<strong>Emphasis</strong> <strong>Inventories</strong> Ltd is an executive member<br />

of the AIIC (Association of Independent Inventory<br />

Clerks) and all of our inventory clerks are fully<br />

insured and accredited by the AIIC.<br />

All clerks undergo an initial three month training<br />

programme, quarterly shadowing with follow up,<br />

and receive an annual appraisal.<br />

Services<br />

We ensure all parties are treated fairly and inventories recorded accurately.<br />

INVENTORY AND CHECK-IN REPORT<br />

The Inventory and Check-In report provides a comprehensive description of the property as well as its condition. It contains a<br />

complete listing of all the contents including their condition. Meter readings and keys present are documented. Carbon<br />

monoxide and smoke detectors are tested. An extensive photographic library backs up the report. Our clerk will meet the tenant<br />

and go through a summary of the report with them, as well as give instructions on how equipment in the property operates.<br />

Our clerk can also hand over the keys.<br />

INVENTORY REPORT<br />

The Inventory Report is a comprehensive description of the property with its contents. This includes a full evaluation of the condition<br />

of the property and of each item of content. A full set of pictures of the property and contents ensures an accurate and comprehensive<br />

record is taken at the time of the inspection.<br />

CHECK-IN REPORT<br />

Based on our Inventory Report we can meet the tenants on any following day after completing the Inventory Report. Our clerk will<br />

go through a summary of the inventory, give instructions on how equipment in the property operates and hand over the keys.<br />

Alternatively, based on an older Inventory Report our clerk can inspect the property to record any variations in content or condition,<br />

backed up by a full set of pictures. The tenant will be greeted, taken through a summary of the findings and handed the keys.<br />

CHECK-OUT REPORT<br />

The property and all its contents, including décor, fixtures, fittings, linen, crockery and furnishings are checked against the original<br />

Inventory and Check In Report. Any discrepancy or variation to the original inventory such as cleanliness, damage, missing or<br />

additional items are listed, together with excessive wear. Outside spaces like gardens and terraces are equally inspected. Each<br />

discrepancy and variation comes with a recommendation of responsibility. Meter readings and keys present are documented.<br />

Carbon monoxide and smoke detectors are tested.<br />

MID-TERM INSPECTIONS<br />

A rented property should ideally be visited at least every 6 months. This will alert the landlord to any maintenance issues, as well as<br />

any other tenancy issues, so they can be dealt with before becoming more serious and costly. It also means the tenant knows that<br />

the property and the tenancy itself is professionally managed. The report compares the property to the inventory and documents any<br />

potential issues with a tenancy and property, and includes a full photographic library.<br />

HANDOVER REPORT<br />

Buying a newly built property comes with a specific set of potential problems. When taking possession the buyer wants to be<br />

confident that the property and its services work as intended. Our clerks, although not qualified surveyors, have experience from<br />

thousands of properties. We test every socket and electrical appliance. We run washing machines, dish washers, ovens, hobs and<br />

extractor fans. We make sure there is hot and cold water in every tap, and proper discharge of waste water is checked. Ventilation<br />

and radiators are checked. A full inspection of décor is carried out. A report listing any deviation backed up by a full photographic<br />

library ensures that issues can be corrected in a timely manor.<br />

KEYS COLLECTED FREE<br />

We never charge for collection of<br />

keys. If you would like a booking<br />

to take place when your office is<br />

closed we will arrange to collect<br />

the keys in advance so that the<br />

booking can go ahead smoothly<br />

on the day.<br />

READING GUARANTEE<br />

If a meter reading cannot be<br />

recorded the clerk will contact<br />

you for advice. If the reading still<br />

cannot be taken on the day, for<br />

any reason, our clerk will return to<br />

the property to obtain it at a later<br />

stage free of charge.<br />

By using photographs alongside our reports it is less<br />

likely that disagreements or issues arise over the<br />

Can you perform a Check-Out if you didn’t do<br />

the Check-In?<br />

Yes, we are able to use another company’s report to<br />

perform a Check-Out and we can also use another<br />

company’s Inventory to perform a Check-In.<br />

Do you have public liability insurance?<br />

Yes, <strong>Emphasis</strong> <strong>Inventories</strong> Ltd have £10m Public<br />

liability along with £2m Professional Liability<br />

insurance and a current Health & Safety policy in<br />

place.<br />

Do unfurnished properties need an inventory?<br />

Inspecting condition of appliances<br />

Yes, as we will record the condition of walls,<br />

flooring, ceilings, doors, appliances and all fixtures<br />

and fittings.<br />

Do you ever ​use self-​employed clerks or<br />

sub-contractors?​<br />

No, we only use clerks trained by ourselves to AIIC<br />

standards.<br />
