The meeting was called to order Mark Conley and Dale Hughes prayed.<br />

Update on spouse by Dr. Tim Hager, she is cancer free. He is retiring this<br />

year. Jerry Hobbs update, he is doing well and in remission.<br />

Dennis Campbell gave out special gifts game day to Dale Hughes and Pat<br />

Stout. Mark Conley gave special thanks to Dale Hughes for his job as<br />

former president. Dale Hughes gave update on his health. Troy Hickey<br />

gave update on Dave Scott from Indiana. Mark Conley gave Sabrina<br />

Runyon a birthday card.<br />

Budget/Finance Dr. H. Kenneth Dinkins (Pages 68 - 82)<br />

Brought in the investment broker to speak-Dan Foster from Raymond James-<br />

Gave out financial outlook ( attachment). John Posey sat in for this information.<br />

Dan stated it was a dismal point last year from the Charleston meeting in 2016,<br />

but has improved performance this year. The performance was improved<br />

because earnings has improved. Mr. Foster explained the investments<br />

performance to the board ( Please see attachments)- Pg. 2.<br />

Changes-<br />

We will reduce the amount of money in Large-Cap Value and move it into<br />

International markets because they have seen growth. The Investment choices<br />

and balances were explained on pg. 3. The take-away message was given on<br />

pg. 4 as a summary and explanation of the benefit of tax reform. The<br />

determining of the <strong>Board</strong> of the Federal Reserve and the changes of who will<br />

sit on the board may change the policy and its effect on the market. Dan Foster<br />

asked for questions and the board thanked him for the report.<br />

Bob introduced John to the board and gave information on the audit. John gave<br />

the general information on the audit and sent over the trial balance to the<br />

auditor the week of Oct. 16-20. He plans the audit will come quickly. Mr. Clarke<br />

Scott gave thanks to John for getting us back on track for the audit. John<br />

invited the board to contact him at any point.<br />

Proposed Handbook Additions<br />

Currently we can only carry over20 days a year- We want to move it to 30 days a<br />

year.<br />

Neglect and Abuse policy added into the handbook because we work with<br />

children.<br />

♣ Approved Recommendations/Revisions - any additional items<br />

IA Report-<br />

Updates by Pat Stout-5 people with Bob, they just meet on 10/19/17 at the main<br />

office. The group viewed the building yesterday. Bobby gave the updates on<br />

insurance from Blue Choice and an increase of 25%, and moving to Aetna and<br />

the API gap plan which was a high deductible, but a plan that is working as of<br />

right now. It is causing all staff to become more aware of choices. We will move<br />

out to the insurance marketplace in January. Herman Williams asked about the<br />

plan. Most updates will come through the IA report. The IA committee divided<br />

and reported to various groups and talked with them and reported the thoughts<br />

of employees back to the who IA group. Pat asked if any other IA members had<br />

anything to say, all other information will be given in the final IA report.


Focus groups-<br />

Focus groups were created to allow board members to see our world outside of<br />

conventions. <strong>Board</strong> Members attended the Leadership Summits and Infuse<br />

Educator Conference.<br />

Arkansas- Report by Jerry Newton. There were over 200 Betas. Jerry conducted<br />

his planning meeting at the same time as the Leadership Summit was being<br />

held. Jerry gave his report on what was accomplished in the Arkansas planning<br />

meeting with his council and their ideas. Sabrina Runyon gave her insights and<br />

thoughts on the Leadership Summit and actively engaged their kids. Tim Hager<br />

gave his perspective on the Arkansas Focus Group which discussed state<br />

councils.<br />

Tennessee-Strategic Plan -Clarke Scott gave his insights on perspectives and<br />

legal council and the changing of student speakers. Ken Dinkins and Gwen<br />

Young gave their insights on their perspective of the meeting.<br />

Infuse Teacher Conference- Atlanta- Pat Stout, Zel Thomas, Keith Leger, Stan<br />

Long and Rita Carter talked about teacher improvement, equality at state<br />

conventions, their perspective on engagements with teachers, and talked about<br />

the amount of money the bigger states are collecting. They spoke about the<br />

impact of how Beta meant so much to the kids that spoke and how it has<br />

improved their lives. Keith Leger stated that Louisiana has now increased their<br />

funds and now have an excess of funds. They are in the process of allocating<br />

these funds. Dr. Leger talked about two ideas that he had discussed with Bobby.<br />

One idea was to combine the Jr/Sr accounts, and the second idea was to allow<br />

the National Office to take care of the money from state fund accounts. This<br />

would occur over the next 2-4 years. The $20 fee would go to nationals and they<br />

would handle that funding moving forward. Rita Carter stated that we are not<br />

zeroing out for the end of the year and having to manage that process.<br />

All <strong>Board</strong>s will meet with their Department heads this afternoon at<br />

Headquarters.<br />

Pat Stout stated that we would take each item one at a time on the list. Bob took<br />

each item and provided clarity.He also gave the recommendations from the<br />

attorney for various items.<br />

#1 Item--Officer speeches will be monitored across the board.<br />

Dennis Campbell gave the explanation as to why this was discussed in TN( i.e.<br />

from the NFL protests).<br />

Rita Carter stated that we want to allow the convention to start off on a positive<br />

note.


Ken Dinkins stated that we could control the officer speech but not the person<br />

they introduce.<br />

#8-Item-Pg. 28- Bob explained that Beta has an excess of 3 million dollars. The<br />

focus will be “Giving Back.” He provided updates for the Reinvestment Revenue<br />

for 2017-<strong>2018</strong>- Pending Audit- in each Beta department. Bobby gave further<br />

explanation for the additional funds for the Production department and why the<br />

need for the additional funds. Clarke Scott discussed the impact of the<br />

Leadership Camps and what he saw. Troy Hickey was asked by Keith Leger to<br />

tell the story of Cairo, IL. Several <strong>Board</strong> members and Laura Lewis gave insights<br />

into why these Beta Club moments are so important to students.<br />

Marketing focus will be the VIP/SPARK program and sending the Sales team<br />

members to the conferences in order to target schools not a part of Beta. Bob<br />

thanked Ken Dinkins for sending us to Attorney Fawley and all the help she has<br />

provided so far.<br />

Bob provided clarification as to the reason for this policy. Ken Dinkins and<br />

Jerry Newton asked for clarification about this change. Laura Lewis provided<br />

why this is needed to encourage all sponsor to bring students. Pat Stout gave<br />

further explanation. <strong>Board</strong> asked that the following statement is added to the<br />

policy, “State Sponsor and State Sponsor Elects must register students – only in<br />

extenuating circumstances and with approval of the Council Chair and<br />

notification to the CEO will this policy be amended”. Currently, we pay $1500<br />

for State Sponsor to attend the national convention that is already in policy.<br />

For the state conventions, the State Sponsor receives hotel, mileage, and per<br />

diem for food which is in policy. Keith Leger and Jerry Newton gave a<br />

PREMIER PERFORMER PROGRAM<br />

To recognize the importance of performing arts, and to increase attendance at the National<br />

Convention, the Premier Performer program was launched for the 2017-<strong>2018</strong><br />

convention season. Upon observation of dancers from state convention special<br />

talent and group talents, deserving dancers are awarded a Golden Ticket and<br />

are invited to perform in the Opening Number at the National Convention.<br />

Dancers will learn a dance from a guest choreographer, and will attend practices<br />

at the convention prior to Opening Number.<br />

Convention School of Excellence award.<br />

Principals and Sponsors were mailed an<br />

official window cling to display at their<br />

school. Schools are encouraged to compete<br />

at the <strong>2018</strong> National Convention to earn the<br />

award of National Convention School of<br />

Excellence, which will be mailed out at the<br />

beginning of the <strong>2018</strong> school year.<br />

As a Beta Chapter that attended the 2017-<strong>2018</strong> state convention, we applaud you for<br />

recognizing the importance of academic achievement, visual and performing arts,<br />

leadership development, and service. Because of your participation in your state’s<br />

convention, it is our honor to present you as an official State Convention School of<br />

Excellence. Please display your new badge at your school to congratulate your Betas<br />

and sponsors for their hard work.<br />

In order to become a National Convention School of Excellence, we extend the<br />

invitation to you to compete a the National Beta Convention this <strong>June</strong> in Savannah,<br />

Georgia.<br />

students can participate, such as our <strong>2018</strong> National Exhibitions. In these exhibitions,<br />

you can showcase your Beta members’ cooperative teamwork, creativity, and knowledge<br />

Cross Training Report<br />

Monthly general coaching sessions have been initiated along with specialized training as unique situations arise. The goal of the<br />

cross training is to help Trent see the bigger picture of process and how the interact across modules. Also, to increase his<br />

knowledge base to a level that he would be able to fill in for me on a short-term basis should I take a vacation, travel to a<br />

convention or have an absence due to illness. The focus of the training is on key tasks that could not be postponed until my return.<br />

Writing checks, extracting data for customers, and generating reports.<br />

Trent primarily works in the Accounts Receivable module of Great Plains and he has a thorough understanding of its tasks.<br />

• I have identified a few areas of weakness within the Accounts Receivable module and the training to correct these<br />

weaknesses has been completed.<br />

Completion and distribution of customer statements in printed as well as emailed versions.<br />

The process to attach external documents to customer invoices so that these attachments follow the invoice<br />

whenever it is emailed.<br />

• This is particularly useful when billing onsite convention registration.<br />

Cross Training in the Accounts Payable module has been completed, tasks trained.<br />

• How to enter vendor invoices into Great Plains and how to print and make payments on these invoices, determining<br />

which checks to use when printing (I.E. Operating, State or Scholarship)<br />

• Scanning and attaching supporting documents to vendor invoices. This is necessary should research become necessary at<br />

a future time.<br />

• Training is complete on how to create a Purchase Order and Receiving Documents for inventoriable items. How to scan<br />

and attach supporting documents.<br />

Cross Training on Merchant services reconciliation to bank statement.<br />

• How to run reports from PayPal and Cayan on credit card payments received from customers<br />

• How to sort and tie these reports to the bank deposits. This confirms that credit card transactions we receive from<br />

customers are not declined and get deposited in our bank account.<br />

I’ve also been working with Trent to improve his MS Excel skills. We use excel frequently for sorting and analysis of information. I<br />

will also be working with Denia Brown to enhance her excel abilities when working with more complex formulas and sorting<br />

operation. VLookUp, Pivot Tables, Goal Seek, etc.<br />

Trent has cross trained me on the setup of New Clubs in Shield. How to batch and finalize the new clubs. While this is not a task I<br />

typically will perform, its good information to know in the event Trent is traveling or sick.

Outstanding Invoice Collection Report<br />

The three most common financial transactions we have with clubs are merchandise orders, membership additions to the<br />

club roster and convention/leadership registrations.<br />

Historically, Beta Clubs has allowed clubs to create invoices for these transactions and once they provided a school PO,<br />

we would ship the merchandise or membership order prior to receiving funds. In effect we are extending credit to the<br />

club. Because sponsors don’t always understand what submitting a PO entails, they often believe that is the end of their<br />

responsibility and the proper documentation does not reach the individual that will ultimately make the payment. In<br />

most cases that person would be the bookkeeper.<br />

In the fall of last year, upon realizing that some PO’s were going unpaid, I began sending monthly account statements<br />

to the school sponsors in order to collect on outstanding balances. While this helped, not enough of the statements<br />

being responded to. I then began situationally sending statements via email to the sponsors of each club. With the<br />

assistance of Jay in the IT department we were able to upload the school bookkeepers email address into our email<br />

distribution list. Unfortunately, we currently have bookkeepers email addresses on only about 25% of the clubs. I plan to<br />

initiate an email blast to try and collect the missing email addresses. Finally, I mailed paper statements to each club but<br />

printed “Bookkeeper” on the envelop so that the bookkeeper would be sure and open. This had a pronounced effect on<br />

collections.<br />

By implementing the drive to collect bookkeeper email addressed plus the two Finance Department Process<br />

Improvements I have outlined on the follow pages we will be able to cut back dramatically on delinquent payments.

Process Improvements for <strong>2018</strong>-2019<br />

Omitted Shipping Charges<br />

Identified Issue: We have noticed a recurring pattern of schools submitting payments but omitting the shipping charge that is on their<br />

invoice.<br />

While speaking with bookkeepers we have determined that the problem lies in the layout of the invoice that the sponsors print from their<br />

computer.<br />

a. The current invoice follows a typical sequen6al layout structure.<br />

b. Unfortunately, due to the variety of computer monitors and printers across school systems, we have found that some<br />

printers cut off the last two lines of the invoice. Those are the lines that contain the shipping charge and the grand total of<br />

the invoice. Without this information, the bookkeeper submits the amount of the new members without ever seeing the<br />

shipping charge.<br />

Solution: Reformatting the layout of invoices that sponsors print when they add new members to their club<br />

a. By flipping the (totals box) with the (details box), we will place the invoice total at the top of the page, thus being the first<br />

item the bookkeeper sees. The invoice itemization will be below the total box. All the same information will be present on<br />

the invoice, the only thing that will change is its position on the screen.<br />

Benefit: Following up on short paid invoices is a time intensive process for the finance department and by significantly reducing this task,<br />

we will be able to collect and process invoices in a much faster rate.

Process Improvements for <strong>2018</strong>-2019<br />

Send Invoice to Bookkeeper<br />

Identified Issue: We have noticed that school bookkeepers don’t always receive invoices from their sponsors. This results in the Beta<br />

finance team having to reach out to bookkeepers for payment. From speaking with bookkeepers, we find that they never received an invoice<br />

from the sponsor.<br />

These instances happen almost exclusively when sponsors use a school PO to place an order.<br />

For orders that are placed with a PO, the computer system generates an invoice and emails it to the main sponsor on file with the club.<br />

This is the point where the breakdown occurs. The Sponsor should forward that invoice to the bookkeeper for payment, but often doesn’t,<br />

believing that the transaction is complete.<br />

Solution: We are going to incorporate two complementary solutions to this problem.<br />

a. Solution 1: During the fall of <strong>2018</strong> we will begin to collect the email address of all bookkeepers associated with Beta Clubs. We<br />

can then include those email address in the correspondence with sponsors concerning invoices and financial statements. Once this<br />

has been implemented, when we send a statement or invoice to the sponsor, a copy will also be sent to the bookkeeper.<br />

b. Solution 2: When the computer system sends an invoice to a sponsor, a pre-written message<br />

accompanies the invoice in the email body.<br />

a. The message currently reads “Please see attached invoice. If you have any questions about this invoice, please reply to<br />

this email.”<br />

b. I will change the message to read “Please see attached unpaid invoice. Please forward this invoice to your bookkeeper for<br />

payment. Invoices created with a PO are not paid. Please forward this invoice to your bookkeeper even if you submitted a<br />

PO to the Beta Club. If you have any questions, please reply to this email.”<br />

This will instruct the sponsor to forward the invoice to the bookkeeper and concurrently sending a copy of the invoice to the bookkeeper (in<br />

instances where we have the bookkeepers email address). This process will be very beneficial in streamlining the process.<br />

Benefit: Reaching out to sponsors for payment on unpaid invoices is a time intensive process for the finance department. By making the<br />

changes above and ensuring in that documents are sent to the correct individual in each school, we will be able to be more efficient in<br />

collections and improve our cash flow process.

*Up 42.72% over the 10% Benchmark set in FY17 which was 2,767 new members and the<br />

Team brought in 3,949 for the month of MARCH <strong>2018</strong>.<br />

*We are working with Finance to credit clubs (10 clubs) in the LINK program and Merchandising<br />

as we sent out emails and gift cards for the Sponsor a Club Campaign that ends April 30,<br />

<strong>2018</strong>.<br />

*The Marketing Team has attended various convention states throughout the year to connect<br />

with schools that do not have Beta. This has been a great experience for the team.<br />

*First deployment of the Marketing Gifting Campaign emails using AGILE Marketing for 15<br />

non-convention states.<br />

*Enhancing professional growth by reading articles and taking online classes.<br />

*Continuing to connect with the <strong>Board</strong> members by sending emails every two weeks detailing<br />

what new and cold clubs we have acquired for those weeks in their respective states<br />

which allows them to connect with new people in their states.<br />

*Creation of our Sales Team Marketing stickers and new materials in Spanish translation.<br />

*Surpassed the 10% YEARLY GROWTH GOAL over FY’17 as of March 30, <strong>2018</strong>.<br />

*20.29% increase above the YTD goal for total new members from 21,419 to 28,035!

Sponsor Onboarding and Recognition<br />

Sponsor Welcome Packet<br />

To provide new chapters with a warm<br />

welcome and the information they need<br />

to begin, Sponsor Welcome Packets were<br />

designed and are included with each new<br />

membership materials box .<br />

Packets contain:<br />

• Welcome letter<br />

• Explanation of resources and support<br />

available for sponsors and chapters.<br />

• Sample “year in the life” calendar<br />

• Beta glossary<br />

• Official Charter and Roster contained<br />

within a protective pocket<br />

• Sponsor Pin Card<br />

• “Beta Bucks” gift card for use online<br />

and at events.<br />

Reactivated chapters also receive a handout within their membership box welcoming them<br />

“back to Beta” and providing them with the same resources, sample calendar and glossary.<br />

Sponsor Luncheon<br />

On October 24, we hosted a Sponsor<br />

Appreciation Luncheon for sponsors and<br />

administrators of chapters within a 100 mile<br />

radius of the National Office.<br />

Attendees networked, were educated on<br />

Beta events and received recognition for<br />

their dedicated efforts and participation<br />

through an awards ceremony.<br />

Over 70 sponsors and administrators<br />

attended and over 30 chapters were<br />

represented.


Sponsor Education and Support<br />

LINK: New Sponsor Mentor/Mentee Program<br />

A New Sponsor Mentor/Mentee Program has been created to foster relationships between<br />

new and established/veteran sponsors, promote active Beta membership, increase active<br />

participation in Beta activities and offerings and to support new sponsors in their role.<br />

In March, sponsors with 5+ years of service were asked to apply, if interested, to become a<br />

mentor for up to 2 new sponsors. New sponsors with 1-2 years of service have been informed<br />

of the program and are encouraged to apply on a first come, first served basis.<br />

61 Mentors Applied 122 Potential Pairings 24 Mentees Applied (May <strong>2018</strong>)<br />

Mentor/Mentee pairings will be announced in August with pairings to continue as the need<br />

arises.<br />

Gear Up: Webinars<br />

Three webinars for new sponsors were<br />

developed for 2017-<strong>2018</strong>. The first<br />

webinar covers membership processes<br />

such as adding and inviting members,<br />

collecting fees, membership materials<br />

and more. The second webinar covered<br />

fall news and opportunities such as<br />

Infuse, Leadership Summits, School of<br />

Distinction, Scholarship and others. The<br />

third webinar covered spring news and<br />

opportunities such as Spring Leadership<br />

Summits, National Beta Week, Harris<br />

Leadership, Service Award, School of<br />

Merit and others.<br />

Transition Guide<br />

To prevent the loss of knowledge when<br />

a sponsor retires, moves to a new school<br />

or will no longer be serving in their role,<br />

a Transition Guide was developed and<br />

distributed to all sponsors. It provides<br />

areas to list basic chapter information,<br />

timelines for membership, community<br />

service, officers, convention/leadership<br />

and reflection for the outgoing sponsor.<br />

Sponsors were also provided with<br />

additional resources to pass along.<br />

Service Hour Revamp<br />

In an effort to expand recognition for<br />

service hours and projects performed<br />

by Beta chapters, a collaborative effort<br />

between the New Sponsor and Membership<br />

teams is planned to launch after National<br />

Convention. The new initiative will expand<br />

service hour tracking for each chapter as<br />

well as offered tiered awards based on their<br />

level of hours earned.
