Section 1 – Club In<strong>form</strong>ation<br />

Please ensure that the section is completed accurately and that the contact details entered are for the<br />

person who the Committee should contact if they have any questions relating to the <strong>application</strong>.<br />

Section 2 – Membership<br />

When completing this section clubs should:<br />

• Always complete all parts – failure to do so will likely result in the Committee delaying their<br />

decision whilst requesting further in<strong>form</strong>ation.<br />

• Ensure that all membership categories are entered in the 1 st column.<br />

• Complete the benefits of membership section with monetary values if at all possible (e.g.<br />

“Individual Membership of the National Governing Body – usually £25”)<br />

Section 3 – Activities<br />

When completing this section clubs should:<br />

• Include all squads/teams in the 1 st column.<br />

• Fill in the average number of hours per week in all of the different activity columns.<br />

Section 4 – Students’ Non-refundable expenditure<br />

When completing this section clubs should:<br />

• Add any other expenditure items into the blank boxes in the 1st column.<br />

• Include all items of expenditure for members which members are expected to pay<br />

themselves.<br />

Section 5 – Club Sponsorship<br />

When completing this section clubs should:<br />

• List all sponsors, whether sponsorship is in cash or ‘in kind’.<br />

• Estimate value of sponsorship value for all ‘in kind’ sponsorships.<br />

• Show that every possible effort is made by the club to gain sponsorship deals.<br />

Section 6 – Club Grants<br />

When completing this section clubs should:<br />

• List any <strong>grant</strong>s that they are likely to receive on <strong>2009</strong>/<strong>2010</strong>, with the exception of the Sports<br />

Syndicate Grant.<br />

Section 7 – Club Assets<br />

When completing this section clubs should:<br />

• Provide a complete list of assets (investments, land, premises, equipment…) held by the club<br />

and an estimation of their total value.<br />

• Provide as much detail as possible as to the nature of the assets held (e.g. a brief list of the<br />

equipment, details of where the land/premises are…).<br />

Section 8 – University/College Facilities Used Free of Charge<br />

When completing this section clubs should:<br />

• Ensure that the name and type of facility is entered in the 1 st column.<br />

• Enter the average amount of hours per week that they had use of the facility for in 2008/9<br />

Section 9 – College Competitions<br />

When completing this section clubs should:<br />

• Ensure that all College competitions that are managed by the club are entered into the 1 st<br />

column.<br />

• Show all income from entry fees that the club took in 2008/<strong>2009</strong>.<br />

• Show all expenditure on College competitions made by the club in 2008/<strong>2009</strong>.<br />

Section 10 – Attachments<br />

When completing this section clubs should:<br />

• Check (double click on the box and then select “checked” on the menu) to show that they are<br />

including all mandatory items in with the <strong>application</strong>.


• State any other attachments that they wish to include with the <strong>application</strong>.<br />

Section 11 – Request<br />

When completing this section clubs should:<br />

• Request an amount for the <strong>recurrent</strong> <strong>grant</strong>, taking into account what the club has received in<br />

previous years. DO NOT REQUEST AN INCREASE BASED PURELY ON INFLATION. If<br />

possible, inflationary increases will be applied by the Sports Syndicate.<br />

• Be succinct with regard to the club’s funding needs<br />

• Look to fill in any gaps in the in<strong>form</strong>ation given in earlier sections.<br />

• Give full reasons for requesting the amount that has been requested.<br />

• Be specific in your points, give reasons why sponsorship deals have not been renewed.<br />

• Highlight successes and failures, strengths and weaknesses of the club and how these will be<br />

continued/addressed.<br />

• Highlight how the money would be used by the club.<br />

Accounts Document<br />

When completing this section clubs should:<br />

• Change the Custom Header on each of the 3 worksheets from “Cambridge University x Club”<br />

to the full name of the club.<br />

• Provide accounts for 2008/9 and 2007/8. If your financial year 2008/9 has not yet ended, the<br />

amounts should be estimates and this should be made clear on the 3 rd worksheet (“Notes”).<br />

• Use the set <strong>form</strong>at for the income expenditure account.<br />

• Complete the blank Balance Sheet worksheet.<br />

• Use the notes worksheet for all notes to the accounts.<br />

• Seek advice of your Senior Treasurer if you have difficulty in completing your accounts.<br />

INCOME AND EXPENDITURE ACCOUNT<br />

When completing this section clubs should:<br />

• The first income item is cash the club had on from the previous year – make sure that this<br />

amount is entered into D5 and F5 cells for the two years.<br />

• Enter all income categories into column A, with a corresponding amount in column D and F<br />

for 2008/9 and 2007/8 respectively. Do not enter a £ sign.<br />

• Do the same for all expenditure categories.<br />

• Check that the totals cells (calculations already entered on the worksheet) correspond with<br />

your own figures.<br />

• Add further cell rows as necessary if you have more income or expenditure items. If more<br />

rows are added, make sure that these are added into the preset total calculation boxes.<br />

• Add notes by putting a number in column B and using the 3 rd worksheet. E.g. to enter a note<br />

by your 1 st and 3 rd income items and your 2 nd and 4 th expenditure items (having entered the<br />

name of each item in the 1 st column as above):<br />

1. Enter a 1 in cell 5B on the Income and Expenditure Account worksheet.<br />

2. Add your note in cell 1B on the Notes worksheet.<br />

3. Enter a 2 in cell 7B on the Income and Expenditure Account worksheet.<br />

4. Add your note in cell 2B on the Notes worksheet.<br />

5. Enter a 3 in cell 21B on the Income and Expenditure Account worksheet.<br />

6. Add your note in cell 3B on the Notes worksheet.<br />

7. Enter a 4 in cell 23B on the Income and Expenditure Account worksheet.<br />

8. Add your note in cell 4B on the Notes worksheet.<br />

BALANCE SHEET<br />

When completing this section clubs should:<br />

• Enter a complete balance sheet, itemising ALL assets and liabilities held by the club at the<br />

end of the 2008/9 financial year (or the date of submission if the 2008/9 financial year has not<br />

yet ended).<br />

• Enter notes in the same way as above, using the Notes worksheet.
