SAFELY RETURN, SAFELY REMAIN

EXTERNAL COVID-19 RE-ENTRY PROTOCOLS

FOR THE 2020-2021 SCHOOL YEAR

1. In person at school learning

for the full day is the best

formation for the child spiritually,

academically and emotionally.

2. Safety of all persons is

essential to every aspect of

Overbrook School and rooted

in the essential dignity of each

person as made in the image

and likeness of God.

3. Listen to our school community

including those in the

medical field, and to federal,

state, and local authorities,

public health officials, independent

and diocesan school

leaders, to understand the

needs of our times and to respond

creatively in compliance

with guidelines given.

4. Provide equitable services

to our students and families,

respectful of the needs and

common good of our students,

educators, and families.

GUIDING PRINCIPLES

Congratulations Overbrook School on beginning another academic year together! We venture into our

84th year continuing to seek and listen to health and safety experts, monitoring all federal, state and local

guidance, and putting that wisdom into action where possible, with the aim of safely remaining in school

during the 2020-2021 year.

Please see Resources located at the conclusion of document.

We are committed to upholding the following four principles in guiding our planning, decisions, and implementation.

Each subsequent adaptation and update of these plans will adhere to these guiding principles

so that Overbrook School continues its mission and is, per the Centers for Disease Control and Prevention’s

“Consideration for Schools”, “guided by what is feasible, practical, acceptable, and tailored to the needs of [our]

community.”

SHARED COMMITMENT

Overbrook School recognizes and believes parents are the primary educators

of their children. We are grateful to partner with parents in teaching their children

and proclaiming together that each student, faculty, and staff’s well-being

is essential.

To fully and successfully implement health and safety protocols, it is imperative

the whole school community be involved in, supportive of, and committed to

any guidance given. Mutual understanding, support and commitment to communicating

openly for the good of all is essential.

We are committed to working together for the health and safety of our students.

We remain committed to continuing academic, community, and faith-based excellence

for each student in our care and aim to equitably serving students who,

for COVID-19 related reasons, are unable to join us in the classroom.

WE ASK ALL PARENTS, FACULTY, STAFF, AND STUDENTS TO AGREE TO THE

FOLLOWING:

We have a shared responsibility for keeping our students, faculty and staff

safe as well as cooperating to mitigate the spread of the coronavirus.

We will willingly take our temperature each morning, check our symptoms

daily, and will not be present on Campus should we be a risk to another member

of our community.

We pledge to be vigilant in keeping these plans and responding with updates

when the situation changes.

We will stay informed and work within Federal, State, and Local Government regulations,

CDC, with consideration to AAP guidelines as well as conferring with Catholic and Independent

school leaders to make well-informed decisions as the situation continues to unfold.

Overbrook School roots children in Truth, challenges them to wonder,

and inspires them to give their best to the world.

2

DAY TO DAY

It is the desire, prayer, and goal of our work to safely remain in the classroom for in-person instruction. Joyful

learning, engaging in an environment that deepens intellectual and moral virtue, and pursuing academic

excellence is best achieved at Overbrook School. The social-emotional benefits of learning, together with a

strong sense of individual dignity as a child of God should help to reduce each child’s fear and anxiety about

the current situation.

Overbrook School is committed to remaining on Campus as long as it is safely possible. These protocols were

designed to keep school in-session throughout the year. These safety measures, along with ongoing guidance

from federal, state, and local health officials, should preclude the need to move to a distance-learning platform

if a positive case is confirmed.

Keeping in mind protocols will continue to be revised and communicated as we become more experienced in

our day-to-day procedures and as health and civil officials offer new protocols regarding in-person schooling;

the following are the over-arching protocols in place for the current situation:

CLASSROOM/BUILDING GUIDELINES

We are committed to mitigating the coronavirus by physical

distancing, mandatory face masking and sanitizing.

All students are in the classroom, with appropriate physical

distancing, as much as possible.

While continuing to be nurturing, the faculty maintains

physical distancing between themselves and the students.

Student contacts are minimized by keeping them in

classroom cohorts. Older students have some movement,

but their contacts hould be traceable.

Common spaces such as the gym, library or dining hall

are not to be used by classes during the school day.

All desks face the same direction as much as possible.

Hallway traffic s regulated and staggered to allow for

physical distancing.

Face masks are to be worn by all persons at Overbrook

School.

Classroom windows should be open as conditions and

activities allow.

Water bottles are required as water fountains are available

only for refill and not personal use.

Additional cleaning and sanitation measures are being

taken. See page 9 for more detail.

MANDATORY MASKING PRESCHOOL - 8TH GRADE

Students will wear a face mask while at school.

MANDATORY MASKING FOR ADULTS

Adults will wear a face mask while at school.

Please be sure all face masks fit snugly over the nose

and do not have open spaces allowing breath to easily

escape on the sides or under the chin. The face mask

material should also be substantial enough to act as a

barrier against respiratory droplets traveling into the air

and onto other people. We will provide appropriate masking

for those with questionable face mask.

3

OUTDOOR/PLAY GUIDELINES

We recognize being outdoors is an easy way to decrease

the risk of person-to-person transmission. As climate and

classroom circumstances allow, outdoor activities, lessons,

and instruction will be encouraged.

Recess for the different cohorts is spread out on the

campus grounds.

Playground equipment is cleaned when used.

MASK DOWN OPTION

outside

not moving (they are either sitting

or standing still)

Parents who do not want their child to remove their mask must notify the front office.

The Mask Down option may be offered by the teacher under the following conditions. Students are:

8 feet physical distancing

(distance between student’s

heads/faces)

Supervised closely and strictly

by a teacher.

HYGIENE GUIDELINES

Encouraging personal hygiene is an ongoing part of

continuing education at Overbrook. Through discussions,

signage, and a positive culture, activities like hand washing

and physical distancing are promoted in every classroom

and throughout the school.

Students and teachers wash their hands

or use hand sanitizer when changing any

classroom.

Teachers in a classroom wash their hands or use sanitizer

every time a new group of students enters their room, and

if they move to another classroom to teach a new group

of students.

Students and teachers have scheduled handwashings

with soap and water as research suggests

CLASS SCHEDULES

The class schedules take into consideration the procedures

needed to ensure our protocols for returning and

remaining at Overbrook are followed. The application of

these guidelines will continue to be updated as the year

unfolds. Further information will be released for online

learning in the event that there is a need to implement

Overbrook’s Remote Synchronous Learning on a large

scale during the 2020-2021 academic year. Please see

Overbrook’s Remote Synchronous Learning section for

more information regarding continued learning.

Overbrook School provides increased transition time

between classes and lunch/recess for safety and cleaning

protocols.

Students remain in the same homeroom cohort

as much as possible while continuing academic and

non-academic offerings.

Fewer subject transitions are in place should a need

arise for an easier transition to Overbrook’s Remote

Synchronous Learning.

PARENT VISITORS

Patterning after most schools in these circumstances,

parents are allowed in the school building only for extenuating

circumstances. We look forward to the day we can

welcome you again. We will make efforts to share the special

school moments with you, as well as offer any volunteer

opportunities, in creative and meaningful ways. Your

presence in our school is highly valued and will be missed.

4

FIELD TRIPS AND SERVICE LEARNING

Service, one of the four pillars of a Dominican education, is

an integral part of every student’s education at Overbrook

School. While we will find creative and safe ways for our students

to continue in our tradition of service to the community,

we will operate under the following guidance at this time:

Service Learning will be continued through projects

done at school rather than in-person or off-site.

Off-site field trips are discontinued.

As research and guidance continues to grow, and safety

guidelines are followed, we will continue to investigate

the possibility of the 8th Grade camping and hiking trip.

DINING HALL

Gathering to share a meal with their peers is an important

part of the social experience. Weighing the desire for students

to feast with friends against the need to keep classrooms

from frequently mixing with other classrooms, we

have created the following guidelines for dining:

All meals provided by the cafeteria are pre-packaged.

Students may bring food from home, but do not have

access to microwaves.

Students, teachers, and dining hall staff wash hands

before and after every meal.

Students eat in their cohort classroom or outside following

physical distancing protocol. They may not eat in the

dining hall during the school day at this time.

Ice cream will be available when there is a permanent

dining service in place.

Because we are being more conservative during

COVID-19, we will continue to allow birthday treats to be

brought into school to share provided they are individually

wrapped, not homemade and only distributed to a

child’s individual cohort classroom/homeroom.

MUSIC, CHOIR, BAND, ART,

PHYSICAL EDUCATION (PE), ATRIUM,

LIBRARY, AND COMPUTER CLASSES

At Overbrook School, student participation in the

non-academic classes is an integral part of the

well-rounded education offered to each student. These

classes help to instill an appreciation and love for all

that is True, good, and beautiful as well as to develop

both mind and body using the tools and resources

available to us today.

We continue to research the latest recommendations

with regards to singing and vocal performance, playing

wind, brass, and other instruments, the regulations for

sports and physical activities for PE, and the protocols

for safety in regards to art, library, atrium and computer

classes.

THE FOLLOWING GUIDELINES ARE IN IN PLACE:

Overbrook music classes capitalize on many non- vocal

music experiences. In time, this may include singing

with satisfactory researched protocol for children.

Overbrook Band is working on proper care of instruments,

fingering, note reading, music theory and music

appreciation. Lessons may eventually include instrument

playing with satisfactory researched protocol.

Overbrook Physical Education lessons are modified to

focus on skill-building and fitness to allow for as much

physical distancing as possible. PE classes are outside

as conditions allow and locker rooms will be closed as

of this time. There is no dressing out until further notice.

CALENDAR

The published 2020-2021 Overbrook School calendar remains in effect (https://www.overbrook.edu/calendar).

Our school events are an essential part of our Overbrook Community. We hope to celebrate these events, in-person, as

scheduled as much as possible. Should Overbrook events need to be adjusted, moved to a virtual setting, postponed,

or canceled, you will be notified and the website updated. Due to unpredictable circumstances in these times, please

know that notice may be less advanced than is our standard custom.

Participation in liturgical celebrations, Mass and Reconciliation, as well as common school prayer, religious, and community-building

events, are essential to the very mission of Overbrook School.

All School Mass will be held in-person for small faculty/staff groups only. We will livestream the Mass for the school and

distribute the Most Holy Eucharist to classrooms so our school may continue to celebrate and receive. Younger children

will be visited by Father and receive a blessing.

5

BEYOND THE CLASSROOM

Learning does not cease when the school day ends, and throughout the years, we have been pleased to provide countless

ways for our students to continue their education within our walls. We desire that these programs continue as soon

as reasonably possible, as we know the value of helping our students become well-rounded young men and women.

AFTERSCHOOL ACTIVITIES

All non-athletic Afterschool Programs and SCA Music Lessons are on hold at least through mid-September as we continue

to minimize contacts and monitor what is safe for our school community at this time. It is our hope that the

non-athletic Afterschool Programs and SCA Music Lessons will start again soon either in person or virtually following

Overbrook School protocols.

Overbrook School will determine participation in and hosting inter-school activities on a case-by-case basis. We may

discontinue or run programs virtually as needed.

ExtendedCARE

At this time, Overbrook School will continue to provide

ExtendedCARE following CDC Guidelines and all Overbrook

protocols given for daily activity. This includes the

use of face masks, physical distancing, and cleaning protocols.

ExtendedCARE cohorts will be slightly larger than

the school-day cohorts and located in the gym and dining

hall. Students will also have the choice to play outside following

proper guidelines.

We ask that you use ExtendedCARE for essential situations

at this time.

To plan for adequate space and supervision, Extended-

CARE is currently RSVP only. No drop-ins are allowed.

Throughout the day, we welcome opportunities to provide

a nurturing and safe environment for your child. ExtendedCARE

is a cherished way we can come alongside

your family to help meet your needs.

ATHLETICS

Sports foster team-building, a drive to accomplish

one’s goals, and personal fitness. From our beginning

days, athletic teams have been an exciting part of scholastic

life at Overbrook School. We are committed to

continuing to provide opportunities for our students to

excel through athletics. Guidance from state and local

health officials, as well as guidelines from the Diocesan

Athletic Council and the Tennessee Secondary School

Athletic Association, will help determine which sports

are offered throughout the year and how team practice

for those sports could take place.

Football, Cross Country and Volleyball interscholastic

play are cancelled for this season. More information on

the possibility of conditioning will be sent in the coming

weeks. Other sports will be evaluated at the appropriate

time.

Please refer to Quick Links for more information.

STOPPING THE SPREAD OF COVID-19

SCREENING COVID-19

We recognize that while research shows the rate of transmission from children to be low, each child – and the family to

which they return – is precious to God and to us. We ask all students, faculty, staff, and all those whose work brings them

to our Campus to be willing to be screened for COVID-19 symptoms at any time. To ensure as safe an environment as is

possible, we will enact the following protocols and screenings as recommended by the Centers for Disease Control and

Prevention (CDC), the Tennessee Department of Health (TDOH), and the Tennessee Department of Education (TDOE):

Parents are required to screen their child(ren), fill out and

submit a Daily Health Survey each day for any child(ren)

attending in-person classes. Surveys must be submitted

by 7:30am each morning before the student(s) walk into

the building.

Parents are expected to check their child(ren)’s temperature

at home every morning; children with a temperature

of 100.4° or above should stay home and consider

coronavirus testing if no other explanation is available.

Since current research suggests temperature to be a less

reliable indicator in children, parents should examine their

child(ren)’s health every morning by questioning them as

well as monitoring for any newly developing cough, congestion,

shortness of breath, or gastrointestinal symptoms.

Any positives should prompt the parent to keep the

student home from school and consider coronavirus testing

if no other explanation is available.

If “yes” is answered to any of the Daily Health Check

or screening questions by the School Nurse, along with

keeping your child home, we may request you to have

your child tested.

Teachers, staff and any other necessary adult visitors

must respond to health screening questions and monitor

temperature daily before the start of school. Upon entering,

they will wash and sanitize their hands and while

in the school practice current safety protocol regarding

physical distancing face covering.

Adults and students at school may be asked to do a

health screening and take their temperature by designated

staff members at any point during the day, especially if

sickness is suspected.

Should your student or any member of your household

be exposed to COVID-19, we ask that you immediately

and confidentially share that information with information@overbrook.edu

and our School Nurse at miref@

overbrook.edu. These emails are monitored daily, and information

will be shared only designated staff members

who have a need to be aware.

QUARANTINE PROCEDURE UPDATE

We will follow the CDC guidelines for length of quarantine

and adhere to all federal, state, and local guidance on contract

tracing and quarantine protocols. We will be asking

your child to quarantine in the following ways, but will not

be limited to the following scenarios:

If you answer “yes” to any of the daily health screening

questions, we may require you to have your child tested

for COVID-19. Should you answer “yes” but not pursue a

COVID-19 test, we will follow CDC quarantine guidelines

and require your child(ren) to quarantine 14 days and be fever/symptom-free

for 72 hours before returning to school.

If your child has been exposed to someone with a

COVID-19 diagnosis, we ask that they stay home for 14

days. We will be following the CDC definition of “close

contact” – contact with an active case within 6 feet for at

least 10 minutes.

If your child tests positive for COVID-19, we will follow

CDC guidelines on returning to Overbrook. At this time,

your child cannot return until 10 days from the onset of

symptoms and until they are fever/symptom-free for 72

hours.

If your child experiences COVID-19 symptoms while at

Overbrook or on Campus, they will be isolated and monitored

in our designated quarantine space until they are

picked up. Please come promptly. While private, this space

can be enclosed to limit spread to other classrooms. After

the student is assessed by our school nurse, we will ask

you to take them to be tested for COVID-19 and follow the

testing protocols above. When someone has arrived to pick

them up, we will bring your child out to the front of the

building.

In any of the above situations, please notify the front

office and Nurse Mire as soon as possible.

Any child awaiting testing or in quarantine will be entered

into our Remote Synchronous Learning Option. See details

in the Remote Synchronous Learning Option section, on

page 10.

Additionally, as recommended by the CDC, we ask that you

self-quarantine your child(ren) from school if you choose

avenues of higher exposure for your family such as certain

travel choices. We trust that such higher exposure choices

would be for emergency purposes only. Please refer to the

CDC for guidance on this and contact the front office in advance

so that we can respond accordingly. All adults in our

school are expected to follow the same procedures.

CONTACT TRACING

We will continue to follow all state and

local guidance on contact tracing within

our building and community. Upon

learning of a COVID-19 confirmation, we

will notify the local health department

and the State Department of Health and

will follow their suggested next steps and

protocols in contact tracing, cohort, or

faculty/staff quarantining, and cleaning.

Please note that all preschool through

5th-grade classrooms will be defined as

individual classroom cohorts at this time

and will not mix with other classrooms of

students, even those in the same grade.

Again, cohorts will not be using any shared

indoor spaces such as the dining hall or

gym. Junior High students (grades 6-8)

will be in general cohorts that will involve

some mixing for math and languages. In

these cases, we will follow the CDC definition

of “close contact” for tracing purposes

– contact with an active case within 6

feet for at least 10 minutes. Cohorts will

spread out on the campus grounds for

recess and avoid mixing when recreating

together. Only one cohort a day will utilize

the playground equipment, which will be

sanitized after each use.

It is likely that contact tracing could result

in groups of people, entire cohorts,

or faculty moving from in-person learning

to Remote Synchronous Learning. We will

follow all CDC guidelines on deep cleaning

spaces and high-touch areas after a

confirmed case.

We will follow all state and local guidance,

and cooperate with all local health officials,

in notifying families who may have

come in contact with a presumptive positive

case. We will not disclose the name

of anyone who has tested positive.

Due to these dynamic and fluid possibilities,

it is possible your student(s) will need

to be quarantined, isolated, or move into

Remote Synchronous Learning at any

time throughout the year. Please be prepared

for this possibility.

RECOGNIZING AND RESPONDING TO COVID-19

1. While some information around this coronavirus is changing, it is accepted that regular cleaning protocols is one

of the strongest methods to prevent the spread of COVID-19. Exposure to sunlight and high temperatures is currently

thought to reduce infection rates, but the amount of time required remains unclear.

OVERBROOK IS COMMITTED TO MORE AGGRESSIVE CLEANING PRACTICES AND THE FOLLOWING:

With our students’ health in mind, Overbrook School will

undergo cleaning on an increased tempo using researched

and EPA-approved disinfectants. Frequently touched surfaces

in public areas will be cleaned more often.

2. Those who show any of the symptoms, as listed by the CDC as possible symptoms of COVID-19, will be sent to the

Nurse’s office immediately. Children who become ill at school will be placed in an area of quarantine, given appropriate

personal protective equipment (PPE), and monitored until a parent or guardian can swiftly arrive.

In the event of a positive case among the faculty, staff, or student body, the classroom and/or areas accessed by that student

or adult will be immediately closed for a thorough cleaning and disinfecting. The school will also undergo a thorough

cleaning and disinfecting that night. We will follow all appropriate Tennessee Department of Health guidelines.

Overbrook will cooperate with the health department to follow the current procedures. Following the guidance of local

health officials, those who were in close contact with a student or adult who tested positive will need to quarantine.

Classmates and teachers who are not quarantined, should be closely monitored for any symptoms.

To live out the calling of being good neighbors in caring for the community around us, we will actively cooperate with

the Metro Nashville Public Health Department in providing information for contract tracing.

STAFF AND FACULTY PROTOCOLS

Along with following all the above protocols for safely returning and remaining at Overbrook School, faculty and staff

will commit to the following:

Our goal is to mitigate the potential for transmission of Covid-19 in our schools and workplaces; this requires full

cooperation among all Campus employees. Only through this cooperative effort can we do our part to establish and

maintain the safety and health of each person.

Staff have received the The Dominican Campus (TDC) Preparedness Guidelines, reviewed safety videos, and received

employee in-service presentations in August to help them recognize and respond to symptoms, and to be trained and

ready to assist students with general hygiene, respiratory etiquette, and disinfecting procedures. Overbrook faculty and

staff will continue to receive updated information and training regarding COVID-19 throughout the year.

REMAIN AT HOME WITH COVID-19

As the primary educator of your child, you know his or her needs. We encourage you to keep your child home if any

question arises regarding his or her health or safety. Students showing symptoms should stay home and consider

coronavirus testing if no other explanation is available.

Students who are sent home from school for COVID-19 purposes must remain at home, as directed by current CDC

guidelines and medical advice, until they have fulfilled quarantine/isolation requirements and/or have completely recovered,

as defined by CDC guidelines.

As part of our ongoing commitment to caring for each other during the outbreak of COVID-19, families are asked to

quarantine, as directed by CDC guidelines and medical advice, should any member of their household receive a positive

diagnosis.

Please see Overbrook’s Remote Synchronous Learning Option section on page 10 for more information regarding continued

learning in such situations.

9

EPA-approved disinfectant will be used when cleaning

rooms. In the absence of students, UV lighting and electrostatic

sanitizing spray may also be used to disinfect rooms,

air, and equipment following safety regulations for use.

Efforts will be made to minimize the sharing of materials

between students as able. If materials are shared, they

will be cleaned in the classroom by teachers and/or older

students between use.

MEDICALLY VULNERABLE STUDENTS

We believe that every child that attends Overbrook School is of infinite worth and value. Understandably, a key concern

is whether certain populations of students, teachers, and other employees may be at increased risk of infection and

severe disease by attending school in person.

Unfortunately, there is no validated data on how much risk these individuals incur by attending school in person, and

individuals will need to make the decision to attend in close consultation with their healthcare provider.

OVERBROOK SCHOOL IS COMMITTED TO:

Working with individual students on a case-by-case basis to offer remote learning as an option for high-risk students.

Providing equitable opportunities for educating those affected by COVID-19, remote learning will be primarily if not

exclusively by Overbrook’s Remote Synchronous Learning Option. See below for more details.

OVERBROOK’S REMOTE SYNCHRONOUS LEARNING (RSL) OPTION

If a student needs to be out of school for COVID-19 purposes, that student will receive remote synchronous learning of

classes as much as possible. While remote learning cannot supply all of the opportunities of the in-person Overbrook

learning experience, we are committed to working with the parents on a continuing education plan should the need

arise.

The uncertainty of our present situation due to the ongoing pandemic forces us to be prepared to continue our mission

using online learning if our local government officials require students to stay at home.

TO EASE TRANSITIONS WHENEVER POSSIBLE, WE SHARE THE FOLLOWING CHANGES TO OVERBROOK ONLINE:

Updates to Blackbaud, our distance-learning platform,

to increase ease-of-use and capacity

Reducing academic transitions to allow for an easier

online experience while still teaching content

Streaming capabilities within classrooms available

Training teachers to use effective remote learning tools

Training students to use Blackbaud, the parent/student portal

Provide families and students with online guidelines

to implement online learning should the need arise during

the school year

We stay committed to improving faculty and student

proficiency in using the Blackbaud student/parent portal

as well as integrating other applications as appropriate to

enhance the delivery of content for increased student engagement

and diverse assessment opportunities.

CONCLUSION

Information contained within this document represents the best-practices and guidance as of September 1, 2020 as it

relates to slowing the spread of COVID-19.

Should any of the guidance, protocols, or guidelines change, as soon as is possible, an updated document will replace

this one as soon as reasonably possible. A current document can always be found on our Overbrook COVID-19 website

page alongside our most recent school communications regarding COVID-19.
