<strong>Exhibit</strong>or <strong>Application</strong>s for the 62nd Annual <strong>Denver</strong> X-<strong>ray</strong> <strong>Conference</strong> are now being accepted!<br />

BOOTH FEE: The cost per booth is $2,100. Booths will be assigned on a first-come / first-serve basis, excluding sponsors* who receive preferential<br />

booth space. Please return your <strong>Exhibit</strong> Booth <strong>Application</strong> <strong>Form</strong> without delay. Because of the competitive nature of booth assignments,<br />

we will not reserve booth space for any company without payment. Booth Fee includes:<br />

8’ deep x 10’ wide booth with drapery (8' high back wall <strong>and</strong> 3' high side drapes). Linear booths only. Ceiling height 22’. Carpeted<br />

floor. <strong>Exhibit</strong>s located on lobby level in Westminster Ballroom. Sessions <strong>and</strong> workshops are also held on lobby level in<br />

St<strong>and</strong>ley Ballroom, Cotton Creek <strong>and</strong> Meadowbrook Rooms.<br />

Waived registration fee for three exhibit personnel per booth; three complimentary copies of the On-site Program Booklet <strong>and</strong><br />

access to all workshops <strong>and</strong> sessions; coffee breaks <strong>and</strong> evening mixers. All other persons are required to register for the conference.<br />

Electronic copy of the 2013 DXC attendee list (distributed in Excel format at the conclusion of the conference)<br />

SHOW DECORATOR: ICDD has contracted the services of Freeman Decorating Company. Once your application form has been received <strong>and</strong><br />

processed, information regarding booth decorations, truck access, shipping, set-up <strong>and</strong> tear-down details, etc, will be sent to you from Freeman<br />

through their on-line service.<br />

RADIATION SAFETY: It is suggested that exhibitors NOT have X-<strong>ray</strong>s on in booths. If you require X-<strong>ray</strong>s on, please indicate this on your application<br />

form. <strong>Info</strong>rmation forms regarding Colorado radiation safety regulations <strong>and</strong> requirements for certification will be forwarded to you.<br />

POWER AND PHONE REQUIREMENTS: Power <strong>and</strong> phone requirements will be h<strong>and</strong>led by The Westin Westminster. A form asking for your<br />

requirements will be included in the on-line kit that you will receive from Freeman. Questions regarding the forms should be addressed to the<br />

Engineering Department at The Westin.<br />

CANCELLATION POLICY: Cancellations received by 1 June 2013 will receive a refund for one half of the booth fee. There will be no refund for<br />

booths cancelled after 1 June 2013.<br />

NOTICE: The local arrangements committee reserves the right to make the final determination on booth assignments so as to yield an<br />

"optimum fit" of exhibitors into the available space. It is therefore important that you indicate several preferences on the application. WE<br />

RESERVE THE RIGHT TO REORGANIZE THE BOOTH ARRANGEMENT IF THE DEMAND FOR BOOTH SPACE, SAFETY, OR OTHER CONSIDERA-<br />

TIONS REQUIRE SUCH ACTION.<br />

<strong>Exhibit</strong>or <strong>Application</strong> Process<br />

1. <strong>Exhibit</strong>or booths are assigned on a first come / first serve basis <strong>and</strong> must be<br />

accompanied with full payment. There is no deadline for exhibitor sign-up.<br />

2. Once your application has been processed, two copies of the exhibit contract,<br />

<strong>and</strong> the Rules <strong>and</strong> Regulations for exhibiting at the 2013 <strong>Denver</strong> X-<strong>ray</strong><br />

<strong>Conference</strong> will be mailed to you, along with your confirmed booth assignment.<br />

It is m<strong>and</strong>atory that both copies of the contract be signed <strong>and</strong> returned<br />

to ICDD. No company will be permitted to exhibit at the conference without<br />

a signed contract.<br />

3. Freeman Decorating will send you their on-line kit for booth set-up.<br />

4. All exhibitors will be required to forward a Certificate of Insurance; details<br />

are included in the Rules <strong>and</strong> Regulations.<br />

5. *Sponsorship opportunities are assigned on a first come / first serve basis.<br />

Sponsors for the Wine <strong>and</strong> Cheese Poster Sessions will receive preferred<br />

choice on booth preferences if sponsorship application is received by 1 April<br />

2013.<br />
