<strong>OFFICE</strong> <strong>ASSISTANT</strong> <strong>III</strong> (<strong>MEDICAID</strong>)<br />

Designated supervisory personnel<br />

POSITION PURPOSE:<br />

Performs a variety of intermediate level program support and office tasks requiring a detailed<br />

knowledge of specific Medicaid and unit procedures. Specific duties depend on job assignments<br />

and may include processing and retrieving confidential records, helping to administer MESD’s<br />

Medicaid program.<br />

NATURE & SCOPE:<br />

This position is subject to board policies, administrative rules and procedures, department<br />

regulations and applicable state and federal statutes. This position carries no administrative<br />

authority or responsibility.<br />

DISTINGUISHING CHARACTERISTICS:<br />

Positions assigned to this classification perform complex administrative work requiring thorough<br />

knowledge of program or unit operations. Employees work independently and are expected to<br />

exercise significant decision-making, interpretation, and independent judgment. Duties include:<br />

processing tuberculosis screening documents and administering regulations, conducting research<br />

involving analysis and conclusions and preparing resulting reports; independently conferring with<br />

other employees, customers or outside groups, or coordinating clerical and serving as a lead<br />

worker.<br />

ESSENTIAL <strong>JOB</strong> FUNCTIONS:<br />

1. Participates in developing program and office support procedures, routines, forms and<br />

record keeping systems. May processing billings and monies received.<br />

2. Instructs personnel in multiple state and federal procedures to comply with the Office of<br />

Medical Assistance Program guidelines, product publication procedures, or other office<br />

procedures and coordinates work flow to avoid duplication of work. Also may lead and<br />

direct the day-to-day work activities of other support staff or temporary employees.<br />

3. Performs office services tasks such as filing, scheduling appointments and meetings or<br />

processing purchase orders and requisitions.<br />

4. Collects, classifies, catalogs, and compiles data from several sources, issues orders and<br />

directions, and makes summary reports as required.<br />

5. Performs data entry and statistical calculations and tabulations in accordance with<br />

established formulas and equations, and interpretation of data within departmental guidelines<br />

and policies.<br />

6. Performs designated communications, liaison and customer service tasks such as counseling<br />

with district personnel regarding State Medicaid guidelines, or responding to direct<br />

questions from Medicaid service providers.<br />

7. Audits reports and/or records systems periodically, notifying appropriate individuals of<br />

discrepancies and correcting information as required, including billing, receipting and<br />

updating Medicaid accounts.<br />

8. Prepares, types and proofs forms, letters, brochures, orders, statistical reports and other<br />

documentation. Composes correspondence in accordance with established procedures or<br />

instructions.<br />

9. Coordinates logistics for meetings and workshops by making room, registration and travel<br />

arrangements as necessary. Participates in developing agendas by collecting related<br />

materials; attends meetings to record proceedings and transcribes minutes from shorthand<br />

notes or tape recordings; types minutes in final form and distributes to group members.<br />

10. May require travel to different sites.<br />

11. Processes and maintains follow-up system on reports, orders or other matters requiring<br />

action on a periodic basis.<br />

OTHER <strong>JOB</strong> FUNCTIONS:<br />

1. Provides back-up support to other clerical positions in the office in case of absence or work<br />

overload.<br />

2. Attends department and other staff meetings.<br />

3. Performs other related duties as assigned.<br />

KNOWLEDGE, SKILLS AND ABILITIES:<br />

• In depth knowledge of specialized office procedures, including demonstrating knowledge of<br />

medical terminology which includes ICD-9 coding.<br />

• Interprets and applies program/department information in making work decisions or in<br />

providing information to others.<br />

• Maintains complex specialized records and prepare narrative and statistical reports based<br />

thereon.<br />

• Ability to work independently and make appropriate decisions regarding work methods and<br />

priorities.<br />

• Ability to set up and maintain varied and detailed computerized filing and record keeping<br />

systems.<br />

• Ability to operate standard office equipment such as typewriter, microcomputer, telephone,<br />

calculator and photocopier.<br />

• Ability to type at a level required for specific position.<br />

• Ability to physically perform assigned duties.<br />

• Valid driver’s license and available vehicle may be required depending on specific<br />

assignment.<br />

• Basic knowledge of applicable laws.<br />

• Ability to work with accuracy and attention to detail to meet deadlines.<br />

EDUCATION AND EXPERIENCE:<br />

High School diploma, or G.E.D., and three years specialized and general office experience that<br />

includes medical terminology and ICD-9 coding; or any combination of education and<br />

experience which would provide the applicant with the desired skills, knowledge and ability<br />

required to perform the job.<br />
