Executive Committ ee Minutes April 1, 2010 A meeting of the Florida Trail Riders Executive Committ ee was called to order at 7:00 p.m. on April 1, 2010 via teleconference. Th e president determined a quorum was present. Roll call was as follows: Present: I. Old Business President Allen Pearce Vice President Jack Terrell Secretary Tiff any St. John Treasurer Jonny Simpkins Hare Scramble Chairman Joe Steidl Motocross Chairman Carol Preston Enduro Chairman George Tolson Allen reported that the business phone lines can be forwarded to another AT&T account. He will also contact Dan to get any passwords needed for the hotline. Allen will see about sett ing up a voicemail for the business line. Tiff any volunteered to handle the phone calls once the voicemail and/or forwarding is set-up. Th e fax line needs to be cancelled for the interim. Carol Preston informed the committ ee that both Toni Ryll and Donna Hazeltine have stepped down from the banquet committ ee. Carol will take the lead until a replacement chairperson can be found. Carol will also post an announcement on the forum to recruit volunteers. II. New Business Daytona Dirt Riders have offi cially cancelled their hare scrambles on April 24/25, 2010. Suncoast Trailblazers and SADRA have both expressed 14 Florida Trail Riders • May / June 2010 interest in hosting an event on this date. Suncoast is ready to go with the exception of the permits. SADRA also has the ability to be ready right away once they confi rm with the landowner. Apollo has also expressed interest in hosting an event on June 5/6, 2010. Apollo has priority with the rescheduling of any hare scramble but it was agreed that the June 5/6 date would be too late in the season due to the recent changes in scoring. Joe Steidl made a motion to allow Suncoast Trailblazers to host a replacement hare scramble on April 24/25, 2010 provided they can provide in writing by 5:00 p.m. tomorrow evidence that all permitt ing issues have been resolved. In addition, if Suncoast cannot resolve the permit issue by 5:00 p.m. then SADRA can host the race provided they also provide in writing evidence that they have all issues resolved. Th e motion was seconded and passed unanimously. Jack will have the cancellation notice put on the website and Joe will send him the reschedule information for publication as soon as it is resolved tomorrow. Jack will also have the Benefi t Race information posted. At the General Membership meeting in August 2009, the Executive Committ ee voted that the proceeds of any Benefi t Hare Scrambles would be directed to pay down the loan from the Land Use Fund. Jonny Simpkins made a motion that due to the fi nancial diffi culties FTR is experiencing; the proceeds of the Benefi t Hare Scramble on May 8/9, 2010 will be placed in the general fund. Th e motion was seconded and passed unanimously. Allen Pearce is formulating the postings for the new positions available. He will email them to the committ ee members for review prior to publishing them on the website. Joe Steidl made a motion to adjourn. Th e motion was seconded and passed unanimously. Executive Committ ee Minutes April 24, 2010 A meeting of the Florida Trail Riders Executive Committ ee was called to order at 7:45 p.m. on April 24, 2010 at the Tail Haulin’ Hare Scramble. Roll call was as follows: Present: Absent: Old Business President Allen Pearce Vice President Jack Terrell Secretary Tiff any St. John Treasurer Jonny Simpkins Hare Scramble Chairman Joe Steidl Motocross Chairman Carol Preston Enduro Chairman George Tolson Carol updated the committ ee on the plans from the banquet committ ee. Carol made a motion to spend $500 to hire the DJ for the banquet. Th e motion was seconded and passed unanimously. Jonny will forward to the Executive Committ ee members the banquet budget that the Finance Committ ee has put together. A sample of the jacket was shown along with pictures of the shirts and youth jackets. Carol will be posting the fl yers on the website soon. She will also have Jeremy set up a forum area dedicated to the banquet. Allen updated the committ ee about the phones for the business offi ce. AT& T required some paperwork before the changes could be made. Allen and Dan George are executing the proper forms. Th e DSL is also through AT&T. Allen is gett ing more information on exactly what our contract is with AT&T. Options for changes to the phone lines were discussed and will be researched. Jack informed the committ ee that Teresa Faul will be unable to coordinate the club sign-up for the Benefi t race due to Randy Faul having surgery that week. OSDR will let us use their trailer for the club portion of signup. Jonny will work on gett ing a crew to work the sign-up. Th e FTR signup crew will be working in the scoring trailer to handle the computers. Tiff any will talk to the ORRM group about working at the scoring chicane. Jack gave a status update of the arrangements for the race. Kerri Chambers has suggested that we raffl e off two nights at the hotel for the banquet. Th e tickets would be $1 each and 6 for $5. We will need to have a short meeting at the Benefi t race to open the bids received for the three positions that are advertised. We will meet again to actually rank the individual bids at a later date. New Business Th e next Board of Directors meeting will be on May 15, 2010 at 10:00 a.m. at the Hampton Inn in Ormond Beach, FL. Allen will make the necessary arrangements with the hotel. Allen handled the insurance for the RCDR work days for the Hart Island Enduro. Joe Steidl mentioned that the Hare Scramble committ ee has been discussing the possibility of FTR mandating AMA insurance for all events. He has spoken with several clubs that do not want to be forced to carry AMA insurance. Joe would like for us to check with our insurance agent to see how we would be aff ected if fewer clubs needed the insurance. Carol expressed concern for the Motocross series if an AMA insurance mandate were to go into eff ect. Jack brought forward concerns about the insurance requirements on event weekends. Some clubs are gett ing insurance from Friday thru Sunday. Other clubs are only opting for coverage on Saturday and Sunday. Th e cost of the Friday coverage is only an additional $85.00. If any accident was to occur on Friday and insurance was not in place, the club and FTR would be vulnerable. Jack would like it to be mandatory that the hare scrambles events carry insurance from Friday thru Sunday. Th e impact on the Motocross and Enduro series was discussed. Th is issue will need to be researched a litt le more before any decisions are made. Th e issue of sound is coming up again. Th e tech crew will need to start checking sound because it seems that the bikes and quads are gett ing louder as the season comes to an end. Pit riding is also gett ing progressively worse as the season winds down. Specifi cally, multiple riders on quad racks and golf carts are becoming more rampant and pose a safety risk. Both of these issues seem to come up each year around this time. Th e offi cers need to wear vests and have a visible presence at the races to help in monitoring these situations. A contingency plan needs to be put together for the June magazine. Allen will contact the printer to see what options we will have. Carol Preston made a motion to adjourn at 10:15 P.M.
