How to Organise your <strong>Exchange</strong><br />
Preparation<br />
An exchange gives you the unique opportunity to explore another<br />
country and another culture. In order to be well prepared and<br />
not to be negatively surprised by cultural changes and different<br />
behaviours, we strongly recommend you to get well <strong>in</strong><strong>for</strong>med<br />
about the place you will go to (not only the university but also<br />
the culture and the local situation). Be open to everyth<strong>in</strong>g might<br />
be different from home (food, language, newspapers, way of life,<br />
public transport, timetables, shop open<strong>in</strong>g hours, and so on).<br />

Application<br />
Discuss your <strong>in</strong>tention to study abroad with your local university’s<br />
responsible person. If there is a mobility office (<strong>in</strong>ternational office)<br />
at your university ask them <strong>for</strong> the necessary documentation.<br />
Do not <strong>for</strong>get to check if your favoured university abroad provides<br />
its own application documents (take care with deadl<strong>in</strong>es)!<br />
Selection<br />
The decision about your exchange is up to the local and host university.<br />
If several students are <strong>in</strong>terested <strong>in</strong> study<strong>in</strong>g at the same<br />
university abroad, it is possible that you will have to go through a<br />
selection procedure.<br />

How to Organise your <strong>Exchange</strong><br />
Immigration Formalities<br />
When you have received confirmation of acceptance by a host<br />
university, please check the embassy’s homepage <strong>in</strong> the designated<br />
country <strong>for</strong> <strong>in</strong><strong>for</strong>mation on entry <strong>for</strong>malities. You might<br />
need to apply <strong>for</strong> a visa, you might have to show proof that<br />
you have adequate f<strong>in</strong>ancial means to support yourself dur<strong>in</strong>g<br />
your studies abroad or you also might need an additional<br />
health <strong>in</strong>surance <strong>for</strong> your host country. Consider that some<br />
bureaucratic processes might take some time, especially <strong>in</strong><br />
case you need to apply <strong>for</strong> a visa.<br />
Timetable / Course Scheme<br />
Together with the mobility office and your department you<br />
will prepare a degree course scheme accord<strong>in</strong>g to the courses<br />
offered at the host university (so called learn<strong>in</strong>g agreement).<br />
It should conta<strong>in</strong> as many similar courses as possible to the<br />
ones you miss at your home university while you are study<strong>in</strong>g<br />
abroad. As offered courses at your host university might<br />
change or not to be on an adequate level <strong>for</strong> you, it might be<br />
good already to have some alternative courses discussed with<br />
your home university.<br />
F<strong>in</strong>al Application<br />
The mobility office sends your complete application documentation<br />
to the host university. You will be contacted by the host<br />
university a few weeks later. Usually with<strong>in</strong> 4-6 weeks they will<br />
send you a letter of acceptance and <strong>in</strong><strong>for</strong>mation about the university<br />
and possible lecture materials.<br />
Accommodation and Travel<br />
Check if your host university is assist<strong>in</strong>g you <strong>in</strong> f<strong>in</strong>d<strong>in</strong>g an accommodation<br />
and organis<strong>in</strong>g a transfer or if you have to do<br />
that on your own. If you do not get any support, contact the<br />
local ESN section <strong>for</strong> further <strong>in</strong><strong>for</strong>mation. You are welcome to<br />
ask them further questions about your stay, the local life and<br />
daily bus<strong>in</strong>ess.<br />
