Section III: ADVERTISING AND PROMOTIONMARKETING YOUR SHOW AT THE MUSIC HALL’S HISTORIC THEATER OR LOFTPlease note, <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> does not market rental shows and films. Lessee's advertising must in no way imply a partnership with or endorsement by<strong>The</strong> <strong>Music</strong> <strong>Hall</strong> of Lessee's event. Any use of <strong>The</strong> <strong>Music</strong> <strong>Hall</strong>'s Name except as specifically referred to herein is expressly prohibited without the writtenconsent of <strong>The</strong> <strong>Music</strong> <strong>Hall</strong>. <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> reserves the right to assess penalties if these provisions are not adhered to.<strong>The</strong> <strong>Music</strong> <strong>Hall</strong> shares your interest in achieving success for your event. As such, we:• communicate rental show/film info via our website and monthly print calendar.• offers display of print material on site – pre-show and day of event.• provide opportunities to purchase additional marketing services.We have established the following guidelines for your presentation at <strong>The</strong> <strong>Music</strong> <strong>Hall</strong>’s Historic <strong>The</strong>ater or Loft:III.1 YOUR SHOW MARKETING MUST INCLUDE:In all marketing materials for your Historic <strong>The</strong>ater or Loft show (e.g. posters, fliers or print advertisements, etc.), we require that the following beincluded:• Correct name: All references must be as <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> (not Portsmouth <strong>Music</strong> <strong>Hall</strong>) or <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> Loft, either site listed prominently asthe location of the event.• Logo: A current <strong>Music</strong> <strong>Hall</strong> or <strong>Music</strong> <strong>Hall</strong> Loft Logo (contact our Graphic Design & Print Publications Manager – see email below). Rentersmust not reproduce <strong>The</strong> <strong>Music</strong> <strong>Hall</strong>'s logo.• Website: <strong>The</strong> <strong>Music</strong> <strong>Hall</strong>’s website, www.themusichall.org• Address/phone number of Box Office: Tickets/Info: 603.436.2400; 28 Chestnut Street, Portsmouth, NH 03801. Materials must clearlyindicate that tickets are on sale at <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> Box Office. Any materials indicating ticket availability that do not include specific reference toticket availability at <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> Box Office will not be displayed.• Address of show location: <strong>The</strong> <strong>Music</strong> <strong>Hall</strong>’s Historic <strong>The</strong>ater 28 Chestnut Street, Portsmouth, NH 03801; or <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> Loft, 131Congress Street, Portsmouth, NH 03801• Order of information: All publicity and promotions shall list the location of <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> first, 28 Chestnut Street, Portsmouth, NH, or <strong>Music</strong><strong>Hall</strong> Loft 131 Congress Street followed by the box office phone number, 603-436-2400 and the website address www.themusichall.org.III.2 WEBSITE, ENEWS, AND MAGAZINE: PLEASE SEND THIS CONTENT TO USWe have updated our communication materials and some information has changed – please be sure to review the following:Website: If you have booked a performance/film event at the Historic <strong>The</strong>ater or <strong>Music</strong> <strong>Hall</strong> Loft, your event will be listed on <strong>The</strong> <strong>Music</strong> <strong>Hall</strong>’s websitefree of charge, enabling online sales from all available inventory, 24-hours-a-day, 7-days-a-week. Your event listing on the website includes <strong>The</strong> <strong>Music</strong><strong>Hall</strong>’s online calendar and an event detail page. Event information should be sent to our Director of Marketing (see email below) at least one week priorto your event going on sale.“Just Announced” and “Weekend” Enews: Your event will be listed twice for free – in the “Just Announced” Enews sent to 26,000 subscribers –during the month your show goes on sale; and the “Weekend” Enews sent to 7,000-11,000 subscribers the weekend of your show.NOW Monthly Print Calendar: Your event will be listed twice in the “NOW @ <strong>The</strong> <strong>Music</strong> <strong>Hall</strong>” monthly magazine sent to 4000 homes of <strong>Music</strong> <strong>Hall</strong>members/frequent ticket buyers, 1,000 distributed in house – during the month your show goes on sale and the month of the show.Please send us the following content for online and print:• Show name (exactly as it is to appear on website and in print). Title of show must remain constant and be stated on contract, as it should beprinted in all <strong>Music</strong> <strong>Hall</strong> publications. Title must begin with "(Renter's name here) presents" then the performance title.• Presenter’s Organization (and link to website and social media if any).• Description of show (please send two: 200 words or less and 25 words or less).• Link to artist’s website (if any).• List of sponsors for your event. Please do not send logos• Two (2) .jpg or .gif images at 300dpi or greater in landscape orientation.III.3 DISPLAY OF RENTAL PRINT MATERIALS ON SITE<strong>The</strong> Historic <strong>The</strong>ater has display space available for your marketing materials prior to and during your presentation.• Postcards/Rack Cards may be displayed on the counter at our box office window, space permitting.• Poster: We have a dedicated rental marketing signage area in a high traffic, visible location in the lower lobby vestibule. Your 11” x 17” poster(portrait orientation) will be hung in this area two-four weeks prior to your event.• Caveat: No other literature will be displayed in the lower lobby. We understand that some materials may need to be shifted in order toaccommodate your materials (e.g. at the box office window and café tables). However, we ask that you not remove <strong>Music</strong> <strong>Hall</strong> materials ormaterials from other organizations that are on display.• Please send/drop off materials, as soon as they are in print, to the attention of Director of Operations (see email below) at <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> inadvance of the performance date, though not before tickets are available for sale at <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> Box Office and generally no sooner thanfour weeks prior to the event.• Questions regarding on-site display of marketing materials, contact the Director of Operations.<strong>The</strong> <strong>Music</strong> <strong>Hall</strong> Loft: Lessees of <strong>The</strong> <strong>Music</strong> <strong>Hall</strong> Loft will have the use of a 30x40 hanging window poster facing Congress Street for the duration of therental period and in some cases, for a period of time prior to the rental period, at the discretion of <strong>The</strong> <strong>Music</strong> <strong>Hall</strong>. <strong>The</strong> Lessee is responsible fordesigning, printing and delivering the poster. Poster will fit into acrylic sleeve – paper or cardstock only; no foam core.III.4 DAY OF EVENT SIGNS/EVENT PROGRAMS/HANDBILLS<strong>The</strong> <strong>Music</strong> <strong>Hall</strong> historic theater:• Please bring all materials to the House Manager or Director of Operations.<strong>The</strong> <strong>Music</strong> <strong>Hall</strong>, <strong>2013</strong> Usage Agreement Page 6 of 15
