Attention 2012 ATCE Exhibitor
Important information for ATCE 2012 exhibitors who plan to
exhibit at ATCE 2013.
All 2012 exhibiting companies have a priority rank and will
have the opportunity to participate in the advanced or on-site
exhibit space selection process. This process allows you to select
and reserve your exhibit space for ATCE 2013 before or while at
ATCE 2012.
Advanced Priority Exhibit Space Selection
Who: Exhibitors with a Priority Rank of 1–161
When: 10 September 2012
Exhibitors with a priority rank of 1–161 must submit an Application/
Contract for Exhibit Space no later than 7 September 2012 to participate
in the advanced exhibit space selection process.
On 10 September 2012, ATCE Show Management will begin calling
exhibitors, in priority order, to pre-assign those with a priority rank
of 1–161. This pre-assignment will help with companies whose space
selection sometimes requires redrawing of the floor plan during the
selection process.
Please refer to the enclosed preliminary floor plan (subject to change).
Once the selection process begins, the ATCE 2013 floor plan will be
updated in real-time and will be available at:
www.spe.org/atce/2013.
On-site Priority Exhibit Space Selection
Who: Exhibitors with a Priority Rank of 162 or higher
When: Tuesday, 9 October 2012 and Wednesday, 10 October 2012.
Approximately two weeks prior to ATCE 2012, the on-site space selection
schedule will be posted on the ATCE website at www.spe.org/atce/2013.
Exhibitors with a priority rank of 162 or higher will receive a link to the
on-site space selection schedule via email. This schedule will include
your appointed time slot* for exhibit space selection. The schedule will
also be distributed to your booth at ATCE 2012.
Exhibit space selections will take place Tuesday, 9 October 2012 and
Wednesday, 10 October 2012, in the Rebooking Lounge behind the SPE
Pavilion, booth number 3350.
On-site Rebooking Instructions
1. Review all exhibit information carefully.
2. Read the Terms & Conditions on the Application/Contract for
Exhibit Space.
3. Select five exhibit space choices based on the enclosed floor plan.
(Those with lower priority numbers are asked to consider their ranking
when making preferred space selections, knowing that there will be
diminished choices later in the process).
4. Consult the space selection schedule and priority point list to
determine your appointed time.
5. View the updated ATCE 2013 floor plan online before leaving for ATCE
2012 to see how the selections of the top 161 priority exhibitors affect
your choices.
6. Complete the Application/Contract for Exhibit Space and take it with
you at your appointed time to the Rebooking Lounge, which will be
located behind the SPE Pavilion on the exhibit floor.
7. Arrive 10–15 minutes early to submit your Application/Contract for
Exhibit Space and to review the current ATCE 2013 floor plan for
available space before making your final selection.
If you are unable to attend the on-site priority exhibit space selection
at your appointed time, you must submit your Application/Contract
for Exhibit Space by 17 September 2012 to ATCE by fax at +1.866.491.7171
or email at sales@spe.org. ATCE Show Management will act as your
proxy to assign the best space available to your company during your
appointed time. You must receive a confirmation that an Application/
Contract for Exhibition Space has been received by ATCE Show
Management to insure your proxy will be made.
Please do not submit an Application/Contract for Exhibit Space before
your appointed time slot if you will be rebooking on-site.
If you miss your appointed time slot and have not submitted your
Application/Contract for Exhibit Space for ATCE Show Management to
serve as a proxy, you can still select space by going to the Rebooking
Lounge and checking with ATCE staff. However, the selection of
available space will diminish rapidly.
*Time slots assigned by priority number.
Post-Show Exhibit Space Selection
After all advanced and on-site priority time slots expire, space selection
will be offered on a first-come, first-served basis regardless of priority
rank or past participation. ATCE 2013 exhibit space will not be assigned
without a completed Application/Contract for Exhibit Space. A 25%
deposit will be due on 16 November 2012 to confirm exhibit space. All
exhibitors will have until 16 November 2012 to request a reduction in size
or cancel their space with no penalty.
