When applicable, deposits are required to guarantee your event and we will collect the charges in advance of the function<br />

date. Standard deposit arrangements are 20% at the time of the signed contract, 50% of estimated revenues due 30 days in<br />

advance and the balance due four (4) business days prior to the event along with the final guarantee.<br />

Final guarantee numbers are due four (4) business days prior to the scheduled event.<br />

Your final guarantee number is not subject to reduction.<br />

If no guarantee number is received, <strong>The</strong> <strong>Penn</strong> <strong>Stater</strong> will consider the Expected number to be the correct guarantee number.<br />

All charges will be based on the guarantee or upon the actual number of persons served, whichever is greater.<br />

Banquet <strong>Event</strong> Orders (BEOs) are the documents from which all of our departments work in order to successfully execute<br />

your function. Once you receive the BEOs from your event planner, please review them carefully, make a note of any<br />

changes, sign the bottom, then return to your event planner.<br />

A service charge of 18% on food and beverage purchases plus the applicable 6% <strong>Penn</strong>sylvania sales tax (except for alcohol)<br />

will be applied to all events.<br />

Menu Finalization No later than three (3) weeks prior to the scheduled event.<br />

Market Prices Due to uncertain market circumstances, prices are subject to change without notice &<br />

substitutions may be necessary.<br />

Regulations In order to comply with local and state regulations, all food and beverage items must be purchased<br />

through <strong>The</strong> <strong>Penn</strong> <strong>Stater</strong> and serviced by <strong>The</strong> <strong>Penn</strong> <strong>Stater</strong> staff.<br />

Carry-In and Carry-Out Policy <strong>The</strong> <strong>Penn</strong> <strong>Stater</strong> reserves the right to inspect & control all private parties,<br />

meetings, receptions, etc. being held on the premises. Due to food safety regulations, no food or beverage of any<br />

kind is permitted to be brought into the banquet and/or meeting rooms or to be removed from the property. To<br />

assure quality & freshness (and due to containment and travel conditions), PSHS makes no guarantee about,<br />

does not recommend & will not be held responsible for the safety of any food taken out of <strong>The</strong> <strong>Penn</strong> <strong>Stater</strong>.<br />

Menu Minimums If your counts fall below the published minimums, you will be charged for the minimum.<br />

Multiple Entrees If/when you are requesting your guests to have a choice of two entrees, the higher priced<br />

entrée apply to all meals due to the additional setup & preparation involved. We require the specific<br />

breakdown of entrees from you four (4) business days in advance with your guarantee counts. Entrée indicators<br />

may be provided by the hotel.<br />

Pricing All menu charges are per person. Food is replenished throughout the meal period.<br />

Modified Menus If you would like a menu with modifications from our printed <strong>menus</strong>, our chef will create a<br />

menu & price based upon your specifications.<br />

Service Parameters All <strong>menus</strong> are based upon a 1 ½ hour service period.<br />

Buffet Sets Breakfast, lunch, and dinner buffets are set double-sided one per 100 people.<br />

Bar Sets Bars are supplied one per 80 people.<br />

Standard <strong>Event</strong> Sets Round tables of 10, white linen, white napkins, and a bud vase centerpiece. Colored linen<br />

and enhanced centerpieces can be arranged with your <strong>Event</strong> Planner.<br />

Decorations All materials requested to be hung from the walls must be done so by <strong>The</strong> <strong>Penn</strong> <strong>Stater</strong><br />

Maintenance staff. Please notify your <strong>Event</strong> Manager if you will be bringing such items. <strong>The</strong> hotel does not<br />

allow confetti, glitter, and/or similar items to be used in the function space.<br />

A contemporary alternative to dinner wine service, our new table-side craft beer service is presented in elegant<br />

large-format bottles, poured table-side for your guests just like a bottle of wine.<br />

Craft beer service offers a great value too - a 25oz beer is roughly equivalent to a 750ml bottle of wine at a more<br />

affordable price.<br />

Select two different styles the same way you would choose a white wine and a red wine, or pair a different beer with<br />

each course. Our craft beer list reflects brews that are available<br />

year-round in abundant quantities to accommodate events.<br />

In addition to these offerings, our beverage manager is available<br />

to provide a list of seasonal or alternative brews based upon<br />

GENERAL BEVERAGE PROCEDURES<br />

All alcoholic beverages will be provided by <strong>Penn</strong> State Hospitality Services (PSHS).<br />

Purchasing alcohol for ‘take out’ (for consumption off premises) at events is not permissible. All alcohol must be<br />

consumed in the location where the event is being held.<br />

Alcoholic beverage service will be terminated one-half hour before the scheduled end time of the event for the safety of all<br />

invited guests.<br />

PSHS requests an on-site contact person be designated for every event. This person should be authorized to act, in all<br />

instances, on behalf of the entire organization or group holding the event.<br />

Alcoholic beverage service may not be provided for more than 5 hours throughout the course of any single event, (i.e.)<br />

1 hour reception followed by 4 hours of alcoholic beverage service or, if no alcoholic beverage service is provided through<br />

dinner, beverage service could be provided from the point of re-opening after dinner for no more than 4 more hours.<br />

Exceptions for events offering wine service with dinner and/or a champagne toast as part of a dinner may be reviewed by<br />

the General Manager of the hotel for consideration. Bars offering non-alcoholic beverages may be provided for the entire<br />

duration of any event &charged accordingly.<br />

ID verification is required for the table service of wine or champagne at all events where such services are provided<br />

regardless of the nature of the event or mix of attendees.<br />

ON-PREMISE PROCEDURES FOR OUTSIDE BEVERAGES<br />

Alcohol purchased from a vendor other than <strong>Penn</strong> State Hospitality Services may not be brought into the restaurants or<br />

event areas. Any guests who attempt to do so will be asked to leave the restaurant/event area & will not be<br />

permitted to return until they have disposed of the outside alcoholic beverage.<br />

Requests for the use of donated or special products must be reviewed in advance by the General Manager & are subject<br />

to a corkage fee if approved.<br />

OFF-PREMISE PROCEDURES<br />

Groups must provide their own alcoholic beverages for events held outside the licensed premises of the hotel. Charges<br />

for services only shall include all handling charges (transport, temporary storage, chilling, etc.), bartending/supervisory<br />

services, non-alcoholic beverages, glassware, mixers, ice, and any other requirements of service as determined by PSHS.<br />

PROCEDURES FOR DRINKS LEAVING THE BAR AREAS<br />

<strong>Event</strong> attendees - All alcoholic beverages purchased in Legends must be consumed in Legends & may not be transported to<br />

banquet function rooms. Beverages purchased in an event must remain in the event location.<br />

<strong>Hotel</strong> guests (not attending an active event) - May take an alcoholic beverage to another area of the hotel, e.g. to their<br />

room or other public areas of the hotel for consumption within the property. No more than 2 drinks may be taken out of<br />

the licensed establishment by any one hotel guest at any given time.<br />

Alcoholic beverages cannot be taken out of the hotels with the exception of a re-corked, unfinished bottle of wine that was<br />

purchased with a meal consumed on the premises per PLCB regulation.<br />

STUDENT FUNCTION NO ALCOHOL POLICY<br />

<strong>Penn</strong> State Hospitality Services does not provide alcoholic beverage service to student groups.<br />

Guests age 21 or older may purchase alcoholic beverages in our restaurant outlets but may not transport those beverages<br />

out of the restaurant into the banquet room. Guests under the age of 21 consuming or attempting to purchase alcoholic<br />

beverages will be prosecuted.<br />

No alcoholic beverages are permitted in the banquet room where the student event is being held. Any alcoholic beverage<br />

found in the banquet room will be confiscated by a member of the PSHS staff. If an alcoholic beverage is discovered in the<br />

banquet room, management may choose to terminate the event & will bill the group for the full guaranteed number of<br />

guests as agreed in advance of the function.<br />

CARDING POLICIES FOR PRIVATE EVENTS & LEGENDS PUB<br />

Hospitality Services staff members will card any guest ordering alcohol that they deem to appear under they age of 30 in<br />

accordance with <strong>Penn</strong>sylvania Law. Additionally, staff members may card any other guest ordering alcohol if they feel it is<br />

appropriate. Guests may be carded multiple times throughout an event, particularly if there is more than one bar station<br />

or bartender on duty. During high volumes of business in Legends Pub, as is frequently the case just prior to or after a<br />

large function in the banquet areas, our staff may require all guests wishing to enter the pub to present a valid ID,<br />

regardless of their age, for the safety and security of all guests. Minors must be accompanied by a parent or legal<br />

guardian in Legends at all times and are not permitted in Legends at all after 11pm when food service ends. Last call for<br />

beverage service in Legends Pub is midnight.<br />
