Thank you for taking the time to investigate the media accreditation process for the Weston Beach
Race 2025. We would love for you to join us on the beach.

Media Accreditation Terms & Conditions for Weston Beach Race 2025
This document ("Agreement") constitutes the legally binding terms and conditions ("Terms &
Conditions") governing media accreditation for the Weston Beach Race 2025 ("Event"). By applying
for a media pass and subsequently receiving such pass from RHL Activities Ltd ("Organiser"), you
hereby acknowledge and fully accept these Terms & Conditions. It is imperative that you carefully
review this Agreement prior to applying for media accreditation.
Eligibility:
1. Media pass applications are exclusively open to individuals who are age 18 years or above.
2. The applicant (or their employer) hereby confirms that they hold valid and adequate Public
Liability Insurance, with a minimum cover of £5 million, which expressly covers the
applicant’s activities in connection with motorsport or dangerous events. This includes, but
is not limited to, media-related activities conducted trackside, within the paddock, pit lane,
start/finish areas, and any other designated media zones as defined by the event organiser.
3. Applicants are required to provide a valid DBS check as a mandatory requirement for
obtaining a media pass.
4. Eligible applicants must be employed by a recognised media outlet, publication, magasine,
company (whether online or printed), or an associated brand/company, or influencer to the
Beach Race.
Terms & Conditions – If Accepted:
1. The media pass issued to successful applicants shall enable access solely on the dates of the
Event: the 3 rd ,4 th and 5 th October
2. Holders of the media pass are granted access to the designated on-site media centre
throughout the duration of the Event on the above dates.
3. The media pass must be always worn visibly and prominently during the Event.
4. To validate the media pass, it is obligatory for pass holders to collect a bib from the media
centre upon arrival.
5. Pass holders are required to sign in at the media centre each day they are present at the
Event.
6. Allocation of appropriate Media/Track Bibs/Vests will be contingent upon your arrival at the
Event venue, subject to the presentation of a valid media pass and the payment of a
refundable deposit of £10.00.
7. The possession of a media pass does not grant exemption from local laws and regulations,
and all pass holders are expected to fully comply with all local laws.

8. RHL Activities Ltd retains sole ownership of the event's copyright. By applying for media
accreditation, you hereby acknowledge and affirm your commitment to complying with the
parameters outlined in the relevant pass. Any breach thereof may result in legal action being
pursued by RHL Activities Ltd.
9. The designated holder of the Media Pass unequivocally waives all rights and titles to any
legal claims arising from accidents or damages incurred during their presence at the Event.
10. By accepting a media pass, you expressly agree to provide any photographs taken during the
Event weekend to RHL Activities Ltd upon request, at no cost.
11. The holder of the Media Pass agrees to wholeheartedly abide by the rules, conditions, and
limitations imposed by RHL Activities Ltd to ensure the smooth and safe execution of the
Event.
12. It is essential for the holder of the Media Pass to recognise that certain participants in the
Event are protected under the Vulnerable Persons Act 2004. Consequently, utmost care
must be exercised while filming and undertaking photography activities during the Event to
ensure compliance with the Act.
13. RHL Activities Ltd reserves the right to revoke a media pass at any point, either prior to or
during the Event, without any prior notice or requirement or explanation.
14. For the sake of safety, it is mandatory that appropriate footwear is always worn while on the
Track. Flip-flops and sandals are strictly prohibited.
Filming Rights:
1. Filming rights pertaining to the Weston Beach Race are exclusively retained by RHL
Activities.
2. Copyright approval for video clip publication in video format (MP4) can be obtained by
submitting the video to media@rhlactivities.com.
3. Drone Filming: Authorisation must be explicitly granted by RHL Activities Ltd, after the
submission of appropriate insurance documents, risk assessment reports, pilot licenses, and
aviation authorisations.
4. In all social media videos related to the Event, kindly tag @westonbeachrace &
@rhlactivities so we can share!
Track Access: Access to the track during the Weston Beach Race is strictly regulated in accordance
with event Health and Safety Regulations. These measures are implemented to safeguard the wellbeing
and security of all involved parties.
Acceptance: These comprehensive Terms & Conditions, which constitute an integral part of the
Media Accreditation application, signify your unwavering acceptance of the conditions outlined
herein. Receipt of a media pass from RHL Activities Ltd serves as conclusive evidence of your
agreement to comply with these Terms & Conditions.
