VOLUNTEERSResponsibility of the Volunteer CoordinatorIf the proposed volunteer is known to a member of TheWoman's Exchange, the member fills out a volunteercontact form, which is then given to the VolunteerCoordinator.If the interested volunteer is unknown to any member ofThe Woman's Exchange (i.e. attended a luncheon, called,etc.), the prospective volunteer fills out a similar contactform, with their name and other contact information,which is then given to the Volunteer Coordinator.After the Volunteer Coordinator receives either of theabove mentioned forms, the Volunteer Coordinator callsthe prospective volunteer and sets a time to meet them atThe Woman's Exchange.At this meeting, the prospective volunteer will fill out anofficial Application for Consideration to become avolunteer at The Woman's Exchange. The prospectivevolunteer also receives all pertinent information regardingopportunities available for volunteers, as well as theirrequirements, at The Woman's Exchange. The prospectivevolunteer will then give the Volunteer Coordinator an ideaof where they would like to volunteer within The Woman'sExchange based on this information and requirements.When the official application is received, the VolunteerCoordinator will call references if the applicant isunknown to members of The Woman's Exchange.After is is determined that the prospective volunteer is agood fit within the structure of The Woman's Exchange,the volunteer begins their training in the areas of theirinterest. In order to work at a luncheon in any way, eachvolunteer must take an approved Food Handler SafetyCourse at their own expense. This course may be takenonline if necessary.The Volunteer Coordinator keeps a list of currentvolunteers and will give the information to the Docent,Shop and/or Luncheon Chairs in a timely fashion and willupdate the list as changes occur.All volunteers list their hours worked in the volunteer log
ISSUANCE & POSSESSIONOF KEYSResponsibility of the PresidentThe members of The Woman's Exchange arecaretakers of the historic Peña-Peck House,and responsible for all the antiques, fine art,artifacts, and special collections within, inaddition to the items in the Gift. Shop. Dueto this fact, there must be rules regulatingthe issuance and possession of keys to thepremises and gate.Only the President, or the House Chair inher absence or at her direction, may issuekeys. The keys will be signed out on a yearlybasis, and signed back in on their return.There shall be an accounting of keys eachyear immediately following the annualmeeting. Any member who has a key willneed to fill out this form. The President willhave extra keys available for those who needthem on a temporary basis. Volunteers shallnot be issued keys.DONATIONS FROMTHE WOMAN'S EXCHANGEResponsibility of the President, ShopTreasurer, and Shop StaffOnly non-profit organizations may receive adonation from The Woman's Exchange. Otherorganizations may be considered on a case bycase basis after approval by the President.The contributions made directly on behalf ofThe Woman's Exchange will be a cookbook or acustom designed Woman's Exchange St.Augustine ornament. Once approved by thePresident, members will submit a donationrequest form to shop staff. The Shop Treasurerwill file these forms for documentation.SPECIAL EVENTS HELD AT THEPEÑA-PECK HOUSEResponsibility of the Special EventsChairpersonAll special events are scheduled through ourbooking agent. The Special EventsCoordinator, an employee, eventscoordinator, or one member of TheWoman's Exchange, shall be on the premisesduring these events.This will also apply to member usage of ThePena-Peck House. They will work with theSpecial Events Chair on these events.
