District Deputy Reminder<br />

Food for Families Reimbursement Program<br />

There is a new incentive for council participation in<br />

the <strong>Knights</strong> <strong>of</strong> <strong>Columbus</strong> Food for Families program –<br />

cash back!<br />

Retroactive to July 1, 2012, (the first day <strong>of</strong> the fraternal<br />

year), the <strong>Supreme</strong> <strong>Council</strong> will refund $100 for<br />

every $500 or for every 500 pounds <strong>of</strong> food that a<br />

council contributes to a parish food pantry, community<br />

food bank or a soup kitchen up to a maximum refund<br />

<strong>of</strong> $500 per council per fraternal year. There is no<br />

need to send in a refund request every time a contribution<br />

is made, nor does every contribution have to<br />

be at least $500 or 500 pounds <strong>of</strong> food. Simply report<br />

each contribution on the Food for Families form found<br />

at k<strong>of</strong>c.org/forms.<br />

Food for Families remains a featured program.<br />

By successfully meeting the requirements, a council<br />

earns full credit for the Family section on the<br />

Columbian award Application Form (SP7). To qualify a<br />

council must collect a minimum <strong>of</strong> 1,000 pounds <strong>of</strong><br />

food to be donated to a parish or community food<br />

bank as well as provide at least 100 volunteer-hours<br />

<strong>of</strong> service collecting and distributing food or preparing<br />

or serving meals to needy people. For more information,<br />

Coats for Kids<br />

Winter is coming and many children face the<br />

prospect <strong>of</strong> cold weather without a warm coat. Providing<br />

kids with warm coats is the goal <strong>of</strong> Coats for<br />

Kids, a <strong>Knights</strong> <strong>of</strong> <strong>Columbus</strong> featured program. <strong>Council</strong>s<br />

fulfilling all the requirements for the Coats for Kids<br />

program — purchasing and distributing at least eight<br />

cases <strong>of</strong> coats (12 coats per case) — meet all requirements<br />

for the Youth Activities Category <strong>of</strong> the<br />

Columbian Award.<br />

State councils, districts and local councils may purchase<br />

new, high-quality winter coats for boys (sizes 8-<br />

18) and girls (sizes 7-16) through the <strong>Supreme</strong><br />

<strong>Council</strong> for $16.25 per coat ($195 per case) plus shipping<br />

by completing the Coats for Kids order form<br />

which may be found on k<strong>of</strong>c.org/coats. The <strong>Supreme</strong><br />

<strong>Council</strong> will pay 50 percent <strong>of</strong> shipping costs.<br />

Requests for particular quantities <strong>of</strong> coats in specific<br />

sizes cannot be accommodated. Each shipment<br />

will contain a variety <strong>of</strong> coats in various sizes and<br />

styles.<br />

Remind your councils that March for Life is a featured<br />

program. The councils can meet all requirements<br />

for the Culture <strong>of</strong> Life category by involving<br />

100 council members/family members/parishioners in<br />

a local, state or national March for Life.<br />

The other featured Culture <strong>of</strong> Life program is the K<br />

Semi-Annual <strong>Council</strong> Audit<br />

An important part <strong>of</strong> a district deputy’s duties is<br />

making sure his councils file the Semiannual <strong>Council</strong><br />

Audit (Form # 1295) <strong>of</strong> the books and records <strong>of</strong> the<br />

financial secretary and treasurer. The audit for the<br />

period between July 1 and Dec. 31, 2012, is due by<br />

Feb. 15, 2013.<br />

The <strong>Supreme</strong> <strong>Council</strong> provides each council with a<br />

$5,000 bond for the treasurer and financial secretary<br />

provided the council has its last two consecutive<br />

audits on file. <strong>Council</strong>s who fail this requirement<br />

lose their bonding until such time as the audits are up<br />

to date and filed.<br />

District Deputy Report (Form # 944A and B)<br />

DDs are obligated to inspect and certify council<br />

records twice a year on the District Deputy Semiannual<br />

Report on <strong>Council</strong> Status (Form # 944A and<br />

944B). Make certain the accounts <strong>of</strong> the councils in<br />

your district are kept according to the Order’s laws.<br />

The next the District Deputy Report (#944A) is due<br />

Dec. 31, 2012.<br />

The District Deputy Semi-Annual Report on<br />

<strong>Council</strong> Status Forms (944A and 944B) have been<br />

revised and may be found at k<strong>of</strong>c.org under<br />

Forms (State and District). Please use these new<br />

forms for making your report. The report can be<br />

filled out online, printed and then mailed. Tips for<br />

Filling out the District Deputy Semiannual Report on <strong>Council</strong> Status (Form #944 A & B)<br />

Knowing the health and status <strong>of</strong> the councils <strong>of</strong> the Order is vital for the state deputies and the<br />

<strong>Supreme</strong> <strong>Council</strong> <strong>of</strong>fice. No one knows the councils better than the district deputies. That is why DDs<br />

are required to file the <strong>Council</strong> Status Form #944 twice year for each council in his district. Form<br />

#944 A – covering the period from July 1 to Dec. 31, is to be filed with the state deputy and the<br />

<strong>Supreme</strong> <strong>Council</strong> Office on Dec. 31. Form #944 B – covering the period from Jan. 1 to June 30, is to<br />

be filed with the state deputy and the <strong>Supreme</strong> <strong>Council</strong> Office on June 30. Following are some “do’s”<br />

and “don’ts” for filling out the forms. Note: Both forms may found at k<strong>of</strong>c.org/forms (State and District),<br />

filled out and printed out. The <strong>Supreme</strong> Office and the state deputy should each get a copy and the<br />

DD is to keep a copy for his files.<br />

Top <strong>of</strong> Page<br />

Do: At the top <strong>of</strong> the form make sure the state/province, the district number, the council number and<br />

location and the date <strong>of</strong> the report are reported.<br />

<strong>Council</strong> Deadline<br />

1. Do: Be sure that your councils have filed for 2012-13 fraternal year (and you have copies <strong>of</strong>)<br />

Election <strong>of</strong> Officers (#185) due July 1, the Service Program Personnel Report (#365 due Aug.<br />

1), and the Semiannual <strong>Council</strong> Audit (#1295). Boxes one, two and three in <strong>Council</strong> Deadline<br />

section should all be checked. (If they are not, then “<strong>of</strong>ficers knowledgeable <strong>of</strong>” and are<br />

“performing their duties” in the next section, Organization, should be checked “no.”<br />

2. Do: Be sure your councils have paid their <strong>Supreme</strong> <strong>Council</strong> Per Capita assessments (billed<br />

Jan. 1, due April 10). If not, remind them failure to pay deadline results in suspension <strong>of</strong> the<br />

council and that suspended councils may not be seated at the State Convention or <strong>Supreme</strong><br />

Convention.<br />

3. Do: Remind councils that they are required to file IRS Form 990 (Return <strong>of</strong> Organization Exempt<br />

from Income Tax) due the fifteenth day <strong>of</strong> the fifth month following the council’s reporting<br />

period (for most USA councils this will be May 15).<br />
