Gifts<br />
(Administrative Policy 06.01.04)<br />
It is the policy <strong>of</strong> the <strong>City</strong> <strong>of</strong> <strong>Coral</strong><br />
<strong>Springs</strong> to prohibit employees from<br />
accepting gifts from private citizens or<br />
business firms. Any city-wide benefit will<br />
be allowed, but any benefit which<br />
accrues to an individual or a particular<br />
department will not be allowed.<br />
Information Services<br />
Acquiring Hardware and<br />
S<strong>of</strong>tware<br />
(Administrative Policy 13.01.01)<br />
Computers are a basic tool <strong>of</strong> many<br />
occupations in the <strong>City</strong> and the<br />
application <strong>of</strong> this technology continues<br />
to grow rapidly. <strong>The</strong> <strong>City</strong>, therefore, has<br />
policies and procedures to guide the<br />
acquisition, use and support <strong>of</strong> computer<br />
systems. Three principles guide the<br />
acquisition <strong>of</strong> s<strong>of</strong>tware and equipment:<br />
departments have decision-making<br />
authority for applications that are unique<br />
to the department; about a two year<br />
‘pay-back’ is expected on a system; and<br />
new applications must complement and<br />
integrate but never duplicate existing<br />
systems and technology. <strong>The</strong> Information<br />
Services Department should be<br />
consulted on all system decisions.<br />
Use <strong>of</strong> Hardware and S<strong>of</strong>tware<br />
(Administrative Policy 13.01.03)<br />
<strong>City</strong> hardware and s<strong>of</strong>tware may be used<br />
only for <strong>City</strong> business. Most departments<br />
have portable computers available for<br />
work during trips.<br />
Employees covered by the Fair Labor<br />
Standards Act must be compensated for<br />
all hours worked, therefore, employees<br />
may not use the portable equipment at<br />
home without prior approval.<br />
Email<br />
(Administrative Policy 13.01.03)<br />
Many employees have access to email.<br />
Because email is so widely used and its<br />
content is subject to Florida’s Public<br />
Records laws, employees should not<br />
expect privacy in its use. It is mandatory<br />
that employees know and follow<br />
Administrative Policy 13.01.03. This<br />
policy provides guidelines to determine<br />
the proper retention period for email,<br />
with 30 days being the default retention.<br />
Email privileges include the ability to<br />
send and receive mail via the Internet.<br />
Unless an exception is made, your<br />
Internet email address is “first initial<br />
then last name @coralsprings.org.”<br />
