Why <strong>CUB</strong> <strong>Blumen</strong> <strong>Database</strong><br />

Cluster 1: Prerequisite<br />

• <strong>Blumen</strong> will assist you in producing the Annual<br />

Performance Report (APR) which illustrates program<br />

progress , determines continued funding and is also<br />

utilized by individual program employees to demonstrate<br />

personal job performance during evaluation.<br />

This database will provide:<br />

“A concrete illustration of your work.”


What to expect and what is expected…<br />

Upon completion of this tutorial you will be<br />

able to produce an error free “services<br />

provided” Report.<br />

The process entails these four easy<br />

components:<br />

1. Access the database – Log on<br />

2. Enter Data and Services Provided<br />

3. Verify Data and Produce Report<br />

4. Print Reports<br />

Cluster 2; Step 1: Log On<br />

1. Make sure you are logged on to your computer with your assigned<br />

user name and password – employee number*<br />

2. Log on to the program server<br />

* sometimes step one and two are conveniently linked by our tech<br />

support office.<br />

3. Log on to the <strong>CUB</strong> <strong>Blumen</strong> <strong>Database</strong><br />

• You have three attempts to log on correctly – the database will lock<br />

you out thereafter and your supervisor will have to provide you<br />

access utilizing a different username and password.<br />

*****Now capture a printscreen of your log in.


Cluster 3 : Steps 2 & 3: Enter data & Services<br />

Provided (in contact log)<br />

Introduction: In this cluster you will be doing two things:<br />

1. Entering a new student data in the student data entry icon and<br />

2. Entering activity/service in the contact log<br />

*A contact log can be entered for a student through counselor,<br />

tutor, teacher or staff section. Steps are the same for all the four<br />

sections.<br />

Please note: At Contact Data Filter, you can view, add, edit, print or<br />

delete contact records.


Adding New Student Data<br />

You can add a new student to the database from this section.<br />

New student’s information can be entered and updated<br />

from Student data entry screen. All the fields marked in red<br />

are required and reported on the Annual Performance<br />

Report. The new student gets added to the current fiscal<br />

year and current semester.<br />

1. From the Command Center, Click on Student Icon<br />

2. Select Home tab<br />

3. Double-click on Student Data


Adding New Student Data<br />

• Click on New<br />

• Type Student’s first name, middle initial, last name, and<br />

social security number<br />

• Click on Save<br />

• Type address, date of birth and email address<br />

• Choose gender, ethnicity and eligibility from the drop<br />

down lists<br />

• Be sure to browse through all tabs like Yearly & Fin Aid,<br />

Semesters etc. to see different data fields that can be<br />

saved for a student. Pay special attention to all red<br />

fields.<br />

• Click on Save<br />

• Click on Close

Contact Log for a Student<br />

• From the Command Center, Click on Counselor<br />

Icon<br />

• Select Home tab<br />

• Double-click on Counselor Contacts

• Click on New<br />

• Click on a student and click on Select

• Enter date, counselor, type etc.<br />

• Click on Activity/Service drop down list and select an activity<br />

** Be sure to correctly identify activity you are documented.<br />

• Click on Add<br />

• Enter time in minutes<br />

• Click on Save<br />

• Click on Close<br />

• If you wish to add more contacts for the same student then click on new<br />

button instead of close<br />

• Use Re-Contact Date for setting up a reminder for the next<br />

appointment/session with the selected student

Cluster 3: Quiz Questions<br />

about degrees offered and financial aid and degrees<br />

Cluster 4: Step 4&5 : Verify & Produce Report<br />

From the Command Center,<br />

• Click on Reports Icon<br />

• Select Home tab<br />

• Double-click on Request Manager

results of the participants SAT score and<br />

verifiable with a transcript<br />

• 2. A participants entry grade of uprising 9th ,<br />

9th , 10th , or 11th grade can be verified with<br />

participants middle or high school progress<br />

report.<br />

• 3. An incorrect social security number can<br />

not be corrected once entered


Cluster 5: Step 6: Print Report<br />

Once you have<br />

options and make<br />

necessary layout<br />

changes if<br />

necessary<br />

•select print and<br />

produce report.
