3 <strong>August</strong> <strong>2010</strong><br />

<strong>MINUTES</strong> <strong>and</strong> ACTION ITEMS<br />

1. Welcome & Apologies<br />

Present: Lucy Tran-Nguyen, Rachel Meldrum, Mark Sutherl<strong>and</strong>, Sean Bithell, Jane Ray, Barbara Hall, Rebecca<br />

James, Gina Shaw, Andrew Daly<br />

Apologies: Victor Galea, Caroline Mohammed, Peter Williamson, Stanley Bellgard.<br />

2. Previous Minutes<br />

The previous minutes were accepted.<br />

Additional rooms will be required for:<br />

APPS Executive meeting, Wednesday 27 April (pm after poster, wine <strong>and</strong> cheese session)<br />

APPS Editors for lunchtime meeting (April 27 or 28 th )<br />

Rooms may be required for specials interest groups on Wednesday 27 April after the wine & cheese<br />

poster session.<br />

Rachel finalising flyer promoting Darwin tours <strong>and</strong> will send to Gina to send out to database.<br />

It was advised that the molecular workshops cannot be combined.<br />

ACTION:<br />

• Rachel to provide Conlog with flyer promoting tours in Darwin for delegates.<br />

• OC to advise Conlog if additional rooms are required<br />

3. Marketing<br />

Conlog to send eflyer re workshop selection to Peter Williamson to send to APPS member database. All email<br />

distributions should be sent to Peter to distribute to APPS members.<br />

Lucy advised the ASDS conference is next week <strong>and</strong> will be providing them with 130 flyers to put into conference<br />

satchels for delegates.<br />

ACTION:<br />

• Conlog to send workshop eflyer to Peter Williamson to send to APPS database.<br />

• Lucy to send flyers to organisers of ASDS conference for delegate satchels.


4. Venue<br />

No further information regarding the venue at this stage.<br />

5. Sponsorship & Exhibition Update<br />

Sponsorship committee will be contacting chemical companies again this month as it is the new financial year.<br />

Application to HAL in progress <strong>and</strong> will hopefully generate $35,000 in sponsorship.<br />

ACTION:<br />

• Sponsorship committee to follow up chemical companies<br />

6. Timeline<br />

Timeline tracking well – items of interest for <strong>August</strong>:<br />

Conlog to obtain AV quotes<br />

Committee to identify official guests for conference opening <strong>and</strong> social functions<br />

Committee to identify musicians/entertainment <strong>and</strong> send suggestions to Rachel<br />

Conlog to obtain conference insurance quote<br />

ACTION:<br />

• Conlog to obtain AV quotes<br />

• Conlog to obtain conference insurance quote<br />

• Committee to identify official guests for conference opening & social functions<br />

• Committee to identify musicians/entertainment for social functions & send suggestions to Rachel<br />

7. Budget<br />

No changes to the budget at this stage.<br />

16 registrations received to date.<br />

8. Social Program<br />

No further update on Social Program.<br />

Refer action items under timeline.<br />

9. Scientific Program Update<br />

Mark advised that all plenary speakers have been contacted <strong>and</strong> have received both formal <strong>and</strong> informal<br />

acceptances from all speakers.<br />

Mark receiving bio’s <strong>and</strong> pictures for the website <strong>and</strong> will follow up on those not received. Once all received<br />

Mark to send all speaker details to Conlog to post on website <strong>and</strong> log in database.<br />

4 nominees have been received for the McApline Lecture. Mark to distribute nominees CV’s to program<br />

committee for decision.<br />

Program committee will also identify chairpersons for concurrent sessions.<br />

ACTION:<br />

• Mark to follow up on speaker bio’s <strong>and</strong> pictures <strong>and</strong> send to Conlog once received<br />

• Conlog to post speaker information on website once received<br />

• Program committee to choose a nominee for the McAlpine Lecture<br />

• Program committee to identify chairpersons for concurrent sessions


10. Workshops<br />

No changes to the workshops at this stage.<br />

Charles Darwin University will possibly have in-kind sponsorship for use of their rooms for the workshops.<br />

Workshop preference selection now on website.<br />

11. Other Business<br />

Local Darwin committee looking into speaker gift ideas <strong>and</strong> obtaining quotes.<br />

Conlog to send pricing <strong>and</strong> ideas on gifts used for previous conference in Darwin to Lucy <strong>and</strong> Rachel.<br />

ACTION:<br />

• Conlog to send pricing on speaker gift ideas from previous conference to Lucy & Rachel<br />
