continuing your adventure with us.<br />

You, the member, are our greatest asset<br />

and we are grateful to have your<br />

talent, enthusiasm, and excitement!<br />

For both new and old members,<br />

I urge you to take some time<br />

and review this <strong>Membership</strong> <strong>Handbook</strong><br />

as it explains how we are structured<br />

and how we operate. It will also<br />

help you become familiar with<br />

<strong>OGREs</strong> as well as inform you of the<br />

various fun member programs we offer<br />

for our mutual enjoyment. For<br />

bit tedious at times, but as a registered<br />

entity we are required to have a<br />

set of guidelines to work off of. So<br />

a break and pick up your favorite<br />

game manual to remember why we’re<br />

Understanding this<br />

<strong>Handbook</strong><br />

The <strong>OGREs</strong> <strong>Membership</strong> <strong>Handbook</strong><br />

is full of valuable information for members<br />

and prospective members of our club, as<br />

well as media representatives or gaming<br />

company employees. However, at times<br />

some of the terminology used may make it<br />

hard for “outsiders” to coherently follow<br />

and understand the information provided<br />

within.<br />

Below, readers can see some explanations<br />

for the common terms and phrases<br />

unique to <strong>OGREs</strong>. Hopefully, this information<br />

will provide a easier narrative<br />

throughout the <strong>Handbook</strong>. A more exhaustive<br />

list of terms can be found in the appendix,<br />

whereas this list just documents<br />

some of the extremely common terms used<br />

within this <strong>Handbook</strong>.<br />

Awards<br />

Can refer to any of three distinct<br />

programs that benefit and recognize members,<br />

discussed in further detail within.<br />

CC<br />

Short form of Chapter Coordinator,<br />

one of the two permanent offices of each<br />

chapter, and a member of the Primary Officers.<br />

Chapter<br />

Also occasionally called a Tribe, this<br />

refers to a specific grouping of members,<br />

typically central to a singular geographic<br />

location. This is the core unit of the organization<br />

at large.<br />

MHB<br />

A shortened way to refer to this<br />

document: the <strong>Membership</strong> <strong>Handbook</strong>.<br />

P2<br />

Oggie/Ogswald<br />

The names Oggie and Ogswald can<br />

be seen attached to many membership<br />

programs. They refer to our mascot, the<br />

fictional Ogre seen in our logo. known as<br />

Ogswald Theodore Henry Eddington Ogre,<br />

or more commonly Oggie The Ogre. Dedicated<br />

members of the club may also be referred<br />

to as “Oggie’s Crew.”<br />

<strong>OGREs</strong>/Ogres/<br />

Ogre/O.G.R.E.s<br />

One common area of confusion is<br />

the myriad variances of our club’s acronym:<br />

<strong>OGREs</strong>. Throughout this <strong>Handbook</strong>,<br />

and also typically in any type of communications<br />

released by <strong>OGREs</strong>, these uses<br />

break down as follows:<br />

� <strong>OGREs</strong>/O.G.R.E.s<br />

Either ways is “correct,” and refers<br />

to the organization at large. Can be identified<br />

by the use of capitalization on the first<br />

four letters of the acronym.<br />

� Ogres/Ogre<br />

This version, without the full capitalization<br />

of the four letters, is used to refer<br />

to a group of members or an individual<br />

member of the organization.<br />

So, for example - the odd sentence<br />

“John Doe is a veteran ogre having joined<br />

<strong>OGREs</strong> a decade ago” can refer to both at<br />

once.<br />

Rank<br />

Refers to a fictitious ranking structure,<br />

similar to those found within military<br />

organizations, that <strong>OGREs</strong> uses to help<br />

distinguish long-standing members and<br />

officers, discussed in further detail within.<br />

SGM<br />

Short form of Senior Game Master,<br />

one of the two permanent offices of each<br />

chapter, and a member of the Primary Officers.


Other <strong>Handbook</strong>s<br />

These are supplemental documents<br />

released by <strong>OGREs</strong> for use by members<br />

who wish to get a deeper understanding of<br />

the club or a specific program or to assist<br />

an officer or member in a specific role.<br />

The Editor-in-Chief, an officer on<br />

the Board of Directors, is responsible for<br />

the updating and releasing of these supplements.<br />

Any member may find a copy on<br />

OgreLair.org or request one from the Editor-in-Chief<br />

via his or her contact information<br />

Awards Pamphlet<br />

A more detailed publication dedicated<br />

to the three official awards programs<br />

of <strong>OGREs</strong>: the standardized awards, the<br />

Ogswald Academy awards, and the OGRE<br />

awards more commonly referred to as the<br />

OGGIEs.<br />

Camp Oggie<br />

Coordinator’s Manual<br />

A How-To guide for chapters/<br />

members preparing to submit a proposal<br />

package to host the semi-annual <strong>OGREs</strong>wide<br />

weekend campout known as Camp<br />

Manual<br />

Both a guide for non-members who<br />

run conventions to approach and utilize<br />

local <strong>OGREs</strong> chapters to run their analog<br />

gaming events as well as a guide for chapters/members<br />

to run said events.<br />

Merchandise Catalog<br />

A catalog of official merchandise<br />

available for purchase from the <strong>OGREs</strong> at<br />

any given time. Prominently featuring our<br />

beloved and idolized “biker patches” that<br />

identify our chapter of membership.<br />

Ranks Pamphlet<br />

A more exhaustive understanding of<br />

the <strong>OGREs</strong> Rank Structure, with proper<br />

promotion and rank display protocols.<br />

Senior Game<br />

Master’s Manual<br />

A guide and How-To for current<br />

Senior Game Masters to perform well in<br />

their officership. Typically, these are updated<br />

by former Senior Game Masters with<br />

ideas and tips.<br />

ORCs<br />

An acronym standing for the<br />

“<strong>OGREs</strong> Revised Combat System” which is<br />

a easily accessible boffer combat larp game<br />

for those chapters wishing to partake in<br />

boffer-style games without the bureaucracy<br />

of national boffer clubs.


<strong>OGREs</strong>: The Organization of Gamers<br />

& Roleplaying Enthusiasts, Incorporated<br />

is a not-for-profit 501(c)7 club headquartered<br />

in the Commonwealth of Kentucky<br />

with (as of this publication’s update)<br />

40 chapters across three continents. The<br />

club’s goal is to promote analog gaming;<br />

<strong>net</strong>work together tabletop hobbyist; and to<br />

advocate for the documented benefits that<br />

imaginative cooperative storytelling provides.<br />

History of <strong>OGREs</strong><br />

The abbreviated moniker of <strong>OGREs</strong><br />

has existed loosely since the 1980s when it<br />

was a descriptive term used on the west<br />

coast of the United States to identify tabletop<br />

gamers. The foundation for our adoption<br />

of the title began on May 24th, 2005<br />

when a group of Las Vegas, Nevada area<br />

gamers created an online group to help<br />

promote and <strong>net</strong>work local players. Having<br />

to land on a name, the group eventually<br />

voted on “Sin City Ogres” and created the<br />

original logo still in use today.<br />

This group was found online by a<br />

Midwest campaign who, with permission,<br />

adopted the same naming style and logo<br />

use. This group, the Quilt City Ogres of Paducah,<br />

Kentucky began to branch out and<br />

help other groups take on the moniker.<br />

Eventually, with over a dozen groups using<br />

the name and logo, the Quilt City Ogres<br />

spearheaded the incorporation of the club<br />

you’re now a part of, and <strong>OGREs</strong>, Inc. was<br />

born.<br />

Since that day in 2010, the club has<br />

grown exponentially and is the largest<br />

gamer-ran, independent all-inclusive tabletop<br />

club in the world. Unlike similar<br />

clubs that focus on one game, style, company,<br />

or system - of gaming, <strong>OGREs</strong> has<br />

found its niche in supporting and <strong>net</strong>working<br />

them all together.<br />

U1<br />

Basic Organizational<br />

Structure<br />

As a large <strong>net</strong>work of localized,<br />

mostly independent functioning chapters,<br />

<strong>OGREs</strong> has a unique social infrastructure<br />

that - when working perfectly, is rarely<br />

even seen. These are discussed in detail<br />

and a more cohesive flowchart can be seen<br />

on the following page.<br />

At the most basic and most important<br />

level is the local chapter, which is<br />

required to have only two officers: the<br />

Chapter Coordinator (CC), who is responsible<br />

for the non-gaming related<br />

maintenance of the chapter; and the Senior<br />

Game Master (SGM), who is responsible<br />

for scheduling and coordinating<br />

the chapter’s events. These offices are<br />

elected by each respective chapter for three<br />

year terms, and their specific duties are<br />

discussed in more detail further in this<br />

handbook, and a chapter may decide to<br />

have their own additional officers if they<br />

feel it necessary. These typically include<br />

Webmaster and/or Community Manager,<br />

Treasurer, or Recruiter.<br />

The two core officers, the CC and<br />

the SGM, together hold that chapter’s seat<br />

on the Primary Officers. The Primary<br />

Officers only meets if any particular chapter<br />

has an issue or issues they’d like to discuss<br />

that could potentially change or alter<br />

the basic functionality of <strong>OGREs</strong>, Inc., or if<br />

they wish to negate actions taken by the<br />

Board of Directors. This group holds the<br />

raw power to dictate the long-range goals<br />

and policies of the club.<br />

Handling the day-to-day functions<br />

of the club as a registered entity and ensuring<br />

the stability of <strong>OGREs</strong> is the Board<br />

of Directors, an elected board consisting<br />

of ten members from any chapter of<br />

<strong>OGREs</strong> who sit for three year terms.

These positions are discussed further on in more depth.<br />

U2<br />

<strong>Membership</strong><br />

within <strong>OGREs</strong><br />

Any individual of any race, sex, religious<br />

belief, sexual identity, age, place of<br />

residence, or any other identifying aspect<br />

may seek membership in <strong>OGREs</strong>. <strong>Membership</strong><br />

in <strong>OGREs</strong>, Inc. is free though local<br />

chapters may have dues if they wish. Even<br />

if a chapter has no dues, some small financial<br />

contribution may become expected for<br />

game site hosting, food, events, or similar.<br />

Check with your local chapter for details. If<br />

there is not a local chapter in your area,<br />

look for details further in this handbook on<br />

how you can start one yourself.<br />

Every chapter may identify membership<br />

in different ways - from separating<br />

active current members from associate inactive<br />

ones, support members like spouses<br />

or children, or if they have dues separating<br />

dues paid and not paid. Chapters are free<br />

to dictate their own membership definitions<br />

as long as they do not exclude any<br />

potential member on the basis of any identifying<br />

aspect (race, sex, etc. etc.). <strong>OGREs</strong>,<br />

Inc. will only recognize members as those<br />

listed on the official OgreLair.org roster for<br />

that chapter, which is why an important<br />

aspect of every Chapter Coordinator’s job<br />

is to keep that roster up to date.<br />

Because we are a social club with<br />

members from all walks of life, <strong>OGREs</strong> is<br />

very proactive in establishing a set of rules<br />

to help curtail any harassment or rude actions<br />

between members. This is seen most<br />

clearly in the <strong>OGREs</strong> Members Rights<br />

& Responsibilities, commonly referred<br />

to as the R&R. Members are granted certain<br />

rights, much of which is common<br />

sense - but these rights are dependant on<br />

that member following the responsibilities<br />

put forth here in this handbook. Failure to<br />

maintain responsibilities may negate a<br />

member’s rights within <strong>OGREs</strong>. These issues<br />

are handled on a case-by-case basis<br />

by the Inquisitor, a member of the Board.


These Rights include, but are not<br />

limited to:<br />

� Right to pursue level of membership<br />

wanted, and right to change or end<br />

membership without retribution.<br />

� Right to transfer from one chapter of<br />

<strong>OGREs</strong> to any other chapter, at any<br />

time, for any reason, without problem.<br />

� Right to participate in Chapter, Regional,<br />

and International <strong>OGREs</strong> functions<br />

to the fullest extent desired.<br />

� Right to pursue any level of involvement<br />

within the organizational structure<br />

of <strong>OGREs</strong>.<br />

� Right to due process in the event of a<br />

disagreement.<br />

� Right to be considered for involvement<br />

in any <strong>OGREs</strong> program or function.<br />

� Right to voice your opinion.<br />

and most importantly, the<br />

� Right to have fun!<br />

The Responsibilities of membership<br />

within <strong>OGREs</strong> are outlined here:<br />

� Responsibility to behave in a manner<br />

that brings credit to self, chapter, and<br />

<strong>OGREs</strong>, Inc.<br />

� Responsibility to praise in public and<br />

critique in private.<br />

� Responsibility to show courtesy to fellow<br />

Ogres at all times.<br />

� Responsibility to never assume, but always<br />

verify.<br />

� Responsibility to be resolute in the performance<br />

of <strong>OGREs</strong> duties or officership<br />

as well as the execution of policy<br />

and regulation.<br />

� Responsibility to aid in diffusing confrontations,<br />

and to strive to never cause<br />

them.<br />

� Responsibility to listen to both sides of<br />

a dispute and act upon verifiable facts,<br />

not innuendo or assumptions.<br />

� Responsibility to strive for impartiality<br />

and fairness in decisions and to excuse<br />

self from said decision making process<br />

if judgment may be compromised.<br />

These listed Rights and Responsibilities<br />

are what officers within <strong>OGREs</strong> refer<br />

to during disputes, and <strong>OGREs</strong>, Inc.<br />

will always take a liberal definition of both.<br />

When, in the unfortunate event that<br />

a dispute has occurred, the following procedures<br />

should be taken:<br />

1. Reach out to local chapter officers for<br />

assist in mediating. Hopefully, this<br />

should end the problem. However,<br />

should an officer be involved in the initial<br />

dispute, or you not feel satisfied<br />

with their decision, you should:<br />

2. Submit a ticket to the Inquisitor, an individual<br />

elected to the Board of Directors<br />

who is solely there to help settle<br />

problems and get everyone back to having<br />

a good time as soon as possible. Remember<br />

that you should provide a<br />

clear, concise explanation of the issue<br />

without any heated language, and do<br />

not make any accusations that you can<br />

not verify or provide proof of. This will<br />

help streamline your ticket.<br />

This set of guidelines here is hopefully<br />

something you or your friends in your<br />

local chapter should never have to use. But<br />

in case you do, we have the structure in<br />

place to ensure that any potential issue is<br />

handled as rapidly and appropriately as<br />

possible.<br />

Getting beyond the R&R, membership<br />

comes with many basic benefits. Besides<br />

being the largest and most inclusive<br />

<strong>net</strong>work of analog gamers under one banner<br />

in the world, <strong>OGREs</strong> has many programs<br />

and events which can become a fun<br />

aspect of membership. These include, but<br />

are not limited to:<br />

Awards Program<br />

Our members may receive recognition<br />

for both in-game and out-of-game actions.<br />

This fun program acknowledges the<br />

skills and accomplishments of members as<br />

well as their devotion to the club.<br />

Camp Oggie<br />

Only members of <strong>OGREs</strong> may attend<br />

this semi-annual weekend camping<br />

and gaming extravaganza - Camp Oggie.<br />

Hosted in different locations by different<br />

chapters every time, it is a fun and unique<br />

get away in lieu of the traditional convention<br />

weekend.<br />

Convention Support<br />

Many of our members help organize<br />

or even run conventions in their area, and<br />

<strong>OGREs</strong> provides a support structure to<br />

help make sure any analog aspect of their<br />

convention can run smoothly. From providing<br />

GMs or just general promotion.<br />

Additionally, members attending a<br />

convention can receive aid in running<br />

games or events as an attendee.<br />

Local Chapter<br />

Websites & Email<br />

Every chapter of <strong>OGREs</strong> is able to<br />

receive a free subdomain of OgreLair.org<br />

as well as email redirects for their officers<br />

or active members. The Director of Communications<br />

can help aid any chapter in<br />

setting any of these up, and they’re highly<br />

recommended for recruitment purposes.<br />

Merchandise<br />

Members and chapters have access<br />

to official <strong>OGREs</strong> Oggie the Ogre Merchandise,<br />

including apparel, patches, and<br />

electronics.<br />

Ogswald Academy<br />

Members are the only eligible students<br />

who may take courses at the <strong>OGREs</strong>,<br />

Inc. online only academy. These courses<br />

range from understanding in-game standards<br />

across our tabletop medium, tips<br />

and aids on character creation or game<br />

mastering, or even out-of-game advocacy<br />

for the hobby itself.<br />

ORCs<br />

Free of other large-scale boffer<br />

on upcoming games and releases. This<br />

provides our members with free material<br />

to game with and lets their voice be heard<br />

in the actual finished product.<br />

<strong>OGREs</strong> Promotional Materials to help promote<br />

their chapter.<br />

Only members are eligible to hold a<br />

rank and be promoted up within <strong>OGREs</strong>.<br />

Earlier we took a brief glance at the<br />

structure that makes up the inner workings<br />

of <strong>OGREs</strong>. Here, we will delve deeper<br />

into the exacts of each level of <strong>OGREs</strong> for a<br />

more exhaustive and clear understanding<br />

of how our club functions.<br />

Chapter Structure<br />

Every chapter - or sometimes tribe,<br />

of <strong>OGREs</strong> is a grouping of gamers sharing<br />

the same geographical location who <strong>net</strong>work<br />

together to promote and increase tabletop<br />

and analog gaming in their area. As<br />

mentioned before, each chapter has two<br />

officers. Here, their roles are more defined:<br />

� Chapter Coordinator<br />

The CC is responsible for recruitment,<br />

retention, updating the OgreLair.org<br />

chapter roster, chapter finances, chapter<br />

online websites and/or groups, informing<br />

the board about rank advancements or<br />

award nominations, new member introduction,<br />

local level conflict resolution, and<br />

communication between the chapter and<br />

<strong>OGREs</strong>, Inc.<br />

� Senior Game Master<br />

The SGM is responsible for maintaining<br />

and updating the chapter game calendar<br />

and schedule, finding host sites,<br />

GMs, <strong>net</strong>working new members to established<br />

campaigns, local level conflict resolution,<br />

in-game disputes, and any cheating<br />

or Metagaming.<br />

Each position is elected by local<br />

chapter members for three year terms, and<br />

there is no limit to the number of terms a<br />

member may hold the position. The chapter<br />

may also vote to set up secondary officers<br />

to help alleviate some of the duties<br />

from either, which is a very good idea for<br />

O1<br />

chapters with more than 50 active members.<br />

Some of the more common secondary<br />

officers include:<br />

� Community Manager<br />

Though websites are encouraged if<br />

for nothing more than a landing page for<br />

promotion, the best way currently to host<br />

member areas online are via social <strong>net</strong>works<br />

like facebook. These groups require<br />

an admin, and sometimes the CC or SGM<br />

may be too busy. A community manager<br />

can help approve new members, prevent<br />

spam, and act as an initial point of contact<br />

for basic questions.<br />

� Recruiter<br />

Only viable for extremely large<br />

chapters, this individual can help recruit<br />

and retain members who may not “hold<br />

the spotlight” or “be as vocal” as other<br />

members. Different personalities are great,<br />

but sometimes in big chapters the more<br />

quiet types may not get the attention they<br />

deserve to feel wanted and remain active.<br />

A dedicated support person such as a recruiter<br />

or member liaison can aid in this.<br />

� Treasurer<br />

Should a chapter elect to have dues<br />

or host fundraisers, a treasurer may be<br />

necessary to bring in a third person solely<br />

to oversee those funds. It is recommended<br />

that this person be at least 21 years of age<br />

and have a solid track record of financial<br />

management. It is not necessary for local<br />

chapters to file for non-profit, but since<br />

<strong>OGREs</strong> is a 501(c)7 and not a 501(c)3<br />

chapters will be expected to pay taxes on<br />

any purchases. Chapters should keep a record<br />

of finances as good form. Google docs<br />

provides an easy system to store an excel<br />

file that can be shared when new officers<br />

take over.


For the most part, chapters exist<br />

rather independently of <strong>OGREs</strong>, Inc. and<br />

take care of their own needs. However,<br />

when discussion is necessary with <strong>OGREs</strong>,<br />

Inc. the next step up is the Regional Coordinator.<br />

Regions<br />

Regions are a very basic grouping of<br />

geographically-close chapters to help give<br />

a contact person between the board and<br />

that area. Currently, regions are broken<br />

down simply by international time zone<br />

and the coordinator is simply the longest<br />

standing Chapter Coordinator.<br />

Really, regions are simply a preemptive<br />

structural tool to aid in inner<br />

working as we continue to grow. However,<br />

it is not expected to be necessary or viable<br />

for a few more years. Check this section in<br />

an updated manual in 2016, and you<br />

should see more functions for regions!<br />

Primary Officers<br />

Consisting of the CC and SGM of<br />

every chapter, who collectively cast one<br />

vote for their chapter, the Primary Officers<br />

is the long-range policy planner and task<br />

setter for <strong>OGREs</strong>, Inc as well as a checksand-balances<br />

against the Board of Directors.<br />

The Primary Officers only meets if<br />

called upon, and any CC or SGM of any<br />

chapter has the ability to call for an online<br />

PO meeting. The Director of Communications<br />

for the Board of Directors will then<br />

set up and reach out to the chapters in a<br />

timely manner.<br />

The Board of Directors is required<br />

by policy to pursue any action or task that<br />

a majority vote of the Primary Officers sets<br />

forth, even if it negates previous Board<br />

plans or programs.<br />

Board of Directors<br />

Consisting of ten members from<br />

any chapter, the Board is in charge of the<br />

legal upkeep of the organization as well as<br />

the day-to-day running. The Board meets<br />

once quarterly for review and tasks.<br />

Though every board member holds an<br />

equal vote, some hold certain positions<br />

that may or may not be filled depending on<br />

needs. More exhaustive details about each<br />

office and its requirements can be found in<br />

the constitution later in this handbook.<br />

These positions include:<br />

� President (or Arbiter or Director)<br />

The head of <strong>OGREs</strong>, Inc. runs meetings<br />

and only votes in tie-breakers. This<br />

figurehead is the central Public Relations<br />

identity of <strong>OGREs</strong>, Inc. The President is<br />

voted in by the incoming board from<br />

among themselves prior to the beginning<br />

of the new board’s term.<br />

� Vice President (or Vice Director)<br />

Selected personally by the President,<br />

the Vice is responsible for aiding the<br />

President or filling his/her shoes if he/she<br />

is absent.<br />

� Supreme Game Master<br />

Coordinates with chapter-level senior<br />

game master and aids in any in-game<br />

conflict resolutions. Is in charge of any<br />

<strong>OGREs</strong>-ran “living campaigns” such as the<br />

homebrew settings of Valgora or Altren.<br />

� Director of Communications<br />

(or Herald)<br />

Probably the most visible member<br />

of the board as he or she is responsible for<br />

running the Public Relations and Member/<br />

Chapter Outreach that gets information<br />

between the board and the public.<br />

Collectively, the President, Supreme Game<br />

Master, and Director of Communications<br />

form the central block of the board that<br />

can be held legally responsible should any<br />

issues ever come up. However, they hold<br />

no true exercisable power over “lower” po-


sitions on the board, which include:<br />

� Treasurer (or Comptroller)<br />

In charge of any and all <strong>OGREs</strong>,<br />

Inc. finances. Should the finances be low<br />

enough that the board not deem it necessary<br />

to fill this position, the responsibilities<br />

fall to the Director of Communications.<br />

� Editor-in-Chief<br />

Responsible for the publication, editing,<br />

and upkeep of all <strong>OGREs</strong> manuals<br />

(such as this handbook) and any Board<br />

press releases. Should the board not deem<br />

it necessary to fill this position, the responsibilities<br />

fall to the Director of Communications.<br />

� Inquisitor<br />

Responsible for conflict resolution<br />

and the handling of delicate internal issues<br />

in a fair manner. Should board not deem it<br />

necessary to fill this position, the responsibilities<br />

fall to the Supreme Game Master.<br />

� Webmaster (or Loremaster)<br />

Responsible for the upkeep of Ogre-<br />

Lair.org and the oversight of any online<br />

affiliate projects.<br />

� Ambassador<br />

The chairperson for the Committee<br />

on Gaming Advocacy, responsible for promoting<br />

the hobby and its factually positive<br />

benefits to the general public and media<br />

and to combat any negative, false news.<br />

The Primary Officers may vote to<br />

expand the Board of Directors to more<br />

members if it is ever felt necessary, and<br />

they or the board may choose to create<br />

new positions or slots if they become fundamentally<br />

necessary to the running of the<br />

club as a whole.<br />

Affiliations<br />

Outside <strong>OGREs</strong><br />

<strong>OGREs</strong>, Inc. is by far not the only<br />

gaming club in existence, and as such and<br />

Ogre should seek to coexist with other<br />

gaming groups. Members may actually enrich<br />

their hobby experience by seeking<br />

dual membership within <strong>OGREs</strong> and other<br />

groups. Many potential members of<br />

<strong>OGREs</strong> may also be found within these<br />

other groups to be brought in to our fold as<br />

well!<br />

Keep in mind that most other gaming<br />

groups center around a particular<br />

game, game system, company, or style of<br />

gaming. <strong>OGREs</strong>, however, reaches across<br />

all platforms, styles, and genres of tabletop<br />

and analog gaming to be all-inclusive. This<br />

is our greatest benefit in recruiting new<br />

members.<br />

which you may benefit from<br />

learning about and potentially joining:<br />

Though we are always growing,<br />

<strong>OGREs</strong> may not yet have a present in your<br />

area. If we do not, we’re here to help YOU<br />

establish our presence and begin a rewarding<br />

relationship with us in your region.<br />

Before starting a chapter, you’ll<br />

want to make sure we don’t have one near<br />

you. The best way to do this is by use of the<br />

Chapter Locater.<br />

Chapter Locater<br />

Found on the official website of<br />

<strong>OGREs</strong>, OgreLair.org, is our Chapter Locater.<br />

This tool is a clickable map-based<br />

searching tool that lets you see if there are<br />

any chapters in or around your area.<br />

If you do locate a chapter in your<br />

city or region, simply click the icon to gain<br />

more detailed information, such as contact<br />

details for chapter officers. Hook up with<br />

this chapter to further your membership<br />

with <strong>OGREs</strong>, Inc. However, if you are not<br />

able to locate a chapter in your area, or if<br />

your chapter will serve a different unique<br />

function than one within distance to you, it<br />

is then time to begin the process of starting<br />

your own. The first step in this process is<br />

determining what type of chapter you<br />

would like to create.<br />

Types of Chapters<br />

There are four different types of<br />

chapters that one may participate in or<br />

create. Make sure to put a great deal of<br />

thought into what type of chapter will best<br />

suit your player’s needs.<br />

� City Chapter<br />

The most common type of <strong>OGREs</strong><br />

chapter is the city chapter, which as its<br />

name suggests is a physical chapter of<br />

<strong>OGREs</strong> based around a particular city or<br />

region.


� School Chapter<br />

A school chapter may exist as part<br />

of a larger city chapter; alongside a city<br />

chapter; or independent of a city chapter.<br />

In a large city with a large amount of<br />

<strong>OGREs</strong>, the school chapter may meet on<br />

campus (if in college) or afterhours (if in<br />

high school). Though they may share<br />

members with a larger city chapter, a<br />

school chapter tends to play together more<br />

often than not.<br />

Unique among all types of chapters<br />

is that most school chapters will require a<br />

staff member’s blessing and potentially<br />

school board approval before being recognized<br />

by the school as an official student<br />

club.<br />

� Church Chapter<br />

Centered around a particular house<br />

of worship, church chapters tend to operate<br />

in much the same manner as a school<br />

chapter just with the host site being a place<br />

of worship.<br />

� Cyber Chapter<br />

The least common type of chapter is<br />

the cyber chapter, which is a group of playby-post<br />

online gamers <strong>net</strong>worked together.<br />

Usually operating off of a particular website<br />

or forum, these gamers tend to play<br />

together solely online.<br />

A member of a physical chapter<br />

may also participate with a cyber chapter,<br />

but if so the physical chapter will always be<br />

considered that member’s main chapter<br />

for the purposes of awards, rank advancement,<br />

and voting eligibility.<br />

Chapter Names<br />

The name of your chapter will be<br />

heard throughout your region and should<br />

be instantly recognizable and understandable<br />

by your target audience. In order to<br />

do this, the name should convey to key<br />

points: 1) you are affiliated with <strong>OGREs</strong>,<br />

and 2) you are centered around a certain<br />

city/region/school/house of worship/<br />

website/etc. The most common method of<br />

doing this is by utilizing a well-known<br />

nickname for your city.<br />

For some cities - such as Chicago,<br />

Illinois, that nick name (Windy City<br />

<strong>OGREs</strong>) is well known world wide but for<br />

other cities - such as Paducah, Kentucky,<br />

their nickname (Quilt City <strong>OGREs</strong>) may<br />

only be known to locals. Regardless, the<br />

only point that matters is that locals know<br />

you’re referring to the region.<br />

So, take a look at your city. Does it<br />

have a common nickname known to most?<br />

It is important to avoid “underground” or<br />

“counter-culture” parody nicknames as<br />

they will only be known to some and may<br />

even alienate others. If your city does not<br />

have a readily identifiable nickname, look<br />

for key figures locally historically or landmarks.<br />

For example, the city of Owensboro<br />

does not have a well-known nickname, but<br />

they are known for being the home of the<br />

factory that builds Corvettes. As such,<br />

those players chose the name Vette City<br />

<strong>OGREs</strong>.<br />

School or Church chapters will typically<br />

follow whatever rules that their host<br />

institutes require, though <strong>OGREs</strong>, Inc.<br />

does require that <strong>OGREs</strong> be in the name.<br />

The <strong>OGREs</strong> of UT Martin is an example of<br />

a collaborative effort to meet the demands<br />

of a school and <strong>OGREs</strong>, Inc. for a name,<br />

when the school did not wish for the chapter<br />

to be named simply UT Martin <strong>OGREs</strong>.<br />

Cyber chapters are unique and depending<br />

on their URL or hostsite name<br />

may have an easy time or an extremely difficult<br />

time landing on a name. Follow the<br />

same two-points ideology in deciding the<br />

name and you’ll still reach the target audience<br />

you wish to.<br />

Once selected and the contract is<br />

sent in (see further in this section), the<br />

Board of Directors will give final approval<br />

and you may begin promotion!


Chapter Officers<br />

As discussed previously, every chapter<br />

will have two officers: the chapter coordinator<br />

(CC) and the senior game master<br />

(SGM). However, an upstart small chapter<br />

may begin with just one individual filling<br />

both roles.<br />

Do not worry if you have yet to locate<br />

a second individual to fill the other<br />

office at creation. Presumably, you (the<br />

person spearheading creating the chapter)<br />

are currently serving the function of chapter<br />

coordinator. Simply continue to do so<br />

and help coordinate games, and hopefully<br />

within 6 months you can host your own<br />

local elections to fill both slots for their<br />

first three year terms officially.<br />

Starting off, your chapter should<br />

avoid requiring dues or creating assistant<br />

office positions. Only an established chapter<br />

that can provide valid reasoning and<br />

quantifiable benefits for dues should ever<br />

pursue such, and a small upstart chapter<br />

creating too many offices will just be fluff.<br />

<strong>Membership</strong> Roster<br />

One of your first responsibilities as<br />

an upstart chapter will be to create your<br />

first official roster of members. Your<br />

chapter may determine how you identify<br />

members as long as you meet all requirements<br />

previously laid out within this handbook.<br />

This roster should be provided to<br />

the Director of Communications as soon as<br />

possible and updated quarterly.<br />

Failure to maintain the roster can<br />

prevent members from being granted access<br />

to all member programs, and may<br />

prevent them from utilizing their voting<br />

privileges during <strong>OGREs</strong>, Inc. elections.<br />

Promoting Your Chapter<br />

Now that you’re off the ground a bit,<br />

it is time to look at ways to begin increasing<br />

your chapter’s brand recognition and<br />

awareness to local gamers. There are sev-<br />

eral ways to do this, but listed here are<br />

some of the best tips we’ve found that do<br />

the trick:<br />

1. Print Promos (Flyers, Business cards)<br />

� Avoid mass random placement of<br />

flyers. Instead, place solely in appropriate<br />

places (such as in the Table of Contents<br />

area of all RPG books in the gaming<br />

section of local stores).<br />

� Brand all promos with the Oggie the<br />

Ogre logo, and try to stick to the same<br />

color scheme and font for all your<br />

chapters prints to create familiarity.<br />

2. Online Promos (Websites, Links)<br />

� Create a facebook group. Statistically<br />

this is how the majority of individuals<br />

spend their time on the inter<strong>net</strong>,<br />

and not doing so will just stagnate<br />

the potential growth of your roster.<br />

� Utilize the free OgreLair.org subdomain.<br />

This can be done without cost to<br />

youror your chapter by creating a page<br />

with a free ad-based website host service.<br />

These are too numerous to list,<br />

but more popular ones include Wix,<br />

Guildlaunch, and Wikia. Then the<br />

Board will redirect your OgreLair.org<br />

domain there.<br />

� Have an easily visible and understandable<br />

weekly schedule posted. This<br />

has been a key piece of feedback from<br />

newer members who needed something<br />

firm to actually take the leap and reach<br />

out to a chapter they found online.<br />

Chapter Contract<br />

Found in the back of this handbook<br />

and on OgreLair.org. Follow the directions<br />

and send it in to the provided contact.<br />

Only contracted chapters may use the<br />

<strong>OGREs</strong> name and logo, and groups using<br />

them without a contract will be prosecuted<br />

to the fullest extent of the law in order to<br />

preserve our brand for gamers.


<strong>Membership</strong> in <strong>OGREs</strong> can be a fun<br />

and rewarding experience, resulting in<br />

new friends and memories that can last a<br />

lifetime. As with any club, a member will<br />

tend to get in return equal to what they put<br />

into the club. Simply put, the more you involve<br />

yourself within your local chapter or<br />

the club as a whole, the more rewarding<br />

and enjoyable your membership will be.<br />

These are just a few of the perks<br />

members enjoy regardless of chapter,<br />

though you may have additional ones<br />

based on your local chapters. These perks<br />

are only available to members!<br />

Defining ‘Member’<br />

Only a local chapter may determine<br />

who is or is not listed on their OgreLair.org<br />

roster, and it is the chapter coordinator’s<br />

duty to keep the roster updated via constant<br />

contact with the Director of Communications.<br />

The importance of this task can not<br />

be over-stressed. Accurate numbers are<br />

important not only on a chapter level, but<br />

help us as an officially recognized organization<br />

file legal paperwork annually and<br />

apply for benefits and perks.<br />

If you feel you should be a member,<br />

but are not listed on your local chapter’s<br />

roster, then contact your CC for help.<br />

M1<br />

Should you be seeking membership<br />

but not have a current chapter, or are mobile<br />

quite a bit, you can contact the Director<br />

of Communications to be listed as a<br />

Nomad member. Nomad members receive<br />

all the rights of membership, though they<br />

have no current chapter to call home. This<br />

type of membership is great for individuals<br />

who travel a lot, or who are away for an<br />

extended time from their home town.<br />

<strong>OGREs</strong> Playtesting Pool<br />

Periodically <strong>OGREs</strong> receives prerelease<br />

beta versions of upcoming games<br />

from small press or indie companies who<br />

are seeking feedback and suggestions on<br />

their products. When this occurs, <strong>OGREs</strong>,<br />

Inc. sends the material on a rotating basis<br />

to different chapters that have expressed<br />

interest in that products genre or system<br />

or type of game.<br />

This feature allows individual chapters<br />

to receive gaming material for free,<br />

but also to allow their members to have a<br />

voice in official publications and to receive<br />

credit for their playtesting. Contact the<br />

current Supreme Game Master for more<br />

details on how to begin playtesting with<br />

your chapter and to determine what is expected<br />

from playtesters.


OGRE Game Labs<br />

Created and ran by one of our cherished<br />

nomad members from Arizona,<br />

OGRE Game Labs is an online, forumbased<br />

tool that allows members to get together<br />

to discuss homebrew ideas they<br />

have for new games or game customization,<br />

as well as to play by post.<br />

Account creation requires approval<br />

and authorization, so send an email to dircomms@ogrelair.org<br />

with your name and<br />

chapter and the email you would like your<br />

invite sent to. Once approved, you’ll be<br />

able to join in on phenomenal discussions<br />

such as game design, mechanics, publication<br />

legalities, and more.<br />

In addition to the concept development,<br />

there are also hosted play-by-post<br />

games for members of any chapter to game<br />

with others. One of the breakout stars of<br />

these is the High Fantasy Football League<br />

which - though promoted through multiple<br />

mediums, is actually ran and updated on<br />

the site.<br />

The Ogswald Academy<br />

Located on OgreLair.org, the academy<br />

is a unique resource for members who<br />

can partake in basic online courses that<br />

can teach them anything from basic standards<br />

common in tabletop roleplaying<br />

games - to more in-depth heavy subjects<br />

such as the myths, lies, and misconceptions<br />

related to the history of the hobby.<br />

Members may even be awarded<br />

“degrees” according to their field of<br />

courses and number taken, and though<br />

completely unaccredited (this should really<br />

go without saying) it can help an individual<br />

become a better gamer and gaming advocate.<br />

In order to enroll for a class, simply<br />

visit OgreLair.org and locate the Academy<br />

link. Choose the school you wish to enter -<br />

The Oggie Institute, which centers around<br />

hobby related items like advocacy and<br />

leadership and the club itself; or the Institute<br />

of Gaming, which centers around<br />

gaming standards and types of characters.


Awards<br />

<strong>OGREs</strong> runs three distinct awards<br />

programs to benefit members and our<br />

club. The most commonly referred to program<br />

when the word ‘awards’ is used refers<br />

to our members awards program, which is<br />

a series of earnable awards to recognize<br />

members, chapters, and sometimes even<br />

non-members for their actions and efforts.<br />

A second member based awards program<br />

is the academy awards, for members who<br />

take courses at The Ogswald Academy.<br />

Outside members, the most wellknown<br />

set of awards that <strong>OGREs</strong>, Inc. runs<br />

is the annual Ogre Awards, which are<br />

much more commonly known by people as<br />

the OGGIEs. This is a set of awards given<br />

to companies and individuals within the<br />

tabletop and live action gaming hobby to<br />

show appreciation for their contributions.<br />

Although similar to the much large and<br />

more prestigious ENnie Awards or Origin<br />

Awards, the OGGIEs are much looser in<br />

requirements and are simply an annual<br />

look at what members have enjoyed that<br />

particular year - not necessarily a look at<br />

the best of any releases from any specific<br />

year.<br />

In the next section, you’ll find a listing<br />

of previous winners of the more prestigious<br />

or once-annual member awards, as<br />

well as the OGGIEs. Here you can find a<br />

brief overview of the available awards.<br />

Member Awards<br />

Some of these awards will list<br />

“annual award” at the end of their description.<br />

This means that these awards can<br />

only be given out once per calendar year.<br />

Any member may nominate any member<br />

(including themselves!) for an award at<br />

any time by contacting any member of the<br />

Board of Directors. The Director of Communications<br />

or Supreme Game Master<br />

may be the easiest to reach for these purposes.<br />

1) Shield of Honor<br />

For great risk of life in an act of<br />

heroism and bravery<br />

This award is given to a member<br />

who nearly looses or risks losing his/her<br />

life in an act of rescue and/or giving aid<br />

and assistance.<br />

2) Cleric Badge<br />

For the saving of a life or lives<br />

For saving or assisting in saving a<br />

life or lives with little or no risk, such as<br />

providing CPR or rendering first aid.<br />

3) Beacon of Light<br />

For the recognition of a life well<br />

lived and for those who follow the path he/<br />

she created. He/She was a beacon of light<br />

The OGRE Awards<br />

aka the OGGIEs<br />

These are some of the awards that<br />

are possible to be given out annually to<br />

members of the gaming industry.<br />

Every year until September 1st,<br />

members of <strong>OGREs</strong> are able to nominate<br />

any number of games for the categories<br />

they are eligible in. The Board of Directors<br />

then narrows the nominees down to showcase<br />

those most-nominated in each category.<br />

From this date until the end of October,<br />

members as well as the general public<br />

are able to vote on the nominees, with the<br />

winner receiving a Golden Oggie Statuette<br />

and the runner-up a silver.<br />

Not all categories are utilized in<br />

each year of the awards.<br />

Deemed the most fun and most beloved<br />

by members, regardless of publication<br />

Given to a company or individual<br />

for a history of valuable contribution to the<br />

gaming hobby and lifestyle.<br />

14) Idiot(s) of the Year<br />

Presented to a person or company<br />

behind an extremely stupid action or decision<br />

that damaged the reputation of analog<br />

gaming and gamers.<br />

15) Celebrity Gamer of the Year<br />

to some degree and proudly boasts of their<br />

16) Most Baffling Rule/Quote/Mechanic of<br />

Given for odd, strange, broken, or<br />

just plain silly rules or mechanics found in<br />

games.<br />

Ogswald Academy Awards<br />

Members who partake in courses<br />

from the online Ogswald Academy may become<br />

eligible for awards designed solely<br />

for students.<br />

1) Intelligence Bonus<br />

Given to a member who takes 20<br />

courses from the academy. Award may<br />

stack.<br />

2) Ogre Mage<br />

Presented to the individual considered<br />

the Student Member of the Year, and<br />

is strictly given at the discretion of the<br />

academy president.


Ranks<br />

<strong>OGREs</strong> utilizes a customized rank<br />

structure, similar to paramilitary organizations,<br />

that signifies those members who<br />

have either been around longer or assisted<br />

the club through officer work. These ranks<br />

are no indication of “power” or<br />

“superiority” over any other member, but<br />

simply allow a quick and easily identifiable<br />

way for individuals to recognize more seasoned<br />

Ogres.<br />

Patches are available for display on<br />

<strong>OGREs</strong> wear, and the logos are available<br />

for use by members online. Chapter Coordinators<br />

and Senior Game Masters are responsible<br />

for the maintaining of their roster’s<br />

appropriate ranks. An easy way to<br />

handle this is to update ranks at the same<br />

time and in the same email as when the<br />

roster is quarterly updated.<br />

Use of a rank insignia or title that<br />

has not been earned is considered rude<br />

and ridiculous, as they give no power.<br />

Cadet Ranks<br />

The Cadet Corps is a ranking system<br />

for the extreme young members of <strong>OGREs</strong>,<br />

typically those below the age of thirteen.<br />

These members may still have a rank name<br />

and insignia, though the prefix "Cadet-<br />

" will follow. Thus, a member below the<br />

age of 13 who has fulfilled all the requirements<br />

and been promoted to Corporal will<br />

be known as a Cadet-Corporal. After turning<br />

thirteen, the individual will remove the<br />

Cadet term from their rank, and will then<br />

be considered the full rank.<br />

Enlisted Ranks<br />

These are ranks that members of<br />

any chapter may go by without ever having<br />

been an Officer in any capacity within<br />

<strong>OGREs</strong>. Note that the standard recommended<br />

prerequisites for promotion may<br />

be ignored by a chapter officer if they believe<br />

that the member has showed enough<br />

Camp Oggie<br />

Camp Oggie is a semi-annual gaming<br />

extravaganza and celebration hosted<br />

by differing <strong>OGREs</strong> Chapters. In addition<br />

to gaming, the event includes outdoor activities,<br />

annual awards presentations, and<br />

public rank advancement.<br />

Any chapter of <strong>OGREs</strong> may host the<br />

camp any year, by simply providing a proposal<br />

to the Board of Directors at least 10<br />

months in advance of their proposed date.<br />

Camp Oggie is usually hosted on<br />

camping ground, with cabins available and<br />

room for those who prefer to pitch a tent.<br />

Amenities such as showers depend upon<br />

the exact location for each year. Food is<br />

purchased and cooked by the host chapter,<br />

who provide meals for attendees. Any entrance<br />

cost to Camp Oggie is to offset the<br />

cost of renting the land and buying the<br />

food, and it goes directly to the local host<br />

chapter to divide as they see fit among<br />

their members.<br />

The camp includes an on-site library<br />

of games for pick-up gaming, as well<br />

as usually a few scheduled games. Evening<br />

campfires (unless a burn ban is in effect in<br />

the area) are common, and the weekend<br />

long "Camp Oggie Murder Mystery" party<br />

game goes on as well as usually live action<br />

boffer combat gaming.<br />

The unique setup of Camp Oggie<br />

requires only two universal rules that all<br />

hosts must follow: alcohol can only be<br />

used if not disallowed by the land owner<br />

(as common on federal locations or scout<br />

venues) but must always be a “byob” situation<br />

and those who drink must create a<br />

second campfire ring or gaming table so<br />

that no minors may inadvertently gain access<br />

to alcohol; and smokers of tobacco<br />

products must utilize a designated smoking<br />

area that is somewhat removes from<br />

the rest of the attendees. Any other rules<br />

may be dictated by the host chapter or<br />

land owner if appropriate.<br />

M10<br />

Any chapter may submit a proposal<br />

to host the Camp Oggie on a campsite of<br />

their choosing, typically closer to their city<br />

of charter, by contacting the Director of<br />

Communications and requesting a proposal<br />

packet. Mostly, theBoard of Directors<br />

will just need to know a budget to approve<br />

for the rental and any cost associated<br />

with the location or other amenities,<br />

as well as the rules associated with the<br />

campsite, such as coed rules and regulations<br />

related to alcohol.<br />

Merchandise<br />

Only members of <strong>OGREs</strong> are allowed<br />

to wear apparel that features the<br />

Oggie the Ogre logo, and many types of<br />

clothing or accessories can be found to<br />

purchase on OgreLair.org. Chapters are<br />

permitted to create their own material that<br />

may be altered to include their chapter<br />

name and location, though it is requested<br />

that the Director of Communications and/<br />

or Treasurer of the Board be notified if doing<br />

so. If there are any profits from the<br />

sale of merchandise, the chapter may use it<br />

as it sees fit legally.<br />

Only one item must be purchased<br />

through licensed <strong>OGREs</strong>, Inc. vendors,<br />

and that is our Club Patch and Ranks.<br />

Links for these items are found on the official<br />

website, and if a member honestly<br />

thinks they can locate a better vendor they<br />

may make a proposal to the board to alter,<br />

add, or change our licensed vendors.<br />

Our club’s official “e-lair” and home<br />

online, and our constant work-in-progress.<br />

Currently, the website is wiki-based and a<br />

bastion of knowledge. However, hopefully<br />

when you read this handbook’s 2014 update<br />

you’ll see a vast change as we’re currently<br />

developing a membership database<br />

that will allow easier tracking of rosters<br />

and awards and allow a more marketable<br />

website design.<br />

With that in mind, if your chapter<br />

includes among its members anyone familiar<br />

with programming - send them to the<br />

Board!<br />

Group, and twitter. Our facebook<br />

group is meant to serve as a way for members<br />

of all chapters to talk with each other<br />

about the hobby we share, though we encourage<br />

every chapter to keep its own local<br />

facebook group for game planning. These<br />

types of interactive discussions are the<br />

strength of our club and one of the best<br />

ways to enjoy membership within.<br />

The current members of the Board took office on <strong>January</strong> 1st, 2013 and their<br />

term will expire on December 31st, 2015. Details on how to run for the board and how<br />

elections are handled can be found within the constitution later in this handbook.<br />

The <strong>OGREs</strong> Goal<br />

The goal of <strong>OGREs</strong>: The Organization<br />

of Gamers & Roleplaying Enthusiasts,<br />

Incorporated is to promote the hobby and<br />

lifestyle of analog and tabletop gaming as a<br />

fun, family friendly, positive hobby, and to<br />

<strong>net</strong>work gamers together to facilitate increased<br />

gaming and community.<br />

Use of the <strong>OGREs</strong> Logo<br />

The <strong>OGREs</strong> logo variants currently<br />

in-use were made by Mike Sanchez of the<br />

Sin City Ogres, now known as the Vegas<br />

Gamers, in Las Vegas, Nevada. Variants<br />

are taken and used for each chapter with<br />

permission from the original creator of the<br />

logo. Use of the logo is permitted only for<br />

the following reasons:<br />

� Officially recognized chapters affiliated<br />

with <strong>OGREs</strong>, inc<br />

� Use of the OGGIEs variant by winners<br />

of the award on appropriate products<br />

or places<br />

� For all purposes that would fall under<br />

the ‘Fair Use’ clause, such as descriptions<br />

of the club<br />

� By the Board of Directors for any purpose<br />

motioned and approved during<br />

session<br />

Any use outside of this list without<br />

the express written permission of the current<br />

reigning President is considered a violation<br />

of copyright laws and will be pursued<br />

to the full extent of the law.<br />

The <strong>OGREs</strong> Constitution<br />

PREAMBLE:<br />

We the members of <strong>OGREs</strong>: The<br />

Organization of Gamers & Roleplaying Enthusiasts,<br />

Inc. (hereafter known as<br />

O.G.R.E.s), a not-for-profit organization<br />

incorporated within the Commonwealth of<br />

Kentucky, in order to provide a social organization<br />

in which people of diverse backgrounds<br />

with similar interests can interact<br />

to enjoy the hobby of analog and tabletop<br />

gaming and to promote the gaming hobby<br />

and industry, as well as to expand this<br />

shared interest with the general community<br />

through the use of community services,<br />

social activates, and creative endeavors,<br />

do hereby establish this constitution<br />

for the organization, O.G.R.E.s.<br />

ARTICLE 1: MEMBERSHIP<br />

Section 1: Application and Classification<br />

All persons seeking application to<br />

O.G.R.E.s shall be awarded membership<br />

and shall remain members so long as they<br />

maintain all membership requirements as<br />

provided in the current <strong>Membership</strong><br />

<strong>Handbook</strong>. <strong>Membership</strong> in O.G.R.E.s is<br />

open to all individuals, regardless of gender,<br />

age, religion, sexual orientation, or<br />

any other factor.<br />

Each chapter may define the way<br />

they classify membership. However, one<br />

easy way is by Active or Associate depending<br />

on actual activity within the group. Regardless,<br />

only those members listed on<br />

each chapter’s roster on OgreLair.org will<br />

be considered members of <strong>OGREs</strong>, Inc.<br />

Any O.G.R.E.s member may cancel<br />

his/her membership at any time for any<br />

reason via verbal or signed notice to their<br />

chapter’s Chapter Coordinator or Senior<br />

Game Master. Any and all membership<br />

dues are non-refundable. Any former<br />

O.G.R.E.s member who has canceled his/<br />

her membership may reinstate it at any<br />

time by the same means.<br />

Involuntary removal of membership<br />

from the official OgreLair.org roster of a<br />

member must be put before a vote of that<br />

member’s chapter’s membership and must


pass with a 90% approval, as well as the<br />

approval of the geographically closest<br />

chapter’s coordinator or Senior Game<br />

Master.<br />

Section 2: Office Held by Members<br />

Any O.G.R.E.s member who holds a<br />

position within their chapter organization,<br />

including but not limited to: any Dungeon<br />

Master or Game Master regularly running<br />

sessions, chapter coordinator, webmaster,<br />

or public relations officer, shall be considered<br />

an Active Member even if they are not<br />

currently playing in a regularly scheduled<br />

game.<br />

Section 3: Not-For-Profit Status<br />

O.G.R.E.s is a Not-For-Profit organization<br />

incorporated under the laws of<br />

the Commonwealth of Kentucky. No member<br />

of O.G.R.E.s, of whatever classification,<br />

shall have any interest in, or right to,<br />

the property and assets of O.G.R.E.s. However,<br />

not all assets dedicated to the promotion<br />

and growth of O.G.R.E.s are exclusive<br />

to the organization. Chapters and individual<br />

members have the right to maintain<br />

their own assets apart from those of<br />

O.G.R.E.s though they may be dedicated to<br />

a common purpose<br />

ARTICLE 2: DEFINITION OF TERMS<br />

The Organization of Gamers & Roleplaying<br />

Enthusiasts is often referred to<br />

simple as any of the following: “Ogres,”<br />

“O.G.R.E.s,” “O.G.R.E.,” “Ogre,” or any<br />

other similar variation. Any of these are<br />

considered colloquially correct and may be<br />

used when referring to the O.G.R.E.s as a<br />

whole or to a particular member. The following<br />

terminology is also used repeatedly<br />

by members of O.G.R.E.s, and they are defined<br />

as follows:<br />

Chapter:<br />

A gaming group or groups based<br />

within the same geographical location that<br />

share players/members. These chapters<br />

can have as few as 4 members with no<br />

maximum number, and may be based<br />

within a specific city or school.<br />

Chapter Coordinator:<br />

This is the individual who communicates<br />

on the chapter’s behalf with the<br />

O.G.R.E.s organization as a whole, and<br />

more often than not is also the founder of<br />

the chapter.<br />

Director:<br />

The Director, who may also alternatively<br />

utilize the title of President, is the<br />

individual who serves as the Chairman on<br />

the Board of Directors for the O.G.R.E.s,<br />

and as such takes care of the day-to-day<br />

operations of the organization.<br />

Senior Game Master:<br />

Sometimes called the Senior Dungeon<br />

Master or Senior Storyteller, this is<br />

the individual within a chapter who has<br />

the most years of experience within the<br />

analog and/or gaming hobby, and may not<br />

actually refer to an active Game Master/<br />

Dungeon Master.<br />

Ogre Lair<br />

A homebrew term that designates a<br />

place that a chapter meets to game. It<br />

could be anything from a member's home<br />

to a public business. In the appropriate<br />

context it may also refer to the official<br />

website of the organization.<br />

ARTICLE 3:<br />

ORGANIZATION STRUCTURE<br />

Section 1: Organization<br />

The Administrative bodies of<br />

O.G.R.E.s shall be the Board of Directors<br />

and the Primary Officers.<br />

Section 2: Board of Directors<br />

The governing body of O.G.R.E.s<br />

shall be the Board of Directors. The admiralty<br />

board shall consist of 10 members<br />

who serve three year terms and are elected<br />

by the general membership and shall be<br />

chaired by the President of O.G.R.E.s - this<br />

chairman is selected from within the Board<br />

by the other nine members. The function<br />

of this Board of Directors shall be to adopt<br />

and enforce all policies as suggested by the<br />

Primary Officers and the general membership.<br />

The board of directors shall be the<br />

final authority in the interpretation of the<br />

O.G.R.E.s Constitution and of the policies<br />

and procedures of the organization.<br />

Each member of the Board has a<br />

single vote in any issue except for the<br />

Chairman, who will only vote in the case of<br />

a tie. The Board of Directors secretary (a<br />

board member selected by the board as detailed<br />

in the Bylaws) shall collect and conduct<br />

the counting and record keeping of all<br />

votes conducted by the Board of Directors.<br />

Section 3: Primary Officers<br />

The Primary Officers of O.G.R.E.s is<br />

made up of each individual chapter’s Senior<br />

Game Master and Chapter Coordinator,<br />

who together form the voting entity colloquially<br />

known as the Primary Officers.<br />

The function of the Primary Officers<br />

is to discuss and vote on any policies or<br />

procedures considered for the organization,<br />

with any policy passing by 70% or<br />

more being sent to the Board of Directors<br />

for final consideration. Additionally, the<br />

Primary Officers also cooperate to assist<br />

each chapter with any issues or complaints<br />

and to plan events and other general organizational<br />

preparation and planning.<br />

ARTICLE 4: TERMS OF OFFICE,<br />

OFFICER’S DUTIES AND<br />

RESPONSIBILITIES<br />

Section 1: O.G.R.E.s Officers<br />

The leadership of O.G.R.E.s has the<br />

right to remove or refuse to recognize officers<br />

described within Article 4, sections 2<br />

through 12, inclusive, upon good cause<br />

shown. For purposes of such refusal,<br />

“good cause” may include:<br />

� That individual’s demonstrated repeated<br />

failure to comply with O.G.R.E.s<br />

policies and procedures<br />

� Prior financial improprieties by that<br />

individual related to any O.G.R.E.s<br />

chapter or the organization as a whole<br />

� That individual’s previous failures to<br />

report accurately and maintain any financial<br />

records of a chapter of the<br />

O.G.R.E.s organization as a whole<br />

� Proof of a criminal conviction involving<br />

rape, theft, fraud, or any other felonious<br />

offense; or<br />

� Proof of sexual harassment of a member<br />

or sexual misconduct (as currently<br />

defined within the <strong>Membership</strong> <strong>Handbook</strong>)<br />

with a member.<br />

Should the leadership of O.G.R.E.s<br />

choose to refuse to recognize any individual<br />

for such good cause shown, that individual<br />

has the immediate right to appeal<br />

specified in Article 5. That appellate process<br />

should be concluded no later than sixty<br />

(60) days from the date of refusal. At the<br />

decision of the Board of Directors, that individual<br />

may retain his/her officer position<br />

during the appellate process.<br />

Section 2: Chapter Coordinator<br />

The Chapter Coordinator is the individual<br />

who keeps the O.G.R.E.s organization<br />

informed about the chapter’s happenings,<br />

as well as communicated anything<br />

from the organization to the chapter.


The individual who assimilates his/her<br />

gaming group into O.G.R.E.s as a new<br />

chapter is considered the first Chapter Coordinator,<br />

though at any point the chapter<br />

may select a new individual to provide this<br />

role.<br />

All Chapter Coordinators are selected<br />

from within their chapter and may<br />

serve for any length of time as wished by<br />

the individual and the chapter, though neglect<br />

of duty may result in O.G.R.E.s requesting<br />

a new individual from the chapter.<br />

The coordinator is responsible for<br />

providing quarterly reports to O.G.R.E.s<br />

that include the number of members,<br />

number and types of running games, any<br />

changes in officers, and any other news<br />

deemed noteworthy by the coordinator as<br />

well as any problems or requests for assistance<br />

Though O.G.R.E.s is open to all<br />

ages, it is usually recommended that the<br />

chapter coordinator be at least 16 years of<br />

age with regular access to the inter<strong>net</strong> (as<br />

that is the easiest and quickest form of<br />

communication with O.G.R.E.s). This<br />

member should also have good people<br />

skills, as he/she will typically be the<br />

“public relations” officer of a chapter and<br />

may represent O.G.R.E.s to outside<br />

groups.<br />

Section 3: Senior Game Master<br />

The Senior Game Master, or sometimes<br />

called the Senior Dungeon Master, is<br />

the member of a chapter who has the most<br />

“time served” within the gaming hobby/<br />

lifestyle and as such the most experience<br />

with tabletop gaming. Though in most<br />

situations this individual is a clear choice,<br />

some chapters may have multiple individuals<br />

who could fill this role. In the case<br />

of the latter, the chapter should vote on<br />

who will serve as the chapter’s SDM, and<br />

also vote on how long that person will<br />

serve before another vote is taken.<br />

The SGM is responsible for solving<br />

any gaming disputes related to cheating,<br />

metagaming, or general arguments – provided<br />

that the SGM is not personally involved<br />

within them. Should the Senior<br />

Game Master be involved personally in the<br />

dispute or considers him/herself to be unable<br />

to resolve conflict between friends,<br />

he/she will work with the Chapter Coordinator<br />

to get assistance from a geographically-nearby<br />

chapter’s SDM to solve the<br />

situation. Additionally, the Senior Game<br />

Master is responsible for assisting newer<br />

members and gamers with understanding<br />

a given game.<br />

Section 4: Financial Officers/Treasurers<br />

O.G.R.E.s as a whole and chapters<br />

who deem it necessary or choose to will<br />

have a Treasurer. The Treasurer who<br />

serves the O.G.R.E.s as a whole is known<br />

as the Chief Financial Officer, and his/her<br />

responsibilities are similar to those of a<br />

given chapter’s treasurer. These duties include<br />

proper record keeping of financial<br />

transactions, insuring that all proper taxes<br />

or other mo<strong>net</strong>ary requirements are properly<br />

paid, insuring that all funds are accounted<br />

for and appropriated properly,<br />

and keeping in line with all laws regarding<br />

the funds of Not-For-Profit organizations.<br />

Since this is such an important issue,<br />

any treasurer must be at least 21 years<br />

of age, and the Chief Financial Officer<br />

must be at least 23 years of age.<br />

Section 5: Webmasters<br />

In the modern age a presence on the<br />

world wide web is of vital importance, especially<br />

among the O.G.R.E.s demographic<br />

that typically includes <strong>net</strong>-savvy individuals.<br />

As such, the webmaster is a very important<br />

responsibility for any chapter and<br />

for O.G.R.E.s.<br />

:The webmaster is tasked with creating,<br />

maintaining, and updating the website for<br />

their chapter or the organization<br />

(depending on whom the webmaster


serves, respectfully). This includes as well<br />

making sure that any potential O.G.R.E.s<br />

members who contact the organization via<br />

a website are directed to the appropriate<br />

place or person and assisting with the<br />

O.G.R.E.s Web Presence and Image Brand.<br />

Any webmaster would benefit from<br />

a prior experience or working knowledge<br />

of web design, though chapters lacking in<br />

such a person can find assistance in many<br />

locations. It is recommended that the individual<br />

be at least 16 years of age. If a<br />

chapter lacks funds, at the very least a<br />

facebook, and other social <strong>net</strong>working<br />

pages should be set up to assist local gamers<br />

in locating and <strong>net</strong>working with the<br />

chapter.<br />

Section 6: Chairman of the New Chapter<br />

Recruitment Committee<br />

As defined by the O.G.R.E.s Bylaws,<br />

one of the permanent committees appointed<br />

by the Board of Directors is the<br />

New Chapter Recruitment Committee.<br />

The chairman of this committee is ultimately<br />

responsible for recruiting new<br />

chapters, as well as assisting them in their<br />

transition into the organization. This position<br />

is usually co-inhabited by the Director<br />

of Communications unless two individuals<br />

are deemed necessary by the current<br />

board.<br />

This individual is responsible for<br />

keeping the Board of Directors informed<br />

quarterly on the status and number of new<br />

chapters as well as potential market areas<br />

to scout for new chapters. This person<br />

may work closely with the webmaster and<br />

obviously with any chapter’s chapter coordinator.<br />

It is recommended that this individual<br />

be at least 21 years of age.<br />

Section 7: Chairman of the Committee on<br />

Gaming Advocacy<br />

As defined by the O.G.R.E.s Bylaws,<br />

one of the permanent committees appointed<br />

by the Board of Directors is the<br />

Committee on Gaming Advocacy, which is<br />

dedicated to the promotion, education,<br />

and understanding of tabletop gaming to<br />

the general public. This individuals responsibilities<br />

include providing the general<br />

public with positive, educational, and family<br />

friendly material on tabletop gaming, as<br />

well as to be a public figure for gaming advocacy.<br />

Due to the very nature of this post,<br />

the chairman must be 21 years of age and<br />

demonstrate public speaking and people<br />

skills as well as a general understanding of<br />

public lobbying.<br />

Section 8: Director of Communications<br />

This is a member of the Board of<br />

Directors, selected by the board, who communicates<br />

with the chapter coordinator’s<br />

and facilitates the communication between<br />

the chapters and the organization as a<br />

whole. This person must be 18 years of age<br />

and should have inter<strong>net</strong> access and the<br />

ability to provide chapter coordinator’s<br />

with multiple means of communicating to<br />

him/her. This director will typically work<br />

regularly with the Chairman of the New<br />

Chapter Recruitment Committee.<br />

Section 9: Chairman of the Committee on<br />

Organization Promotion and Marketing<br />

This position is responsible for the<br />

creation of any O.G.R.E.s promotional and<br />

recruitment material, as well as any and all<br />

material that will be made public for any<br />

reason. The individual should be able to<br />

create visually stimulating and clear, concise,<br />

informative material, such as flyers,<br />

brochures, forms, and newsletters. Any<br />

printing at cost must be pre-approved by<br />

the Chief Financial Officer. Unless deemed<br />

necessary to split into two, this position is<br />

often co-inhabited by the Editor-in-Chief.<br />

There is no age restriction to this<br />

position, though ability to make the material<br />

should be demonstrated, and access to<br />

the equipment is always a plus.


Section 10: Vice Director<br />

This individual is a voting member<br />

of the Board of Directors who serves as the<br />

support and backup for the Director, and<br />

in absence of serves as the Director, with<br />

all rights and responsibilities of such. This<br />

position is filled by vote of the Board. This<br />

person must be 21 years of age.<br />

Section 11: Director<br />

The Director, also known as the<br />

President, is the non-voting member of the<br />

Board of Directors, selected from the<br />

board, who manages and runs the organization<br />

on a daily basis. This person must<br />

be 23 years of age.<br />

Section 12: Supreme Game Master<br />

This individual serves on the Board<br />

of Directors as their own personal Senior<br />

Game Master, with all the rights and responsibilities<br />

as such. In addition, this individual<br />

must assist with ending and gaming<br />

issues or problems within the organization<br />

that chapter SDMs have not been able<br />

to. As well, the Supreme Game Master<br />

must also end all conflicts between the Primary<br />

officers and the Board of Directors<br />

that hinder the organization.<br />

Section 13: Editor-in-Chief<br />

This individual is responsible for<br />

the creation, distribution, and quality control<br />

of all written materials related to<br />

<strong>OGREs</strong> and heads the Committee on Fluff.<br />

Section 14: Inquisitor<br />

The Inquisitor is a member of the<br />

Board of Directors who arbitrates disputes<br />

and claims filed by members in good<br />

standing against other members, chapters,<br />

or <strong>OGREs</strong>, Inc. Bound by the <strong>OGREs</strong>, Inc.<br />

Constitution, the Inquisitor will - upon receiving<br />

a valid claim filed through the appropriate<br />

claims process - gather evidence<br />

or official statements from all parties men-<br />

tioned in the claim on the dispute. Once<br />

evidence and statements have been gathered,<br />

the Inquisitor is duty-bound to make<br />

a judgment based off of verifiable facts.<br />

At all times, the Inquisitor keeps the<br />

Board of Directors informed on active<br />

claims and findings. Should the Inquisitor<br />

not be able to make a decision due to personal<br />

inclusion in the incident or personal<br />

prerogative the Board of Directors as a<br />

whole will judge the claim. Claims from<br />

individuals not in good standing will not<br />

be accepted until their home chapter declares<br />

their membership to be in good<br />

standing again.<br />

During the claims process, an Inquisitor<br />

follows this procedure:<br />

1. Receipt of Claims through official channel.<br />

If not, Void.<br />

2. Verification that claimant is member in<br />

good standing of <strong>OGREs</strong>. If not, Void.<br />

3. Verification that member first reached<br />

out to local chapter officers. If they did<br />

not, refer back to local chapter and void<br />

claim.<br />

4. Notice of open claim placed on BoD<br />

Task Board with brief overview<br />

5. Request for statement and evidence (if<br />

any) from all parties named in dispute<br />

prior to any official reply being given.<br />

6. Request for additional evidence (if any)<br />

from claimant.<br />

7. Study of evidence, statements. Additional<br />

statements gathered from third<br />

parties if necessary.<br />

8. Decision made based off evidence. An<br />

Inquisitor may only ever issue three<br />

decisions: Void, Accept, or Deny. A<br />

Void means that a claim that is filed<br />

does not meet the requirements necessary<br />

to be officially accepted. Acceptance<br />

means that the claimant is<br />

deemed to be correct in their story and<br />

evidence supports them, and the original<br />

event deemed to have been done<br />

incorrectly or in bad faith. The BoD will


determine proper sanctions against atfault<br />

parties. Deny means that the<br />

claimant was either proven wrong via<br />

evidence or not able to provide any<br />

evidence for their statements. The<br />

BoD will determine proper sanctions<br />

against the claimant. In the event of<br />

evidence not being available from either<br />

side, officers in good standing will<br />

be assumed via good faith to have<br />

acted correctly in accordance with<br />

MHB guidelines.<br />

9. Task Board updated, and the Editor-in<br />

-Chief (or Dir. Of Communications if<br />

no editor) is provided with the file to<br />

format an official <strong>OGREs</strong>, Inc. press<br />

release to place on the website and<br />

link directly to any affiliated parties.<br />

ARTICLE 5: DISCIPLINARY<br />

PROCESS AND APPEALS<br />

Section 1: The O.G.R.E.s Appeals Process<br />

O.G.R.E.s recognizes the right,<br />

codified in the O.G.R.E.s <strong>Membership</strong><br />

<strong>Handbook</strong>, of a member to appeal any<br />

judgmental decision entered against them<br />

by O.G.R.E.s or any of its officers.<br />

Section 2: Discipline of O.G.R.E.s Senior<br />

Officers<br />

The Board of Directors and Primary<br />

Officers of O.G.R.E.s have the right<br />

to call upon the Supreme Game Master to<br />

investigate allegations of gaming or organizational<br />

misconduct performed by<br />

any O.G.R.E.s officer whose position is<br />

described by Article 4, Sections 2 through<br />

10, inclusive.<br />

Based on the formal report presented<br />

to the Board and/or Primary Officers<br />

by the Supreme Game Master, the<br />

board and/or Primary Officers may then<br />

recommend formal sanctions be imposed<br />

on said officer.<br />

Should the Board of Directors decide<br />

to recommend formal sanctions be<br />

imposed, they shall prepare a formal list<br />

of Articles covering the transgressions and<br />

the suggested sanctions. The Director shall<br />

then formally declare these to the board,<br />

and a vote will be taken to see if the sanctions<br />

will be implemented.<br />

Section 3: The O.G.R.E.s Appeals Board<br />

Any member who has actions or<br />

sanctions taken against him/her has the<br />

right to appeal that decision. At this point,<br />

the vote will be reenacted no later than 60<br />

days from the initial vote to the Primary Officers,<br />

who can then take a wider vote on<br />

the issue.<br />

ARTICLE 6: REMOVAL OF<br />

OFFICER FROM POSITION<br />

Section 1: Chapter Coordinator<br />

If any chapter coordinator fails to<br />

perform their duties as defined in Article 4,<br />

Section 2, then the chapter membership<br />

may request that he/she step down as well<br />

as the Director of Communications request<br />

that the chapter replace the officer due to<br />

neglect of duties. Should the person willing<br />

step down, a simple chapter vote with a<br />

60% success rate may give the position to<br />

another individual. An unwilling removal<br />

requires a 70% approval. A chapter coordinator<br />

that the Director of Communications<br />

requests be replaced can not remain, and a<br />

vote must be taken to replace them.<br />

Any chapter that fails to properly replace<br />

their Chapter Coordinator within 90<br />

days will be removed from the organization.<br />

Section 2: Director<br />

If at any time the Director/<br />

President/Chairman of the Board of Directors<br />

is not fulfilling his/her duties and the<br />

organization wishes to replace him/her, the<br />

Primary Officers and/or Board of Directors<br />

must present the individual with a formal<br />

request to the individual to step down. If<br />

this request is accepted, and no further action<br />

is deemed necessary, then this former<br />

Director will serve the remainder of his/her


term as a normal, voting member of the<br />

Board of Directors. A new vote will be<br />

taken to replace him or her, and the process<br />

will move forward.<br />

Should the Director refuse to step<br />

down, a vote of the remaining board of<br />

directors must be unanimous to strip<br />

him/her of title. Additionally, if the director<br />

refuses to step down and is voted out,<br />

or it is deemed that further action is necessary<br />

(also via unanimous vote of the remaining<br />

board), then that individual is<br />

removed entirely from the Board of Directors.<br />

A replacement must be voted upon<br />

by the Primary officers to replace the former<br />

board member for the remainder of<br />

his/her term.<br />

Section 3: Member of the Board of Directors<br />

In order to remove a member of<br />

the Board of Directors, all other members<br />

of the board, including the Director, must<br />

unanimously vote that person out. However,<br />

having an attendance rate less than<br />

75% will automatically vacate a board<br />

member’s position.<br />

Section 4: Senior Game Masters<br />

Should members of a chapter feel<br />

that a Senior Game Master is being unfair<br />

in decisions given in games or disputes,<br />

then they should conduct a vote to replace<br />

him that must pass with 70% of the chapter<br />

in favor as well as the approval of the<br />

geographically-nearest chapter’s SDM.<br />

The individual should first be presented<br />

with a formal reasoning and given the<br />

chance to step down voluntarily.<br />

Section 5: Fallout<br />

Any member who fails to provide<br />

proper notice upon stepping down from<br />

office, or who is removed by the above<br />

guidelines, is immediately disqualified<br />

from holding office within <strong>OGREs</strong>, Inc.<br />

for life, unless pardoned by a majority<br />

vote of the Board of Directors.<br />

ARTICLE 7: FINANCIAL<br />

AFFAIRS/STANDARDS<br />

Section 1: Fiscal Year<br />

The fiscal year of O.G.R.E.s shall<br />

commence on <strong>January</strong> 1 and terminate on<br />

December 31 of the same calendar year. All<br />

transactions of O.G.R.E.s shall be conducted<br />

in the currency of the United States<br />

of America.<br />

Section 2: Accounting System<br />

The Board of Directors shall install<br />

and maintain an accounting system for<br />

O.G.R.E.s in accordance with generally accepted<br />

accounting principles sufficient to<br />

maintain O.G.R.E.s' tax-exempt status and<br />

which will generate concise and easy-tounderstand<br />

financial statements no less<br />

than three times a year, which shall be published<br />

in such a way as to be accessible by<br />

the general membership.<br />

Section 3: Funds Invested<br />

Funds belonging to O.G.R.E.s, except<br />

as necessary to pay current expenses,<br />

must be invested in United States Federally<br />

insured bank deposits or instruments guaranteed<br />

by the full faith and credit of the<br />

United States of America, or in other investments<br />

as the Board of Directors may<br />

authorize. No funds may be deposited in a<br />

safe deposit box. No funds shall be invested<br />

or loaned in such a way that results<br />

in the personal profit or advantage of any<br />

officer or member of the organization.<br />

Other than funding any O.G.R.E.s events,<br />

no funds may be invested in business ventures<br />

in a manner that results in the actual<br />

loss of funds. Any person or persons authorizing<br />

any such business undertaking<br />

will be personally liable to the corporation<br />

and its members for all losses so incurred.<br />

Section 4: Money and Property<br />

All money and property belonging to


this organization or any individual chapter<br />

shall be held and used solely for the<br />

benefit of the organization, chapter(s),<br />

and its members or the charity or fund for<br />

which the money or property is designated.<br />

No contracts or expenditures of<br />

O.G.R.E.s funds shall be made which will<br />

result in the personal profit or advantage<br />

of any officer or member of O.G.R.E.s.<br />

Section 5: Disbursements<br />

All disbursements of O.G.R.E.s<br />

shall be made by the Chief Financial officer,<br />

who shall keep verifiable records<br />

which show the date, payee, the type of<br />

service rendered or goods or property<br />

purchased, the budget line item into<br />

which they should fall and the amount of<br />

payment.<br />

Section 6: Financial Reviews<br />

The Board of Directors shall provide<br />

for the annual review of the books of<br />

accounts of O.G.R.E.s by independent<br />

certified public accountants that are in no<br />

way affiliated with or related to any member<br />

of O.G.R.E.s. A tax individual paid to<br />

do the annual tax paperwork for the<br />

O.G.R.E.s and turn them into the IRS can<br />

meet this requirement.<br />

Section 7: Financial Liquidation<br />

As set forth in Article 1, Section 3,<br />

in the event that the organization should<br />

be dissolved or liquidated, or other-wise<br />

cease operation, the property and assets<br />

of O.G.R.E.s shall first be used to pay all<br />

outstanding debts, with any remaining<br />

assets being contributed on behalf of the<br />

membership to a charitable corporation<br />

that is recognized under Title 26, United<br />

States Code, Section 501 ©(3) or © (7), as<br />

selected by the Board of Directors.<br />

Additionally, no funds within any<br />

account of the O.G.R.E.s on any given calendar<br />

year may be transitioned into the<br />

next calendar year. As such, all accounts<br />

must be at 0 as of <strong>January</strong> 1 of a new calendar<br />

year with all proper records and legal<br />

spending as such. It is recommended that<br />

any funds be used towards an O.G.R.E.s<br />

year-end event to facilitate meeting this requirement.<br />

Section 8: Camp Oggie<br />

The Camp Oggie is the annual yearend<br />

event funded by O.G.R.E.s for its membership,<br />

to celebrate another calendar year<br />

of the tabletop gaming and lifestyle. The<br />

event will be held at a location chosen by<br />

the Board of Directors at their first meeting<br />

of a calendar year, and proposals may be<br />

sent to them prior to by any members or<br />

chapters who wish to host the Camp Oggie<br />

or have an idea for a location. The event is<br />

intended to be outdoors, preferably cabinbased<br />

camping, with a weekend schedule of<br />

gaming.<br />

All funds for the event will be under<br />

the stewardship of the Treasurer, who shall<br />

make funds available to the Camp Oggie<br />

coordinator in a manner consistent with<br />

guidelines published in the <strong>Membership</strong><br />

<strong>Handbook</strong>.<br />

ARTICLE 8: ELECTIONS<br />

Section 1: Term of Office<br />

The Director (president) and all<br />

members of the Board of Directors shall<br />

take office on <strong>January</strong> 1st of the year following<br />

the O.G.R.E.s general elections,<br />

which shall be held every three years. The<br />

electorate body in these elections shall be<br />

all members in good standing (as of August<br />

1st of the election year) of the organization.<br />

However, this election will only elect the<br />

ten serving board members. The Director<br />

(president) will then be selected from<br />

within this new board.<br />

Section 2: Supervision of Election<br />

selves, shall coordinate, run, supervise,<br />

and count the election/votes. In the event<br />

that one (or both) of these individuals are<br />

running, the Board will vote two others<br />

into this role who are not affiliated with<br />

the election if possible.<br />

Section 3: Nomination of Candidates<br />

Any member may run for a position<br />

on the Board of Directors if they meet<br />

the following requirements: Member in<br />

good standing for at least two calendar<br />

years (need not be consecutive) and at<br />

least 21 years of age. That member may<br />

nominate him/herself or can be nominated<br />

by another member in good standing<br />

and accept.<br />

Once the new Board of Directors<br />

has been chosen, a board member needs<br />

the backing of at least one other board<br />

member in order to be nominated for Director.<br />

The backing board member cannot<br />

also be running, and the nominated<br />

individual must accept any nomination.<br />

A majority vote from the non-running<br />

board members will result in the selection<br />

of the incoming Director.<br />

Section 4: Election Timetable<br />

The election year will be the last<br />

year of the three years that the current<br />

board is serving. All nominations must be<br />

made no later than May 31st of this year.<br />

From June 1st until July 31st, the running<br />

members are allowed to “campaign”<br />

within O.G.R.E.s for support in the upcoming<br />

election.<br />

Each chapter must take a vote during<br />

their next session/meeting on or after<br />

July 1st but not later than July 31st.<br />

These elections must be held via paper<br />

hand-written names, with each member<br />

being able to vote for 10 of the candidates<br />

for the board. The Chapter Coordinator<br />

will later, but not later than July 31st,<br />

tally these votes and send that information<br />

to the Director of Communications.<br />

The announcement of the winning<br />

candidates and incoming Board of Directors<br />

can be made as soon as the Board received<br />

notice of them from the election supervisors,<br />

but must be no later than August<br />

31st. The now-incoming Board of Directors<br />

have until October 31st to then campaign<br />

amongst themselves for nominees for incoming<br />

Director. A vote will be held, with<br />

ballots being submitted to the incumbent<br />

Director of Communications (unless he/she<br />

is also a incoming Board member and running<br />

for Director, at which point the incumbent<br />

Board will select a contact) either personally<br />

or electronically, which ever is more<br />

viable. The incoming board will be made<br />

aware of the incoming Director no later<br />

than November 30th.<br />

Section 5: Withdrawal from Candidacy<br />

Should any board nominee accept<br />

the candidacy and then withdraw from the<br />

election, that person shall not re-enter the<br />

same election. The candidate must notify<br />

one or both of the election supervisors in a<br />

secure and verifiable manner of his/her<br />

withdrawal from the election.<br />

Section 6: Office Turnover<br />

An out-going Director must make<br />

provisions to turn over all materials connected<br />

with the office of Director<br />

(president) to the incoming Director on or<br />

before December 31st of the election year.<br />

If the out-going Director fails or refuses to<br />

promptly turn over all such materials, the<br />

incoming Director or his designee is authorized<br />

to take all appropriate actions, including<br />

but not limited to the filing of legal<br />

proceedings and the filings of a criminal<br />

complaint, which may be needed to ensure<br />

compliance with this Section.<br />

ARTICLE 9: ASSESSMENTS<br />

Section 1: <strong>Membership</strong> Dues<br />

<strong>Membership</strong> within O.G.R.E.s is<br />

completely free, and no dues are required.


However, an individual chapter may<br />

choose to have a chapter dues. A member<br />

should check with their chapter first.<br />

Typically, this dues is for funding any<br />

costs the chapter incurs, such as site<br />

rental for gaming or gaming equipment,<br />

or to help pay for food or drinks, or to increase<br />

the chapter’s gaming library.<br />

It is required by each chapter that<br />

does require dues to have a record of each<br />

member’s dues, and no member should<br />

go more than two months without paying<br />

before being removed from games and<br />

considered associate. In the case of extreme<br />

financial distress, the chapter coordinator<br />

and senior game master can agree<br />

to allow the member to stay, but this<br />

should be a very rare happening and for<br />

serious reasons, as other players who are<br />

still paying dues may resent this. The coordinator<br />

should send this list to the Director<br />

of Communications in his/her reports<br />

so that O.G.R.E.s has a record of all<br />

members in good standing for election<br />

purposes.<br />

Section 2: Lifetime <strong>Membership</strong>s<br />

In the case of outstanding or longserving<br />

members, the Board of Directors<br />

may grant the status of “Life Member” to<br />

an Ogre. Any member of the board or Primary<br />

Officers may nominate an individual<br />

and provide their reasoning. Lifetime<br />

membership requires a unanimous vote<br />

by the Board of Directors.<br />

All Directors (presidents) receive a<br />

honorary lifetime membership upon the<br />

successful completion of their first threeyear<br />

term. A lifetime membership can<br />

also be utilized for “honorary members”<br />

such as gaming companies and publishers<br />

or celebrity gamers. If that member is<br />

ever in a chapter that requires dues, or if<br />

<strong>OGREs</strong>, Inc. ever begins requiring dues,<br />

these members are exempt.<br />

ARTICLE 10: AMENDMENTS<br />

Section 1: Constitution Amendments<br />

This constitution may be amended<br />

or superseded, either in whole or in part, by<br />

an affirmative majority vote of the general<br />

membership, in a manner consistent with<br />

the current <strong>Membership</strong> <strong>Handbook</strong> and the<br />

parliamentary authority of the organization.<br />

Section 2: Petition for Amendment<br />

An amendment may be placed before<br />

the general membership for their approval<br />

after submission to and approval by<br />

the Board of Directors or after receipts of a<br />

petition for an amendment. Any active<br />

member may petition the board for an<br />

amendment.<br />

Section 3: Cosmetic Changes<br />

Any changes to the Constitution that<br />

correct misspellings, fix grammatical errors,<br />

mistakes in numbering, may be made<br />

with a simple majority vote of the board<br />

upon discovery.<br />

ARTICLE 11: OTHER OGRES MANU-<br />

ALS<br />

Section 1: <strong>Membership</strong> <strong>Handbook</strong><br />

The <strong>Membership</strong> <strong>Handbook</strong> shall be<br />

the member’s guide to features and functions<br />

of O.G.R.E.s and shall govern all of<br />

the organization matters where not inconsistent<br />

with this Constitution. Altering the<br />

<strong>Membership</strong> <strong>Handbook</strong>, beyond cosmetic<br />

changes and fixes, must be done with a majority<br />

approval of the Board of Directors.<br />

The sitting Director may include a<br />

brief and personal “welcome” or<br />

“introduction” type of message to the general<br />

membership via the <strong>Handbook</strong>. This<br />

may be updated also with the approval of<br />

the majority of the Board, and must be<br />

done when a new Director enters the office.<br />

Section 2: Office Manuals<br />

At any time the sitting member of a<br />

particular office (i.e. Director of Communi-


cations, Supreme Game Master, etc.) may<br />

write up a manual for use by any future<br />

office holders. These manuals should describe<br />

why the office exists, what the<br />

rights and responsibilities of that office<br />

are, and a general assistance and guideline<br />

on running the office. Should an officer<br />

create such a manual, the Board of Directors<br />

must have 70% approval or better<br />

for it to be listed along with other official<br />

Ogre documents.<br />

Section 3: Awards Manual<br />

The Awards Manual is a pamphlet<br />

consisting of all the currently used<br />

O.G.R.E.s Awards that are available to be<br />

earned and awarded to members or<br />

friendly individuals and businesses. This<br />

is for the members award program, and<br />

should not be confused with the annual<br />

Oggie awards held for the industry at<br />

large.<br />

Section 4: Rank Structure<br />

The Rank Structure pamphlet is a<br />

thorough breakdown of the O.G.R.E.s<br />

member rank structure and advancement<br />

guidelines. It can be found in the appendix<br />

of this handbook or in further detail in the<br />

Ranks Pamphlet.<br />

Section 5: Merchandise Brochure<br />

The Merchandise Brochure is a listing<br />

of purchasable O.G.R.E.s swag and<br />

goodies, such as clothing and gaming paraphernalia,<br />

for members.<br />

Section 6: Miscellaneous<br />

The Board or specific officers may at<br />

times have releases available to members<br />

for specific events or jobs. These may include<br />

items such as Camp Oggie host guides<br />

or a complete corpora of legal documents.<br />

This Agreement is entered into on this day of ____________,<br />

20___; between <strong>OGREs</strong>: The Organization of Gamers & Roleplaying<br />

Enthusiasts, Incorporated, hereinafter referred to as <strong>OGREs</strong>,<br />

Inc., and “______________________________,” hereinafter referred to as<br />

Grantee. Under specific terms contained herein, <strong>OGREs</strong>, Inc., a Kentucky<br />

based Non-profit organizations which holds all applicable copyrights,<br />

agrees to allow the grantee use of the name <strong>OGREs</strong> and the Oggie<br />

the Ogre logo. Providing that all terms of this Agreement are met,<br />

the Grantee shall, in perpetuity, be permitted use of the <strong>OGREs</strong> name<br />

and logo and enjoy the rights and privileges of an <strong>OGREs</strong> chapter as<br />

dictated in the most current edition of the <strong>OGREs</strong>, Inc. <strong>Membership</strong><br />

<strong>Handbook</strong>.<br />

Terms of Agreement<br />

The Grantee agrees to:<br />

1. Operate a non-profit group with or without governmental recognition.<br />

All proceeds gained from dues, sales of publications, special<br />

events, etc., must be used for the furtherance of the contracted group.<br />

At no time may any monies gained by the contracted group be used for<br />

personal profit.<br />

2. Abide; without deletion, addition, or alteration; by the most current<br />

edition of the <strong>OGREs</strong>, Inc. <strong>Membership</strong> <strong>Handbook</strong><br />

3. Appoint, through fair and equitable means; whether competition,<br />

election, or other method; officers as described in the <strong>OGREs</strong>, Inc. Bylaws<br />

and <strong>Membership</strong> <strong>Handbook</strong><br />

4. Abide by all laws, whether local, state, or federal.<br />

5. Maintain a positive relationship with the authorities, with the general<br />

public, with other groups and organizations, and with other<br />

<strong>OGREs</strong>, Inc. chapters.<br />

6. Educate and enrich the membership and the public through demonstration,<br />

instruction, and creativity in communal gaming.<br />

7. Hold <strong>OGREs</strong>, Inc. events on at least a monthly basis. The events<br />

may be combative, competitive, or instructional, but must be related to<br />

communal gaming or local community involvement. These events must<br />

be open for participation to the entire membership of the Grantee’s<br />

group, members of other <strong>OGREs</strong>, Inc. chapters, and non-members interested<br />

in joining.<br />

8. Maintain a membership roster, accurate financial records (if dues<br />

are adopted by Grantee), and records of awards and honors received by<br />

members. These records must be available for review by the B.O.D.<br />

upon request, and submitted to the Director of Communications when<br />

presented for inclusion in the <strong>OGREs</strong>, Inc. database.<br />

9. Treat all members fairly and equally, without regard to sex, race,<br />

creed, color, national origin, religion, disability, orientation, or age.<br />

10. Any restrictions on participation as must be placed for purposes of<br />

safety and reduction of liability must be fair and not discriminatory.<br />

The Grantee may choose to seek status as a non-profit corporation.<br />

Upon meeting all governmental requirements, the Grantee may incorporate<br />

under the name of <strong>OGREs</strong>:“________________________________”,<br />

(as approved by the Board of Directors of <strong>OGREs</strong>, Inc, hereinafter referred<br />

to as the B.O.D.) and elect a chapter board of directors. The<br />

Grantee’s incorporation has no effect upon this agreement, and both<br />

parties remain bound under its terms and obligations.<br />

<strong>OGREs</strong>, Inc. agrees to:<br />

1. Grant permission for use of the <strong>OGREs</strong>, Inc. name and logo(s) in<br />

perpetuity for as long as the Grantee meets the terms of this Agreement.<br />

2. Provide online, printable copies of the <strong>Membership</strong> <strong>Handbook</strong><br />

and sundry supplemental documents used to participate in <strong>OGREs</strong>,<br />

Inc. The Grantee may print these publications for chapter use without<br />

alteration, except to add personal member name and chapter to the<br />

“Owned By” section in the front of the handbook.<br />

3. Provide copyright-free forms for copying and use for maintenance of<br />

attendance and other records.<br />

Liability<br />

<strong>OGREs</strong>, Inc., its officers and members, accept neither liability nor<br />

responsibility for the actions of, or any injury to, any individual participating<br />

in a <strong>OGREs</strong>, Inc. or Grantee event or gathering. The Grantee<br />

undertakes the formation of an <strong>OGREs</strong>, Inc. chapter under its own recognizance,<br />

and its members participate in the organization by choice<br />

and at their own risk.<br />

Termination of Agreement<br />

The Grantee may choose at any time to terminate this Agreement. A<br />

letter detailing the reasons for termination must be sent to the Director<br />

of the Board of Directors of <strong>OGREs</strong>, Inc. within thirty days via any<br />

method listed for the director’s contact in the most recent edition of the<br />

<strong>Membership</strong> <strong>Handbook</strong>. Copies of all records, including a full<br />

accounting of the distribution of assets (if any), must be forwarded to<br />

the B.O.D. as well. If the Grantee has not incorporated, the letter must<br />

be signed by the chapter coordinator and senior game master remaining<br />

in the group with an accompanying majority vote tally approving<br />

the dissolution by the general membership. If incorporated, the letter<br />

must be signed by a quorum of local chapter board members, or by the<br />

Chapter Coordinator, with an accompanying resolution by the board.<br />

The Board of Directors of <strong>OGREs</strong>, Inc.. may, at their sole discretion,<br />

choose to form a new Agreement with any members of a terminated<br />

group who desire to remain active <strong>OGREs</strong> members. Failure to comply<br />

with any term of this Agreement by the Grantee will constitute a material<br />

breach of this Agreement, and may result in the termination of<br />

this Agreement by <strong>OGREs</strong>, Inc. A letter detailing the reasons for termination<br />

will be sent to both the chapter coordinator and senior game<br />

master of an unincorporated group, or the Board President of an incorporated<br />

group. Within thirty days of receipt of such letter, copies of all<br />

records, including a full accounting of the distribution of assets (if any)<br />

must be forwarded to the Director of the B.O.D. of <strong>OGREs</strong>, Inc.<br />

Distribution of Assets<br />

This section only applies to Grantees who deem it necessary to institute<br />

a dues or fee system for their local members.<br />

Immediately upon the termination of this Agreement, all assets must<br />

be eliminated in a fair and legal fashion. Such elimination of assets<br />

must be completed within thirty days of termination of this Agreement,<br />

at the end of which period a full report must be forwarded to the<br />

Director of the B.O.D. of <strong>OGREs</strong>, Inc. as previously described. Options<br />

for elimination of assets include:<br />

1. Use of cash on hand for the sponsorship of a final special event.<br />

2. Contribution of cash assets and/or capital property to a legally recognized<br />

non-profit charitable organization.<br />

3. Return of dues to members who paid them, return of capital properties<br />

to donors, equal redistribution of special event profits to members<br />

who purchased tickets to the event, etc.<br />

Whatever method used must be in compliance with all applicable<br />

laws and reported in detail to <strong>OGREs</strong>, Inc. within thirty days of termination.<br />

Responsible Parties<br />

Signatures recorded below are for individuals who warrant that<br />

they are authorized representatives of the Grantee or <strong>OGREs</strong>, Inc.<br />

This Agreement is binding upon the groups represented by these individuals,<br />

and shall remain in effect regardless of changes of officers or<br />

group membership.<br />

· This contract is invalid if not accompanied by a legible copy of each applicant’s<br />

valid identification card (drivers license, ID, military ID, passport, et cetera) or notarized<br />
