Interested in having an author or illustrator visit
your school or library? here are a few tips for setting
up an appearance, along with a brief description of the
process.
we’re pleased to say that many of our authors and
illustrators are extremely popular, so we recommend
that you start planning for a visit six months to a year
in advance.
If you’ve already identified the author/illustrator
you’d like to have visit your school or library, great! If
you haven’t yet selected a specific author or illustrator,
please go to www.penguin.com/authorvisit for a listing
of authors/illustrators generally available for school
and library visits. You will find each author/illustrator’s
basic appearance information, including the author/
illustrator’s city of residence, their general honorarium,
the number of presentations they are able to do in a
day, and so forth.
once you have selected the author(s)/illustrator(s)
you’d like to invite (note that selecting two or three
authors is a good idea, in case of unavailability), please
consider the following:
• what is your budget for this event? will it cover
the author/illustrator’s honorarium plus travel,
lodging, and meal expenses?
• when, exactly, would you like the author/illustrator
to visit (date, time of day, etc.)?
• who will the audience consist of? what is their
age or grade range? will teachers, librarians,
adult students be present?
• what is the nature of the visit you envision? will
the author/illustrator participate in a panel discussion,
lecture, slide presentation, workshop,
storytelling…?
• what will the visiting author/illustrator’s schedule
look like? Does it include time for meal and
rest breaks? when will the author/illustrator be
expected to arrive and depart?
• how many books are you planning to sell at and
before the event?
the best author/illustrator event is one that the
school and its students are prepared for. the more
information regarding the appearance you envision that
you are able to provide, the better.
once you’ve prepared answers to the questions
above, it’s time to let Penguin help connect you to
the author/illustrator of your choosing! to do so,
send a complete appearance proposal to authorvisits@
us.penguingroup.com. Due to the high volume of
requests received, please allow approximately two weeks
for a response from the appearance coordinator, who
will contact the author/illustrator on your behalf. If
more information is needed at any point, it will be
requested of you.
You will be notified via email whether or not the
author/illustrator is able to accept your invitation and
commit to the appearance. If the author/illustrator
does accept, you will be sent a confirmation letter to
be signed and returned, and you will be encouraged to
touch base with the author/illustrator directly. You will
also be provided book ordering instructions granting
your school or library a discount on books ordered in
conjunction with the author/illustrator’s visit.
thank you for your interest in hosting a Penguin
author/illustrator!
