In addition MFIs/NGOs who are work<strong>in</strong>g<br />
with SHGs necessarily collect <strong>in</strong>formation<br />
about the groups that they are<br />
work<strong>in</strong>g with. As part of the<br />
operationalis<strong>in</strong>g of SHGs <strong>and</strong> as a requirement<br />
of their function<strong>in</strong>g, the follow<strong>in</strong>g<br />
documentation is carried out:<br />
Account<strong>in</strong>g Systems which generally<br />
<strong>in</strong>clude<br />
• Cash Books: Meant <strong>to</strong> record each<br />
cash transaction as it occurs <strong>in</strong> a<br />
meet<strong>in</strong>g;<br />
• Member Ledger Book: A document<br />
that is derived from the cash book<br />
which may be used <strong>to</strong> keep track of<br />
the current balance of each <strong>in</strong>dividual<br />
member <strong>in</strong> the group-her sav<strong>in</strong>gs,<br />
loans taken <strong>and</strong> repayments;<br />
• Pass Books: These are given <strong>to</strong> <strong>in</strong>dividual<br />
members <strong>to</strong> record their <strong>in</strong>dividual<br />
sav<strong>in</strong>gs <strong>and</strong> loan status. In new<br />
groups, <strong>in</strong>troduc<strong>in</strong>g pass books often<br />
encourages members <strong>to</strong> save more as<br />
they have a personalised document of<br />
their net sav<strong>in</strong>gs amount;<br />
• The M<strong>in</strong>utes Book cum Attendance<br />
Register: Used <strong>to</strong> record the proceed<strong>in</strong>gs<br />
of each meet<strong>in</strong>g <strong>and</strong> the names<br />
of members present.<br />
• Loan <strong>and</strong> Repayment Forms: To be<br />
filled each time a member takes a loan.<br />
Each form has details of the loan<br />
amount, the purpose for which the<br />
loan has been taken, the frequency of<br />
repayment <strong>and</strong> the amount of each<br />
<strong>in</strong>stallment.<br />
• General Ledger: To be ma<strong>in</strong>ta<strong>in</strong>ed<br />
along with the member ledger for receipt<br />
<strong>and</strong> payment transactions, common<br />
<strong>to</strong> the whole group. (The Sav<strong>in</strong>gs<br />
<strong>and</strong> <strong>Credit</strong> Manual, PRADHAN,<br />
Resource <strong>and</strong> Research Group, !998)<br />
The performance of the SHG is also<br />
documented us<strong>in</strong>g <strong>in</strong>dica<strong>to</strong>rs that are<br />
seen as relevant <strong>to</strong> the situation <strong>and</strong><br />
region. For example, the Cooperative<br />
Development Foundation (CDF) <strong>in</strong><br />
Hyderabad, records performance with<br />
the help of the follow<strong>in</strong>g <strong>in</strong>dica<strong>to</strong>rs*:<br />
• Number of members;<br />
• Number of Thrift Cooperatives;<br />
• Association of Thrift Cooperatives<br />
(number);<br />
• Regular Thrift (Rs.);<br />
• Thrift Defaulters (number);<br />
• Thrift Default Amount(Rs.);<br />
• Members with recurr<strong>in</strong>g deposits<br />
(no.);<br />
• Recurr<strong>in</strong>g Deposits (Rs.);<br />
• Members with sav<strong>in</strong>gs accounts (no.);<br />
