Extended Care

Extended care is available each day for all campers age 4-12. Your extended care

fee includes both morning and afternoon care as well as a late afternoon snack

for all campers at 5:00pm. Care is available beginning at 7:30am and until

6:00pm. Please note, if your child is not signed up for after care, there will be an

automatic fee of $10 every 15 minutes after 4:30 pm.

Please note that a significant transition takes place right at 8:30am and again at

4:30pm.

For weeks that are very busy, we will ensure that Camp Directors are in their signin

spots ready to greet you by about 8:25 and we will start clearing out pre-camp.

If you are arriving around that time please go straight to your camp’s sign and

your Camp Director will meet you there (see the map on the next page).

Sign In & Sign Out

Children must be signed in and out of camp daily by a guardian.

Campers aged 12+ may sign themselves out with a signed permission form from

camp office. Without prior authorization, children will not be released unattended

unless a guardian confirms by phone. At pick-up, please initial the attendance

sheet to confirm your child has been signed out.

Campers who are not signed in/out will recieve a call from camp office to

confirm your campers attendance.

Kinder Authorization

All kinder camps, ages 4-5 years old, require ID checks upon pick up. Please

ensure anyone picking up your child is added to their Dovercourt account under

"Authorized Pick Up." If you require assistance, please email info@dovercourt.org.

A physical copy of Government ID is required at pick up - photos of ID's will not be

accepted. Government ID's include passport, driver's license, etc, are accepted.

DOVERCOURT CAMP HANDBOOK | APRIL 2026 V.1

Late or Absence

If your child is absent, our staff will follow up with a phone call. To avoid this,

please notify your Camp Director, call ext. 268, or email

lateorabsent@dovercourt.org if your child will be late or away for the day. Timely

notice is important, as some activities and trips depend on all campers arriving.

Campers arriving after 9:30am must be dropped off directly at their off-site

location, if applicable.

Drop Off &

Pick Up Locations

During the camp week, families may be asked to sign campers in and out at a

location outside of Dovercourt Recreation Centre. With camps running across

multiple community spaces, this helps us manage space, safety, and program

flow more effectively.

Many of our Adventure Camps use locations across the city to support their

programming. To make travel easier and reduce bus traffic at Dovercourt, these

camps will sign in and out daily at Churchill Alternative School (345 Ravenhill

Ave).

You can view a series of maps of the satelite locations we will be using this

summer 2026 on the next page.

Offsite Locations

& Activities

Offsite activities are a regular part of the Dovercourt camp experience, helping us

offer a wider range of engaging programming. Due to limited space at the

recreation centre, camps often head into the community for daily activities.

Campers may visit nearby schools, parks, and other community spaces such as

Broadview PS, Nepean HS, Churchill, and Notre Dame to support various theme,

sports, and STEM programs.

All trips are supervised by counsellors, with most travel done on foot and buses

used when needed. Activities are carefully planned to be safe, age-appropriate,

and enjoyable.

Prescribed

Medication

Dovercourt staff can administer prescribed oral medication during camp hours

with a completed and signed consent form on file. All medication must be in its

original packaging with a pharmacist label showing the child’s name and

dosage instructions, and a medication authorization form must be completed

before administration.

All medications (including over-the-counter) must be signed in and out daily at

the Camp Office by a guardian to ensure accurate records. For off-site trips, the

Camp Director will sign out the medication for the day and return it to the office

upon arrival back on-site.

Severe & Life-

Threatening Allergies

Every reasonable attempt will be made to ensure that all participants formally

identified to Dovercourt Recreation Association as being at severe life threatening

anaphylactic or other risks are identified to Dovercourt Staff that has received

training in the following:

Anaphylactic allergies and their potential severity,

Recognition of the symptoms of anaphylaxis,

Administration of EpiPen®

Recognition of the potential symptoms and/or warning signs of a participant

in medical distress.

Please note that EpiPens must be worn by the child at all times. We require each

camper to carry their EpiPen in a pouch that can stay on the person during the

camp day. For swim times, staff will place the EpiPen in a designated spot inside

the Lifeguard office. If your child has a second EpiPen, please ensure that it is

signed into the Camp Office.

DOVERCOURT CAMP HANDBOOK | APRIL 2026 V.1

Emergency

Procedures

All camps have access to first aid kits and emergency services (911), and all staff

are trained in first aid and CPR. For minor injuries, lifeguard staff may assist with

treatment. In the event of a serious injury, emergency services will be called and

families will be contacted immediately. If hospital transport is required, a staff

member will accompany your child until you arrive.

Swim & Water Safety

Activities taking place in or around water are supervised by trained lifeguards.

This also includes out-trip locations (like water parks and beaches). Many of our

camp programs include swimming as an activity and children are expected to

participate. All camps adhere to the pool swim test assessments with respect to

access to the deep end as well as City of Ottawa guidelines for adult-to-child

ratios.

Campers aged 4-5yrs, regardless of camp group, must wear a personal flotation

device (provided by us) and remain in the baby pool and the ramp area.

Campers who are 6 years old and up will be allowed in the shallow part of the

pool, and those who pass a swim test will be permitted in the deep end.

DOVERCOURT CAMP HANDBOOK | APRIL 2026 V.1

Out Trip Safety

Our Camps make frequent trips to neighbourhood and local facilities and

attractions. For neighbourhood trips our campers may walk or ride public

transport. For longer trips to local attractions we provide school bus

transportation. Our specialty camps with smaller group sizes may make use of

public transport. Staff members receive training in managing groups off-site

including loading and unloading buses as well as group supervision in public

places. All off-site locations are approved by management, planned, and must

have access to emergency medical services, and cell phone service.

Sun & Water Smart

Campers must bring a hat, sunglasses, a shirt, sunscreen, and a water bottle

each day to stay protected and hydrated. Staff will support younger campers

with sunscreen application on exposed skin (arms, legs, face, neck, and ears)

when needed. If a camper does not bring sunscreen, staff will provide it.

Throughout the day, staff ensure all campers regularly drink water and refill their

bottles at least three times.

Lost & Found

Any items left at the end of the camp day will be placed in the Lost & Found POD

in the parking lot. Staff will help campers keep track of

belongings and reunite lost items with their owners. Please

label all items and ensure your child can identify them.

Unclaimed items are not kept past the end of summer

and will be donated to charity.

DOVERCOURT CAMP HANDBOOK | APRIL 2026 V.1

Cancellations &

Refund Policy

It is extremely rare that a camp is cancelled due to low participation or for any

other reason. Every effort is made to find a suitable substitute for your child. If we

are unable to provide a satisfactory substitute, your fees will be fully refunded to

the same method of payment.

To cancel a camp registration, please email info@dovercourt.org with your

child’s name, the name of the camp, and the date of the camp. Cancellations

cannot be done online.

Refunds will be provided up to 3 weeks (21 days) prior to the start date and

subject to a $20 administration fee (this fee is waived if the amount is left as an

account credit).

Within 3 weeks (21 days) of a program start, refunds will not be issued other than

in extraordinary circumstances, and with medical documentation.

Preparing Your Child

For Camp

For new families, the first day of camp can feel overwhelming, so we recommend

visiting Dovercourt Recreation Centre ahead of time. Many campers become

familiar with the space through family swims or playing in the park.

On the first day, our camp team will greet you and guide you where to go.

Signage is posted throughout, and our customer service desk or camp office can

help if needed. It’s helpful if the person dropping off your child knows their camp

name.

DOVERCOURT CAMP HANDBOOK | APRIL 2026 V.1

What to Bring

The following is a list of what to bring to camp. While it is prudent to provide for

both rain and shine and all other eventualities, please remember that children

must be able to carry their belongings. We recommend a suitable sized

backpack with comfortable straps. We do not recommend multiple bags as this

leads to loss belongings.

Lunch & healthy snacks

Water bottle

Athletic footwear (campers do walk between activities and will play field

games etc…)

Swimsuit & Towel

Sun hat & sunscreen (sunscreen will be provided should a camper forget or

misplace his/hers)

Extra weather appropriate clothing (a little rain does not stop us from going

outside!)

CSA approved helmet for activities requiring protection, including but not

limited to: skateboarding, biking, road hockey, and more.

For camp programs involving biking, please supply a lock suitable for

ensuring the security of your child’s bike.

Adam’s Apple Cafe

Most camps do not have access to the Adam’s Apple Café or vending machines

during the camp day. In some cases, campers may have limited opportunities to

purchase snacks from the café during afternoon snack time or after swim.

Campers who bring money can also buy treats during post-camp, following

proper check-in/check-out and buddy system procedures, or with a family

member at pick-up. The café offers a variety of options, including popsicles, cold

drinks, and candy, as well as healthier choices like fruit and muffins.
