1.3 College Advisory Scheme
To enable each new student to settle in as soon as possible and to ensure that each new student has
access to at least one member of the academic staff throughout his or her first and second years at
University, the College has organised an Advisory Scheme which is described below.
At the Advisory Session, each First Year student is given a Laboratory Card (see below) which also
contains the name, room number, telephone extension and email address of a member of academic
staff who has agreed to act as that student’s Adviser throughout his/her first and second years at
University. You will meet your Adviser at the Advisory Session on Monday, 14 th September 2009.
You must meet your Adviser personally during the first two to three weeks of term. You must
also give your Adviser your completed Advisory Scheme Record Form (on page 63 of this
handbook). The principal function that your Adviser has is to help you or to arrange that you
receive the help that you may need during your initial years in University. If you find, therefore,
that you are running into academic or personal problems, or that you are unsure of what is
required of you, or if you have queries about the facilities available, you are strongly recommended
to make contact with your Adviser at the earliest possible opportunity. He or she will make every
effort to either help you directly or will ensure that you are put in contact with the staff members
who can best provide the necessary advice.
For further convenience, the list of Advisers is also included on pages 11 & 12. If you misplace your
Laboratory Card or not have it on you, you can use this list to make contact with an Adviser should
you require assistance. Your Adviser will be available to you during both 1 st and 2 nd Year of your
degree.
1.4 Laboratory Numbers
At the Advisory Session, each student is given a card showing a laboratory number at the College
Desk. Disciplines/Schools refer to this number when drawing up timetables for practical classes. You
will be expected to present the card for the allocation of laboratory places in the various Disciplines/
Schools.
1.5 A message from the Student Retention Administrator
As a first year student you may be taking subjects here that you have not taken in Secondary School. Do
not worry about this—many of last year’s successful students were in this situation. There are some skills
that will help you succeed and I would be delighted to assist you. So, I recommend that you make contact
with me during your first week at University (or anytime during your first year). I will arrange for study
skills specific to your needs. My contact details are given below. Looking forward to helping you make this
transition as smoothly as possible.
First Year College Handbook
Section 2.
Selection of Subjects
This Handbook summarises the arrangements for the commencement of the various subjects
in First Science including the subjects taken in the First Year of the Denominated Degree
Programmes. At the Advisory Session (14 th September 2009), representatives from the academic
disciplines/schools will be available to advise you with your selection of subjects, where such is
allowable. After selecting your subjects, you should attend at the College Desk, where you will
receive your Laboratory Number and the name of your College Adviser. You will also be informed
of the meeting time with your Adviser. You should then register for your subjects via on-line Self-
Service Registration by Friday, 18 th September 2009.
You should note the time and venue for the first lecture in each of your subjects and you should
attend for Laboratory Registration at the relevant disciplines/schools at the times indicated under
the various headings.
Only some of the Denominated B.Sc. programmes allow for a choice of subjects in First Year.
However, the key subjects required for the main academic thrust of each denominated programme
are defined and are not a matter of choice.
For the Undenominated B.Sc. programme, the First Science subjects available are arranged in
six groups A to F. You should carefully study the subject groups available and you should decide
on the group that you wish to take. Your selection of subject group should be guided by the
Honours Degree subject(s) that you wish to pursue and the implications of these choices on
pages 16-17. The various possibilities are summarised on the table below (page 18). While you
should study the choices available to you before coming to Galway to register, representatives from
the academic disciplines/schools will be available to advise you on your selection at the Advisory
Session Day.
Please note, students must be registered for the subject in which they are examined at the summer
session. Where pass and honours options exist, the student cannot be registered for the Pass
level and on the day of the examination decide to take the Honours level paper and vice versa.
Examination papers will only be issued to the students who are correctly registered for the
subject in question.
2.4 Second Year Quotas
In 2 nd year, quotas exist for each subject. This is to allow individual disciplines/schools to plan
in advance for the coming academic year in the light of the actual dispersal of students across all
disciplines/schools of the College. The Quotas in use for 2 nd Year in 2008/09 were as follows:
Quota Places available in each 2 nd Year Undenominated Science 20 ECTS
Credit Subject (from highest quota to lowest) 2007/08
Subject Quota Places Subject Quota Places
Microbiology 216 Physiology 59
Biochemistry 186 Computer Science 50
Chemistry 115 Applied Mathematics 43
Applied Mathematical Science 93 Mathematics 34
Zoology 75 Earth & Ocean Sciences 27
Botany 68 Anatomy 25
Physics 67 Pharmacology 11
However, quotas are reviewed annually and the places available in any given subject may be
adjusted upwards or downwards for the academic year 2009/10.
18 College of Science

selection of subjects
The Procedure/Guidelines for allocating places is as follows:
• Students are ranked in order of merit based on their overall 1 st year result across all subjects.
Therefore it is a student’s overall performance that determines his/her place in the quota
system.
• All subjects are considered to be at honours level and therefore are given an equal weighting.
The exception to this is Pass Level Mathematics. The weighting applied to this subject is that
100% at pass level is equivalent to 60% in Honours. Therefore, results obtained in this subject
is adjusted accordingly, e.g., 85% in pass Mathematics is adjusted to 55% when determining the
overall mark for a student. (N.B. this method is reviewed annually and may be subject to change
for the academic year 2009/10.)
• Students must complete a Subject Selection Form in Semester II listing their preferred
combination of subjects. This Form must be submitted by a given deadline.
• Students who pass in the Summer Examinations are ranked in order of merit and allocated
places within the quotas based on their choice combinations and prerequisites.
• Students who fail one or more examinations at the Summer Examinations are dealt with after
the Autumn repeats and are allocated the remaining places within the quotas once their overall
mark can be calculated at this stage.
• Students who submit their Subject Selection Form after the submission deadline are dealt with
after the “on-time” students, regardless of their rank in the order of merit.
A Second Year Advisory Session will be held in Semester II and further information on the quota
system will be provided at this time.
Section 6.
Code of Practice for Dealing with Plagiarism
Introduction
1. Plagiarism is the act of copying, including or directly quoting from, the work of another
without adequate acknowledgement. The submission of plagiarised materials for assessment
purposes or for publication or for public presentation is fraudulent and all suspected cases
will be investigated and dealt with appropriately by the University following the procedures
outlined here and with reference to the Disciplinary Code.
2. All work submitted by students for assessment purposes is accepted on the understanding
that it is their own work and written in their own words except where explicitly referenced
using the accepted norms and formats of the appropriate academic discipline.
3. Whilst some cases of plagiarism can arise through poor academic practice with no deliberate
intent to cheat, this still constitutes a breach of acceptable practice and requires to be
appropriately investigated and acted upon.
4. Regulations, guidelines and procedures regarding plagiarism should be made widely
available and a statement included in course handbooks, websites, departmental
noticeboards or appropriate handouts to students. Plagiarism can arise through ignorance
and therefore it is important to ensure that students understand what is meant by the term
and the seriousness of the offence.
5. Departments are recommended to consider requiring students to sign a short declaration
that work submitted by them for assessment purposes is their own and that such a
statement may be attached to a submitted piece of coursework, essay or dissertation (or
signed at the start of each course/ academic year, acknowledging that the student has read
and understood the plagiarism regulations). The purpose of this statement is to reinforce
national University of Ireland, Galway 43

First year college HAndbook
the principle of statement (2) above and to remind students of the requirements for the
submission of a formally marked assessment.
6. Cases in which students knowingly permit others to copy their work shall also be subject to
the procedures outlined here and considered an offence.
Procedures
7. A small number of staff should be identified in each College/Faculty who would have
responsibility for dealing with suspected and reported cases of plagiarism 1 .
8. These staff should be trained on the basic issues, be made aware of current best practice
guidelines; techniques for minimising, detecting and responding to plagiarism; and current
national and international developments across the HE sector.
9. A member of teaching staff who suspects that a submitted piece of student work may
be plagiarised should notify the appropriate plagiarism adviser in their college/faculty/
cognate area. A short report including a copy of the suspected example and any evidence for
plagiarism should be forwarded to the adviser.
10. The plagiarism adviser shall conduct an investigation of the alleged plagiarism, firstly
determining whether it represents a “minor” or “major” offence.
11. Minor cases are those in which the suspected plagiarism is a first offence and represents
poor academic practice. Such cases include:
• Apparently innocent misuse of materials.
• Inadequate citation such as poor referencing, inappropriate paraphrasing.
• Over-reliance on sources without sufficient of the candidate’s own work.
• Those in which the suspected plagiarism represents only a small proportion of the work
and/or an element in a piece of work which makes a small contribution to the mark for
the module.
1
This is in keeping with best practice recommendations from the UK’s JISC Plagiarism Advisory Service and also
reflects practice in a number of institutions. Whilst it may seem like an additional burden in terms of administration,
it offers a number of advantages of either leaving the responsibility to the lecturer involved or indeed, the Head of
Department. In some universities each department identifies one such staff member, in others, a single staff member
may span a number of subjects within a broad “cognate area.” Further, having a small number of such staff clearly
identified, across the university, who can readily be trained in such issues, ensures consistency of practice. It also
enables “fast-tracking” of “minor” or admitted offences and responds to the outcome of Flanagan vs University
College Dublin (1988, http://www.ucc.ie/law/irlii/cases/159jr-88.htm), as do the remainder of these guidelines.
44 College of Science

dealing with plagiarism
12. The adviser will, in such cases, normally interview the candidate to discuss the suspected
plagiarism.
13. If the adviser is satisfied that there is sufficient evidence of such an offence, the student
will be given a written warning and provided with advice on avoiding plagiarism and the
necessity of properly acknowledging and referencing sources.
14. Major cases are those which may include, for example:
• Copying multiple paragraphs in full without acknowledgement of the source.
• Taking essays from the Internet without revealing the source.
• Copying all or much of the work of a fellow student with, or without, his/her knowledge
or consent.
• Submitting the same piece of work for assessment under multiple modules.
• Those involving a final year undergraduate or postgraduate student (taught or research).
• A second offence where the student has been in receipt of an earlier written warning.
15. In consideration of possible major cases, the student will be notified, in writing, of the
suspected offence, provided with a copy of the marked-up piece of work and invited to
attend an interview with the plagiarism adviser and an additional member of staff 2 .
16. The student will have the right to be accompanied and assisted, at the interview, by a
“friend.” 3
17. At the interview, the student will be given a clear explanation of what has been alleged,
shown a copy of his/her work, given the opportunity to justify the work and be invited to
admit or deny responsibility.
18. In such major cases, where the adviser is satisfied that an offence has occurred, the adviser is
required to determine between three possible courses of action, depending on the apparent
severity of the offence:
(a)
(b)
An opportunity to repeat and resubmit the work, but where the maximum mark that
can be awarded is the pass mark appropriate to the module.
The immediate imposition of an academic penalty, which would normally be the
award of zero marks to the plagiarised work, with no option to resubmit the work.
2
For example, the Head of Department, a senior staff member in the department, or another plagiarism adviser.
3
As used in the University’s Code. This may, for example, be a parent or guardian; a fellow student or other friend; a
representative from the Students’ Union; or a legal representative, if so desired.
(c)
The submission of the case for consideration by the university’s Discipline
Committee. In this case the offence will be considered as a “Major” offence in the
terms of the University’s Code and, if after due process the allegation is upheld, an
appropriate penalty will be applied, as described in articles 39 and 40 of the Code.
19. In all cases, the student will be notified in writing of the decision of the adviser and any
penalty imposed.
20. In keeping with the University’s Code, the student shall be entitled to appeal a decision
made with regard to a minor case to the Discipline Committee.
21. An appropriate record should be kept 4 in respect of any upheld allegation, which can be
consulted by the plagiarism adviser to determine whether a new case is potentially a second,
or subsequent, offence.
22. Basic statistical information covering the number of cases referred to advisors, the number
of written warnings and other penalties applied and their distribution across Departments
and Faculties, should be collated by the University to inform subsequent modifications
to these regulations and ascertain the requirement for wider training and information
dissemination on this topic.
