Registration Hours<br />

1. The registration desk will located near <strong>the</strong> main conference hall.<br />

2. Participants will be able to register, pay, and collect conference materials daily from 7.30 am.<br />

3. Refunds or reimbursements will be processed from Tuesday 10 th November 2010 (please notify <strong>the</strong><br />

Conference Secretariat).<br />

5. There will be four registration points for those with surnames (second names) beginning with:<br />

• A to H (Position 1)<br />

• I to L (Position 2)<br />

• M to O (Position 3)<br />

• P to Z (Position 4)<br />

Conference Bag Collection<br />

1. Registered participants should collect registration confirmation note from <strong>the</strong> Secretariat to enable bag<br />

collection. It is advisable to register early to shorten this process.<br />

2. Bags will be provided at a separate desk in <strong>the</strong> Secretariat.<br />

Name Tags<br />

Please wear your name tag to all Conference activities all <strong>the</strong> time. Incase you loose it please notify <strong>the</strong><br />

secretariat. The name tags are your identification and allow you access to <strong>the</strong> Conference facilities<br />

Conference<br />

Round Table Discussion<br />

Three round table discussions with select policy makers, researchers, private sector and bankers will be held<br />

to discuss agricultural issues.<br />

Oral presentations<br />

There will be a main conference hall and <strong>the</strong> board room for parallel sessions. The halls allocations will be<br />

posted on <strong>the</strong> NOTICE BOARD DAILY.<br />

Side events<br />

Side events are scheduled during <strong>the</strong> parallel sessions (<strong>Kenya</strong> Sugar Research Foundation [KESREF], CABI‐<br />

<strong>Kenya</strong>, Peanut CRSP (Collaborative Research Support Project). Please identify <strong>the</strong>se sessions ahead <strong>of</strong> time in<br />

<strong>the</strong> book <strong>of</strong> Abstracts/Programme.<br />

Exhibitions<br />

Exhibitors will display near <strong>the</strong> Main Conference Hall. Exhibitors will be limited to no more than 4 staff per<br />

stand on any one particular day. These will be allowed into lunch and teas like o<strong>the</strong>r participants. Any extra<br />

stand participant will be charged KES 4,000 (50USD) per day, to cover teas and lunch.<br />

Technical Posters<br />

Several technical posters will be displayed near <strong>the</strong> main conference hall. The posters will be displayed<br />

according to <strong>the</strong>matic areas using numbers allocated in book <strong>of</strong> abstracts. Please visit <strong>the</strong> registration desk<br />

to collect your poster number and put‐up your poster at <strong>the</strong> correct location i.e. <strong>the</strong> place with your number.<br />

Posters will be displayed throughout <strong>the</strong> Congress duration. All posters should be removed by respective<br />

authors on Friday after <strong>the</strong> closing ceremony.<br />

Conference Logistics: Transport logistics for daily commuters from Nairobi and its environs<br />

1. KARI will provide transport from <strong>the</strong> Nairobi City Centre (Kencom bus stop). There will be minibuses clearly<br />

marked with <strong>the</strong> KARI logo. The buses will depart daily from this point at 7.15 a.m.<br />

2. At <strong>the</strong> end <strong>of</strong> <strong>the</strong> sessions in <strong>the</strong> evening, minibuses will drop participants at <strong>the</strong> same location in <strong>the</strong> town<br />

centre. Evening departures will be posted daily on <strong>the</strong> information board.<br />

Oral Presentations<br />

Keynote presentations<br />

1. The time for keynote presentations is 30 minutes<br />

2. A joint discussion will commence at <strong>the</strong> end <strong>of</strong> <strong>the</strong> session<br />

Thematic presentations<br />

1. The time for <strong>the</strong>matic presentations is 20 minutes plus 10 minutes for questions.<br />

Oral presentations<br />

1. The time for oral presentations is 12 minutes plus 3 minutes for questions<br />

General guidelines for oral presentations<br />

1. All PowerPoint presentations should be submitted to <strong>the</strong> Conference Secretariat a day before <strong>the</strong><br />

presentation.<br />

2. Alarms will be sounded at 10, 12 and 15 minutes. The chairperson should stop <strong>the</strong> speaker at 15 minutes.<br />

3. It is important that presenters adhere to <strong>the</strong> set times.<br />

Poster Presentations<br />

1. Posters should be displayed on Monday morning from 7.00 am at <strong>the</strong> set location<br />

2. Posters will be displayed throughout <strong>the</strong> conference<br />

3. Posters will be presented by at least one author at <strong>the</strong> poster session.<br />

Value Chain Exhibitors<br />
