategic<br />

investment from the top to make<br />

digital transformation happen.<br />

BENEFITS OF DIGITAL<br />

TRANSFORMATION & BPM<br />

To convince leadership of the need to<br />

invest wholeheartedly, let's look at<br />

the key drivers and benefits that IT<br />

decision makers believe digital<br />

transformation will deliver.<br />

Alfresco's 'Disrupt or Be Disrupted?'<br />

report found improving employee<br />

productivity is top (74%) followed by<br />

decreasing costs through increased<br />

efficiencies (71%). Digital<br />

transformation is clearly perceived as<br />

a way to vastly improve existing<br />

workflows. Customer satisfaction<br />

(62%) and data capture to drive<br />

better business decision making<br />

(59%) are the next most-cited<br />

benefits of digital transformation.<br />

Government bodies are under<br />

constant pressure to deliver excellent<br />

service within the constraints of tight<br />

budgets. Digital transformation<br />

offers a way for public sector bodies<br />

to improve efficiencies while<br />

reducing legacy costs out of the<br />

system, such as storage and<br />

document management costs.<br />

Whatever the implications of Brexit<br />

on public sector IT, when coupled<br />

with the challenge of GDPR, 2018<br />

has been a year that highlights the<br />

value of, and urgent need for,<br />

business process management in the<br />

public sector<br />

FUJITSU SCANSNAP iX1500<br />

Fujitsu has sold over 4<br />

million of its<br />

ScanSnap scanner<br />

devices since launch,<br />

making them one of the<br />

best selling imaging<br />

devices worldwide. This<br />

latest model, the<br />

iX1500, turns<br />

conventional desktop<br />

scanning on its head,<br />

and in the process,<br />

potentially simplifies the<br />

concept in a way that<br />

could lead to whole new<br />

markets opening up. Fujitsu describe it<br />

thus: "What it does is complex, how you<br />

use it is simple."<br />

Previous ScanSnap models allowed the<br />

user to scan and then decide where to<br />

send the image; an approach that<br />

worked well enough, but may have been<br />

slightly off-putting to workers who didn't<br />

want the hassle of having to think too<br />

much about the document workflow<br />

outside of how it affected them doing<br />

their job. With the iX1500 the idea is to<br />

do some minimal setup beforehand, and<br />

then all scanning is accomplished via one<br />

touch. The previous two software tools,<br />

ScanSnap Manager and ScanSnap<br />

Organiser, have been replaced by one<br />

product, ScanSnap Home, that pulls<br />

together everything a user needs in order<br />

to setup, deploy and use the device.<br />

Opening the cover reveals a large and<br />

slickly designed colour touchscreen<br />

interface ready to go - a first for the<br />

ScanSnap series that makes for intuitive<br />

use, whether an experienced or novice<br />

user. Initial setup is deceptively simple<br />

and quick, with further customisation<br />

(icons, colour schemes etc.) available if<br />

required.<br />

As with previous ScanSnap models,<br />

paper handling is impressive - the<br />

iX1500 can handle mixed batches of<br />

different sizes, shapes and types of<br />

document in its 50 sheet ADF, with scan<br />

speed of up to 30 pages per minute.<br />

Ultrasonic multifeed detection makes for<br />

superior paper handling and reduced<br />

downtime for mis-fed documents, and<br />

long/folded documents of non-standard<br />

size can also be scanned in its ad-hoc<br />

manual scan mode.<br />

The scanner includes automatic colour<br />

detection, rotation, blank page removal,<br />

streak reduction and de-skew to make<br />

sure the user gets a high<br />

quality image every time<br />

without having to adjust<br />

any settings. The iX1500<br />

includes autoclassification<br />

to sort<br />

scans into one of four<br />

standard categories:<br />

document, receipt,<br />

business card or<br />

photograph, and the<br />

intelligence in the<br />

system automatically<br />

generates filenames<br />

based on keywords found<br />

in the scan, such as the word 'invoice'.<br />

Scans can also be sent direct to up to 4<br />

cloud services.<br />

Crucially, the iX1500 includes simple<br />

connection capabilities for WiFi access, so<br />

that multiple users can scan using the<br />

same device without having to invest in<br />

networked scanning facilities. It can<br />

connect in Wireless Access Point (WAP)<br />

mode via a router, or via Direct Connect,<br />

wherein the scanner itself acts as the<br />

WAP. Scans can therefore be easily<br />

controlled from smartphones and tablets<br />

as well as computers. Fujitsu describe the<br />

iX1500 as a 'shared rather than a<br />

networked device', meaning that while it<br />

is focused very much on improving<br />

Dm INTERVIEW: EASY SOFTWARE<br />

EASY and ECM: twin successes<br />

In September, Andy Boulton was appointed CEO of<br />

EASY Software UK. DM Magazine sat down with him to<br />

find out his ideas and plans for the company and the<br />

EASY channel business<br />

Document Manager: What first<br />

attracted you to take on the role<br />

of CEO for EASY Software UK?<br />

Andy Boulton: I'd just completed my<br />

previous role with a leading UK and<br />

Ireland systems integrator and as I was<br />

wrapping things up there I took a call<br />

from an ex-colleague of mine, Dieter<br />

Weisshaar - who had just joined EASY<br />

in Germany as EASY Group CEO, and<br />

who was looking for someone to join<br />

the EASY UK subsidiary to take a<br />

leadership position there.<br />

I met with Dieter who talked me<br />

through the company, its history, its<br />

products, and his vision for the next<br />

three years. And it quickly became clear<br />

to me that EASY had a very strong offer<br />

to the market - both in terms of its<br />

current product portfolio and the new<br />

products that are due to be released,<br />

plus its unusually strong and loyal<br />

customer base. Very quickly, my<br />

decision was made - that I wanted to<br />

join EASY, as the new role provides me<br />

some great opportunities to be part of<br />

what is, evolutionarily, the next step for<br />

EASY; to help it globalise into a single<br />

company across the world.<br />

We've got multiple subsidiaries, but I<br />

think there's strength for the company<br />

and for our customers and partners if<br />

we can work more as a whole. So that's<br />

the plan moving forwards. It's exciting<br />

times at EASY Software, and I'm really<br />

looking forward to being part of the<br />

next chapter.<br />

DM: Your background is Oracle, so a<br />

very different style of company. Based<br />

on all the time that you spent at Oracle,<br />

what experience do you see that you've<br />

gained there that would translate into<br />

the ECM/DM world and EASY?<br />

AB: What I've learned from Oracle in<br />

particular is that you absolutely need<br />

great products: whether that's a line to<br />

a particular industry, a particular<br />

industry company set, or a government<br />

department; whether that's database or<br />

applications or systems or some<br />

combination of the three. Great<br />

products are critical for success in the<br />

software industry.<br />

And those products have got to<br />

address a business need. It's no good<br />

just having great products, they've got<br />

to be delivered in a way that the buyers<br />

can see the value that they're going to<br />

be able to derive in their own<br />

companies.<br />

Long gone are the days when projects<br />

are commissioned just to satisfy<br />

people's ego, or to jump on the latest<br />

bandwagon. Projects are commissioned<br />

based upon a quantified business case<br />

with payback measured in probably<br />

weeks or months, rather than years or<br />

tens of years. So actually, those<br />

products need to address real business<br />

needs, whether that's reduced cost or<br />

delivering regulatory compliance,<br />

reduced risk, increased sales, and so<br />

on. We've got to work hard at bringing<br />

these products to life, building the<br />

necessary stories that can help<br />

customers visualise the benefits that<br />

they can get from them.<br />

And then, it's about the services that<br />

go alongside those products. We need<br />

to provide complete offerings, either<br />

from ourselves or from our partner<br />

community, who can provide reliable<br />

services at the right price point. We're<br />

also there when the customer needs us,<br />

so when they ring for support we need<br />

to be there for them.<br />

So it's the whole lifecycle of that<br />

journey for the customer. All of those<br />

things are important and key learnings<br />

of my years in the enterprise IT space<br />

that I would look to be leveraging at<br />

EASY.<br />

DM: And as we start to look into 2019,<br />

what do you see as the biggest<br />

opportunities for our space - and what<br />

are some of the biggest threats?<br />

AB: Analysts see that the ECM<br />

marketplace at about $8bn currently<br />

with a growth rate in double digits, so<br />

it's a sizeable market and growing -<br />

and I think that growth is only going<br />

to increase, as companies and<br />

governments experience increased<br />

VALUE FOR THAT CUSTOMER? I THINK WE NEED TO START TO CHANGE THE LANGUAGE, IF WE CAN, AND BRING<br />

ECM TO LIFE WITH SPECIFIC STORIES AND USE CASES."<br />

regulatory and competitive pressures<br />

(GDPR would be a good example).<br />

These pressures require companies and<br />

governments to review how they can<br />

make incremental improvements and<br />

EASY solutions can be part of the<br />

answer.<br />

DM: Gartner has famously said ECM is<br />

an outdated term: where do you stand<br />

on the terminology used in our<br />

market?<br />

AB: I have to say, ECM could mean so<br />

many different things to so many<br />

people, and without any context it<br />

doesn't have that deep a meaning for<br />

anyone. I think the important thing is<br />

what does that term mean for a<br />

specific industry or a specific company<br />

or a specific government department?<br />

For me in this new role and new<br />

sector, what we need to try and do is<br />

bring ECM to life. What are the<br />

stories? What are the use cases where<br />

ECM, in whatever form it's taken, has<br />

driven real value for that customer? I<br />

think we need to start to change the<br />

language, if we can, and bring ECM to<br />

life with specific stories and use cases.<br />

DM: Turning to EASY's customers, how<br />

do you see the company's relationship<br />

with its UK customer base right now?<br />

AB: We have a very loyal customer<br />

base. One of the first things I looked at<br />

was the retention rate of our<br />

customers, and it's very, very high -<br />

approaching 100%.<br />

We also have some very strong<br />

brands in the UK on which to build.<br />

And that's replicated across the globe<br />

in Germany and US and other regions<br />

too. Customers love talking to other<br />

customers; they can share ideas, they<br />

can learn from each other. If we can<br />

facilitate that dialogue in some way,<br />

there's a lot of value for our new<br />

prospects and customers, and<br />

ultimately for us and our partners.<br />

DM: In terms of its route to market<br />

EASY has relied on the channel over<br />

the years. What role do you see<br />

partners have going forward and what<br />

plans do you have for the partner<br />

channel for EASY in the UK?<br />

AB: What I would like to do is to reenergise<br />

the channel, with specific<br />

focus on partners where there's mutual<br />

benefit for us to work with them<br />

moving forwards. I'd also like to seek<br />

out new partners who can work with<br />

us to take our newer propositions to<br />

marketplace.<br />

For instance, we have a new offering<br />

called EASY HR which is a suite of<br />

products that would coexist alongside<br />

an ERP. Now we could go to<br />

technology partners to take that to<br />

market for us, but what I'd rather do is<br />

to recruit and onboard partners who<br />

have real deep domain experience and<br />

expertise in the HR space.<br />

DM: Do you have personal goals in<br />

mind as to what you'd like to have<br />

achieved at EASY, whether it's in the<br />

first six months or the first year?<br />

AB: Firstly I intend to meet more<br />

customers; to hear what they're saying,<br />

explore how they use our products<br />

today, ascertain what value they are<br />

getting and listen to how we can<br />

improve: what do they need us to do<br />

more - or less - of?<br />

My second priority is the channel. I<br />

want to get the partner channel<br />

reinvigorated. I'm also keen to make a<br />

significant contribution to the<br />

globalisation of EASY as a group. As I<br />

said earlier, we operate as independent<br />

companies, and I think there are<br />

benefits for ourselves, our partners and<br />

our customer base if we operate as<br />

one single company.<br />

Finally, I think companies and<br />

government departments haven't<br />

necessarily heard of EASY. So, let's<br />

make a little bit more noise, and in<br />

particular with the customer success<br />

stories and use cases, to help other<br />

customers understand a) who EASY are<br />

and b) what EASY and our products<br />

could do for them.<br />

A licence to increased<br />

productivity and security<br />

Tracey Mustacchio, senior vice president of product and<br />

marketing, Imaging division, Nuance Communications,<br />

explains why it's 'time to bring PDF licensing into the<br />

modern era'<br />

Should a mythical time machine<br />

ever appear, one destination well<br />

worth a visit would be the office<br />

circa 1998. A trip back there will<br />

expose just how extensively and<br />

quickly the office has changed in two<br />

decades. Cabinets full of paper now sit<br />

in electronic form on servers. Slow,<br />

clunky, desktop PCs have been<br />

replaced with powerful, internetconnected<br />

devices that come in far<br />

more diverse formats. Data and critical<br />

applications are now hosted in the<br />

cloud rather than on portable and<br />

vulnerable disks. The printer, copy and<br />

fax machine have now merged into<br />

one network-connected multifunction<br />

device that's often at the heart of<br />

electronic and paper document<br />

workflow in many offices or<br />

departments.<br />

THE EVOLUTION OF PDF<br />

One popular business software format<br />

that has also evolved over the years, is<br />

PDF. It is astonishing to look back and<br />

see just how far PDF converter<br />

software has come in that relatively<br />

short time. The first versions gave<br />

users an effective way to convert PDF<br />

files to Microsoft Office documents<br />

and back again, create PDF files from<br />

multiple sources and edit them easily.<br />

Next-generation solutions delivered<br />

other innovations, such as voice<br />

recognition that lets users add notes<br />

to PDF files simply by speaking,<br />

support for touch-enabled Windows<br />

10 devices, and the ability to connect<br />

with document management systems<br />

and cloud services.<br />

ONE STEP BEYOND<br />

But there's one aspect of PDF that<br />

seems to be stuck in the past -<br />

licensing.In fact, the scope of PDF's<br />

role as a strategic application to<br />

optimise document workflow<br />

processes within UK businesses is<br />

compromised by unnecessary software<br />

licence complexity.<br />

In a recent survey conducted among<br />

IT decision makers in the UK, looking<br />

specifically at how they use, create and<br />

share PDF files, of the 60% of<br />

respondents who said that PDF is a<br />

critical business application, almost<br />

half (43%) said that licence complexity<br />

hinders their use of PDF software.<br />

Seventy-five per cent of workers who<br />

said that licence complexity hinders<br />

their use of PDF software, stated that<br />

PDF software is a strategic component<br />

of their document processes at work,<br />

respect to the impact that licence<br />

complexity has on productivity and<br />

security across businesses in the UK.<br />

While that makes for sobering<br />

reading, on a more positive note,<br />

forward-thinking PDF developers and<br />

publishers offer licensing options -<br />

including perpetual licensing models<br />

- to ensure customers aren't<br />

burdened with inflexible or onerous<br />

licensing policies. This enables<br />

organisations to install PDF software<br />

on every desktop, while having better<br />

control over budget planning and a<br />

clearer insight into future licence<br />

costs.<br />

PRODUCTIVITY AND SECURITY<br />

COMPROMISED?<br />

For those businesses stuck with PDF<br />

solutions whose greater deployment<br />

is hindered by inflexible licensing<br />

options, the implications of the<br />

licence barrier to broader PDF<br />

adoption is even more acute; in<br />

today's digital economy, an ever<br />

increasing number of documents - in<br />

physical or electronic form - flows in,<br />

around and out of an organisation.<br />

Therefore, if access to PDF solutions<br />

is compromised by complex licenses,<br />

then productivity and security may be<br />

compromised, as PDF remains the<br />

most effective way to capture paper<br />

documents and convert them into<br />

electronic ones.<br />

Furthermore, with heightened<br />

awareness around IT security, PDF<br />

documents combined with document<br />

security capabilities (like automated<br />

redaction) can significantly increase<br />

the success of an organisation's<br />

overall data security practice. In<br />

particular the challenge that comes<br />

with licence complexity means many<br />

private and public sector<br />

organisations cannot always exploit<br />

the security benefits of PDF across the<br />

whole organisation. This sits at odds<br />

with the measures they have put in<br />

place over the last twelve months to<br />

improve security processes, policies<br />

and procedures in preparation for<br />

regulations such as GDPR.<br />

PDF FOR THE NEXT 20 YEARS<br />

It is baffling to consider that although<br />

PDF has been around for many years<br />

and has become an essential tool for<br />

many businesses, its broader uptake<br />

has been challenged by dated licensing<br />

models. Flexibility and adaptability are<br />

crucial success factors for<br />

organisations today as they navigate<br />

varying customer demands,<br />

compliance needs, regional legal<br />

requirements and a myriad of<br />

technologies.<br />

For them to succeed, they need to<br />

find a solution that works best for<br />

them in their environment - not a<br />

solution and delivery model that works<br />

best for the vendor. In short, to benefit<br />

productivity and security, organisations<br />

want and deserve flexibility in the way<br />

they license PDF just as much today as<br />

they did 20 years ago.<br />

Eyes on the prize<br />

The streets of London were 'paved with DM Awards' on November 22nd as we<br />

celebrated the biggest and best year yet for our annual industry get-together; here<br />

It was entirely coincidental that the<br />

2018 DM Awards fell on Thanksgiving,<br />

but there was definitely a grateful<br />

atmosphere at London's Radisson Blu<br />

Edwardian Bloomsbury as everyone who<br />

Digitisation is changing the way<br />

the classroom it's supporting more<br />

personalised, enriched learning<br />

Research published by Naace, the<br />

educational technology association, in<br />

conjunction with Fujitsu - 'Scan More;<br />

Print Less - How schools increase<br />

learning while reducing teacher<br />

workload by going digital' - found that,<br />

once students' work is digitised and<br />

made available online, the ways it can<br />

be used are radically extended.<br />

Feedback from peers, teachers and<br />

family is much wider and, using<br />

scanners, teachers can easily capture<br />

and digitally record a student's work -<br />

mapping out their progress throughout<br />

the term and sharing that information -<br />

on demand - with students and their<br />

parents.<br />

The ability to capture paper-based<br />

information digitally and to store it<br />

securely on the school network, or in<br />

the cloud, helps to speed up the<br />

capture of correspondence - such as<br />

permission slips, catering requests and<br />

HR material - eliminates delays, errors<br />

and costs associated with manual,<br />

paper-based workflows and filing. In<br />

some schools it has revolutionised data<br />

management in terms of organisation,<br />

storage and security capabilities; using<br />

cloud-based servers, document retrieval<br />

and sharing between colleagues across<br />

the school or multi-academy trust<br />

creates efficiencies in terms of time, cost<br />

and space. One school is using a Fujitsu<br />

ScanSnap iX500 scanner to digitise and<br />

distribute the large number of financial<br />

documents handled by the bursaries<br />

office and to streamline everyday<br />

administrative processes, including the<br />

management of absence notes.<br />

Pre-planned absence notes handed in<br />

by parents used to be photocopied by<br />

the department, stored in filing cabinets<br />

and handed out to teachers spread<br />

across the school grounds - a slow,<br />

time-consuming and unreliable process.<br />

Now, absence notes are digitised on the<br />

iX500 and, using the scan-to-email<br />

function, circulated instantly to the<br />

teachers concerned. This system also<br />

improves the learning experience as,<br />

when a pupil is absent, missed<br />

classwork can now be scanned and<br />

emailed to them so that they can catch<br />

up remotely.<br />

YOUR GDPR STRATEGY<br />

Every day, an incredible volume of paper<br />

documentation is processed in schools<br />

across the UK and much of this includes<br />

personal or sensitive data; while your<br />

printing and scanning habits may not<br />

be the first things that come to mind<br />

when considering GDPR, these activities<br />

constitute 'processing'. Under the GDPR,<br />

all businesses, including schools, must<br />

have established, GDPR-compliant<br />

policies which enable the effective<br />

processing of personal data - personal<br />

information held needs to be securely<br />

managed and stored and easy to access<br />

and to edit - failure to comply can lead<br />

to fines of up to 20 million euros or<br />

four per cent of annual turnover.<br />

For schools, when it comes to<br />

Cloud printing: key to<br />

digital transformation<br />

A reduction in infrastructure costs is the key<br />

driver toward cloud adoption, according to<br />

James Turner, Regional Sales Manager at Y Soft<br />

The accelerated move toward the<br />

cloud can be seen across the<br />

business world, with the most<br />

interest in the cloud coming from a<br />

desire to reduce costs associated with IT<br />

infrastructure. Technology in general has<br />

come a long way toward making IT<br />

processes more streamlined, but<br />

organisations can further reduce<br />

infrastructure costs by utilising the cloud.<br />

The advantages of cloud computing are<br />

well-documented, with the technology<br />

bringing operational efficiencies,<br />

reducing expenditure and increasing<br />

agility. As businesses increasingly focus<br />

on technology and processes that allow<br />

them to be more efficient, productive<br />

and secure, failure to implement cloud<br />

printing as part of this philosophy, risks<br />

organisations being left behind.<br />

Quocirca's recent report on the future<br />

of the print industry - 'Global Print 2025'<br />

- suggested that private, hybrid and<br />

public cloud printing is the biggest area<br />

of digital transformation to capture the<br />

attention of the print industry, and is one<br />

of the key areas for investment between<br />

now and 2025.<br />

The transition to a cloud-based solution<br />

can remove some of the administrative<br />

tasks and related costs which have<br />

traditionally been carried out by internal<br />

IT teams, saving time and freeing up IT<br />

resources to focus on more important<br />

strategic elements. It can also add value<br />

by eliminating or vastly reducing<br />

maintenance costs.<br />

Smaller organisations may not have an<br />

IT team or may outsource most of their<br />

IT needs, so for these organisations,<br />

leveraging the cloud, especially through<br />

a cost-effective subscription service, may<br />

give them access to tools and<br />

technologies previously cost prohibitive.<br />

Regardless of company size, the journey<br />

into the cloud may well be dictated by<br />

infrastructure, with footprint and costs<br />

playing a part. With existing hardware<br />

sitting as a tangible asset and generating<br />

costs, organisations may look to remove<br />

this and move to the cloud, renting<br />

hardware and connecting to a thirdparty<br />

data centre. This drive to reduce<br />

infrastructure and infrastructure costs<br />

applies to print services too.<br />

Cloud printing supports the need to<br />

print documents on any printer on the<br />

company's network. Crucially, this also<br />

makes printing from a mobile device<br />

straightforward, thereby saving<br />

employees time by removing the need<br />

for them to reach a desktop before<br />

printing a document.<br />

Rise of the easy integrators<br />

With ibml adding ISIS and TWAIN drivers to its high<br />

volume desktop production range, DM Magazine editor<br />

David Tyler sought out Ashley Keil, the company's sales<br />

director for Northern & Western Europe, Africa & India to<br />

find out what's new with their intelligent scanners<br />

David Tyler: Is intelligent scanning<br />

a concept central to the appeal of<br />

your new desktop offerings?<br />

Ashley Keil: Intelligence for me in the<br />

capture world means three distinct<br />

things: manual, server or scanner-based<br />

intelligence.<br />

Manual, of course, is everything being<br />

done physically - staff inserting separator<br />

sheets, looking at every document to<br />

validate and check them and so on.<br />

Clearly this is cumbersome, inefficient,<br />

slow and ultimately hugely expensive.<br />

With a server-based approach, users may<br />

have an IDR (Intelligent Document<br />

Recognition) engine for instance which<br />

does some of the document analysis for<br />

them 'on the fly'. This helps users to<br />

remove certain overheads like manual<br />

document classification, keying of<br />

metadata, separator and insertion costs<br />

but there are still a significant number of<br />

things that operators have to do manually<br />

such as locate and extract documents that<br />

have failed a business rule.<br />

Shifting the 'intelligence' to the actual<br />

capture device - the scanner - means a<br />

fully automated software and hardware<br />

approach. The scanner can do many of<br />

the things that a server focused IDR<br />

solution does but it adds a physical<br />

reaction where the server approach falls<br />

short. For instance, the scanner can<br />

automatically out-sort defined documents<br />

or reject incorrect transactions pulling out<br />

documents from a batch, for example,<br />

where a customer hasn't signed a form<br />

where the business process requires it.<br />

This reduces processing costs even more<br />

and, from a ROI perspective, our<br />

customers should see a tangible<br />

difference to their operations very quickly.<br />

DT: How is this approach reflected in<br />

your recent announcements?<br />

AK: The market has always known ibml<br />

for its very high volume ImageTrac<br />

scanners. Now we've launched ISIS and<br />

TWAIN drivers for our high volume<br />

desktop production scanners - the DS<br />

1155 and DS 1210 scanner models -<br />

which extend the value of these popular<br />

devices by enabling easy integration<br />

with most third party document capture<br />

solutions. It is this integration which is<br />

key. It means end-users can take<br />

advantage of higher speeds and<br />

performance as part of a total<br />

document management solution even<br />

with all the intelligent processing<br />

functions switched on.<br />

These scanners are fast: the DS 1155<br />

scanner is able to process up to 155<br />

pages per minute (ppm) with the DS<br />

1210 rated to process up to 210 ppm<br />

making it one of the fastest desktop<br />

production scanners in the world.<br />

This makes them ideal for use in a range<br />

of industries. This includes banking,<br />

insurance, healthcare, government and<br />

BPOs where the necessity to lower paper<br />

digitising costs is critical, and<br />

organisations require a scalable platform<br />

which is easy to implement and can be<br />

easily upgraded to automate key<br />

business processes at the point of<br />

capture. The DS series scanners are<br />

perfect for digital mail rooms and other<br />

environments where space is at a<br />

premium and the workload high.<br />

Our customers can now take advantage<br />

of these intelligent scanners to replace<br />

existing standard desktop scanners within<br />

their existing capture solution, ensuring<br />

no productivity loss with existing users.<br />

DT: How does the DS range help<br />

customers like BPOs to add value to their<br />

operations and save money?<br />

AK: I would say that customers'<br />

document capture needs are changing.<br />

Whilst clearly fast scanning for archival<br />

purposes is still required, many<br />

customers want to augment this and<br />

incorporate scanned information directly<br />

into their business workflows which by<br />

definition have business rules attached<br />

to the capture process. Those business<br />

rules can be automated with intelligent<br />

scanning technology.<br />

The staff time to deal with documents<br />

pre and post scanning contributes to<br />

more than 75% of the total cost of<br />

scanning. We've added intelligence<br />

features designed to cope with the most<br />

demanding scanning environments and<br />

which help our customers to reduce their<br />

total cost of capture.<br />

In addition, the DS scanners come with<br />

a variety of other features perfect for<br />

demanding scanning environments. For<br />

example our multi feed detection uses up<br />

to five ultrasonic sensors. A simple<br />

example of why this is helpful is where<br />

users need to scan envelopes. We're<br />

seeing this more and more either for<br />

audit trail purposes or to initiate a<br />

transaction so envelope handling on the<br />

DS devices is highly sophisticated. In<br />

addition the ability to handle long<br />

documents up to 150 cm makes the DS<br />

range perfect for healthcare use where<br />

ECG medical records are being digitised.<br />

DT: Can you give me a simple end-user<br />

example of how scanner intelligence<br />

works in practice?<br />

AK: We work with a service provider<br />

company who supports charities,<br />

managing donations so they make the<br />

best use of every penny given by donors.<br />

Payments come into their mail room in<br />

various formats: cheque, credit card and<br />

Charities Aid Foundation vouchers which<br />

make up approximately 10% of<br />

payments received. Their DS scanner is<br />

set to process these vouchers using<br />

inbuilt intelligence.<br />

As post comes in, it is prepared and<br />

scanned and the software automatically<br />

captures significant field data such as the<br />

payment amount, donor details, Gift Aid<br />

eligibility, and then validates the figures<br />

and generates a payment slip. Name and<br />

address details are also captured as part<br />

of the workflow process. There are<br />

various benefits. Firstly, payments are<br />

processed faster which means the<br />

charities get their funds quicker.<br />

Secondly, the accuracy of captured data<br />

is improved. Thirdly, PCI compliance<br />

requirements are met. And lastly, the<br />

service provider has been able to respond<br />

to donors promptly to thank them which<br />

encourages repeat giving to its charity<br />

customers.<br />

DT: Is there a simple migration path for<br />

companies buying DS scanners?<br />

AK: This is the ethos behind what we are<br />

doing. Not only can customers upgrade<br />

the speed from 155 to 210 ppm but the<br />

DS series enables users to migrate from<br />

traditional scanning approaches which<br />

will allow them to use our scanners<br />

initially as they might use any other<br />

scanner today - just to scan documents -<br />

and then add intelligence to derive<br />

greater value.<br />

DT: What is the market asking for from<br />

ibml and indeed the capture industry and<br />

how does intelligent scanning help?<br />

AK: If you talk to many organisations -<br />

particularly BPOs - their main business<br />

aim is to move away from archival<br />

scanning and into what's now commonly<br />

known a day-forward business. This<br />

allows them to not only add value to<br />

what they do but generate additional<br />

revenue. Most firms we deal with are<br />

moving this way. This means a need for<br />

intelligent capture as it drives efficiency<br />

and margin for them.<br />

We can help those users build towards<br />

more intelligent capture at their own<br />

pace, adding speed and intelligence<br />

capabilities as they need with most<br />

people now very aware how much can<br />

be saved by automating a lot of the<br />

traditional pre and post prep tasks. Our<br />

proposition - building intelligence into<br />

our scanner hardware as well as by<br />

using software - really augments this. It<br />

gets information into systems earlier in<br />

the capture process and really helps<br />

with not only ROI but SLAs by reducing<br />

the length of time for approvals or<br />

validation processes.<br />

In summary, our DS series is a disruptive<br />

technology in scanning that delivers<br />

greater value and benefits yet with a<br />

financial investment similar to our<br />

customers' current default scanner<br />

vendors. They help reduce the cost of<br />

document scanning and go a long way<br />

to future protect users whose scanning<br />

needs are changing day by day as the DM<br />

market becomes ever more focused on<br />

day forward business-process based<br />

applications where it is the content of a<br />

document rather than just the scanned<br />

ROI from RPA<br />

Data Capture Solutions has deployed its Robotic Process Automation software at<br />

Brightside Group, a leading UK insurance broker, introducing robotics to their back<br />

office for the first time<br />

The use of robotics increases the<br />

efficiency of the processes<br />

Brightside relies upon to deliver<br />

car, home and business insurance to<br />

hundreds of thousands of customers<br />

across the UK. And David Holloway,<br />

Brightside's transformation director,<br />

believes that robotics is likely to play a<br />

growing role in meeting chief<br />

executive Mark Cliff's vision of creating<br />

a fully digital broker.<br />

"We have implemented digital<br />

marketing and sales at the front-end,<br />

but now we are using robotics to<br />

enhance back office activities such as<br />

documentation, printing and<br />

despatch," said Holloway. "We are<br />

already discovering that robotics has<br />

reduced both cost and error rates, and<br />

by taking out the human variable we<br />

have significantly improved our<br />

response time. Using robotics for nonvalue<br />

added activities will also make<br />

Brightside more scalable as an<br />

organisation."<br />

While robotics is not new to financial<br />

services, many businesses (such as in<br />

life and pensions) have largely failed<br />

to make it work for them and their<br />

customers. With the assistance of<br />

Neopost, which made the original<br />

introduction between Brightside and<br />

DCS, DCS identified the most suitable<br />

parts of the operation for RPA. It is<br />

being used for compiling document<br />

packs where the insurance documents<br />

are coming from third party portals,<br />

reconciling invoices and posting<br />

credits received from debt cases. There<br />

are plans to extend robotics to two<br />

more processes; management of debt<br />

write-offs and the automation of<br />

cancellations due to missed payments.<br />

"Automating debt write-offs is,<br />

frankly, not sexy stuff, and most<br />

digital investment focuses on new<br />

business and digital sales," Holloway<br />

added. "However, transforming<br />

Brightside into a fully digital player<br />

means investment in the back-end is<br />

just as important as the front-end. It<br />

will deliver cost savings and efficiency<br />

improvements that will be passed onto<br />

the customer.<br />

"Our underlying principle is to use<br />

robotics where the task is repeatable<br />

and the agent is adding little value,<br />

leaving humans to work on the more<br />

unusual or difficult scenarios where<br />

they can add value. Brightside is not<br />

going to be manned solely by robots<br />

any time soon though, but we fully<br />

For years we have been warned<br />

about the potentially<br />

catastrophic<br />

consequences of Climate<br />

Change, but taken little<br />

action. A key question<br />

we must ask ourselves<br />

is, are our paper<br />

processing activities<br />

costing the earth? To<br />

an extent, the<br />

answer is yes. It's<br />

easy to forget that<br />

everyday activities<br />

including sorting<br />

mail, filing paperwork<br />

and printing contracts<br />

are fuelled by<br />

deforestation, which is<br />

significantly contributing to<br />

global warming.<br />

These everyday activities may<br />

seem minimal to individual office<br />

workers but astoundingly, this<br />

amounts to an average of 10,000<br />

sheets of paper used per office worker,<br />

per year, across the UK. One survey<br />

conducted by research firm Loudhouse<br />

also found that as many as 6,800 out of<br />

the 10,000 sheets of paper used are<br />

wasted. Whether you work in the<br />

private or public sector, within a SME or<br />

large business, we are inundated with<br />

paper documentation on a daily basis.<br />

Some industries do operate with a<br />

heavier reliance on paper than others;<br />

an example being the healthcare<br />

industry. Hospitals and surgeries often<br />

store patient files which particularly for<br />

surgeries, is frequently accessed<br />

following consultations. In a digital era<br />

with advanced document management<br />

systems, there is no need for office<br />

workers<br />

to continue<br />

working with an<br />

outdated reliance on paper.<br />

WHY NOW?<br />

In October 2018, the Intergovernmental<br />

Panel on Climate Change (IPCC) issued<br />

an urgent report suggesting that the<br />

world is completely off-track and<br />

heading towards a rise of 3 degrees C<br />

which will have significant and<br />

dangerous impacts on the world. We<br />

used to<br />

think if we could keep<br />

warming below two degrees this<br />

century, then the changes we would<br />

experience would be manageable. Not<br />

any more. This new study says that<br />

going past 1.5 degrees C is dicing with<br />

the planet's liveability. And the 1.5 C<br />

temperature "guard rail" could be<br />

exceeded in just 12 years, by 2030<br />

according to recent reports on the BBC<br />

and elsewhere.<br />

paper? As we all now know,<br />

global warming is caused by<br />

human activities such as<br />

burning fossil fuels and<br />

farming which produces high<br />

levels of carbon dioxide.<br />

Forestation plays an<br />

important part in regulating<br />

the climate as trees and<br />

plants absorb carbon dioxide<br />

from the air and release<br />

oxygen.<br />

With the pace of<br />

deforestation increasing, we<br />

face the fact that the climate<br />

cannot be properly regulated<br />

as well as the concern that<br />

further logging causes trees to<br />

release the carbon stored into the<br />

atmosphere. The transportation of<br />

the paper product from trees only adds<br />

to the problem as in order to transport<br />

the product, fuel is burned which<br />

contributes to the ever-increasing<br />

levels of CO2.<br />

WHAT CAN BE DONE?<br />

Businesses across the globe have a<br />

corporate responsibility to review and<br />

change their processes to help in the<br />

campaign to reduce global warming.<br />

Some organisations have already<br />

implemented schemes to become more<br />

eco-friendly. IKEA now sources 50% of<br />

its wood from sustainable foresters and<br />

are working towards the goal of<br />

powering all stores by 100% renewable<br />

energy by 2020. But for smaller<br />

effective actions businesses can take to<br />

boost their 'eco credentials' and<br />

Heading for a fall?<br />

The majority of businesses are failing to comply with GDPR, according to recent<br />

research<br />

Some 70% of businesses<br />

worldwide failed to address<br />

requests made from individuals<br />

seeking to obtain a copy of their<br />

personal data as required by GDPR<br />

(General Data Protection Regulation)<br />

within the one-month time limit set<br />

out in the regulations, according to<br />

new research from Talend.<br />

The research is based on personal<br />

data requests made to 103 companies<br />

based or operating in Europe across<br />

industries including retail, media,<br />

technology, public sector, finance, and<br />

travel. Conducted between June 1 and<br />

September 3, 2018, Talend assessed<br />

responses to GDPR Article 15 ("Right of<br />

access by the data subject") and Article<br />

20 ("Right to data portability") requests,<br />

monitoring areas including GDPR<br />

references in privacy policies, and the<br />

speed and completeness of responses.<br />

"GDPR requires insight into company<br />

data and its governance," said Penny<br />

Jones, Research Director at 451<br />

Research. "Recent research, including<br />

that done by Talend and separate<br />

reports by 451 Research, has found<br />

that while many organisations<br />

understand the importance of GDPR,<br />

many are still not taking their data<br />

seriously in terms of the technologies<br />

and processes they have in place. As a<br />

result, many businesses are falling<br />

short of their GDPR obligations. They<br />

can lack the proper methods for<br />

storing, organising or retrieving data in<br />

line with the regulation's<br />

requirements."<br />

Major findings from the research are<br />

summarised below.<br />

GDPR compliance is higher outside of<br />

Europe: Just 35% of Europe-based<br />

companies polled provided data. This<br />

includes companies headquartered in<br />

the UK, France, Germany, Spain,<br />

Sweden, and Italy. However, at 50%,<br />

the compliance rate was slightly higher<br />

for non-European companies,<br />

suggesting that businesses outside of<br />

Europe are taking a slightly more<br />

proactive approach to GDPR.<br />

Retail firms were the worst<br />

performers: A worrying 76% of retail<br />

companies polled failed to respond,<br />

while the best performing industry,<br />

Financial Services, still only managed a<br />

50% success rate. When drilling down<br />

in the results, the research suggests<br />

that businesses that started out offline,<br />

and those that are hindered by legacy<br />

systems, may find GDPR compliance<br />

more challenging.<br />

Significantly different response times<br />

between industries: The vast majority<br />

(65%) of GDPR compliant companies<br />

took more than ten days to respond<br />

and the overall average response time<br />

was 21 days. For some, however, the<br />

response was much quicker. Of those<br />

who responded within the time limit<br />

(22% of companies) - primarily<br />

streaming services, mobile banking,<br />

and technology businesses - replied<br />

within just one day, suggesting that<br />

digital service companies are more<br />

agile when it comes to GDPR<br />

compliance.<br />

"GDPR presents an opportunity to<br />

engage with customers and build<br />

loyalty. It's vital for businesses in the<br />

digital era to have a 360-degree view<br />

of customers," commented Jean-Michel<br />

Franco, Senior Director of Data<br />

Governance Products at Talend.<br />

"Businesses must ensure that data is<br />

consolidated and stored in a<br />

transparent and shareable way. What's<br />

more, GDPR's one-month time limit<br />

should be viewed as an absolute<br />

deadline rather than a target. Our<br />

research shows that it is possible for<br />

some brands to respond within a day,<br />

suggesting that these brands<br />

understand fast response times will<br />

help boost customer trust."<br />

firmly at the top of the business<br />

agenda, how big content is managed is<br />

critical. Data-driven strategies are now<br />

fast becoming central components to<br />

how organisation's differentiate<br />

themselves in an increasingly<br />

competitive digital economy.<br />

ISSUES AROUND BIG CONTENT<br />

Earlier this year, The Association for<br />

Information and Image Management<br />

(AIIM), set out to discover how<br />

organisations are managing their Big<br />

Content in a daily race to turn it into<br />

a valuable business asset. One of the<br />

central problems that AIIM discovered<br />

is that it is difficult for knowledge<br />

workers to find the data they need to<br />

do their jobs. 75 percent went as far<br />

as saying they are suffering from<br />

information overload.<br />

AIIM also looked closely at usability.<br />

It found that around 63 percent of<br />

knowledge workers find it difficult to<br />

share data and collaborate with<br />

colleagues, customers, suppliers and<br />

partners. Shockingly in today's access<br />

anywhere culture, 58 percent cited<br />

mobility as a real issue.<br />

On exploring integration, AIIM<br />

found that ability to connect<br />

information from different systems<br />

was proving highly complex. 79<br />

percent saw it as a major challenge.<br />

Integration between content<br />

management systems and core<br />

GETTING OVER THE HURDLE<br />

With such obstacles in the way, how<br />

can an organisation actually prepare<br />

itself to deal with Big Content moving<br />

forward? This is where Content<br />

Services Platforms (CSPs) come into<br />

play. CSPs, the modern successor to<br />

Enterprise Content Management<br />

(ECM), have been designed to access<br />

data across multiple repositories and<br />

to connect disparate applications and<br />

content. CSPs also include content<br />

related services that organisations can<br />

exploit, including workflow and<br />

indexing categorisation amongst<br />

others, against this Big Content.<br />

A CSP can also act as a central<br />

information hub - not just for data<br />

and content stored within the CSP,<br />

but also for information sitting in<br />

multiple legacy systems deployed<br />

across the organisation. In other<br />

words, users have a one-stop-shop to<br />

go to for storing and retrieving data<br />

across the enterprise.<br />

CSPs are about actively using content<br />

inside and outside the organisation.<br />

They are scalable, flexible, connected<br />

and cloud-native. With Artificial<br />

Intelligence (AI) becoming more<br />

pervasive CSPs provide the ability to<br />

take advantage of AI and Machine<br />

Learning to automate some previously<br />

mundane manual processes, freeing<br />

up knowledge workers to focus on<br />

core business projects.<br />

Without adopting a CSP<br />

organisations will quickly sink under<br />

Big Content overload and find it<br />

impossible to tap into the insight they<br />

need for smart decision making. The<br />

revenue base from On-Demand and Batch<br />

Capture systems are positively impacting<br />

revenues. The worldwide market has<br />

grown by 11.3% reaching US$4.1bn in<br />

end-user revenues. Robotic Process<br />

Automation (RPA) Capture Systems are<br />

also contributing to strong growth with<br />

an increase of more than 110% year over<br />

year. Cloud services are predicted to<br />

continue to grow by 40% CAGR through<br />

2022 to over $1.4bn.<br />

RPA is generating high interest and<br />

expectations. Organisations are finding that<br />
