Open Enrollment<br />

The annual CSULA Open Enrollment period for PERS Health, CSU Dental,<br />

FlexCash, Dependent Care and Health Care Reimbursement will be held<br />

<strong>Sept</strong>ember 10 through October 5, <strong>2012</strong>. Eligible employees may enroll, change<br />

plans, and add eligible family members at this time. The effective date for<br />

all changes made during Open Enrollment is January 1, 2013.<br />

Open Enrollment election forms are due in the Benefits Office no later<br />

than October 5, <strong>2012</strong>. Open Enrollment election forms received after<br />

this date will not be accepted. If you have any questions, please contact<br />

the Benefits Office at extension 3-3651.<br />

Benefits Fair<br />

The annual CSULA Benefits Fair will be held Thursday, <strong>Sept</strong>ember 27, <strong>2012</strong>.<br />

Representatives are expected from Blue Shield, Kaiser, PERS Choice, PERS<br />

Care, Delta Dental, Vision Services Plan, Standard Life, A+ Auto & Home<br />

Insurance, METLAW and AFLAC. Several tax-sheltered annuity (TSA)<br />

companies will be represented, and a PERS retirement representative will be<br />

available to answer retirement planning questions. Everyone is encouraged to<br />

take advantage of this opportunity to inquire and gather more information from<br />

agencies/companies providing benefits to CSU employees. Look for more<br />

information regarding the Benefits Fair in the coming weeks via campus mail<br />

and e-mail.<br />

In partnership with Cal <strong>State</strong> Dominguez Hills and Cal <strong>State</strong> Long Beach, CSULA<br />

participated in a pilot training program for managers – “The Leadership<br />

Academy.” This certificate program was designed to help develop future CSU<br />

campus leaders as part of a succession planning effort. This was a six-month<br />

program where managers met twice monthly to participate in training modules,<br />

presented on respective campuses, with workshop leaders from both on and off<br />

campus. The workshops were comprised of the following topics:<br />

Principles of Executive Leaderships<br />

Managing the Marginal Employee<br />

Communicating at the Executive Level<br />

Effective Planning and Delegation<br />

Project Management<br />

Employee Relations & Collective Bargaining<br />

Based on established criteria, participants were nominated by their respective<br />

vice presidents and overall participation was determined by each campus’<br />

assistant vice president for Human Resources Management. Congratulations to<br />

Employee Assistance Program<br />

CAEAP is an Employee Assistance Program that provides confidential,<br />

professional assistance to help you, as an employee, and your family members.<br />

As a reminder, CSULA offers special assistance through CAEAP to employees<br />

and family members who are seeking a confidential means by which to resolve<br />

personal issues. The EAP helps people resolve problems before they become<br />

overwhelming, adversely affecting one's life at work and at home.<br />

Welcome Equity and Diversity Director<br />

Human Resources Management is pleased to announce the appointment of<br />

Mariel S. Mulet as the campus equity and diversity director. Mariel is also the<br />

campus Title IX coordinator. Mariel brings with her over 12 years of experience<br />

in labor and employment law. She is a graduate of the <strong>University</strong> of Southern<br />

<strong>California</strong> (M.A.) and the Universidad Nacional de Roasrio, Argentina (J.D.). Feel<br />

Department of Fair Employment and Housing (DFEH)<br />

The Department of Fair Employment and Housing (DFEH) offers monthly<br />

training intended to be hands-on primers for managers, human resources<br />

professionals, attorneys and investigators. DFEH webinars are available to the<br />

public and are free to state of <strong>California</strong> employees.<br />

October 17, <strong>2012</strong> – 1 p.m. to 2 p.m. – Sexual Orientation Protections under<br />

FEHA.<br />

November 7, <strong>2012</strong> – 1 p.m. to 2 p.m. – Recent Developments in the Fair<br />

Housing and Employment Act (FEHA); Housing.<br />

November 28, <strong>2012</strong> – 10 a.m. to 12 p.m. – Sexual Harassment Prevention<br />

Training for Supervisors and Employees.<br />

December 12, <strong>2012</strong> – 1 p.m. to 2 p.m. – Discrimination based on Religion.<br />

Highlights<br />

Fall quarter <strong>2012</strong> classes begin on <strong>Sept</strong>ember 20, <strong>2012</strong>.<br />

Upcoming campus holiday schedule is as follows:<br />

1. November 12, Veterans Day<br />

2. November 22 & 23, Thanksgiving and the day after<br />

3. December 24-28, holiday break<br />

Reminder: For December 24 you must use vacation, personal<br />

holiday, HC/ADO or CTO<br />

<strong>2012</strong> W-2: If you have moved and need to update your address, please<br />

fill out the appropriate form in the Human Resources Management<br />

office, Adm. 606, by December 3, <strong>2012</strong>. Look for messages regarding<br />

your <strong>2012</strong> W-2 on your future pay warrants.<br />

Excess/Deficit hours for non-exempt employees on alternate work<br />

schedules need to be reconciled as of December 31, <strong>2012</strong>. The payroll<br />

technician will notify employees with deficit hours. Excess hours will be<br />

paid in January 2013.<br />

Time and Labor: The deadline for students to make adjustments to<br />

their time on PeopleSoft is the last calendar day of the month.<br />

1. Timekeepers should reconcile and make corrections/adjustments<br />

to student time on a weekly basis.<br />

2. Timekeepers should ensure that students are entering their time<br />

on the correct record. When in doubt, call your payroll<br />

technician.<br />

3. Timekeepers have three calendar days after the pay period ends<br />

to make adjustments. Timekeepers are locked out of the system<br />

after the third day.<br />

4. Student and positive attendance should be approved between the<br />

first and fourth calendar day of the following month.<br />

What’s Next with Absence Management<br />

Email notifications are coming soon. If a timekeeper or approver enters<br />

an absence on your behalf or marks an entry as needing correction, you<br />

will receive an email from the Absence Management system. Reminder<br />

emails for deadlines will also be generated each month. More<br />

information will be provided as this system becomes operational.

Helpful Tips for Absence Management<br />

1. Absences may be entered up to two months in advance.<br />

2. Timekeepers may mark absences as “Reviewed” any time during<br />

the month. This also aids approvers so they can quickly make<br />

approvals.<br />

3. The schedule for absences to be approved is the same as for Time<br />

& Labor. Upcoming approval deadlines are:<br />

<strong>Sept</strong>ember – October 3, <strong>2012</strong><br />

October – November 2, <strong>2012</strong><br />

November – December 4, <strong>2012</strong><br />

December – January 3, 2013<br />

4. Missing the absences approval deadline results in incorrect<br />

employee leave balances.<br />

5. New accruals and usage will be updated by the 15 th of the<br />

following month.<br />

Direct deposit forms are available in the payroll office. The <strong>State</strong><br />

Controller’s Office will not accept direct deposit forms from an<br />

employee’s financial institution.<br />
