Exhibitor Prospectus
Conduct of Exhibits
One of the purposes of the Annual Scientific Meeting is to provide Exhibitors
with an opportunity to interact with attendees, other exhibitors, HFSA staff and
volunteers. Those contacts must be undertaken in a cordial, professional manner.
Inappropriate behavior or undesirable conduct including, but not limited to,
verbal or physical abuse, whether threatened or performed, will not be tolerated
or permitted.
Exhibiting company personnel should not enter another company’s booth
space without invitation, nor should personnel block access to another booth.
HFSA retains the right to remove any Exhibitor from the premises which, in the
HFSA’s sole discretion, engaged in inappropriate, undesirable, or abusive behavior.
Removal may also include the termination of the Exhibitor’s license to exhibit,
and the closing and removal of the exhibit. Exhibitor hereby waives any and all
claims for damages against HFSA by reason of such removal. Removal under these
circumstances may result in, among other things, an Exhibitor being barred from
future HFSA meetings. No refunds will be issued.
As a courtesy to attending physicians and fellow Exhibitors, all exhibits must be
open on time each day and remain staffed at all times during exhibit hours.
Exhibitors and their representatives (including public relations, advertising, or design
firms) must conduct all marketing and promotional activity within the contracted
exhibit space. Placement of signs, promotional materials or canvassing in any
part of HFSA contracted space (Hynes Convention Center, Westin Copley Place,
the Sheraton Boston Hotel, and the Marriott Boston Copley Place) outside of the
Exhibitor’s booth is prohibited.
Housing
There is no identified exhibitor block at the HFSA Annual Scientific Meeting.
To make a hotel reservation, please visit the HFSA web site www.hfsa.org (annual
scientific meeting) for lodging information. The site will open February 2009.
Exhibits are subject to the approval of HFSA. HFSA reserves the right, even after an
application has been approved, to refuse exhibits, curtail activities, or to close exhibits
or parts of exhibits that do not, in the HFSA’s determination, comply with HFSA rules
and regulations governing the Annual Scientific Meeting, are contrary to the HFSA’s
scientific or public policies, positions, statements or guidelines, or otherwise reflect
unfavorably on the character of the meeting or the HFSA.
