Due to constant changes in the exhibit hall layout, we are unable to publish a floor plan. We do, however, make every attempt to meet any<br />

special requests within reason. Booth space will be provided on a first-come first-served basis, however consideration will be given to vendors<br />

Exhibit Space<br />

The Exhibit Hall will be set up in the Media Center (refer to map) at the Renaissance Glendale Hotel & Spa, 9495 W. Coyotes Blvd., Glendale,<br />

<strong>AZ</strong> 85305. WIFI will be available in the Exhibit Hall. After your contract is received by <strong>AZ</strong> <strong>Water</strong>, you will receive an Exhibitor’s Kit via<br />

email. Included in this kit will be instructions for handling needs such as electrical, extra furnishings, and freight. These items ARE<br />

NOT included with your booth and must be arranged directly with the exhibiting contractor (will send email instructions with your<br />

confirmation package). Booth numbers will be assigned by the <strong>AZ</strong> <strong>Water</strong> Conference Exhibits Committee at a later date. A<br />

confirmation will be sent to you via email.<br />

Door Prizes<br />

All conference attendees LOVE prizes. <strong>AZ</strong> <strong>Water</strong> encourages the participating exhibitors to bring prizes to conduct drawings at their booths<br />

during the conference. Please note, door prizes are the full responsibility of the exhibiting company. All prize drawing times and anything<br />

related to the prize is at the exhibiting company’s discretion. All prize drawing winners are to be posted at the exhibiting company’s booth.<br />

Announcements and/or postings outside of the individual booths will not be permitted.<br />

Setup / Tear Down<br />

Early Breakdown Penalty: This contract is a binding exhibit agreement between the exhibiting company and <strong>AZ</strong> <strong>Water</strong>. In signing this<br />

agreement, the exhibiting company agrees that its exhibit materials will be set up by the stated “Setup Time” of this contract. Also, by signing<br />

this contract, the exhibiting company agrees that no party will disassemble or “tear down” exhibit materials before the designated “tear down”<br />

time, which is also listed below. If exhibit materials are broken down before the designated time, the exhibiting company will be charged a $100<br />

contract penalty. Set-up: Tuesday, April 30 from 1:00pm – 5:00pm. Tear Down: Thursday, May 2 from 3:30pm – 7:00pm<br />

All <strong>Water</strong> Professionals – Invited to View Exhibits<br />

<strong>AZ</strong> <strong>Water</strong> will announce to members that are unable to attend the conference this year - the ability to view the Exhibit Booths on Wednesday<br />

and Thursday at no cost. Likewise, we encourage you to invite clients to meet with you and view the booths as well. The Complimentary exhibit<br />

viewing hours are as follows: Wednesday, May 1 from 1:00pm – 5:00pm<br />

Thursday, May 2 from 8:00am – 10:00am and 1:30pm – 3:30pm<br />

Rules & Regulations<br />

1. Space is leased with the understanding that the Exhibitor will hold the <strong>AZ</strong> <strong>Water</strong> <strong>Association</strong> and Renaissance Glendale Hotel & Spa<br />

harmless from any and all liability that may result from any cause whatsoever.<br />

2. In applying for space, the Exhibitor will pay the full exhibit fee with the application. In the event of cancellation by the Exhibitor after April 12,<br />

2013, <strong>AZ</strong> <strong>Water</strong> shall have the right to rent the space to anyone else without obligation to refund the amount paid by the cancelling Exhibitor.<br />

Cancellations received by April 12, 2013 will receive a refund minus a $50 fee.<br />

3. Each booth will be 8’ x 10’ and will include pipe and draping, an eight foot skirted table, two chairs, an ID sign, a wastebasket, and two<br />

exhibit registrations. The Exhibitor will provide all other furnishings and equipment at their own expense.<br />

4. All demonstrations and exhibits must be confined to the assigned exhibit space in such a way as to not interfere with the adjacent booths.<br />

5. The Renaissance Glendale Hotel & Spa will not accept or store materials or empty crates. The Exhibitor will make his own arrangements for<br />

delivery and receipt of shipments and storage of crates before moving time.<br />

6. Exhibitors agree to maintain such insurance that will fully protect <strong>AZ</strong> <strong>Water</strong> from any and all claims of any nature including claims under the<br />

Workmen’s Compensation Act and for damages for personal injury, including death, which may arise in connection with the operation of the<br />

Exhibitor’s display. Damage to inadequately packed property is the Exhibitor’s own responsibility. In the event the Exhibitor damages the<br />

building, they agree to reimburse the owner of the building for the cost of repairing such damages. The Exhibitor agrees to protect, save,<br />

and hold harmless <strong>AZ</strong> <strong>Water</strong> from all loss and/or damage whatsoever caused to said building or any par thereof, directly or indirectly. <strong>AZ</strong><br />

<strong>Water</strong> assumes no responsibility for theft or mysterious disappearance of any equipment or furnishings connected with the exhibit.<br />

7. <strong>AZ</strong> <strong>Water</strong> <strong>Association</strong> will have sole control over admission of all persons. All persons visiting the exhibit area will be admitted according to<br />

the rules and regulations of the Conference, as issued or amended by the authorized representative of <strong>AZ</strong> <strong>Water</strong>. Exhibitors will abide by all<br />

provisions of said rules and regulations, applicable fire codes, and all other regulations of government agencies and the Renaissance<br />

Glendale Hotel & Spa.<br />

8. Company representatives are required to wear their badge at all times in the Exhibit Hall, Sessions, and at Conference Events.<br />

86 th ANNUAL CONFERENCE GOLF TOURNAMENT<br />

Join us, Tuesday, April 30, 2013 at The Legend at Arrowhead for this year’s Annual<br />

Conference Golf Tournament to benefit student scholarships. In 2012 the golf tournament<br />

raised $12,000 in scholarships for undergraduate and graduate students at Arizona colleges<br />

and universities pursuing studies related to water, wastewater, or environmental resources.<br />

The Legend at Arrowhead is located at 21027 North 67 th Ave., Glendale, <strong>AZ</strong> 85308 (golf course entrance is 0.4<br />

miles north of the 101 on 67 th Avenue on the east side of the road). Registration deadline is Friday April 19,<br />

2013.<br />

The field is limited to the first 216 entrants. Registration is at 6:30 AM with a 7:30 a.m. shotgun start. Awards<br />

presentation and lunch will directly follow play. This year’s format will be a four person scramble. Dress Code:<br />

Soft spikes only, collared shirts with sleeves, shorts must be hemmed and no blue jeans. Donations: Firms<br />

wishing to donate prizes should contact Jay Bailey at 602-317-0333 or jay@coombshopkins.com.<br />

Tournament sponsorships are $1,000.00 and include a foursome in the tournament and one hole sponsorship.<br />

This Reception is just prior to the BBQ event at Margaritaville at the Westgate Center,<br />

What is included in my exhibit booth space? Each 8' x 10' booth will be set with 8' high back<br />

drape and 36" high side dividers. Each booth will include the following: 1 table draped, 2 side<br />

chairs, 1 wastebasket, and identification sign. The exhibit hall is carpeted.<br />

How do I order electricity, extra furniture, or accessories for my exhibit booth? <strong>AZ</strong> <strong>Water</strong><br />

is pleased to offer WIFI in the Exhibit Hall again this year. After your exhibitor contract is<br />

received, you will be emailed an Exhibitor Confirmation Package that will include order<br />

information for electricity, additional furniture or accessories, and shipping/materials handling<br />

instructions. It is IMPORTANT to purchase your electrical needs early, as the cost is much<br />

higher the day of move-in.<br />

What is included with the exhibit booth registration fee and the extra representative badge fees?<br />

You will receive two of the following:<br />

- exhibitor representative badge<br />

- entrance to all conference technical sessions<br />

- breakfast each morning, breaks, and Wednesday evening reception in the Exhibit Hall<br />

Where do I register onsite and where is the Exhibit Hall when I arrive at the Glendale<br />

Renaissance Hotel? The Exhibit Package contains a map of the hotel showing the Media Center<br />

(Exhibit Hall). In the lobby area outside the Exhibit Hall is the Exhibitor Registration Table.<br />

Registration will be open from 1:00pm – 5:00pm on Tuesday, April 30 and again on Wednesday,<br />

May 1 from 7:00am – 12:00pm for those who did not pick up their package on move-in day.<br />

I forgot to order extra representative badges, need barbecue tickets, or luncheon tickets.<br />

If you need extra representative badges, extra barbecue tickets, or luncheon tickets, you may<br />

purchase them at the Exhibitor Registration Table in the lobby outside the Exhibit Hall.<br />

What are the move in/move out times?<br />

Exhibitor Setup: Tuesday, April 30, 1:00pm – 5:00pm<br />

Exhibitor Teardown: Thursday, May 2, 3:30pm – 7:00pm (you may not tear down your booth until 3:30pm)<br />

The conference does not officially end until Friday, May 3 rd at 3:00pm.<br />

When are exhibiting hours? It is up to each company to determine the amount of time to spend<br />
