Registration Hours 

1. The registration desk will located near the main conference hall. 

2. Participants will be able to register, pay, and collect conference materials daily from 7.30 am. 

3. Refunds or reimbursements will be processed from Tuesday 10 th November 2010 (please notify the 

Conference Secretariat). 

5. There will be four registration points for those with surnames (second names) beginning with: 

• A to H (Position 1) 

• I to L (Position 2) 

• M to O (Position 3) 

• P to Z (Position 4) 

Conference Bag Collection 

1. Registered participants should collect registration confirmation note from the Secretariat to enable bag 

collection. It is advisable to register early to shorten this process. 

2. Bags will be provided at a separate desk in the Secretariat. 

Name Tags 

Please wear your name tag to all Conference activities all the time. Incase you loose it please notify the 

secretariat. The name tags are your identification and allow you access to the Conference facilities 

Conference 

Round Table Discussion 

Three round table discussions with select policy makers, researchers, private sector and bankers will be held 

to discuss agricultural issues. 

Oral presentations 

There will be a main conference hall and the board room for parallel sessions. The halls allocations will be 

posted on the NOTICE BOARD DAILY. 

Side events 

Side events are scheduled during the parallel sessions (Kenya Sugar Research Foundation [KESREF], CABI‐ 

Kenya, Peanut CRSP (Collaborative Research Support Project). Please identify these sessions ahead of time in 

the book of Abstracts/Programme. 

Exhibitions 

Exhibitors will display near the Main Conference Hall. Exhibitors will be limited to no more than 4 staff per 

stand on any one particular day. These will be allowed into lunch and teas like other participants. Any extra 

stand participant will be charged KES 4,000 (50USD) per day, to cover teas and lunch. 

Technical Posters 

Several technical posters will be displayed near the main conference hall. The posters will be displayed 

according to thematic areas using numbers allocated in book of abstracts. Please visit the registration desk 

to collect your poster number and put‐up your poster at the correct location i.e. the place with your number. 

Posters will be displayed throughout the Congress duration. All posters should be removed by respective 

authors on Friday after the closing ceremony. 

Conference Logistics: Transport logistics for daily commuters from Nairobi and its environs 

1. KARI will provide transport from the Nairobi City Centre (Kencom bus stop). There will be minibuses clearly 

marked with the KARI logo. The buses will depart daily from this point at 7.15 a.m. 

2. At the end of the sessions in the evening, minibuses will drop participants at the same location in the town 

centre. Evening departures will be posted daily on the information board.

Presentation guidelines 

Oral Presentations 

Keynote presentations 

1. The time for keynote presentations is 30 minutes 

2. A joint discussion will commence at the end of the session 

Thematic presentations 

1. The time for thematic presentations is 20 minutes plus 10 minutes for questions. 

Oral presentations 

1. The time for oral presentations is 12 minutes plus 3 minutes for questions 

General guidelines for oral presentations 

1. All PowerPoint presentations should be submitted to the Conference Secretariat a day before the 

presentation. 

2. Alarms will be sounded at 10, 12 and 15 minutes. The chairperson should stop the speaker at 15 minutes. 

3. It is important that presenters adhere to the set times. 

Poster Presentations 

1. Posters should be displayed on Monday morning from 7.00 am at the set location 

2. Posters will be displayed throughout the conference 

3. Posters will be presented by at least one author at the poster session. 

Value Chain Exhibitors 

1. Invited value chain exhibitors will set up on Sunday 8 th November 2010 

2. Exhibitors should provide a list of all items required for set up 

3. Exhibitors should send in advance names of all participants
